There is no single best note-taking app. The right choice depends on what happens after you capture a thought. Notion is the strongest overall option for structured notes and databases; Obsidian is better for local files and connected ideas; Evernote excels at searchable web research and documents; Apple Notes is the fastest choice for Apple users; OneNote is the most versatile for free-form pages and digital ink; Google Keep is ideal for quick snippets and reminders; and Goodnotes is the specialist choice for handwriting and annotated PDFs.
The most effective setup for many people is not one app but two layers: a low-friction capture tool for immediate thoughts and a more organized archive for notes you expect to retrieve, connect, or reuse later.
Note-taking apps are often compared as though they were interchangeable word processors. They are not. Some are designed to capture a thought in seconds, some turn notes into databases, some preserve a folder of local files, and others are essentially digital notebooks for handwriting or document storage.

Choose by the job your notes must do
- Need properties, filters, relationships, or project views? Choose Notion.
- Want notes to remain ordinary local files? Choose Obsidian.
- Collect articles, PDFs, scans, receipts, and images? Choose Evernote.
- Use Apple devices and want the fastest capture? Choose Apple Notes.
- Write by hand, sketch, or arrange content freely on a page? Choose OneNote.
- Need a lightweight capture inbox for lists and reminders? Choose Google Keep.
- Work mainly with handwriting and PDF annotation on an iPad? Choose Goodnotes.
1. Notion: best overall for structured thoughts and data
Notion is the best general recommendation when the goal is to turn notes into an organized system rather than accumulate a pile of pages. Its databases treat each item as a page with properties. The same information can then be displayed in formats such as a table, board, timeline, calendar, list, gallery, chart, or form-oriented view, depending on the workspace and feature set.
That makes Notion particularly useful for information that has repeatable fields. A reading log might contain a title, author, status, rating, topic, source link, and summary. An idea database could include an idea type, date captured, priority, next action, and related project. A content workflow could show the same notes as a board for status tracking and a calendar for publication planning.
Notion also suits collaborative workspaces and project-linked notes. A meeting note can live alongside a project database, while research items can be filtered by subject, stage, or owner. This is more powerful than simply placing documents in folders, but it also means the user has to make decisions about structure.
Useful capture and migration features
Notion’s Web Clipper can save a web page to a selected destination, add notes and tags, and turn captured material into an actionable item. That makes it more useful for deliberate research collection than a basic browser bookmark.
For people moving from another system, Notion supports imports including Markdown, text, DOCX, CSV, HTML, PDF, and ZIP files, as well as content from services such as Evernote. Import support reduces the initial switching cost, although an import is not the same as a perfect reconstruction of the original workspace.
The main trade-off: offline access and export fidelity
Notion supports offline use in its desktop and mobile apps, but its offline model requires planning. Users generally download individual pages. Notion’s documented behavior also limits offline database downloads to the first 50 rows of the first view, and some advanced blocks are unavailable offline. Downloaded pages are device-level rather than automatically shared across every device.
Notion can export content in HTML, Markdown, and CSV. That gives users an exit path, but exported pages may not preserve every proprietary block, relationship, or layout. Before committing a large archive, export a representative sample containing images, PDFs, tables, links, and metadata and inspect the result outside Notion.
Choose Notion if: your notes need properties, databases, multiple views, collaboration, or links to projects and workflows.
Avoid making it your only choice if: you need comprehensive offline access, want files that remain usable without a specific app, or dislike designing systems before you can use them.
2. Obsidian: best for local ownership and connected thinking
Obsidian stores a vault as a folder on the local file system. That distinction matters to anyone who wants notes available as files rather than only as records inside a vendor-controlled cloud workspace. The underlying vault is especially attractive to writers, researchers, programmers, academics, and privacy-conscious users who value direct access to their material.
Obsidian’s defining feature is the way notes can connect to one another. Internal links create relationships between ideas, and Backlinks can show both linked and unlinked references to the active note. Instead of organizing everything only by folder, a user can build a network of related concepts: a book note can connect to a theory, a project, a person, and several source notes.
Canvas and file-based flexibility
Obsidian Canvas extends the linked-note approach into a free-form space. A canvas can contain Markdown notes, images, audio, PDFs, web pages, and other files. Canvas data is stored in the open JSON Canvas format, which is a useful consideration for users who care about durable, inspectable data.
The trade-off is that Obsidian is more configurable than turnkey. Users may need to decide how to structure folders, naming conventions, links, templates, plugins, and synchronization. That flexibility is valuable when the system grows around a particular way of thinking, but it can also become a project of its own.

Sync is not the same as backup
Obsidian Sync is a separate service for synchronizing notes across devices. It supports selective syncing and version-history features, but synchronization should not be treated as a complete backup strategy. Keep an independent backup of the vault, especially before changing plugins, restructuring files, or performing a large migration.
Ordinary Markdown files remain portable, but not every Obsidian feature is equally portable. For example, block references are proprietary and may not work outside the application. If long-term portability matters, use standard Markdown and ordinary file links for the core of your archive, and treat app-specific features as optional enhancements.

Avoid it if: you want a polished shared workspace with minimal setup or do not want to maintain your own structure and backup routine.
3. Evernote: best for collecting mixed research material
Evernote is a strong choice for a document-heavy archive. It is designed for collecting web pages, articles, PDFs, images, scans, handwritten material, audio, and tasks in one place. Its Web Clipper can save web pages, articles, and PDFs directly into Evernote, which is convenient when the original material needs to remain with the note.
Search is one of Evernote’s most important advantages for this workflow. Its documented search capabilities cover note contents, tags, attachments, handwritten or typed text in images, and text in attached documents and PDFs. Evernote also offers semantic search intended to find notes by meaning rather than only by exact keywords.
Free tools Windows power users keep installed
One-click scans. No signup required.
This makes Evernote a natural fit for people who think in terms of a searchable filing cabinet: save the receipt, scan the document, clip the article, attach the meeting file, and retrieve it later. It is also useful when information and follow-up action belong together. Tasks can sit inside a note beside the material needed to complete them, with options such as due dates, reminders, flags, and a central task view depending on the plan.
The main caution is plan dependence. Task features and advanced search capabilities may vary by subscription, and Evernote’s packaging and limits can change. Verify the current plan details before choosing it for a large professional archive.
Choose Evernote if: most of your input is clipped research, PDFs, scans, images, receipts, meeting material, or documents that must be searchable.
Choose something else if: you primarily want a connected network of ideas, a relational database, or a minimalist place for short reminders.

4. Apple Notes: best for zero-friction capture on Apple devices
Apple Notes is the easiest recommendation for people already using an iPhone, iPad, and Mac. It removes much of the friction between having an idea and saving it. The app supports quick thoughts, checklists, drawings, scanned and signed documents, attachments, note-to-note links, tags, Smart Folders, locked notes, and synchronization through iCloud.
It is also more capable than a basic text scratchpad. Apple documents search across typed text, handwriting, objects in images, and scanned documents. In supported workflows, Notes can record and transcribe audio inside a note, then make the transcript available for searching. Document scanning can also be performed directly inside Notes.
This combination makes Apple Notes particularly good for everyday capture: scan a form, photograph a whiteboard, write a shopping list, save a voice thought, or mark up a document without opening a separate platform. On an iPad, it can also serve as a handwriting and sketching tool.

- Reusability: Designed with sustainability in mind, Rocketbook notebooks help reduce paper waste with a reusable alternative. Enjoy a paper-like notebook that can be used repeatedly, allowing you to save work and erase everything else.
The limitation is ecosystem dependence. The best experience assumes Apple hardware and an iCloud setup. People who frequently work on Windows, Android, or other platforms should confirm that the access and editing experience meets their needs before making Notes the primary archive.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsChoose Apple Notes if: you use Apple devices and want the shortest route from thought, scan, sketch, or recording to a saved note.
Choose another app if: cross-platform access, advanced databases, or a local-file archive is more important than device-native convenience.
5. Microsoft OneNote: best for free-form notebooks and digital ink
OneNote is a versatile digital notebook for students, professionals, and Microsoft 365 users. Its notebook-section-page hierarchy provides an understandable top-level structure, while individual pages allow content to be placed freely rather than forcing every note into a rigid document layout.
That free-form page model works well for lectures, meetings, brainstorming, diagrams, sketches, annotations, and research. Microsoft describes OneNote as supporting note capture, project organization, cross-device access, digital ink, collaboration, and voice transcription. A page can combine typed text, handwriting, images, drawings, and other material without requiring the user to decide on a database schema first.
OneNote is especially compelling when handwriting is central but the user also needs a broad notebook system. It is less specialized than a handwriting-first app and less database-oriented than Notion, but that middle ground is useful for school and work notebooks.
The main drawback is weight. Notebook, section, and page layers plus the wider Microsoft ecosystem can feel excessive if all you need is a temporary list or a two-line idea. Users outside Microsoft’s ecosystem may also gain less from its integrations.
Choose OneNote if: you take handwritten notes, sketch diagrams, annotate material, collaborate on notebooks, or already work extensively in Microsoft 365.
Choose a simpler app if: you mostly capture short reminders and do not need notebook organization or digital ink.

6. Google Keep: best for quick snippets, lists, and reminders
Google Keep is a capture inbox, not a full personal knowledge-management system. Its strength is that a short note, checklist, URL, image, voice recording, or reminder can be saved without building a structure first.
Keep can search and filter by text, labels, colors, images, reminders, recordings, URLs, and categories such as books, music, or travel. Google also documents text search inside photos, including receipts, in supported languages. That is useful for quick visual capture even though Keep is not intended to replace a document archive.
Keep works well for grocery lists, fleeting ideas, packing lists, reminders, reference numbers, and links that need attention later. Labels and colors provide enough organization for a modest collection, while the low maintenance helps prevent capture from becoming a chore.
Its limits become clear when notes need relationships, long-form research, complex metadata, or durable document management. At that point, move important material into Notion, Obsidian, Evernote, or another archive rather than expecting Keep to become a complete knowledge system.

Choose Google Keep if: you need a low-maintenance inbox for short notes, lists, URLs, and reminders connected to a Google account.
Do not choose it as your only archive if: you collect large documents, need linked ideas, or want database-style organization.
7. Goodnotes: best for handwriting-heavy iPad workflows
Goodnotes is the specialist choice for users whose primary input is handwriting, annotated PDFs, digital planners, and stylus-based work. Its documented search can cover handwriting, typed text, and PDF text. It also supports spellcheck and word completion across typed and handwritten text.
That makes Goodnotes a better fit than a conventional note database when the page itself matters. A student can annotate lecture slides, a professional can mark up a PDF, and a planner user can write naturally while retaining searchable content.
Goodnotes is not the strongest choice for structured records, project relationships, or a mixed archive of web pages and documents. It can coexist with a broader system, but its main value is the handwriting experience rather than database or knowledge-graph features.
Choose Goodnotes if: handwriting and PDF annotation are more important than databases, collaboration systems, or linked notes.
Choose OneNote instead if: you want handwriting plus a broader notebook, collaboration, and Microsoft-centered workflow.
Physical and e-ink companions for handwritten capture
Software is not always the best first surface for an idea. Some people think more naturally with pen and paper, then want the result filed digitally. A physical companion can solve the capture problem without replacing the archive app.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →If you like handwriting but still want digital filing, a Rocketbook Core reusable notebook offers a pen-and-paper workflow with a companion app for scanning pages and sending them to cloud destinations such as Google Drive, Evernote, and Dropbox. It is best understood as a capture bridge: write by hand, digitize the useful page, and route it into the system where you will actually retrieve it.
An e-ink device is a different, more expensive approach. Kindle Scribe is relevant for readers who want a dedicated e-ink writing surface alongside reading annotations, notebooks, lists, and journals. Amazon also describes AI-assisted note refinement features. It is not a universal replacement for a note-taking app; it makes the most sense when reading and writing on an e-ink device are both central to the workflow.
The most practical setup: separate capture from the archive
Many people do not need one app to perform every note-taking job. They need a fast place to catch thoughts and a reliable place to turn valuable material into reusable knowledge.
Layer 1: the capture inbox
Use Apple Notes, Google Keep, OneNote, or a physical reusable notebook for immediate capture. The rule is simple: the capture layer should be faster than your thought. Do not require yourself to choose a category, write a summary, or fill out six fields while an idea is disappearing.
Recommended Free Tools
Layer 2: the archive or knowledge base
Use Notion, Obsidian, or Evernote when notes need organization, retrieval, context, or long-term reuse. Notion is the strongest choice for structured fields and views. Obsidian is best when notes should remain local files and connect through links. Evernote is best when the archive consists mainly of mixed documents and clipped research.
A simple weekly processing routine
- Review the inbox. Look at uncategorized notes, recordings, scans, and saved links.
- Delete disposable material. Do not turn every temporary reminder into permanent knowledge.
- Convert useful items. Move durable notes into the archive, attach the source, and add enough context to understand why the item matters.
- Add the next action. If a note requires a decision or task, record that action where you will see it.
- Connect related material. Add a Notion relationship, an Obsidian link, an Evernote tag, or a clear reference to the relevant project.
- Preserve the source. For research, save the URL, document, or citation rather than relying on memory.
Good app combinations for common workflows
Researcher or writer
Use a quick capture tool for fleeting observations and Notion or Obsidian for the archive. Choose Notion if research needs fields such as source, topic, status, and next action. Choose Obsidian if the important work is connecting concepts, quotations, people, and arguments across many notes.
Student with handwritten lectures
Choose OneNote for a broad notebook with sections, pages, sketches, and collaboration, or Goodnotes for a handwriting-first and PDF-heavy workflow. Apple Notes can be sufficient for Apple users who want a lighter system and occasional handwriting rather than a specialized study archive.

Document and receipt collector
Evernote is the most natural fit when the archive contains scans, PDFs, images, web pages, and attachments that must be found later. Apple Notes can work well for Apple users who mainly need device-native scanning and occasional retrieval.
Busy person who needs an inbox
Google Keep or Apple Notes is usually more appropriate than a complex knowledge system. Capture the idea quickly, add a reminder when necessary, and only migrate notes that prove useful over time.
Offline access: compare the details, not the checkbox
“Works offline” can mean several different things: the app opens without an internet connection, previously viewed pages are available, new notes can be created, a complete database can be searched, or changes synchronize later. Those are not equivalent.
Obsidian starts from a local vault, so its basic file model is naturally suited to offline work. Synchronization across devices is an additional concern. Notion supports offline use, but users generally need to download pages individually; its documented offline database coverage is limited, and some advanced blocks are unavailable. Apple Notes depends on the user’s Apple devices and iCloud configuration. OneNote is designed for notebook access across devices, but users should still confirm which material is available before traveling or working without connectivity.
If offline access is critical, test the exact workflow before committing: disconnect the device, open the notes you need, create a new note, edit an existing item, search for an attachment, and reconnect to confirm synchronization. Do not infer full offline coverage from an app’s general offline label.

One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchPortability and migration: test before you commit
Portability is not just whether an app has an export button. It is whether the exported material remains understandable and useful somewhere else.
Notion supports HTML, Markdown, and CSV exports, but complex layouts and proprietary blocks may change during conversion. Obsidian’s vault is a local folder containing Markdown notes and related files, which generally gives it a stronger file-level ownership model. However, app-specific features such as block references may not carry over to another application.
Before migrating a large archive, select representative samples:
- a plain text note;
- a note containing images and attachments;
- a table or database record;
- a PDF or scanned document;
- a note with links and metadata;
- a handwritten or annotated page, if relevant.
Export those samples, open them in a different application, and check whether the content, links, attachments, dates, tags, and relationships survived. Keep the original archive until the new one has been verified. For Obsidian, maintain independent backups even when using synchronization.
A final decision framework
Ask these questions in order:
- How fast must capture be? If the answer is “immediately,” start with Apple Notes or Google Keep, or use OneNote if handwriting is involved.
- What kind of information do you collect? Articles and PDFs point toward Evernote; structured records point toward Notion; linked ideas point toward Obsidian.
- Is handwriting the primary input? Compare OneNote and Goodnotes, with Apple Notes as a convenient Apple-native alternative.
- How much setup do you want? Keep and Apple Notes are easy to start. Notion and Obsidian reward more deliberate design.
- How important is ownership and portability? Give Obsidian extra weight, and test exports from any cloud-centered app before building a large archive.
- Will you work offline or across platforms? Check the exact devices, pages, databases, attachments, and synchronization behavior you require.
Do not choose an app because it has the longest feature list. Choose the one whose capture method, organization model, search behavior, and portability match the way you actually think and work.
Frequently Asked Questions
Can one note-taking app do everything?
Sometimes, but a two-layer setup is often more practical. Use Apple Notes, Google Keep, OneNote, or a physical notebook for fast capture, then move important material into Notion, Obsidian, or Evernote for organization and retrieval.
Which note-taking app is best for offline use?
Obsidian has the clearest local-first model because its vault is a folder on the device. Notion also supports offline use, but its documented behavior requires page-level downloads and limits offline database coverage. Apple Notes and OneNote can work offline within their device and synchronization arrangements, so test the exact notes and attachments you need.
What is the best app for handwritten notes?
Choose Goodnotes when handwriting and PDF annotation are the main activities. Choose OneNote when you also need free-form notebooks, sections, collaboration, and broader Microsoft integration. Apple Notes is a convenient alternative for Apple users who want handwriting alongside scans, lists, and everyday capture.

How should I migrate notes to a new app?
Export a representative sample first, including plain text, images, PDFs, tables, links, metadata, and handwritten pages where relevant. Open the export outside the original app, verify that important content survived, and keep the original archive until the migration is complete.
The Bottom Line
Bottom line: Start with Notion for structured thoughts and data, Obsidian for local and connected knowledge, Evernote for mixed research material, Apple Notes or Google Keep for frictionless capture, OneNote for flexible digital notebooks, and Goodnotes for handwriting-heavy work. If no single app fits every stage, use a quick capture layer and a separate archive instead of forcing one tool to do both jobs.
