Our verdict on ConfTool
ConfTool is a web-based event management system for academic conferences, workshops, congresses and seminars. It brings together online submission and peer-review workflows, conference-program scheduling, participant registration, invoicing and communication. Its conference structure is more specialized than a basic event calendar: organizers can manage multiple tracks, rooms, locations, sessions, presenters, chairs, moderators and discussants. It also supports online and hybrid workflows through links to video, streaming and webinar resources. Academic and professional event teams that need a structured conference process should consider it; simpler events may not need this breadth.
The two plans serve different operating models. ConfTool Standard is designed for smaller non-commercial events, supports local installation and accommodates up to 150 participants. A free license is available for eligible events, while other license conditions have fees that depend on event type and size. ConfTool Pro is a hosted service with technical support and scheduling, registration and reviewing modules. Its pricing depends on event requirements and size, so teams comparing budgets will need to define their event scope before selecting this tier. Standard suits qualifying organizations that prefer local installation, while Pro is aimed at larger events and more complex requirements.
ConfTool’s ecosystem covers payment gateways and attendee-facing tools, with integrations including PayPal, Stripe, Conference4me, eyeGuide, Whova and Sched. Conference4me adds mobile-app integration across iOS and Android, while external video-conferencing and webinar resources support online delivery. Personal agendas and discussion functions extend the program beyond a static timetable. The trade-off is that some mobile and virtual-event capabilities depend on connected services rather than the core system alone. Choose ConfTool when peer review, multi-track scheduling, room allocation and academic registration are central requirements; choose a simpler scheduling product when those conference workflows are unnecessary.
