Our verdict on MailVault

MailVault is email archiving and backup software for organizations using Microsoft 365, Google Workspace, Exchange, and other standards-based email systems. It centralizes incoming, outgoing, and internal email for searchable retrieval, retention management, audit logging, litigation holds, and restoration. The product fits small, mid-market, and enterprise organizations that need centralized control over archived mail, attachments, access permissions, and exports. Windows and Linux support, along with cloud, self-hosted, and desktop deployment options, gives teams several ways to align the archive with their operating model.

Its compatibility is a central strength. MailVault supports Microsoft 365, Google Workspace, Microsoft Exchange, Lotus Notes, Zimbra, Icewarp, MDaemon, Postfix, Qmail, Sendmail, SMTP, POP3, and IMAP. Microsoft Exchange envelope journaling supports journal capture, while full-text and attachment search with advanced query tools helps users retrieve specific messages. Restoration can use SMTP, POP3, IMAP, PST, or ZIP, and the product also supports PST, ZIP, and CSV search or export formats. Deduplication, single-instance storage, and compression help manage stored mail across local and network storage environments.

According to the vendor's pricing page, purchasing is based on user-license slabs with quote-based pricing, so organizations should expect a sales-led buying process rather than a self-service plan structure. The product includes retention policies, litigation holds, tamper detection, user roles, LDAP or Active Directory imports, access controls, administrative activity logs, reports, and system alerts. The demo is limited to three users and 1,000 emails, while no permanent free plan is offered. MailVault should suit teams prioritizing deployment flexibility, broad email-system compatibility, and multiple restoration routes; organizations seeking a simple, self-service archive with a permanent free tier should look elsewhere.
