Canceling a cloud storage plan usually ends the paid storage at the end of the billing period and moves the account to a smaller free or included quota. Your files are not necessarily erased immediately, but if they exceed the new limit, syncing, uploads, backups, editing, or even email can stop. Deletion rules differ by provider, so download and verify important files before canceling.
What cancellation changes—and what it does not
Canceling a subscription is usually a downgrade, not the same as deleting the account. For example, Dropbox says that moving from an individual paid plan to Basic is not account deletion. The paid storage entitlement generally lasts through the current billing period; after that, the account is measured against its smaller quota.
The key question is whether your current storage use fits within that post-cancellation allowance. Being over quota does not necessarily make existing files disappear at once, but it can restrict what you can do with them. No single retention period applies to every cloud provider.
What the major providers say
These policies cover the consumer account types named below. Work or school accounts, regional terms, account-specific exceptions, and policy changes can produce different results. Check the current terms for the account you actually use before canceling.

| Provider and scope | When the downgrade takes effect and new allowance | What may stop while over quota | Deletion and recovery policy stated by provider |
|---|---|---|---|
| Google storage / Google One, personal account | Purchased storage ends at the end of the billing cycle. A personal account may return to up to 15 GB shared across Drive, Photos, and Gmail. Google One cancellation and storage policy | Gmail sending and receiving can stop; Drive uploads and syncing stop; new collaborative files cannot be created, and affected files cannot be edited or copied; Photos backup stops. Google One storage limits | Google says content may be deleted if the account has been over quota for two years or longer. It says it will contact the user at least three months before content becomes eligible for deletion and provide a chance to download files or reduce usage. This is an eligibility threshold, not an immediate deletion date. Google storage policy Google guidance on managing storage |
| Apple iCloud+ | The downgrade takes effect after the current subscription billing period; the free iCloud plan is 5 GB. The cited Apple page is localized for Latin America. Apple iCloud+ downgrade instructions | If use exceeds the new capacity, iCloud will not sync or update information and iCloud backups will not complete. Sync and backups resume after increasing storage or freeing space. Apple iCloud+ downgrade policy | The cited downgrade page does not state a fixed deletion deadline for content above quota. Apple iCloud+ downgrade policy |
| Microsoft 365 Personal / OneDrive | Canceling returns cloud storage to 5 GB, including OneDrive and Outlook.com attachments; Outlook.com storage is separately listed as 15 GB. Microsoft 365 cancellation guidance | Over-quota users cannot upload, edit, or sync new files. OneDrive files are read-only but can be downloaded or deleted to get under the limit. Outlook.com sending and receiving may also stop. Microsoft cancellation guidance Microsoft storage and quota guidance | Microsoft says it may delete OneDrive and all files within it after six months over the allowance. Its quota guidance says files might be deleted after six months and are non-recoverable once deleted. These statements concern the Microsoft personal subscription context, not organizational accounts. Microsoft cancellation guidance Microsoft storage and quota guidance |
| Dropbox individual paid plans to Basic | Plus, Professional, or Essentials changes to Basic at the end of the current billing cycle. Basic includes 2 GB. Dropbox individual plan cancellation Dropbox over-quota policy | When above the Basic quota, syncing, uploading, sharing, moving, or previewing can be restricted. Dropbox over-quota policy | Dropbox says it may delete files owned by the user after advance email notices, starting with the least recently modified files; the cited policy gives no fixed interval from downgrade to deletion. In the described Basic over-quota process, deleted items can be restored for 30 days, after which they are permanently removed if not restored. This is not a universal recovery promise for every plan or deletion type. Dropbox over-quota and recovery policy |
Why there is no universal “grace period”
Providers use different triggers and describe different remedies. Google’s stated policy allows content removal after two years or longer over quota, with at least three months’ notice before content becomes eligible. Microsoft’s OneDrive guidance uses six months over quota. Dropbox describes advance email notices and deletion beginning with the least recently modified owned files, but gives no fixed wait between downgrade and deletion in the cited policy. Apple’s cited downgrade instructions describe sync and backup effects without specifying a deletion timer.
These are published provider policies, not guarantees that every account will have the same outcome. Plan, account type, region, and changes to provider terms can matter. Do not wait for a stated threshold as your backup plan.

How to protect your files before canceling
- Identify the account and billing route. Confirm which account owns the subscription and where it was purchased. Third-party billing can change Google’s cancellation steps; Dropbox says subscriptions bought on a mobile device must be canceled through the relevant app store. - Check your current use against the post-cancellation quota. Include linked services. Google storage is shared across Gmail, Drive, and Photos; Microsoft’s 5 GB cancellation allowance includes OneDrive and Outlook.com attachments. Google storage policy Microsoft cancellation guidance
- Download important data while access is working. Google recommends downloading files to a personal device to free cloud space, and Microsoft says OneDrive files can be downloaded while read-only over quota. Google storage management guidance Microsoft storage guidance
- Make sure downloads are complete local files. Dropbox warns that online-only desktop placeholders and files marked for offline use in its mobile app may not be saved as full files in the device file system. Dropbox online-only file guidance
- Open a sample and verify it. Check that downloaded files open and contain the expected content. This practical check helps catch incomplete or unusable copies before you remove cloud originals.
- Then reduce usage or keep enough storage. If you want to use the free tier, remove or move cloud files only after checking the retained copy. Otherwise, choose a plan that covers your use. Google, Apple, Microsoft, and Dropbox describe reducing usage or increasing quota as ways to avoid or resolve restrictions. Google storage policy Apple iCloud+ policy Microsoft storage guidance Dropbox over-quota policy
- Keep notices and check the account afterward. Providers may send warnings before deletion, but email notice should not be your only safeguard. Google specifies at least three months before deletion eligibility; Dropbox says it sends advance notices without stating a fixed duration in the cited policy. Can you still download files when over quota?
Sometimes. Microsoft says OneDrive files are read-only while over quota and may be downloaded or deleted to get under the limit. Google recommends downloading files as a way to reduce storage. Those statements do not establish that every provider, every file type, or every account will retain download access indefinitely, so save important data before cancellation rather than relying on an over-quota window.
