Our verdict on Planning by WorshipTools

Planning by WorshipTools is a web and mobile application for churches and worship teams. It brings service orders, songs, slides, scripture, notes, volunteer assignments, calendars, reminders, and team messaging into one workspace. Teams can invite people to accept or decline roles, track unavailability, and send automated reminders by email or mobile push notification. Access is available on web, iOS, and Android, making it suitable for congregations coordinating services across devices.

The published plans show a practical progression from free planning to higher-capacity team operations. Free includes 500 MB of cloud storage, 10 users, 15 items per service, unlimited services, unlimited songs, CCLI import, and auto-reporting. Pro increases storage to 5 GB, supports 30 users, removes the per-service item limit, and adds Presenter Stage Display, mobile remote, and multiple output screens. Pro Plus expands storage to 50 GB, allows unlimited users, and adds advanced user permissions, simultaneous Presenter sessions, and access to hundreds of motion graphics and templates.

Its strongest fit is the WorshipTools ecosystem. Services can synchronize with Presenter and Charts, while SongSelect and CCLI support song management and reporting. Apple Music and Spotify links can provide rehearsal materials, and Loop Community, Google Calendar, iCal, and Outlook extend the surrounding workflow. The free tier is well suited to smaller teams that need core scheduling and service planning. Larger teams, production-focused services, or churches needing advanced permissions and multiple Presenter sessions should select a paid tier, while teams outside this ecosystem may prefer a planning tool built around different presentation or music workflows.
