Our verdict on Sundance RMS

Sundance RMS is a records management system for police, fire, and EMS departments, with particular depth for agencies handling law-enforcement records and evidence. It covers incident reports, field investigative reports, warrants, warnings, accident reports, booking, detective case management, and property-room work. Configurable data labels, fields, and code tables let agencies shape reporting around their own processes. The product is available on Windows and the web, with cloud and self-hosted deployment options described for its records applications.

Its strongest fit is the connected records and evidence workflow. Field investigative reports link to the Master Name Index, while searches can span people, vehicles, and property. Arrest and booking records support medical sheets and photos; use-of-force reporting is integrated with incident reports. Evidence and property room management includes barcode-based audits and chain-of-custody tracking. Administrative controls lock down reports and track open and completed work. These capabilities make it more compelling for teams coordinating records, investigations, and evidence than for agencies seeking a broad dispatch suite.

The integration path is centered on Sundance's own ecosystem: the documented connections are Sundance CAD and Sundance Mobile/MDT. Dispatch management and emergency call handling are not part of the product, so agencies needing those functions will need a separate system. The pricing model is contact sales, with no free plan; agencies should ask the vendor about costs and deployment specifics before evaluating fit.
