OneDrive is the private work area for files an individual owns; SharePoint is the shared workspace for a team or organization. Start a draft, personal working file, or document you are not ready to expose in OneDrive. Put a project library, department records, recurring team documents, or governed information in SharePoint. Both services provide sharing links, Office co-authoring, and desktop sync, so the deciding issue is ownership and how the content must be managed over time. Files in a Microsoft Teams channel are stored in that channel’s SharePoint site, not in the OneDrive of the person who uploaded them.
What is the difference between SharePoint and OneDrive?
The shortest accurate distinction is individual ownership versus shared ownership. Microsoft describes OneDrive as a cloud-storage platform for an individual’s or personal files, while SharePoint is a collaboration tool for managing and sharing files and information across an organization.
| Question | OneDrive | SharePoint |
|---|---|---|
| Who owns the working space? | An individual user owns the files in their OneDrive library. | A team, department, project, or organization owns content in a site and its libraries. |
| Who can see a file by default? | No one else; files added to a user’s OneDrive are private until shared. | People with access to the relevant SharePoint site or library can access its files, subject to permissions. |
| Best starting point | Drafts, exploratory work, personal work files, and documents shared with a small, named group. | Recurring team work, shared libraries, project or department content, pages, news, and organizational information. |
| Information structure | An individual library organized for that user’s work. | Sites, libraries, pages, navigation, and permissions designed for a group. |
| Governance | Useful for files that do not yet need team-wide lifecycle management. | Supports administrator-managed access, process flows, and retention policies. |
| Microsoft Teams relationship | Not the storage location for files uploaded to a Teams channel. | Every Teams channel’s Files experience is backed by SharePoint; a new team or private channel automatically creates a SharePoint team site. |
| Collaboration and offline work | Sharing links, Office co-authoring, and sync to Windows or macOS. | Sharing links, Office co-authoring, and sync to Windows or macOS. |
Should I save this file in OneDrive or SharePoint?
Choose OneDrive when one person is accountable for the work and the document may later be handed off. Choose SharePoint when several people need a durable home, shared responsibility, structured permissions, or a retention and lifecycle process.
Use OneDrive for individual work
- Drafts and work in progress: A report, presentation, spreadsheet, or design that you are still developing.
- Exploration: Notes, research material, prototypes, and temporary working files that do not yet belong to a formal project library.
- Highly sensitive personal work: Content that should remain private while you prepare it, provided your organization’s policies allow that use.
- Selective review: A file you want one manager, client, or specialist to comment on without giving a whole team access to a shared library.
- Short-lived ownership: Work that is clearly yours now and may be moved to a team location after it is approved.
OneDrive files are not shared with anyone else by default. When you are ready, you can share a file or folder with specific people, people in your organization, or another link audience enabled by your administrator. You remain able to change or delete the sharing link to revoke that access.

Use SharePoint for collective work
- Project and department content: Files that must remain available to the group rather than depend on one employee’s library.
- Recurring collaboration: Documents that multiple people edit, review, and maintain as part of an ongoing process.
- Broadly useful information: Policies, procedures, announcements, reference material, and other content intended for an organization or a defined business audience.
- Structured libraries: Content that benefits from a site, library, navigation, pages, news, or site-level permissions.
- Governed records: Information subject to retention policies, approval flows, or other administrator-managed controls.
A SharePoint site gives shared content a home that can outlive an individual employee’s personal workspace. Site and library permissions let administrators manage access for a group instead of maintaining a long list of one-off file shares.
Is OneDrive personal while SharePoint is for teams?
That wording is useful only if “personal” means individual work ownership, not a consumer-only account. OneDrive for work is part of an organization’s Microsoft 365 environment, but its default audience is the individual owner. SharePoint is also part of that environment, with a design centered on team and organizational collaboration.
OneDrive is therefore private by default, not permanently private. The owner can share a document, co-author it with colleagues, and later move the finished work to a SharePoint library. SharePoint is not automatically public: people still need access to the site, library, folder, or file through the permissions your organization has configured.
The practical test is not whether a file contains personal information in the everyday sense. Ask instead: Would the work still need to be available if my role changed, and should a group—not just me—be responsible for it? If the answer is yes, SharePoint is usually the better destination.
Where are Microsoft Teams files stored?
Files shown in a Teams channel are stored in the SharePoint site behind that channel. Uploading a file to a channel does not make the uploader’s OneDrive the team repository.
What happens when a team or channel is created?
Microsoft Support states that creating a new team or private channel automatically creates a team site in SharePoint. The channel’s Files experience uses that SharePoint-backed storage, so members work from a shared location governed by the team’s access model.

How should I interpret a Teams file location?
- Channel conversation: Treat the file as team content. Its durable home is the channel’s SharePoint site.
- One-person preparation: Create or keep the draft in OneDrive until it is ready for the team, then place the approved or collaborative version in the channel.
- Access changes: Manage the audience through the team, channel, and SharePoint permissions rather than assuming the uploader remains the owner.
This arrangement is why a colleague can continue to find a channel document even when the person who uploaded it is unavailable: the content belongs to the team’s SharePoint workspace.

How do sharing and permissions differ?
Both services support sharing links and collaboration, but the level at which access is managed differs. OneDrive starts with an individual owner who grants access file by file or folder by folder. SharePoint starts with a site or library whose members already have access, then applies any more specific permissions.
OneDrive sharing
For a OneDrive file, choose the narrowest audience that fits the task: specific people for a review, people in the organization for an internal audience, or an “anyone with the link” option only when your administrator has enabled it and the risk is acceptable. Set view or edit rights deliberately, and remove or change the link when the work is no longer meant to be available.
SharePoint sharing
In SharePoint, membership in the relevant site or library is often the main access decision. A file can still be shared more narrowly, but the durable control is the site’s structure and permission groups. This is better suited to a department or project whose membership changes over time, because administrators can update the group rather than chase individual links.
External and guest access
OneDrive and SharePoint both support external collaboration controls. Administrators can control whether guests or external users are allowed, restrict sharing to approved domains, set link defaults and expiration, and distinguish viewing from editing. An organization’s OneDrive setting cannot be more permissive than its tenant-wide SharePoint setting, so a restrictive tenant policy limits both services.

Which service is better for co-authoring and offline work?
Neither service wins on basic editing features. Both support Office co-authoring in compatible Word, Excel, and PowerPoint formats, and the OneDrive sync app can synchronize files from both OneDrive and SharePoint to Windows or macOS.

Co-authoring
Use OneDrive when you are inviting a few people to review a document you own. Use SharePoint when co-authoring is part of an ongoing team process and the file should remain in the team’s library after the current editing session. In either case, collaborators need an appropriate sharing permission and a compatible Office application or web experience.
Desktop and offline access
The same sync application can expose both locations in File Explorer or Finder. That lets you open synchronized files in desktop applications and continue working when disconnected, then synchronize changes when connectivity returns. Decide the storage location first; sync is a way to work with that location offline, not a reason to place team records in an individual’s library.
For large libraries or sensitive content, synchronize only what users need and follow your organization’s device, download, and data-protection policies. A local copy does not change the file’s ownership or SharePoint permissions.
What does SharePoint add beyond a shared folder?
SharePoint is more than a place to drop files. A team site can combine document libraries with pages, news, navigation, and permissions so people can discover information and understand its context.
- Libraries: Separate project, department, or record collections while keeping ownership shared.
- Pages and news: Publish explanations, announcements, and links alongside the files they describe.
- Navigation: Give users a predictable path to related libraries and information.
- Permission scope: Manage access at the site or library level, with more specific controls where necessary.
- Process flows: Support repeatable review or approval processes documented for SharePoint.
- Retention: Apply retention policies where organizational or regulatory requirements call for lifecycle management.
OneDrive can share a file effectively, but it is not intended to be the information architecture for an entire department. When a folder starts accumulating many collaborators, recurring processes, and long-lived records, that is a signal to design a SharePoint site or library instead.
How should a small business use OneDrive and SharePoint together?
Microsoft’s guidance for small businesses is not to pick one service exclusively. Use OneDrive for business files that others do not need to access regularly, and use a SharePoint team site for shared collaboration.

- Identify the owner: If one person is responsible for preparing the work, begin in that person’s OneDrive.
- Set a sharing boundary: Share a draft with named reviewers rather than exposing an unfinished file to an entire team.
- Recognize the hand-off point: When the work becomes a team deliverable, move or copy the working version into the appropriate SharePoint library.
- Organize the shared location: Use libraries, folders, pages, and navigation that match the project or department’s information needs.
- Manage membership: Give access through the team’s or site’s groups where possible, and use narrower file sharing only for exceptions.
- Apply governance: Configure external sharing, link expiration, retention, and process controls according to the sensitivity and lifespan of the content.
- Offer desktop access: Let users sync the OneDrive or SharePoint locations they need for offline work, while keeping the authoritative copy in the correct service.
This model prevents two common failures: putting every company document in one employee’s private library, and creating a SharePoint site for every temporary personal draft.

What decision rule works for most files?
Use this two-question test before saving:
- Is one person the clear owner, and is the file still being prepared or shared selectively? Save it in OneDrive.
- Does a team need durable shared ownership, a structured home, broad access, or lifecycle controls? Save it in SharePoint.
If the answers change, the file can change locations. A OneDrive draft is not a mistake when it is genuinely individual work; leaving a mature team record there is the problem. Likewise, a SharePoint library is appropriate for shared work even when only two people edit it today if the content is meant to outlast the current pair of contributors.
| Situation | Recommended location | Reason |
|---|---|---|
| Personal notes for an upcoming presentation | OneDrive | One person owns and controls the working material. |
| Draft contract sent to two reviewers | OneDrive, with specific-person sharing | The owner controls a limited review audience. |
| Approved contract used by a sales department | SharePoint library | The department needs a durable, discoverable copy. |
| Weekly project status workbook edited by a team | SharePoint or the project’s Teams channel | Recurring collaboration belongs in shared team storage. |
| Company policy and related guidance | SharePoint site | Broad access, pages, navigation, and retention may be required. |
| File uploaded to a Teams channel | The channel’s SharePoint site | Teams channel Files are backed by SharePoint. |
What are the most common mistakes?
Treating OneDrive as the company file server
A personal library can become a hidden dependency when colleagues rely on one person’s links. Move durable team content into SharePoint so access and ownership are not tied to an individual workspace.
Assuming SharePoint files are public
SharePoint content is available only to people who have access to the relevant site, library, folder, or file. Check membership and sharing settings before distributing a link outside the intended audience.
Using a broad link for a narrow review
An “anyone” or organization-wide link can outlive the review that prompted it. Prefer a specific-people link and an appropriate view or edit permission when only named reviewers need access.
Ignoring lifecycle requirements
If a document must be retained, approved, or repeatedly reviewed, decide on the SharePoint structure and policy before the library fills with unmanaged copies. OneDrive is a starting point for individual work, not a substitute for organizational records management.

Confusing sync with ownership
A file appearing in File Explorer does not tell you whether it belongs to OneDrive or SharePoint. Check the cloud location and its permissions; syncing changes how you work with a file, not who owns the shared workspace.
Is SharePoint or OneDrive the better choice?
Neither is universally better. OneDrive is the right default for an individual’s private drafts, sensitive personal work, and selective sharing. SharePoint is the right default for content a team or organization must own, find, collaborate on, and govern over time. Using them together gives employees a private preparation area and gives approved work a durable shared home.
Frequently Asked Questions
Can I move a OneDrive draft into SharePoint later?
Yes. When a draft becomes a team deliverable, place the current version in the appropriate SharePoint library and tell collaborators to use that shared location. Review existing links after the move, because a link to the original OneDrive path does not automatically become a link to the new library location.
How can I tell whether a file is in OneDrive or SharePoint?
Look at the location shown in the file’s details or the web address: an individual OneDrive library identifies the user, while a SharePoint file is associated with a site and library. In Teams, a file opened from a channel is SharePoint-backed even if the uploader originally created it elsewhere.
Should a two-person project use SharePoint or OneDrive?
Use the ownership test rather than the headcount. OneDrive fits a document one person is preparing for a limited review; SharePoint fits a project record that both people must maintain and that should remain available if the contributors change.
Can administrators control external sharing in both services?
Yes. Organization administrators can set guest and external-sharing rules, allowed domains, link defaults, expiration, and view-versus-edit options for OneDrive and SharePoint. OneDrive cannot be configured more permissively than the tenant’s overall SharePoint sharing policy.
