OpenSIS vs PowerSchool has no universal winner: openSIS is usually the more approachable choice when transparent staff-based pricing, lower entry cost, and broad school-management features matter most; PowerSchool is usually the stronger candidate for complex K–12 districts that need extensive configuration, established reporting workflows, and a large product ecosystem. Both require workflow, migration, security, and total-cost validation before purchase.

OpenSIS and PowerSchool are genuine student information system competitors, but they target somewhat different buying situations. Both advertise student records, attendance, scheduling, grades, reporting, portals, communications, and integrations. The commercial distinction is important. OpenSIS publishes a starting price card, although plan limits and add-ons still matter. PowerSchool typically sells through a negotiated proposal, so the name “PowerSchool” does not identify a single universal package or price.

A checkmark therefore does not prove that a capability is included in the cheapest tier or configured for a buyer’s jurisdiction.

According to the openSIS pricing page viewed August 16, 2026, openSIS displays the following staff-based prices:

OpenSIS advertises annual billing as a 25% saving compared with monthly billing. The prices are time-sensitive SaaS figures and should be reconfirmed before publication, procurement, or budgeting. Migration, implementation, training, support, integrations, SSO, QuickBooks, LMS connectivity, custom development, and enterprise reporting may change the final cost.

Staff-based pricing can favor a school with many students but relatively few active staff accounts. The advantage becomes less obvious when an organization has many staff users, needs a higher tier, requires enterprise customization, or must pay substantial internal migration labor.

How much does PowerSchool cost?

PowerSchool does not publish a universal retail price for PowerSchool SIS on the official product pages reviewed. Buyers are directed toward a demonstration or sales consultation through the PowerSchool SIS product page.

Public procurement records show why a single “PowerSchool price” would be misleading. Contracts can use student enrollment, a base charge plus a per-pupil charge, SIS maintenance and support, hosting, storage, VPN, registration, forms, Schoology, communications, analytics, implementation, and other line items.

A fair OpenSIS vs PowerSchool comparison must model the same enrollment, staff count, number of schools, modules, hosting arrangement, support level, and contract term.

The headline price may favor openSIS for some small organizations, but switching from an established PowerSchool deployment can make the first two or three years more expensive than the license comparison suggests. Which system is easier to use and administer?

Neither vendor’s product page independently proves that its platform is easier to use. OpenSIS’s simpler staff-based packaging and broad web-based feature presentation may reduce the apparent buying and administration barrier for a small school or organization without a dedicated SIS administrator. PowerSchool’s configurability may better support complex district policies, but configuration, training, permissions, and governance can require a more substantial administrative operation.

Run the same scripted demonstration with both vendors. Ask the vendor to complete each task in a test environment and record the screens, permissions, training assumptions, add-ons, and time required:

  1. Enroll a new student and preserve parent or guardian relationships.
  2. Transfer a student between schools, withdraw the student, and process a midyear re-entry.
  3. Create a course and section, then build a schedule with conflicts.
  4. Record attendance, correct an error, and show the audit history.
  5. Enter both traditional and standards-based grades.
  6. Produce a report card and transcript.
  7. Run the buyer’s current state report.
  8. Send a parent communication with the required permissions and language options.
  9. Export a complete student record and explain how a changed record is audited.
  10. Create a custom field or report without vendor development.

The better usability result is the system that lets the buyer’s actual staff complete the buyer’s actual workflows accurately, with acceptable training and administration effort. A polished sales demonstration of generic features is not enough.

How do implementation and migration differ?

OpenSIS advertises migration of student records, staff data, grades, schedules, and history, along with guided migration and implementation support. PowerSchool implementations should also be treated as formal projects, especially when replacing an existing SIS or connecting several PowerSchool products. A public 2026 Proviso Township PowerSchool quote illustrates that real deployments can involve maintenance/support, hosting, storage, and other product components rather than one uniform cloud-only package.

Do not assume that a CSV export is a complete migration. Require a source-to-target data dictionary covering:

  • Students, parents, guardians, staff, and household relationships.
  • Courses, sections, terms, schedules, grades, credits, and transcripts.
  • Attendance, discipline, health, special-program, and service records where legally appropriate.
  • Local course codes, state codes, reporting identifiers, and historical status values.
  • Duplicates, withdrawn students, transfers, re-entries, split households, and inactive accounts.
  • Retention, deletion, audit, and read-only access requirements.

Require a test migration, reconciliation report, state-reporting validation, parallel-run period, read-only legacy access, documented export formats, and a cutover outside critical enrollment, scheduling, or grading windows. Assign a named customer-side project manager and a named vendor-side project manager.

Which system has stronger reporting and state-reporting support?

PowerSchool emphasizes configurable reporting, compliance expertise, and prebuilt reporting support. OpenSIS lists state reporting, advanced reporting, custom reports, district dashboards, data visualization, and data-warehouse capabilities among its higher-level or enterprise offerings. These are vendor-positioning claims and should be validated against the buyer’s jurisdiction and reporting calendar.

State reporting is never a generic checkmark. Before signing, confirm the state, school type, reporting year, submission format, required module, vendor certification or comparable customer references, and responsibility for configuration and corrections. Ask the vendor to produce the buyer’s real report from representative data, including unusual enrollment, transfer, withdrawal, and attendance cases.

What should buyers verify about privacy and security?

OpenSIS publicly references FERPA, GDPR, COPPA, and ISO 27001:2022-related security positioning on its homepage and features page. Those references are vendor claims and do not establish that every deployment is compliant in every jurisdiction or configuration. Compliance depends on the contract, settings, institutional practices, data flows, and applicable law.

PowerSchool has also faced publicly reported security scrutiny. New York City Public Schools says on its data-security incident page that PowerSchool became aware on December 28, 2024, of a data-exfiltration incident involving student information. NYCPS also states that its system does not use PowerSchool SIS. The incident should therefore be discussed precisely: buyers must determine which product, customer environment, data, and controls were affected rather than assuming that every PowerSchool customer or every PowerSchool product was involved.

Ask both vendors for:

  • Current SOC 2 or equivalent reports, if applicable, and the scope of each report.
  • ISO certifications, certification scope, and renewal status.
  • Penetration-test summaries and remediation information.
  • Encryption at rest and in transit, MFA, SSO, and administrative access controls.
  • Audit logging, privileged-access review, and API-token controls.
  • Subprocessor list, data residency, backup, and disaster-recovery objectives.
  • Breach-notification timelines, incident history, and remediation documentation.
  • Data ownership, export rights, deletion procedures, and post-termination retention.

Which platform is better for each type of organization?

Small private school

OpenSIS may have the clearer initial fit because public staff-based pricing is easy to model and the platform advertises parent accounts, billing, admissions, communications, and academic administration. PowerSchool can still be the better choice when the school must align with a district, feeder network, state process, or existing PowerSchool ecosystem.

Charter network or small multi-school group

OpenSIS is worth evaluating when the network wants a broad platform and centralized administration without immediately entering a large enterprise procurement process. Demonstrate cross-school permissions, dashboards, data separation, scheduling, reporting, and growth limits before committing.

Large public school district

PowerSchool is likely the more natural candidate when complex scheduling, multiple schools, state reporting, established district processes, and a dedicated SIS team are central requirements. OpenSIS should not be dismissed, but the buyer must validate comparable-scale references, dashboards, data-warehouse functionality, role design, scalability, state reporting, and implementation capacity.

College, training provider, or online school

OpenSIS has broader published positioning for colleges, training programs, and online education, whereas PowerSchool SIS is principally framed around K–12. Either product still requires validation of registrar, credit, transcript, degree-audit, admissions, and sector-specific compliance workflows.

Compare the complete cost of changing systems, not only the replacement subscription. Include data conversion, staff retraining, integration replacement, state-reporting revalidation, parent and teacher adoption, historical-data access, termination terms, parallel operation, and internal project staffing.

What should be in the vendor contract?

Request a line-item proposal that names the SIS edition, number of schools, enrollment, staff accounts, modules, hosting model, storage, environments, integrations, API access, support level, implementation services, training, renewal increases, and exit assistance. Ask whether enrollment and registration, Schoology, eCollect Forms, communications, analytics, hosting, storage, data services, and professional development are included or separately priced.

Clarify whether the proposed deployment is cloud-hosted, on-premises, or a combination of components. Public PowerSchool procurement records show that real contracts can combine maintenance, hosting, storage, SSL, and other services. Do not assume that the word “PowerSchool” identifies one deployment model.

What are the most common comparison mistakes?

  1. Confusing openSIS with Open-School: Some search results compare PowerSchool with “Open-School,” which is a different product. The G2 Open-School comparison should not be treated as evidence about openSIS.
  2. Calling openSIS cheaper without defining the model: OpenSIS publishes lower, transparent entry pricing for some staff-to-student profiles, but staff count, plan, add-ons, implementation, and customization determine total cost.
  3. Calling PowerSchool more powerful without qualification: PowerSchool emphasizes extensive configuration and ecosystem breadth, but relative power must be tested against the buyer’s workflows.
  4. Comparing different pricing units: Staff-based openSIS pricing cannot be compared directly with a PowerSchool quote based on enrollment, a base fee, modules, hosting, or bundled services.

Infinite Campus and Skyward are major K–12 SIS alternatives for district-scale buyers. Alma may be relevant to smaller districts and schools.
