To find the account linked to many Office licenses, open Word and go to File > Account; note the email beside Belongs to. Then check that account’s Services & subscriptions page for installation options. Whether you can move Office depends on the edition and how it was licensed: Microsoft’s current guidance allows Office 2021 and Office 2024 one-time purchases to move to another computer you own no more than once every 90 days, with an exception for hardware failure. You must remove Office from the old computer.
Find the account associated with Office
- On the old PC, open Word or another Office app.
- Select File > Account.
- Under the product name, note the email shown beside Belongs to.
- Sign in to that Microsoft account and open Services & subscriptions to look for the Office install option.
For many current licenses, the account is the practical way to reinstall and activate Office; Microsoft says the associated account replaces the product key for these tasks. The full key generally is not displayed in Office or on the account page. A retail key is normally redeemed once to link the purchase to an account, though some Workplace Discount Program and volume-license products use different procedures. If you cannot open Office on the old PC, check the Microsoft accounts you may have used to buy or redeem it. If the license came from work or school, identify the work or school account and ask the organization’s IT administrator which Office license is assigned.
Check which kind of license you have
Before moving Office, identify its edition and licensing channel. Microsoft’s installation guidance separates consumer, business, Workplace Discount Program, and volume-license procedures; they are not interchangeable. See Microsoft’s Office installation instructions.

- Microsoft 365 subscription: This is a subscription entitlement, not a one-time Office purchase. Use the account and installation options associated with the subscription.
- Office 2021 or Office 2024 one-time purchase: Microsoft’s current transfer guidance says these can be moved to another computer owned by the same person, subject to the interval and removal rules below.
- Older or preinstalled Office: Do not assume the 2021/2024 rule applies. Check the terms that came with that edition or PC offer.
- Workplace Discount Program, business, school, or volume license: Follow the relevant organization or program’s installation and activation route. A business desktop-app license may need to be assigned by an administrator before installation is available.
Check whether the license can move
Microsoft’s transfer article states that Office 2021 and Office 2024 may be transferred to another computer owned by the license holder no more than once every 90 days, except when hardware failure justifies an earlier move. The guidance also requires removing the software from the previous computer and not retaining a copy. It does not establish that every older edition, preinstalled offer, or organization-managed license has the same transfer right. Read the terms for the specific product before proceeding. Install Office on the replacement PC
Consumer account-linked license
- On the new PC, sign in to the Microsoft account used to buy or redeem Office.
- Open Services & subscriptions and choose the install option for the eligible product.
- Run the installer and sign in with the same account when Office asks you to activate.
A product key supplied with a retail purchase is generally used during setup to associate the license with the account; it is not normally needed again for a later reinstall.

- Sign in with the work or school identity assigned to you.
- Check whether the Office desktop-app install option is available.
- If it is missing, ask the IT administrator to confirm that a desktop-app license is assigned and to provide the organization’s installation route.
Volume-license and some Workplace Discount Program installations may use separate deployment or key procedures; use the instructions for that specific channel.

Activate Office and handle a device-limit prompt
Activate by signing in with the Microsoft account or organization identity that owns the entitlement. For some Windows transfers, a digital key can be sent to the new PC and associated with the user’s account during activation. If the activation wizard reports a device limit or offers phone activation, first confirm that the old installation has been removed, then follow the prompt and the applicable license terms. Microsoft describes phone activation as a possible step for transfers permitted by the license. If you cannot find the license or install option
- No email beside “Belongs to”: Check the Microsoft accounts used to purchase or redeem Office and inspect each account’s Services & subscriptions page.
- No product key available: That is common for account-linked licenses. Use the associated account rather than expecting Office or the account page to reveal the full key.
- Office was provided by an employer or school: Ask the administrator to verify the assigned license and any device-transfer rules.
- Activation fails after an eligible move: Confirm that the former installation is removed, then use the activation wizard’s offered steps. A prompt alone does not establish that the entitlement is lost.
- The license is older, preinstalled, or from a special program: Check the terms for that specific edition and channel rather than applying the Office 2021/2024 rule.
