Before putting work information into ChatGPT, identify whether you are using a personal account or an organization-managed workspace, then review model-improvement sharing, Memory, Temporary Chat, multi-factor authentication, connected apps, and workspace policy. These controls are separate: changing one does not automatically change the others.
Start by identifying the account that owns the conversation
The most important privacy decision comes before any setting: confirm which account and workspace are active. ChatGPT can let you switch between accounts, but switching does not merge their chats, memories, settings, or ownership. A personal account and a managed work account have different governance and visibility expectations.
Personal account
You control most user-level settings on a personal account. You can decide whether new conversations may be used to improve models, manage Memory, choose Temporary Chat, enable multi-factor authentication (MFA), and disconnect apps. Those choices still operate within OpenAI’s current product and safety policies.
Organization-managed account
A Business, Enterprise, Edu, or Healthcare workspace may be administered by your employer or another organization. Administrators can control data settings, connected apps, sharing, retention, access, Memory, and monitoring. A user-level switch may be unavailable, locked, or overridden by workspace policy.

OpenAI’s managed-account guidance says that if you want work data to remain under your organization’s governance, you should use the managed account for work-related activity. Do not paste company information into a personal account merely because it is more convenient. If the account switcher shows a work workspace, select it before starting a work conversation.
What to verify before continuing
- Read the account or workspace name shown in the account menu.
- Check whether the workspace is labeled Business, Enterprise, Edu, Healthcare, or another organization-managed environment.
- Ask your administrator which retention, monitoring, app, and sharing rules apply if the interface is unclear.
- Keep personal and work conversations in their respective accounts; switching accounts does not combine their data.
Stop model improvement on a personal account
If a personal account is the only option and work content should not be used to improve OpenAI models, open Settings > Data Controls and turn off Improve the model for everyone. This is a model-improvement setting, not a deletion command.
What turning it off changes
New chats remain in your chat history after you disable the setting, but their content is not used to improve models under that control. Existing history is therefore still visible in the account unless you delete it separately. The setting also does not erase memories, disconnect apps, or change an administrator’s policy.

OpenAI states that content from Business, Enterprise, Edu, and Healthcare workspaces is not used to train models by default. “By default” matters: administrators can impose additional controls, and availability can vary by plan, region, and workspace configuration. Confirm the policy shown in your workspace rather than assuming that a personal-account switch applies.
Check the result
- Open the account menu and make sure you are in the intended account.
- Go to Settings > Data Controls.
- Locate Improve the model for everyone.
- Turn it off on a personal account when your organization’s policy requires that work chats not contribute to model improvement.
- Leave the page and return to the setting to verify that the choice persisted.
If the control is missing or locked in a managed workspace, treat the workspace policy as authoritative and ask the administrator rather than trying to work around it with a second account.

Audit Memory and personalization separately
Memory is different from model-improvement sharing. A conversation can be excluded from model improvement and still influence personalization if Memory is enabled. Before using ChatGPT for work, open the Memory or personalization controls, review saved items, and remove anything that should not persist.
Review and delete saved memories
Look through the list of saved memories for names, project details, customer information, internal terminology, preferences, or other sensitive facts. Delete individual items that no longer belong there. Turning Memory off does not by itself remove memories already saved; deletion is a separate action.
Decide whether personalization is appropriate
Memory can make recurring work easier, but it also creates a durable record that may affect later answers. For a shared, regulated, or confidential workflow, use the most restrictive setting allowed by your workspace policy. Remember that disabling Memory or personalization does not disable limited safety-related context that may be used in rare, high-risk situations.
Keep the controls distinct
- Model improvement: controls whether eligible chats may be used to improve models.
- Memory: controls information saved for future personalization.
- Chat history: controls whether ordinary conversations remain listed in the account.
- Workspace policy: can restrict or override the choices available to you.
Use Temporary Chat for a one-off sensitive conversation
Temporary Chat is designed for a conversation that should not become part of ordinary history or personalization. Start a new Temporary Chat before entering the sensitive material. A temporary chat stays out of chat history, does not create or update memories, and is not used to improve OpenAI models while it remains temporary.
Prevent existing personalization from being applied
Choose Unpersonalized before starting if the conversation should not use existing memories, custom instructions, or plugins. This choice addresses what the session can draw from; it does not retroactively erase information already stored elsewhere in the account.

Understand the retention limit
Temporary does not mean that no copy can exist anywhere. OpenAI may retain a copy for up to 30 days for safety. That safety retention is separate from chat-history display and model-improvement use.
Do not convert it accidentally
Saving a Temporary Chat converts it into a regular chat. Once saved, normal history, personalization, and model-improvement settings apply. If a transcript must be retained for a business record, follow your organization’s approved retention process instead of saving a sensitive temporary session casually.
Enable multi-factor authentication
MFA adds a second verification step to account sign-in and should be enabled before work data is used. OpenAI’s Privacy Center identifies multi-factor authentication as an access and data-use control and links to setup instructions.
Complete and verify setup
- Open your account’s security or authentication settings.
- Enable MFA using the method offered for your account.
- Complete the enrollment challenge and store any recovery information according to your organization’s policy.
- Sign out or use a fresh sign-in to confirm that the second factor is actually requested.
The exact sign-in flow and availability can vary by account and workspace. If an administrator requires a particular method, that workspace requirement takes precedence. Do not assume MFA is active merely because enrollment was started; verify it on a subsequent login.
Review connected apps before granting access
Connected apps can read information or take actions on your behalf. Their permission prompts are independent of Memory, Temporary Chat, and model-improvement settings, so review them even after changing those controls.

Choose the narrowest permission level
Depending on the app and account, available choices can include Always ask, Allow read actions, Allow low-risk actions, and, for eligible apps, Allow all actions. Use the least permissive option that supports the task. “Allow all actions” carries elevated risk because it can permit actions beyond simply reading information.
Change a prompt without confusing it with disconnection
Permission settings govern when ChatGPT asks before reading data or taking an action. Changing a prompt does not revoke the app provider’s access that was previously granted. To stop future access, disconnect the app from Settings > Apps or Settings > Plugins, where those entries are available.
Pre-work app check
- List every connected app visible in the settings page.
- Remove apps that are not needed for the job.
- Use “Always ask” for unfamiliar or high-impact actions.
- Disconnect an app when the project ends rather than merely lowering its prompt level.
- In a managed workspace, confirm whether administrators approve or centrally control the app.
Know what your employer may control or see
Whether an employer can see a conversation depends first on where it was created. A managed workspace can include administrator-controlled retention, monitoring, sharing, access, app, and data settings. Authorized administrators may be able to access workspace data under those rules.
Personal account conversations
A personal account is not automatically the same as a company-managed workspace. However, using a personal account for company information may violate internal policy, create retention problems, and prevent the organization from applying its approved controls. Personal-account privacy settings are not a substitute for an employer’s governance requirements.

Managed workspace conversations
In a managed workspace, assume that organizational policy determines retention and authorized access. The OpenAI Privacy Center explicitly states that its privacy center does not override administrator controls, workspace retention policies, or authorized access to workspace data. Ask your administrator how monitoring and exports work in your specific environment; the answer can vary by plan, region, and configuration.

Separate account from content permissions
Even in a managed workspace, app connections and sharing settings can expose information beyond the original chat. Check both the workspace policy and the permissions of each connected service before approving an action.

A practical preflight sequence for work
Use this order whenever you begin using ChatGPT for a new job, team, or project:
- Select the correct account: choose the managed workspace for work data that belongs under organizational governance.
- Read the workspace notice: identify retention, monitoring, app, sharing, and Memory rules.
- Set model-improvement sharing: on a personal account, turn off Improve the model for everyone if required; in a managed workspace, confirm the administrator’s policy.
- Clean Memory: delete saved items that should not persist and disable personalization when the task calls for it.
- Choose Temporary Chat: use it for a one-off sensitive exchange, select Unpersonalized when appropriate, and do not save the chat casually.
- Secure sign-in: enable and verify MFA.
- Audit apps: remove unnecessary connections, select the narrowest action permission, and disconnect apps that should no longer access the account.
- Minimize the input: even with these controls, provide only the work information necessary to obtain the answer and follow your organization’s data-classification rules.
Common mistakes and how to correct them
“I turned off training, so the chat is gone.”
It is not gone. Disabling model improvement leaves ordinary chats in history. Delete the conversation separately if policy permits and requires removal.
“I disabled Memory, so nothing can be retained.”
Memory is only one layer. Temporary Chat has a possible safety copy for up to 30 days, and managed workspaces may retain or monitor data under administrator rules.
“I changed an app to Always ask, so it cannot access my data.”
That setting changes the approval prompt. Disconnect the app from Settings > Apps or Settings > Plugins to stop future access.
“My work account and personal account are interchangeable.”
They are separate accounts with separate governance. Account switching does not merge data, and work content should stay in the account designated by your organization.
“Temporary Chat is safe for anything.”
It reduces history and personalization exposure but is not an absolute no-retention mode. OpenAI may keep a copy for up to 30 days for safety, and saving the chat makes it a regular conversation.
