Greyed-out commands in Microsoft Word usually mean the document is read-only, protected, locked, or affected by an Office licensing or administrator restriction. Check the mode selector beside Share and any warning bar at the top of Word first; they often reveal the cause. A greyed-out Save button may instead indicate that OneDrive storage is full.
First, identify what is actually greyed out
Two different problems are often described as “the Word Ribbon is greyed out”:
- Some commands are disabled: Word is open, but commands such as editing, saving, copying, or printing are unavailable. Possible causes include permissions, protection, licensing, administrator policy, or a file lock.
- The entire Ribbon is missing: This is a Ribbon display issue, not necessarily a permissions problem. Use Word’s Ribbon display options to show tabs and commands. Microsoft distinguishes a hidden Ribbon from disabled commands. Microsoft’s explanation of disabled Ribbon commands
Microsoft lists four broad causes of disabled Ribbon commands: Information Rights Management (IRM), administrator policy, Reduced Functionality Mode, and Protected View. Document-level restrictions and file locks can cause similar symptoms.
1. Word is in Viewing or Reviewing mode
Current versions of Word can open a document in Viewing, Reviewing, or Editing mode. Viewing is read-only; Reviewing allows comments and suggested revisions; Editing permits normal edits and saving, subject to the document’s permissions. Microsoft’s guide to Word document modes

- Look in the upper-right corner of the Ribbon, beside Share.
- Select the current mode, such as Viewing or Reviewing.
- Choose Editing, if it is available.
If Editing is not offered, the document owner may not have granted you edit permission. In Word for the web, use the mode menu to switch to Editing or request access. 2. “Always Open Read-Only” is enabled
In Word desktop, check File > Info > Protect Document > Always Open Read-Only. Select the option again to clear it. Depending on the Word surface, it may be labelled Always open view-only. Microsoft’s read-only document instructions
This preference controls how Word opens the file. Clearing it does not grant permission to edit a shared document, remove Protected View, unlock a restricted document, or override IRM. Microsoft’s editing guidance
3. Protected View is blocking editing
Protected View is a read-only security mode. Word may use it for files downloaded from the Internet, unsafe email attachments, files from another person’s OneDrive, files deliberately opened with Open in Protected View, or files that fail Office file validation. Microsoft’s Protected View guide

- If a yellow warning bar appears, verify the file’s source and contents, then select Enable Editing.
- If a red warning bar appears after a validation failure, use File > Edit Anyway only if you trust the file.
To deliberately open a file in Protected View, use File > Open > arrow beside Open > Open in Protected View. If Enable Editing or Edit Anyway is missing or disabled, an administrator may have blocked users from leaving Protected View through Group Policy or the Microsoft 365 cloud policy service. There may be no local Word fix.

Protected View can also prevent Word from downloading cloud fonts. Word may substitute another font, or text may appear as black boxes if there is no suitable substitute. Enabling editing for a trusted file allows Word to download the required font. Microsoft’s Protected View guide
4. The document has editing restrictions
- Open the Review tab.
- Select Restrict Editing.
- Inspect the pane on the right.
If Allow only this type of editing in the document is selected and set to No changes (Read only), normal editing is blocked. A document may also allow edits only in particular sections. Microsoft’s read-only document instructions
If you are authorized to remove the restriction, select Stop Protection. Word may request the protection password. If the document has editable regions, use Find Next Region I Can Edit or Show All Regions I Can Edit. If Word says “This modification is not allowed because the selection is locked,” click in an allowed region or ask the owner to change the protection. 5. The Windows file attribute is Read-only
The Windows Read-only attribute is separate from Word’s Viewing mode and document protection. Check it when a local file opens read-only, especially after it was copied from removable storage or another computer. Microsoft’s guide to files opening read-only
- Close the document in Word.
- In File Explorer, right-click the document and select Properties.
- On the General tab, clear Read-only.
- Select Apply, then OK, and reopen the file.
Clearing this attribute will not remove sharing permissions, IRM, Protected View, or Restrict Editing.

6. Another user has the shared file open
When a document is opened from a shared location while another person has it open in desktop Office, Word may show the last-saved version with editing commands unavailable. Editing may become available after the other person closes the file. Microsoft’s guide to files locked by another user
Ask the other user to close the document. To work immediately, select File > Save As and create a separate copy; changes in that copy will need to be reconciled with the original. Information Rights Management (IRM) applies permissions to the document itself. A file can allow you to read it while preventing you from modifying, copying, printing, forwarding, or faxing it. Local read-only settings cannot restore commands disabled by IRM. Microsoft’s explanation of disabled Ribbon commands
Where you have the required administrative rights, IRM controls are available through Review > Protection > Permissions > Restricted Access. Permission levels can include Read, Change, and Full Control. If you do not manage the file’s rights, contact its owner or your organization’s Microsoft 365 administrator. 8. Word is unlicensed or in Reduced Functionality Mode
Check Word for an Unlicensed Product message, activation error, or expired Microsoft 365 subscription. An unactivated installation may let you view or print documents while preventing editing or saving. Microsoft also lists Reduced Functionality Mode as a cause of disabled Ribbon commands. - Select File > Account.
- Check the product name, activation status, and signed-in account.
- Sign in with the account that owns the Microsoft 365 subscription or Office license.
- If the subscription has expired, renew it or use a properly licensed installation.
9. OneDrive storage is full
A document stored in OneDrive may open normally but fail to save when the account has used all available storage. This can look like an editing problem, especially if you can type but cannot save. Microsoft’s read-only file guidance

10. Mac or iPhone/iPad app is in Reduced Functionality Mode
Beginning July 13, 2026, some Microsoft 365 and Office users on macOS, iPhone, and iPad can open, view, and print files but cannot edit, save, or create files if their operating system or app version is no longer supported. Microsoft’s Mac and iOS update guidance

To update Office on a Mac, open an Office app and select Help > Check for Updates. In Microsoft AutoUpdate, select Update or Update All, then restart the app. On iPhone or iPad, open the App Store, tap your profile picture, find the app, and tap Update or choose Update All. On Mac, identify your product in Word through Word > About Word. Office 2019 for Mac reached end of support on October 10, 2023, and cannot be updated to the required version. If Office 2021 for Mac still cannot edit or save after updating, quit Word completely with Command + Q or Word > Quit. Reopen it, open the app’s Account settings, sign out, and sign back in. Microsoft’s troubleshooting instructions

Use this sequence to diagnose greyed-out commands:
- Check the mode selector beside Share and choose Editing if available.
- Look for a yellow or red Protected View warning bar.
- Open Review > Restrict Editing and check for locked sections.
- Check File > Info > Protect Document for Always Open Read-Only.
- For a local Windows file, clear the Read-only attribute in File Explorer.
- Ask whether another user has the shared document open.
- Check File > Account for licensing or activation problems.
- Check OneDrive storage if saving, rather than typing, is the problem.
- On Mac or iPhone/iPad, check the operating system and Office app versions against Microsoft’s July 2026 requirements.
If none of these checks explains the problem, the restriction may be imposed by organization policy, IRM, or the document owner’s sharing settings. The owner or an administrator will need to change it.
FAQ
Why is Word greyed out but I can still view the document?
The document may be in Viewing mode, Protected View, a restricted editing state, or Reduced Functionality Mode. Check the mode selector beside Share, any security message bar, Review > Restrict Editing, and File > Account.
Does turning off Always Open Read-Only fix Word?

Why is Enable Editing missing in Word?
