Windows 11 backup preferences are managed at Settings > Accounts > Windows backup. From that page you can choose which standard folders sync through OneDrive, allow Windows to remember installed apps, and select categories of preferences—such as accessibility, language, passwords, and personalization—to associate with your Microsoft account. These controls are separate: turning off app or preference backup does not by itself change OneDrive folder choices, and stopping a switch does not necessarily erase settings already stored in the cloud. Use the same Microsoft account on another Windows PC to restore the backed-up apps and settings; files become available when you sign in to OneDrive.

Where are Windows 11 backup settings?

Open Start > Settings > Accounts > Windows backup. The page groups backup into three areas: OneDrive folder syncing, Remember my apps, and Remember my preferences. Expand a category to inspect its current state before changing anything.

The page is an account-based configuration screen, not a complete image-backup utility. It controls selected user folders, a record of installed apps, and Windows preference categories. Each area has its own switch or checklist, so you can use one without enabling the others.

What does each Windows Backup control cover?

The controls differ by the kind of data they handle, where that data is kept, and which account types can use them.

Control What it handles Where the backup is associated Important limits
OneDrive folder syncing Files in selected standard folders: Desktop, Documents, Pictures, Videos, and Music. OneDrive. Folder choices are unavailable in the Windows Backup page for work or school accounts.
Remember my apps A record of installed apps and restoration of Microsoft Store apps when setting up another Windows device. Your Microsoft account. Unavailable for work or school accounts.
Remember my preferences Selected Windows settings, including accessibility, accounts and passwords, language preferences and dictionary, personalization, and other Windows settings. Your Microsoft account; personalization backup also depends on OneDrive. Availability for an organizational account depends on the organization’s policy.
Other Windows settings Device and interface choices such as printer and mouse options, File Explorer settings, and notification preferences. Your Microsoft account. Only categories shown in your account’s Windows Backup page can be selected.

Microsoft describes the overall behavior this way: when Windows backup is turned on, Windows backs up the settings you choose across Windows devices signed in with your Microsoft account. That does not mean every file, program, or setting on the PC is captured; the page only covers the categories and folders exposed by these controls.

How do I choose which folders sync to OneDrive?

Use the OneDrive section when you want Windows to synchronize the contents of a standard user folder rather than only remember a setting.

  1. Open Settings from Start.
  2. Select Accounts, then select Windows backup.
  3. Under OneDrive folder syncing, select Manage sync settings.
  4. Turn on the folders you want to synchronize. Windows lists Desktop, Documents, Pictures, Videos, and Music as selectable folders.
  5. Turn off a folder in the same screen if you no longer want that folder included.

This is a folder-level choice. The control does not present a separate checklist for individual files inside a selected folder, so organize files into the appropriate standard folders before changing the selection. OneDrive folder syncing is also the part of Windows Backup that directly handles the files themselves; the other two sections deal with app records or Windows settings.

How do I turn Remember my apps on or off?

Remember my apps stores information about installed apps and helps Windows restore Microsoft Store apps when you configure a new device.

  1. Go to Settings > Accounts > Windows backup.
  2. Find Remember my apps.
  3. Turn the switch on to allow Windows to remember the app information, or turn it off to stop using this category.

The documented restore behavior specifically covers Microsoft Store apps. Windows Backup does not promise that every traditional desktop installer, custom enterprise package, plug-in, or app-specific data set will be reinstalled automatically, so keep separate installation details for software that is not delivered through the Microsoft Store.

How do I choose which Windows preferences sync?

The Remember my preferences area lets you select categories instead of accepting one undifferentiated settings bundle.

  1. Open Settings > Accounts > Windows backup.
  2. Under Remember my preferences, turn on the main switch if it is off.
  3. Use the listed checkboxes to select the categories you want. Depending on the Windows build and account, the list can include accessibility, accounts and passwords, language preferences and dictionary, personalization, and other Windows settings.
  4. Clear a checkbox for any category you do not want Windows to synchronize.
  5. Expand each category to review its state. An item that was previously backed up can be labeled Backed up and may show an unavailable toggle; that label indicates stored state rather than a new choice you can change in that particular view.

The Other Windows settings category can cover device and interface choices such as printer and mouse options, File Explorer settings, and notification preferences. Select it only if those kinds of changes should follow you to other Windows devices.

Which Microsoft accounts can use Windows Backup?

Windows Backup in Accounts is primarily designed for consumer devices signed in with a personal Microsoft account. Account type explains several switches that otherwise look broken or missing.

Account situation OneDrive folder syncing Remember my apps Remember my preferences
Personal Microsoft account Available when OneDrive is set up and the control is offered. Available. Available, subject to OneDrive sign-in and storage for personalization data.
Work or school account Unavailable in the Windows Backup control. Unavailable. May be available when the organization permits it.

An organization can restrict synchronization even when Windows displays the preference category. If a work or school account is managing the PC, the absence of a switch can therefore be an account-policy limitation rather than a Windows error.

Why is Remember my apps unavailable?

The most common documented reason is that Windows Backup is being used with a work or school account. Microsoft says Remember my apps is unavailable for organizational accounts; use a personal Microsoft account for the consumer backup experience.

Check which account is signed in

In Settings > Accounts, review the account listed for Windows and the account connected to Windows Backup. If the device is signed in only with an organizational identity, the app-backup switch will not become available merely by opening the page again.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check whether the control is showing stored state

Expand the relevant category. An entry marked Backed up can have an unavailable toggle because Windows is displaying an existing stored item rather than offering a new per-item switch. This state is different from the entire Remember my apps category being unavailable because of account type.

Separate app backup from OneDrive issues

OneDrive folder syncing and Remember my apps are independent controls. A problem choosing Desktop or Documents does not by itself explain an unavailable app switch, and changing folder synchronization will not enable app backup for a work or school account.

What does OneDrive storage have to do with preference backup?

Personalization preferences require you to be signed in to OneDrive and to have enough available OneDrive storage. Microsoft warns that personalization preferences are not backed up when OneDrive storage is insufficient.

This requirement is easy to miss because the personalization choices appear under Remember my preferences, while the storage dependency is handled through OneDrive. If personalization is absent from a new device, verify the OneDrive sign-in and available storage before changing unrelated preference checkboxes. The other preference categories are still governed by their own account and organizational-availability rules.

How do I stop Windows 11 from backing up folders, apps, or preferences?

Turn off the specific category or clear its individual preference checkbox. Stopping future synchronization and deleting information already stored in the cloud are separate actions.

Stop OneDrive folder synchronization

  1. Open Settings > Accounts > Windows backup.
  2. Select Manage sync settings under OneDrive folder syncing.
  3. Turn off each folder you no longer want synchronized.

Stop app or preference backup

  1. Return to the Windows Backup page.
  2. Turn off Remember my apps to stop the app category.
  3. For preferences, leave the main category off or clear only the checkboxes you do not want synchronized.

Remove previously stored cloud settings

If you also want old cloud-synced settings removed, open the Microsoft Account Devices page, locate Cloud synced settings, and select Clear stored settings. This separate cleanup step matters because changing a switch or checkbox controls what Windows backs up going forward; it is not the same command as clearing the existing cloud copy.

How are backed-up apps, settings, and files restored on a new PC?

During setup or after reinstalling Windows on another computer, sign in with the same Microsoft account that held the backup. Windows can then offer to restore the backed-up apps and settings selected in Windows Backup.

  1. Start Windows setup on the new or reinstalled PC.
  2. Sign in with the Microsoft account used on the previous device.
  3. Accept the Windows restore offer when it appears, then review the app and settings choices presented.
  4. Sign in to OneDrive with that same account so the files from synchronized folders become available.

Apps and settings follow the account-based Windows Backup process, while synchronized files are recovered through OneDrive. If a device uses a different Microsoft account, Windows cannot use that account’s stored backup as the source for the restore offer.

How should I configure Windows Backup for common situations?

Moving from one personal PC to another

  • Enable the OneDrive folders that contain files you need on the replacement PC.
  • Turn on Remember my apps if restoring Microsoft Store apps will save setup time.
  • Select only the preference categories that should follow you, such as language, accessibility, or personalization.
  • Confirm OneDrive has enough storage if personalization backup is important.

Sharing a computer with different preferences

  • Use separate Microsoft accounts for each person so settings are associated with the correct identity.
  • Choose folder and preference categories independently for each account.
  • Do not enable a folder merely because another account uses it; OneDrive folder selection is tied to the account’s synchronization setup.

Using a managed work or school PC

  • Expect Remember my apps and the Windows Backup OneDrive folder control to be unavailable for the organizational account.
  • Check whether the organization permits Remember my preferences.
  • Ask the administrator about policy restrictions rather than repeatedly resetting the Windows Backup page.

Preparing to reinstall Windows

  • Review each category and look for the Backed up status.
  • Make sure the intended folders are enabled under Manage sync settings.
  • Record installers or license information for non-Store programs, because the documented app restore feature is for Microsoft Store apps.
  • Use the same Microsoft account during the reinstall and sign in to OneDrive afterward.

  1. Confirm the path: use Settings > Accounts > Windows backup, not a similarly named OneDrive or Privacy page.
  2. Confirm the account type: work or school accounts cannot use Remember my apps, and their OneDrive folder controls are unavailable in this page.
  3. Expand the category: an item labeled Backed up may show an unavailable per-item toggle by design.
  4. Check OneDrive: personalization backup requires a OneDrive sign-in and sufficient storage.
  5. Check organizational policy: an administrator can decide whether preference synchronization is available for an organizational account.
  6. Use the separate deletion control when necessary: turn off the category to stop future backup, then use Cloud synced settings > Clear stored settings on the Microsoft Account Devices page if old cloud data must also be removed.

These checks distinguish four different conditions: a normal category switch, a previously stored item, an account restriction, and a storage or policy dependency. Treating all four as the same “backup is broken” problem can lead to unnecessary changes.

Frequently Asked Questions

Does Windows Backup create a complete image of my Windows 11 PC?

The Accounts page documents selected folders, installed-app information, and Windows preference categories. It does not describe a full disk image or a byte-for-byte copy of the operating system, so use a separate system-image or recovery plan when that is required.

Will my non-Microsoft Store desktop programs be reinstalled automatically?

Microsoft documents restoration of Microsoft Store apps through Remember my apps. It does not promise automatic reinstalls for every traditional desktop installer, so keep the installers and any required sign-in details for those programs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I back up just one file inside Documents?

The Windows Backup page exposes standard folders—such as Documents and Pictures—for OneDrive synchronization. It does not provide a per-file checklist there; place files that need syncing in a selected folder or leave that folder disabled.

Why are my personalization choices missing after I enabled preference backup?

Personalization backup depends on both a OneDrive sign-in and available OneDrive storage. If storage is insufficient, Microsoft says personalization preferences are not backed up even though other preference categories may still be selected.
