Zoom is the better fit when your priority is turning recorded meetings into searchable highlights, chapters, next steps, and conversation analytics. Microsoft Copilot in Teams is stronger for live assistance inside a meeting and for intelligent Recap after the call, but post-meeting questions and many recap features depend on a transcript, recording, eligible license, and tenant policy. The most important difference is not the marketing name; it is the meeting data each assistant can use and whether you need help during the call or a durable record afterward.
Zoom’s June 24, 2026 product update also changes the naming you may see: meeting summaries and transcription are now presented as built-in Zoom Workplace functions rather than always appearing under the older “AI Companion” label. Microsoft continues to position Copilot as an assistant within Teams meetings and Recap.
What is the difference between Zoom AI Companion and Microsoft Copilot for meetings?
Both products can summarize discussion, answer questions, and identify follow-up work, but they organize those capabilities differently. Zoom’s documented meeting workflow centers on in-meeting questions and post-meeting analysis of cloud recordings. Teams Copilot combines live assistance with Recap features, including AI notes, tasks, speaker navigation, timeline markers, and an audio summary option.

| Comparison point | Zoom Workplace meeting AI | Microsoft Copilot in Teams |
|---|---|---|
| Live meeting help | Participants can ask questions such as “Catch me up,” “Was my name mentioned?” and “What are the action items?” Custom questions are supported. | Copilot can answer questions and summarize discussion during a meeting when the meeting context and organizer settings allow it. |
| Post-meeting source | Smart Recording features use a cloud recording and a processed audio transcript. | Post-meeting questions about spoken content require a transcript; many Recap functions require a transcript or recording. |
| Outputs | Smart chapters, highlights, next steps, and conversation analytics such as talk speed and talk-listen ratio. | AI-generated notes, follow-up tasks, speaker and timeline navigation, and audio recaps built from multiple transcripts. |
| Meeting without recording | The documented Smart Recording workflow is recording-based. | A supported in-meeting configuration can produce notes and tasks without recording or transcription, but those results do not automatically become a post-meeting Recap. |
| Plan gate | Usage limits vary by Zoom Workplace plan. The current pricing page lists limited summaries and in-meeting questions on Basic and unlimited use for those features on Pro and Business. | Access depends on Microsoft Copilot or Teams Premium licensing, plus organizational settings. |
| Retention detail | The cited Smart Recording documentation does not state a universal transcript-retention period. | Microsoft says meeting transcripts expire after 120 days unless the organizer deletes them sooner. |
Neither vendor’s cited material establishes an independent head-to-head accuracy score, measured time savings, or an external benchmark. Treat generated notes as reviewable work products, not automatically approved minutes.

How does Zoom’s meeting AI work?
Zoom’s current product language places core meeting-AI capabilities inside Zoom Workplace. You may still encounter “AI Companion” in older help pages or account interfaces, but the June 24, 2026 update says functions such as meeting summaries and transcription are now built into Workplace under their practical feature names. Zoom distinguishes these built-in functions from ZoomMate, a newer agentic product.
What can Zoom Smart Recording produce?
Smart Recording with AI analyzes a cloud recording after Zoom has an available audio transcript and has finished processing it. Its documented outputs include:
- Smart chapters: sections that organize a long recording into topics.
- Highlights: selected moments that make a recording faster to review.
- Next steps: follow-up items inferred from the conversation.
- Meeting analytics: measures such as speaking speed, talk-listen ratio, monologue length, filler-word use, and patience.
The host, or a user with recording-management permission, can edit highlights and chapters. Availability can vary by region or industry, so an administrator should confirm that the feature is enabled for the account and applicable to the meeting type.
What does Zoom’s in-meeting question feature do?
Participants can ask questions about the discussion while the meeting is still in progress. Zoom gives “Catch me up,” “Was my name mentioned?” and “What are the action items?” as examples, and it supports custom questions. Zoom states that meetings, questions, and responses are supported in more than 30 languages.
The feature is useful when someone joins late, loses track of a decision, or wants to locate an assignment without interrupting the speaker. It is different from Smart Recording: in-meeting questions are a live interaction, while chapters, highlights, and analytics depend on a processed recording and transcript.
Which Zoom plans include these functions?
Zoom’s pricing page lists limited meeting summaries and in-meeting questions on Workplace Basic, and unlimited use of those two functions on Pro and Business. The same page also lists plan-specific AI note-taking allowances. It does not make those limits permanent: pricing, quotas, regional availability, and billing treatment can change.

Before assigning licenses, check the exact Workplace edition, country, billing option, and administrator policy. A user may be licensed for Zoom meetings yet still lack cloud recording, transcript processing, or permission to manage recording highlights.

How does Microsoft Copilot work in Teams meetings?
Copilot can summarize key discussion points, identify who said what, suggest action items, and answer questions during or after a Teams meeting. Microsoft states that Copilot does not work in meetings hosted outside the participant’s organization, so an attendee cannot assume that their Copilot license will operate in a customer’s or partner’s separately hosted meeting.
What can Copilot do while the meeting is happening?
During a supported meeting, Copilot can answer questions about the live discussion and provide a running understanding of the conversation. This is useful for catching up after joining late, checking whether a topic was covered, or asking for decisions and tasks without stopping the meeting.
Microsoft also documents an in-meeting configuration for confidential meetings in which Copilot can create notes and tasks without recording or transcribing the call. That mode is deliberately limited to the live meeting. When the meeting ends, Copilot is not available in Recap unless transcription or recording was enabled.
“No recording” does not mean “no organizational record.” Microsoft cautions that retention policies may still retain Copilot prompts and responses. Administrators should therefore treat prompts and generated answers as potentially discoverable or retained according to the tenant’s rules.

Intelligent Recap provides AI-generated notes and follow-up tasks, along with navigation aids such as speaker markers and a meeting timeline. Microsoft says these experiences require a Microsoft Copilot or Teams Premium license, and many recap functions require a supported transcript or recording.

Microsoft’s own warning is important: “AI-generated content is based on the event transcript and is powered by GPT and other AI models. Some AI-generated content might be inaccurate, incomplete, or inappropriate.” Review names, dates, decisions, and owners before distributing a recap as an official record.
How does Teams audio recap differ from ordinary notes?
Audio recap turns transcripts from up to eight meetings into an audio summary. It is useful for a project lead who wants a spoken briefing rather than another page of notes, but it inherits the transcript requirement and its retention window. Microsoft says meeting transcripts expire after 120 days unless the organizer deletes them sooner.
Which tool is better for live catch-up and questions?
Zoom has the clearer documented prompt-style experience: participants can ask for a catch-up, check whether their name was mentioned, or request action items, and they can write custom questions. Teams Copilot also supports live questions and summaries, but the result depends more visibly on meeting context, organizer settings, and whether the meeting is hosted within the participant’s organization.
Choose Zoom when you need prompt-driven interaction
- A late arrival needs an immediate summary without interrupting the presenter.
- A participant wants to ask a narrowly scoped question about names, decisions, or tasks.
- Multilingual participation matters and the supported-language list covers your attendees.
Choose Teams when live work must stay inside a Microsoft 365 meeting
- Your organization already manages meetings, identities, and compliance in Teams.
- A confidential call needs live notes and tasks without recording or transcription.
- Meeting organizers need Copilot behavior controlled by tenant-level policies.
In either product, treat an answer as an aid to navigation, not proof that every statement was captured. Ask the speaker or consult the source conversation before acting on a disputed detail.
What are the recording and transcription requirements?
The decisive technical difference is what happens when a meeting has no saved artifact. Zoom’s documented Smart Recording outputs require both a cloud recording and an available, processed audio transcript. Teams can provide live notes and tasks in a supported no-recording, no-transcription mode, but transcript-based questions and most durable Recap functions need saved meeting data.
| Scenario | Zoom result | Teams Copilot result |
|---|---|---|
| Cloud recording plus processed transcript | Smart chapters, highlights, next steps, and analytics can be generated, subject to feature availability. | Transcript-based questions and Recap features can be available when licensing and policy requirements are met. |
| Live meeting with neither recording nor transcript | The cited Smart Recording workflow cannot create its recording-based outputs. | Copilot may create live notes and tasks in the documented confidential-meeting configuration; those outputs do not persist into Recap automatically. |
| Recording exists but transcript is unavailable or still processing | Smart Recording analysis is blocked until an audio transcript is available and processed. | Some recording-based navigation may work, but transcript-dependent questions and recap elements may be unavailable. |
| Meeting hosted outside the participant’s organization | Check the host’s Zoom account, recording permission, and regional availability. | Microsoft says Copilot does not work in meetings hosted outside the participant’s organization. |
Zoom setup checklist
- Confirm that the host’s Workplace plan includes the required summary, question, or note-taking allowance.
- Enable cloud recording for meetings that need chapters, highlights, next steps, or analytics.
- Enable audio transcription and wait for processing to finish before expecting Smart Recording results.
- Give recording-management permission only to the people who should edit highlights and chapters.
- Check regional and industry availability before promising the feature to every team.
Teams setup checklist
- Verify that the user has Microsoft Copilot or Teams Premium, depending on the Recap experience required.
- Confirm whether the organizer allows recording or transcription for the meeting’s sensitivity level.
- For confidential meetings, decide whether the no-recording, no-transcription live mode is acceptable.
- Tell attendees that prompts and responses may still fall under organizational retention policies.
- After the meeting, verify that a transcript or recording exists before expecting transcript-based Recap questions.
Which product creates the stronger post-meeting record?
Zoom is more distinctive when the deliverable is a navigable recording: chapters, highlights, next steps, and speaking-pattern analytics are all tied to Smart Recording. Teams is more versatile when the deliverable is an ongoing meeting workspace: Recap combines notes, tasks, speaker navigation, timeline markers, and optional audio summaries.

Zoom’s recording-centered workflow
Use Zoom when reviewers regularly return to the video itself. A chaptered recording can direct a manager to the relevant topic, while highlights remove the need to watch the full call. Analytics can reveal patterns such as long monologues or filler-word use, but those measures describe the recorded conversation; they are not a performance evaluation validated by an independent study.

Teams’ transcript-centered workflow
Use Teams when the transcript is the main source for decisions and follow-up. Recap can connect notes and tasks to speakers and points on the timeline, and an audio recap can combine up to eight meetings. The 120-day transcript expiry means a team that needs a longer institutional record must follow its own export, retention, or records-management process before that window closes.
How do plan limits, licensing, and policy affect the choice?
Feature names alone do not tell you what a user can run. Zoom’s Workplace plans apply usage limits to summaries, in-meeting questions, and note-taking, while Microsoft gates Recap experiences through Copilot or Teams Premium licensing and tenant policy. The same organization may therefore see different behavior for two users in apparently identical meetings.
| Decision question | What to verify in Zoom | What to verify in Teams |
|---|---|---|
| Is the user entitled to the feature? | Workplace edition, remaining summary/question allowance, and note-taking inclusion. | Copilot or Teams Premium assignment and the specific Recap entitlement. |
| Can the meeting produce source data? | Cloud recording, audio transcription, processing status, and recording permissions. | Organizer settings for recording/transcription and transcript availability. |
| Can the output be retained? | Account and regional policies; the cited Smart Recording page does not state a universal retention period. | Transcript lifecycle, including the documented 120-day expiry unless deleted sooner. |
| Is the data used to train models? | Zoom says the cited Smart Recording feature does not use customer audio, video, chat, screen sharing, attachments, or other communication content to train Zoom or third-party AI models. | Apply Microsoft’s tenant retention and compliance policies to prompts, responses, transcripts, and recordings; the cited material does not establish a blanket training statement for every Copilot configuration. |
Do not generalize either vendor’s statement beyond the specific feature and documentation it describes. Legal, regulatory, and contractual requirements can impose stricter controls than the product default.

Which meeting assistant should your organization choose?
Choose Zoom if your teams primarily need recording review: searchable structure around cloud recordings, live catch-up questions, and analytics that help people revisit how a conversation unfolded. Choose Teams Copilot if your organization needs live assistance inside Teams, confidential-meeting notes without recording in the supported mode, or Recap that connects notes and tasks to speakers and a timeline.
Decision guide
- Recording library is the main asset: favor Zoom Smart Recording, provided cloud recording and transcript processing are acceptable.
- Live confidential work is the priority: favor Teams Copilot’s documented no-recording, no-transcription meeting mode, while explaining its lack of automatic post-meeting Recap.
- Cross-meeting spoken briefing is valuable: favor Teams audio recap, which can combine transcripts from up to eight meetings.
- Multilingual live questions matter: check whether Zoom’s stated support for more than 30 languages covers the languages your participants use.
- Strict retention requirements apply: map each product’s transcript, recording, prompt, and response lifecycle to your policy before purchase.
- Budget is the deciding factor: compare the actual Workplace or Microsoft license assignment and current regional pricing; headline feature lists do not show quota or policy differences.
Whichever assistant you deploy, establish a human review step for decisions, owners, dates, and sensitive statements. Generated content is useful for finding and organizing information, but it should not silently become the official record.
Frequently Asked Questions
Is there an independent accuracy ranking for Zoom and Teams meeting AI?
No independent head-to-head accuracy study or named external benchmark is established for these features. A controlled pilot using your meeting types, accents, terminology, and policies is the defensible way to compare error rates.
What is the practical difference between a transcript and a recording for meeting AI?
A transcript gives the assistant searchable words and speaker-attributed text, while a recording preserves the original audio or video for playback. Zoom’s documented Smart Recording workflow needs both a cloud recording and a processed audio transcript, whereas several Teams Recap functions can use transcript or recording data depending on the feature.
Can meeting-AI plan limits change after deployment?
Yes. Quotas, included features, regional availability, and license names are commercial terms that can change. Recheck the current plan page and your administrator console before renewing or expanding seats.
Should an AI-generated recap be accepted as official meeting minutes?
No. Have an attendee verify decisions, names, deadlines, and action owners before distribution. This review is especially important when the source transcript is incomplete, a speaker is misidentified, or the organization’s policy limits what was recorded.
