The steps depend on whether you use a personal Microsoft account or an organization-managed work or school account. For work or school, open View account and edit only the fields your organization allows; a locked name or job title must be changed by IT or HR. A work or school profile photo can be updated through My Account.
First, identify your account type
Personal Microsoft accounts and work or school accounts use different account settings. Work or school accounts are managed by an organization, which may control profile details. Microsoft distinguishes those organization account instructions from Microsoft 365 Personal or Family account settings: Microsoft account display-name guidance.
| Account type | Where to go | Who controls profile fields |
|---|---|---|
| Work or school | Microsoft 365 profile menu > View account > Personal info | Your organization may let you edit some fields; IT or HR may manage others. |
| Personal Microsoft account | Sign in to your Microsoft account and edit the display name there. | Your personal Microsoft account settings, not an organization’s work or school portal. |
Change a work or school display name or other details
- Sign in to Microsoft 365 with the work or school account whose details you want to change.
- Select your profile photo or account icon, then choose View account.
- Open Personal info. Microsoft describes this page as a place to view basic contact and account information: View your work or school account information.
- Edit only the details that have an available edit control, then save your changes. Which fields can be edited depends on your organization.
If the name or job title is locked
A missing or disabled edit control usually means the organization manages that information. Microsoft says some organizations do not allow users to change their names and advises contacting the IT administrator for support: Microsoft Support: change your name on a work or school account. Ask IT or HR about a name, job title, or other centrally managed detail.
Change a work or school profile photo
- Sign in to the My Account portal at myaccount.microsoft.com with your work or school account.
- Select the edit icon on your current profile photo.
- Upload the replacement photo and save.
If the photo edit control is unavailable, your organization may restrict photo changes. You can also use Outlook on the web: select your profile picture, choose View account, select the picture in the My account pane, upload a photo, and select Apply. Microsoft says the new photo appears the next time you sign in to Microsoft 365: Change your profile photo.

Change a personal Microsoft account display name
Sign in to the personal Microsoft account you use and edit the display name in its account settings. Do not use the work or school View account route for a personal account; those organization account instructions do not apply to Microsoft 365 Personal or Family subscriptions.

A display name, profile photo, job title, and other account details are distinct profile fields. Changing one does not necessarily change your email address or every directory attribute. The available controls and update behavior depend on the account type and, for work or school accounts, organization policy.

Allow time for a name change
Microsoft Support says a name change can take up to 24 hours to update everywhere; the reviewed support page does not state a publication year: Microsoft Support name-change guidance. Photo guidance gives a different expectation: the updated photo appears the next time you sign in, not at a guaranteed universal interval.

If you cannot find the setting
- Confirm the signed-in account. Make sure you are using the intended work or school identity rather than a personal Microsoft account, or vice versa.
- Check for an edit control. In View account, organizations may allow changes to some details but not others.
- Contact your organization. Ask IT or HR whether the field is managed centrally if the name, job title, or photo cannot be edited. For work or school sign-in problems, Microsoft directs users to their IT administrator: Get help with your work or school account.
