Delete an old email account only after you have moved every important sign-in and password-recovery link, saved any messages or files you need, and checked what else the account controls. If you cannot move those dependencies yet, keep the mailbox, secure it, and revisit closure later. There is no universal rule that every unused address should be deleted.
Why an old email account can still matter
Email addresses often remain tied to other accounts long after someone stops checking the inbox. A service may use the address for sign-in, receipts, security alerts, or password-reset links. Losing access to that mailbox before updating those services can make it harder to recover them.
Email is also a security-sensitive account in its own right. The Federal Trade Commission says someone with access to your email may use password-reset features to target other accounts. Its advice for protecting an account includes a strong password and two-factor authentication; if you suspect compromise, check recovery information and forwarding rules. What to check before closing an account
- Identify the exact account and provider. Sign in and confirm which mailbox you intend to close. Be especially careful if the address is part of a broader account, such as a Google Account that also controls other services.
- Find accounts that depend on the address. Check saved logins in your password manager and search important services for the old address. Prioritize financial, shopping, social, government, cloud-storage, and device accounts. Change both sign-in and recovery email addresses where applicable.
- Review purchases and recurring services. Check subscriptions, purchases, receipts, and any service where the old inbox may be needed to verify ownership or manage billing.
- Save information you want to keep. Review messages, contacts, calendars, and files, then download needed data. Open the downloaded files to confirm they are usable before closing the account. - Tell people who still use the address. Let relevant contacts know how to reach you instead, and allow time for important messages or account updates to reach the new address.
- Follow the provider’s current closure instructions. Check the provider’s stated recovery period and make sure you understand what deletion affects before confirming.
If you cannot yet update a dependent account, keep the mailbox available while you sort it out. Secure it with a unique, strong password and available two-factor authentication, verify its recovery methods, and remove unfamiliar forwarding rules or connected apps.

Deleting Gmail is not the same as deleting a Google Account
A Google Account can control services beyond Gmail. Deleting the whole account can affect services such as Drive, Calendar, and Play, as well as associated purchases. Google recommends changing the address on banking, social media, and app accounts before deleting the Google Account. Google’s checklist before deleting a Google Account.
Google also provides a separate option to remove Gmail while keeping other Google services. Its guidance says Gmail messages and settings are deleted after 30 days, and the Gmail address cannot be used by anyone in the future. Choose the action that matches what you intend to close: removing Gmail affects the mailbox, while deleting the Google Account is broader. Read the confirmation screens carefully so you do not remove services or purchases you meant to keep.
Do not assume an inactive account will stay open forever
Inactivity rules differ by provider and account type. For personal Google Accounts, Google says it may delete an account after at least two years of inactivity across Google, subject to exceptions. Certain current purchases or subscriptions are among the exceptions described in its policy; Google may send warnings to the account and its recovery email. Microsoft generally requires a sign-in at least once within a two-year period to keep an account active, with exceptions. Its closure guidance says a closed account can be reopened within 60 days; after that, the account and its data are permanently deleted. Can you recover an account after deletion?
Do not rely on a recovery window as a substitute for preparation. Google says a recently deleted account may be recoverable, but recovery may fail after some time. Microsoft’s published 60-day reopening period applies to Microsoft account closure; it should not be assumed to apply to Gmail or another provider. Plan for long-term inactivity or incapacity
If your goal is to make arrangements for an account you may not use for a long time, Google offers Inactive Account Manager. It lets users specify who should access information and whether the account should be deleted. Google says it cannot provide passwords or other login details to representatives. - Close it when you have moved all needed sign-in and recovery addresses, saved the data you want, and confirmed which services the closure affects.
- Keep it for now when important accounts still depend on it or you have not verified your exports. Secure the mailbox and update those dependencies first.
- Make an inactivity plan when you want to address long-term access rather than close the account immediately; check whether your provider offers a suitable tool.
Deleting an account is not, by itself, a proven way to prevent identity theft. The FTC’s security guidance supports protecting email access; it does not quantify a security benefit from account closure.
