Our verdict on PragmaPlanner
PragmaPlanner is browser-based event scheduling software for conference organizers, interview-day planners, and summit teams. It is designed for multi-room, multi-day agendas where participant availability, speaker assignments, room capacities, preferences, blocked times, and other constraints need to be considered together. Automatic schedule generation is the central capability, supported by speaker and attendee data management, conflict detection, and room planning. It also accommodates roomless sessions for virtual and hybrid events.
The freemium structure gives the product an accessible entry point. The Free plan includes core scheduling features, while Pro is listed from $49 USD and adds higher limits and priority support. The White-label plan is aimed at organizations that need custom branding and a domain, custom limits and workflows, and a dedicated hosted instance. Calendar and collaboration connections include Google Calendar, Apple Calendar, Outlook, Google Meet, and Microsoft Teams. CSV and XLSX support helps with structured data, while ICS, PDF, and JSON exports make schedules easier to distribute and reuse.
PragmaPlanner’s strongest fit is schedule design rather than end-to-end event operations. It can detect speaker overlaps, room conflicts, and capacity issues, and its room, time, and availability constraints give organizers control over difficult planning scenarios. Projects are end-to-end encrypted. The trade-off is scope: it is not designed as a complete registration, ticketing, check-in, or event-operations platform, and access is limited to the web. Choose it when agenda construction and constraint handling are the priority; choose another product when attendee transactions or on-site operations need to live in the same system.
