Yes—for personal and eligible third-party accounts, if you preserve their recovery methods; no, an Authenticator backup does not preserve access to your former employer’s account. Microsoft says work or school account credentials are not backed up. On a replacement phone, personal and third-party one-time-password codes may be restorable, but work accounts and some passwordless sign-ins need separate setup. Before you return or erase a phone, update personal recovery details, make any permitted work-account changes while you are still authorized, and test the replacement before giving up the old device.
What changes when you leave a job?
Leaving a job can affect two different things that may appear together in Microsoft Authenticator: the credentials stored in the app and your permission to sign in to an employer’s systems. The app can hold personal Microsoft account entries, third-party one-time-password (OTP) entries, and a work or school account. Moving or backing up the app can help preserve some personal sign-in methods; it cannot extend employment access or override an organization’s account policies.
Think of the transition as two separate tasks:
- Preserve accounts you control: make sure personal Microsoft account recovery information is yours, and move eligible personal or third-party codes if you are changing phones.
- Handle work access through the employer: while you are still authorized, check whether your organization permits you to add another sign-in method. If your work account is disabled or you cannot authenticate, contact the organization’s IT administrator.
This distinction matters especially if the phone belongs to your employer. You may have to return it, but returning it does not transfer its work-account credentials to you. Plan the transfer of personal entries before hand-back, and do not try to retain or use an employer sign-in method after authorization ends.

No. Microsoft’s restore guidance states: “Work or school account credentials are not backed up.” After a restore, the work account’s name may appear in the app, but you must sign in and register it again. Whether you can do that depends on the organization’s account status and its registration policies—not on whether the old app had a working code.

Backup can restore eligible rotating OTP codes for personal Microsoft accounts and third-party accounts. A personal Microsoft account’s passwordless credential requires signing in again as well. Treat the restored entry as a starting point, not proof that every account has been recovered: open each important service and confirm that its sign-in works on the new phone while the old phone is still available.
That distinction also explains why an Authenticator backup is not a safe way to preserve a work account before offboarding. If you will need an approved work sign-in method during a transition, ask your employer what is permitted and arrange it through the account’s Security info page or IT team while you still have authorization.
What should you do before leaving or returning a phone?
Start before your final day or device hand-back. You need access to the old phone, the recovery account used for backup, and any personal accounts you intend to keep. If your employer controls the phone or the work account, follow its instructions for permitted sign-in changes and device return.
- Inventory the Authenticator entries. Identify which entries are personal Microsoft accounts, third-party services, and work or school accounts. Note which personal or third-party services rely on an OTP code from this phone. Do not assume every entry has the same backup or recovery behavior.
- Secure personal Microsoft account recovery. Review the personal account’s verification email addresses and phone numbers. Replace any work email address or number you will lose with contact information you control, and make sure you can access the replacement method. Microsoft warns that losing a work or school email used to verify a personal Microsoft account can prevent you from accessing that personal account.
- Check work sign-in options while authorized. If you may still need legitimate work access during a transition, open mysignins.microsoft.com/security-info and inspect the methods available to your work account. Add a supported replacement only if your organization permits it, then test it before you lose access to the old phone. Organization policy can restrict the available choices; Microsoft recommends three different work-account sign-in methods where possible, but that is guidance, not a guarantee that every employer allows three methods.
- Check for a phone-bound passkey. A passkey stored only on the old phone does not automatically move with an Authenticator backup. If your organization allows it, register a new passkey through the work account’s Security info page and test it before removing the old device or passkey. If self-service registration is blocked, ask the help desk for the approved process.
- Decide whether you need to move the app. If you are keeping the phone and can keep using the personal entries on it, an immediate transfer may not be necessary. If you must return the phone, or are moving to another device, enable the appropriate backup and plan a same-platform restore. Keep the old phone until the important replacement sign-ins work.
Do not make app cleanup your first step. Removing an entry can stop that device from verifying sign-ins for the corresponding account. Clearing app data removes all entries and cannot be undone. Confirm that your personal entries and replacement sign-ins work before removing anything or wiping the phone.

How do you back up and move Authenticator to a new phone?
Use the backup process for the phone’s current platform, and restore to the same type of device. Microsoft’s documented process does not support restoring an iOS backup to Android or an Android backup to iOS. Have access to the same recovery account used for backup, and do not erase or return the old phone until you have tested the accounts you need.
On iPhone or iPad
Microsoft documents iOS backup using iCloud Drive, iCloud Keychain, iCloud Backup, and the Authenticator iCloud toggle. Check that the relevant iCloud and Authenticator backup settings are enabled before you switch phones. When setting up the replacement, choose the recovery option before signing in to the app and use the same recovery account associated with the backup.
Restoration is not the same as re-establishing every sign-in. Expect to sign in and register work or school accounts again, and to sign in again for a personal Microsoft passwordless credential. Verify the OTP entries and other important sign-ins before you erase the old phone.
On Android
As of Microsoft’s instructions checked October 30, 2026, the Android path is Authenticator Settings > Cloud Backup, using a personal Microsoft account for backup and recovery. On the replacement Android phone, choose Restore from backup or Begin recovery before signing in, then use the same recovery account.

Microsoft’s support page says the Android backup arrangement is scheduled to change starting in January 2027, when Authenticator backup is to be enabled in Google One backup. That change had not yet taken effect as of the October 30, 2026 check; check Microsoft’s current instructions when you perform the transfer, particularly if it is after that date. Do not follow an older setup path on the assumption that it remains current.
After restoring
Review the entries one by one. For a personal or third-party OTP account, try a sign-in that requires its code and confirm that the replacement app can provide it. If an account does not work, use that service’s recovery process rather than deleting the old entry immediately. For a work or school entry, expect to sign in and register again; if the organization has ended access or blocks registration, contact its IT administrator.
How should you handle work accounts and passkeys?
Work-account sign-in methods are controlled by the organization. While you still have permission to sign in, use the Security info page to see which methods are available and add a replacement only if policy allows. Test it before departure. If the account is locked, a method is missing, or the organization does not allow self-service registration, ask IT what recovery or access is permitted.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Passkeys deserve a separate check because their storage and transfer are not equivalent to an Authenticator OTP backup. If a passkey exists only on the phone you must return, arrange another permitted sign-in method before hand-back. A passkey saved in a synced credential manager may already be available on another device, but verify that it is there and can sign in; do not assume it synced. If the passkey belongs to a work account, the organization’s rules still apply.

A physical security key can be an additional method for a personal Microsoft account and may be usable for a work account if the organization supports and permits the relevant hardware method. It is an independent sign-in option, not an Authenticator backup or a way to get around employer deactivation. Compatibility and permission must be confirmed, and the key must be registered and tested before you rely on it.
What if you are returning a company phone?
If the phone is company property, separate what you need to retain from what you are required to return. Back up and restore eligible personal entries to a device you control before hand-back, and make sure the recovery account is accessible without the work phone or work email. Do not copy, retain, or use employer credentials unless the organization explicitly authorizes the access.
If you do not have a replacement phone yet, keep access to the existing app only as long as you are allowed to retain the device and account. An additional personal sign-in method may reduce reliance on one device, but only if the account supports it and you have actually registered and tested it. A security key, for example, cannot restore access to a disabled work account.

What should you do after departure?
Keep Authenticator for personal and third-party accounts that remain yours. Remove an obsolete work entry only when doing so will not disrupt an authorized sign-in you still need, and do not clear all app data as a shortcut. If work access is no longer authorized, or you cannot register the work account again, direct any permitted recovery or access question to the former employer’s IT team.

If you are still completing an authorized handover, ask IT whether the organization expects you to remove the work account from the app or device, and when. Follow that process rather than treating an old entry in Authenticator as continuing permission to sign in.
Which option fits your situation?
| Situation | What it preserves | Main limitation | Best next action |
|---|---|---|---|
| Keep using the existing phone | Personal and third-party entries that still work on that phone | Depends on retaining the phone and working recovery methods; does not preserve employer authorization | Update personal recovery details and confirm which phone entries you need before hand-back |
| Back up and move to a replacement phone | Eligible personal Microsoft and third-party rotating OTP codes | Restore must be same-platform; work credentials and phone-bound passkeys need separate attention | Use the platform’s current backup path, restore with the same recovery account, and test before wiping the old phone |
| Add another physical security key | An independent sign-in method for compatible accounts where permitted | It is not an app backup; work-account use depends on organization policy and it cannot bypass account deactivation | Confirm compatibility and permission, register it, and test it before relying on it |
How did we choose these options?
The options are organized around the reader’s actual constraint: whether the old phone must be returned, whether the account is personal or employer-controlled, whether the phone platform is changing, and whether a supported alternative can be registered. The key criteria are backup eligibility, same-platform restore support, access to the recovery account, organizational permission, and successful sign-in testing before the old device is erased or returned. No single option preserves every credential or grants work-account access after authorization ends.
Frequently Asked Questions
What if my personal Microsoft account uses my work email?
Change the personal account’s verification email to an address you control before the work mailbox is closed, and check its verification phone number too. If you can no longer receive verification messages at the work address, use Microsoft’s personal-account recovery process; app backup does not replace those recovery contacts.
Can I restore Authenticator from Android to an iPhone?
Microsoft’s documented Authenticator backup restore process requires the same device type, so an Android backup cannot be restored directly to iOS through that process. Plan another permitted sign-in method for accounts that do not transfer, and verify each account with its service.
Will a passkey in Authenticator move when I restore my backup?
Do not assume so: a passkey saved only on the old phone is separate from the OTP-code backup. If it is in a synced credential manager, verify availability and sign-in on the replacement before returning or erasing the old phone.
Can I get into my former employer’s account if Authenticator still shows it?
An entry remaining in the app is not proof that your account is still active or that you are authorized to use it. Contact the former employer’s IT administrator about any permitted recovery or access; do not try to bypass the organization’s controls.
