Our verdict on Webexpenses

Webexpenses is cloud-based expense management software for finance teams, supporting employee claims, approvals, reporting and reimbursement through web, iOS and Android apps. It covers receipt capture, mileage calculation, expense policy enforcement, custom categories, corporate card automation and accounting or ERP connections. The product is positioned for organisations ranging from small businesses to large organisations, with workflows suited to finance teams managing multiple approvers and distributed employees.

The plan structure adds capability in clear stages. Essential includes mileage tracking, OCR receipt capture, approval levels up to six, QuickBooks and Xero integration, and MFA. Scale adds corporate cards, SSO, carbon tracking, and integrations with NetSuite, Intacct and Business Central. Pro adds direct employee reimbursement, an API, HRIS integrations and dedicated customer success. This makes Essential a practical starting point for core expense administration, while larger finance operations may need Scale or Pro for card automation, broader systems connectivity or reimbursement payments.

Webexpenses fits teams that want a focused reimbursement workflow with policy controls and several approval layers rather than a narrow receipt-scanning tool. Its integration coverage includes accounting, ERP, HRIS and identity systems such as QuickBooks, Xero, NetSuite, Sage, SAP, Oracle, Microsoft Dynamics, MYOB, Yardi, Azure Active Directory and OneLogin. Bank reimbursement is supported, while payroll and per diem support are not included. Choose Webexpenses when structured approvals, mileage and finance-system connectivity matter; consider an alternative if a free plan, payroll workflows or per diem management is essential.
