To preserve social-media evidence before it disappears, save more than a screenshot: capture the visible post with its account details and surrounding context, copy its exact URL, record when and how you captured it, and preserve available media, exports, and archive results as separate files. Keep untouched originals, document transfers, and make a backup. A screenshot can show what appeared on screen, but it does not by itself preserve all metadata or prove who created the post.
What should I save first?
Start while the post is still available. Make a contemporaneous record of what was visible and where it appeared; do not wait for an archive service or a later investigation to become your only source.
- Open the post or page. Note whether it is public, login-gated, edited, deleted, or unavailable. Avoid actions that could change visible engagement or edit state.
- Capture the screen. Include the relevant post or media and enough surrounding page to identify its context. Make the account name or sender, handle, visible date and time, and relevant content legible. Massachusetts Trial Court guidance on digital evidence says printed screenshots should include relevant information such as the sender’s name, time, and date.
- Copy the full URL. Preserve it exactly as displayed or copied, including query parameters that identify the post or media. Do not substitute an archive URL for the original.
- Record capture details. Write down the capture time in UTC and local time zone, platform, account handle, post or media ID if available, device, browser or application, and collector’s name.
- Save a second representation. Use the browser’s save or print-to-file function to create a PDF when practical. Keep the original screenshot and PDF unedited.
- Preserve attachments. Download relevant images, video, audio, documents, and linked files when lawful and technically possible. Record each source URL and the exact saved filename.
- Collect platform data when available. Use an official data export or platform API in addition to the visual capture. The Scientific Working Group on Digital Evidence (SWGDE) notes that API access can expose important metadata that ordinary pages and screen captures may not show.
- Try an archive capture. Submit the exact URL to a reputable web-archive workflow where appropriate. Save the archive URL, capture date, and any failure message; treat an archive as a supplement, not a substitute.
Capture only material you are authorized to access. If the content may be relevant to a legal matter, investigation, or dispute, consider asking a qualified lawyer or evidence professional how to preserve it in your jurisdiction.

Why isn’t a screenshot enough?
A screenshot is a useful, human-readable record of the page as it appeared at one moment, but it is only one layer of preservation. The National Archives and Records Administration (NARA) warns that screenshots create a picture of content but do not preserve its metadata and functionality.

Use these formats together when possible. A screenshot documents appearance; structured data may supply additional context; an archive may provide another route to a captured page. None alone guarantees completeness or authenticity.
How should I organize the evidence package?
Make one folder for each captured item and give it a stable identifier that does not depend on a changing post title. Preserve the files as acquired, then make separate copies for annotation or presentation.
01_originals/: untouched screenshots, PDFs, downloaded media, HTML, or platform exports.02_working/: copies used for redaction, annotation, transcription, or presentation.03_manifest/: a text or CSV inventory of filenames, sizes, hashes, capture timestamps, source URLs, and notes.04_archive/: archive URLs, WARC files if available, and a record of the archive result.05_log/: capture method, operator, device, application version, unsuccessful attempts, transfers, and storage locations.
Hash the original files before moving them and check them again after each controlled transfer. Keep the hash manifest with the package. A matching hash helps show that a file has not changed since it was hashed; it does not prove that the post was authentic or that the capture accurately represents its source.

Keep originals separate from edited copies
Do not crop, annotate, redact, transcode, or re-save the only copy. If you need a clearer presentation, create a working copy and record what changed, when, and with which software. Keep the untouched original alongside it.
Document storage and transfers
Store the package on access-controlled removable media and maintain a backup in a separate location when the matter warrants it. Record who handled the files, when they were copied or transferred, and where each copy is stored. A USB flash drive can be a delivery or storage medium, but the medium itself does not establish authenticity.
How do I preserve the original URL and an archive copy?
Keep the original address and the archive address as separate records. The original URL identifies the source location; an archive URL identifies a later capture made by an archiving service.

- Record the page’s status at capture time: public, login-gated, edited, deleted, or unavailable.
- Submit the original URL to an archive workflow if appropriate, then save the returned archive URL and timestamp separately.
- Record whether the archive succeeded, failed, or captured only part of the page. An error message is useful context, not a reason to replace the original URL.
- If the page is already gone, search the archive using the exact URL, alternate URL forms, account handle, post ID, and linked-media URL. Save the search result and archive timestamp in the log.
The Library of Congress explains that web archives can store captures in WARC format and maintain multiple copies for long-term preservation and access. It also cautions that social-media sites and common publishing platforms can be difficult for archival crawlers. A capture may omit a feed, embedded video, login-only content, comments, or scripts, so a successful archive result should not be treated as proof that every part of the original page was saved.

What should I do with video, audio, and attachments?
A still image cannot preserve the full content of a recording. When permitted, save the original media file, note its source and capture details, and keep it with the rest of the evidence package.
- Keep the downloaded original unchanged; do not trim, transcode, or re-save the only copy.
- Save relevant subtitles, captions, thumbnails, and visible descriptions separately.
- If you make a presentation version, retain the original beside it and document the conversion, software, date, and resulting hash.
- Record the source URL and exact filename for each attachment so another person can distinguish it from a similarly named file.
Massachusetts guidance on digital evidence identifies USB flash drives and other storage media as ways to duplicate audio and video evidence. Choose a storage method suited to the matter and document the copy; the storage choice does not replace preservation of the original file and its context.
Can a preserved screenshot prove who posted something?
Not by itself. A capture can support a claim about what appeared on a screen, but authentication is case-specific and depends on the circumstances connecting the item to the claimed account, author, time, and content.
Massachusetts authentication guidance says electronic communications may be authenticated through circumstances that allow a reasonable fact finder to conclude the evidence is what its proponent claims. Corroborating details may include the account URL and profile, post ID, visible platform branding, capture timestamp, witness or custodian information, archive record, original downloaded file, and documented acquisition process. A court may also require preservation of the original digital evidence, metadata, or the device on which it is stored. Requirements vary by jurisdiction and case; a preservation workflow is not a guarantee of admissibility.

What common preservation problems should I expect?
Social pages can change or fail to replay even when the URL is correct. Record the problem and preserve the other available layers rather than silently substituting a different page or file.

- The archive is incomplete: record which elements are missing and keep the screenshot, media files, and platform output as separate evidence layers. Archive crawlers may not preserve dynamic, embedded, or login-only content.
- The post was edited or deleted: document the status you can observe and when you observed it. Do not present a later page state as though it were the earlier one; keep captures from different times distinct.
- The screenshot omits identifying details: take another capture if the content remains available, including the account, date or time, and enough surrounding context to identify the item. Keep the first capture rather than overwriting it.
- A file changes during transfer: compare its hash with the recorded value, retain the earlier copy, and log the discrepancy and any recovery steps. Do not silently overwrite the original.
- A recording needs redaction or conversion: work from a copy, retain the original, and document the transformation and resulting file.

Should I capture a post again if its contents change?
Yes, if the changed state is relevant and still visible, capture it as a separate item with its own capture time and manifest entry. Keep the earlier version intact so the two states are not conflated.
Is a hash enough to show a file is genuine?
No. A hash can help detect whether a file changed after hashing, but it cannot establish who created the underlying post or whether the captured content is true. Preserve context and acquisition records as well.
Can I publish a screenshot of someone else’s post?
Preserving a copy and publishing it are different actions. Privacy, copyright, platform rules, and legal restrictions may apply, so consider those separately before making preserved material public.
