First identify which backup feature failed: the Windows Backup app and OneDrive, File History, or a Windows recovery tool. They protect different things and use different destinations, so a fix for one will not repair another. Note the exact error, the account you’re signed in with, and whether the destination is OneDrive, a USB drive, or a network location before changing settings.
Identify the backup feature that failed

Microsoft’s Windows Backup instructions describe a consumer workflow that requires signing in with a personal Microsoft account. Microsoft says work or school accounts “won’t work” for this app workflow. File History instead depends on its configured drive or network destination.
Fix Windows Backup and OneDrive errors
Check sign-in and storage first
- Open OneDrive and confirm that it is running and signed in to the Microsoft account used for backup.
- Check the available OneDrive storage in that account. Microsoft’s support page says a free Microsoft account includes 5 GB of OneDrive storage; plan details can change.
- Return to Windows Backup and check the folder selections and the exact error shown. If OneDrive itself reports a sync issue, follow the matching file-specific guidance below.
If Windows Backup asks for an account, check that you’re using a personal Microsoft account rather than a work or school account. Microsoft’s documented consumer setup does not support work or school accounts.
Resolve the error for the affected file or folder
Microsoft’s OneDrive folder-backup guidance lists several reasons a folder or file may fail to sync:

- The folder is connected to a domain and cannot be protected in a personal OneDrive account.
- The file path is too long. Microsoft’s guidance says a path must contain fewer than 260 characters.
- The file exceeds Microsoft’s stated 250 GB maximum file size.
- The filename contains characters OneDrive does not support.
- The file is open, or the folder is not selected for syncing.
- The folder structure includes a protected or linked location.
For a message that a file is open and cannot be moved, save and close that file, then retry. If the affected file is in use, wait until it is saved and closed before attempting the sync again. For a permission error, check that the account has read and write access to the file or folder.
Microsoft also describes moving an affected file out of the OneDrive folder, restarting OneDrive, and moving the file back for a particular sync issue. Apply that only when it matches the error shown, and keep a separate copy where practical. The cited article is scoped to OneDrive for Business, so this procedure should not be treated as a universal fix for consumer OneDrive problems.

“Make sure OneDrive is running” on a managed device
If OneDrive will not start on a work or school device, an organization policy may prevent it from running. Microsoft advises contacting the organization administrator about that policy issue. Do not start by editing the registry.
Fix “Reconnect Your File History Drive in Windows”
File History backs up personal files to the external drive or network location you configured. Microsoft’s File History instructions distinguish the recovery steps by destination:

- External drive: Reconnect the USB or other external disk Windows uses for File History.
- Network destination: Open Control Panel > System and Security > File History, then reselect the network location.
- Start a backup now: In Control Panel > System and Security > File History, select Run now. Otherwise, the next scheduled backup can run after the destination is available.
If you use File History but do not have a suitable destination, an external hard drive is an optional choice. Match its capacity and connector to your needs, and consider whether you want a dedicated backup disk; a drive purchase will not resolve OneDrive sign-in, quota, or sync errors.

Restore through the backup path you used
Windows Backup is designed to restore settings and app pins during setup of a new or reinstalled PC after you sign in with the same Microsoft account. Files stored in OneDrive can be accessed by signing back into OneDrive. File History, by contrast, is for browsing and restoring saved personal-file versions.

For deleted or changed OneDrive content, Microsoft lists recycle-bin and version-recovery options. Its support page states that the recycle bin retains content for 30 days for personal accounts and 93 days for work or school accounts, unless an administrator changes retention. The same page describes a restore feature for Microsoft 365 subscribers that covers changes within 30 days. These account-dependent terms can change; check Microsoft’s OneDrive restore instructions for current eligibility and steps.
Understand what system recovery can undo
Recovery tools can roll Windows back, but that is different from restoring a file backup. Microsoft warns that recovery actions can result in data loss. Its point-in-time restore feature returns the system to a selected earlier state, including apps, settings, and files, so changes made afterward can be lost; OneDrive files are not affected. Read Microsoft’s Windows recovery options before proceeding.

If Windows will not start, the Windows Recovery Environment provides troubleshooting tools, including System Image Recovery when an existing system image is available. Microsoft explains the options in Windows Recovery Environment. Confirm which files are protected before choosing a recovery action that could discard later changes.
