You can send from another address in Gmail by adding it under Settings → See all settings → Accounts and import → Send mail as, verifying that you control it, and choosing it in the message’s From field. For a school, work, or custom-domain mailbox, Gmail may also ask for that mailbox’s SMTP server and login. Google’s guidance says the third-party-address Send as feature is scheduled to end in January 2027, so check the limitation below if you use an address hosted outside Google.

Before you start: know which address you are adding

Gmail’s setup differs depending on where the address is hosted. A Google-hosted address, a mailbox from another email provider, and an alias managed by a Google Workspace organization do not necessarily use the same SMTP server or authentication.

  • Google-hosted address: If Gmail asks for SMTP details, use smtp.gmail.com and the complete email address as the username.
  • School, work, or custom-domain mailbox: Use the SMTP server and credentials supplied by that mailbox’s provider or administrator. Do not assume its server is Gmail’s.
  • Address ownership: You must be able to receive and complete Gmail’s verification message for the address.

Google says Gmail allows sending from up to 99 different email addresses. The same Gmail Help page warns that, starting in January 2027, Gmail will no longer support Send as for third-party addresses such as Yahoo or Outlook addresses; it says Google Workspace aliases and other Gmail addresses you own are not affected. Add and verify the address in Gmail

  1. On a computer, open Gmail. Select the gear icon, then See all settings.
  2. Open the Accounts and import tab. Depending on the account or interface, it may be labeled Accounts.
  3. In Send mail as, select Add another email address.
  4. Enter the name you want recipients to see and the email address you own. Select Next Step.
  5. If Gmail asks for SMTP details, enter the correct server, username, and password for that mailbox. For a Google-hosted account, use smtp.gmail.com and its full email address as the username. For other providers, use the provider’s server and authentication instructions.
  6. Select Send verification. Open the message sent to the address you are adding and follow its verification link or instructions.
  7. Compose a new message. Select the From line and choose the verified address before sending.

SMTP server, ports, and sign-in

For Google Workspace’s Gmail SMTP server, Google documents smtp.gmail.com with port 465 using SSL or port 587 using TLS; port 25 is also listed for that configuration. Authentication is required. Workspace guidance specifies the complete email address as the username and an app password. These are Google Workspace SMTP settings, not universal settings for every third-party mailbox. Use the authentication method supported by the account and client. Prefer Sign in with Google or OAuth when available. If a compatible client cannot use that sign-in method and 2-Step Verification is enabled, Google’s app-password guidance may apply. An app password is a separate 16-digit passcode; it is not your normal account password. Google says app passwords require 2-Step Verification, are revoked when you change your Google Account password, and may be unavailable for some organization accounts, Advanced Protection accounts, or security-key-only 2-Step Verification setups. Google no longer supports Google Workspace access by less-secure apps and devices that use only a username and password, starting January 2025. An app password is not a way to bypass an organization’s security policy; if the option is missing or access is blocked, ask the Workspace administrator. Set where replies should go

Choosing a different address in the From line changes the sending address, but it does not by itself change Gmail’s default reply destination. To route replies elsewhere, return to Settings → See all settings → Accounts and import, find the address under Send mail as, select edit info, and set a separate reply-to address.

Troubleshoot common setup failures

  • Authentication failed: Check that the username is the full mailbox address. If the client cannot use Sign in with Google and the account requires an app password, create a fresh one and enter it instead of the normal password. A Google Account password change revokes existing app passwords.
  • Couldn’t reach the server or TLS negotiation failed: Confirm the SMTP hostname with the mailbox provider. For Google Workspace’s documented Gmail server, check the secure pairings: SSL on 465 or TLS on 587.
  • Verification message did not arrive: Check Spam and Bulk folders, and make sure the address is correct and accessible to you.
  • Replies reach the wrong mailbox: Edit the Send mail as entry and set the desired reply-to address; selecting a From address alone does not do this.
  • App-password option or third-party access is unavailable: Organization policy or account security settings may prevent it. Contact the administrator rather than weakening account security.

Sending limits and filtering

Google’s current Workspace guidance lists a limit of 2,000 messages per day for the Gmail SMTP-server option. This is a Google Workspace limit for that documented option, not a general guarantee for every Gmail or third-party account. Google also warns that spam filters may reject or filter suspicious messages. See Google Workspace’s SMTP guidance.
