You can copy permitted personal files from a work OneDrive account to a personal OneDrive account by signing in to both accounts in the OneDrive desktop app, then copying files from the work folder into the personal folder. The accounts stay separate; this is a copy, not an account merger. Before you begin, confirm your employer allows the files to be copied and make sure your personal account has enough storage.
What should I check before copying work OneDrive files?
First decide whether you are allowed to copy each file. Microsoft’s guidance says, “You should only copy personal files.” Access to a work file does not by itself mean you may keep it: confidential employer information and intellectual property should not be copied unless your organization’s policies or the law explicitly permit it. If you are unsure, ask your organization before proceeding. Microsoft’s work-to-personal OneDrive guidance covers the permitted-file boundary.
Make that decision file by file or folder by folder rather than treating everything visible in the work account as personal. A folder may contain a mix of personal documents and employer material. If you cannot tell whether an item is personal or whether you are permitted to retain it, pause and ask your organization. Microsoft’s general copying instructions do not replace employer-specific policies, legal obligations, or an approved departure process.
Check the destination and your computer
- Personal OneDrive capacity: Make sure the destination can hold the files you plan to copy. Microsoft warns against copying more data than the personal account can store. If space is short, narrow the selection or consider additional personal storage; the right option depends on your needs. No particular storage plan or price is required for the documented workflow.
- Local disk capacity: The desktop app may need to download work files before it can copy them and sync the new copies. Make sure the computer has enough room for any files that are not already stored locally. A cloud-only placeholder is not a complete local copy.
- Time: A large copy and subsequent cloud sync can take time. Do not rely on the personal copy until its sync has completed and you have checked the files there. Allow for downloading online-only items as well as uploading the resulting copies.
- Number and size of items: A small selection is easier to assess and verify than a large batch. If you have many files or several very large files, review the relevant OneDrive limits and consider copying in manageable batches.
- Organization restrictions: Work or school administrators can restrict syncing of some file types. If a file is blocked or the account is inaccessible, contact IT rather than trying to work around the restriction.
- Sharing and history: Decide whether anyone else needs access to the personal copies. Existing sharing and some file details do not transfer as if the accounts were merged, so plan to recreate sharing where appropriate.
A portable external SSD is optional if you are authorized to keep an additional local backup. It is not needed for the Microsoft-documented desktop copy process, and it does not itself transfer files between OneDrive accounts. Likewise, additional personal cloud storage is relevant only if your account lacks capacity; there is no need to buy a tool simply to follow the steps below.

How do I copy files from work OneDrive to personal OneDrive?
Use the OneDrive desktop app to add both accounts, then copy and paste the permitted files between their separate folders. Microsoft documents this as a way to copy files; it does not merge the accounts or move the work account itself. The same basic workflow works whether you copy one folder or a selection of files, but check the destination and sync status as you go.
1. Add the personal account to the OneDrive app
- On Windows: Select the OneDrive cloud icon in the notification area, open Settings, choose Account, and select Add an account.
- On Mac: Select the OneDrive cloud icon, open Preferences, choose Account, and select Add an account.
- Sign in to your personal Microsoft account and complete any sign-in prompts. Microsoft allows one personal OneDrive account alongside work or school accounts. The folders should appear separately as OneDrive – Personal and OneDrive – [CompanyName] in File Explorer or Finder. See Microsoft’s account setup instructions if the labels or prompts differ.
Before copying, take a moment to distinguish the two locations in File Explorer or Finder. The company folder is the source; the personal folder is the destination. Because both are visible on the same computer, it is possible to select the wrong location. Confirm the account name and folder path before pasting, especially if you have multiple work or school accounts.
2. Make online-only files available if needed
Files On-Demand can display files that are not fully stored on your computer. A visible file or folder may therefore be a cloud placeholder rather than a complete local copy. If necessary, right-click the selected item and choose Always keep on this device to download it; this uses local disk space. Let downloads finish before relying on a desktop copy, especially for a large selection. Microsoft explains this setting in its Files On-Demand guidance for Windows.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →This step is particularly important when you are working with a large folder or files you have not opened recently. A placeholder can make a file appear in the folder even though its contents have not been downloaded to the computer. Check that the download has finished, and account for the extra local disk space the download requires. If your computer does not have room for the selection, reduce the batch or choose another appropriate computer with sufficient space rather than assuming the placeholder is ready to copy.
3. Copy and paste into the personal folder
- Open the work OneDrive folder in File Explorer or Finder and select only files or folders you are authorized to keep.
- Choose Copy (or use the operating system’s copy command). Do not delete the work originals as part of this process.
- Open OneDrive – Personal, choose the intended destination folder, and select Paste.
- Allow OneDrive to sync the new copies. Microsoft recommends copy-and-paste rather than dragging and dropping, which makes it easier to drop items in the wrong location. The Microsoft transfer instructions describe the copy workflow.
For a large collection, consider working through a small, clearly identified selection first. Confirm that it appears in the personal folder and that it syncs successfully before continuing with another batch. This is a practical way to keep track of what has been copied and to spot a wrong destination or capacity issue early; it does not change the underlying copy process.
Copying, rather than moving, also helps keep this procedure distinct from deleting or changing work-account files. The operation creates new files in personal OneDrive. It is not an instruction to remove work originals, and it does not transfer ownership of the work account or its contents.
4. Verify the personal copies
Check the OneDrive sync status for the destination and wait until the new files are no longer syncing or processing. Then open the personal OneDrive folder and confirm the expected files and folders are present. For important files, open a few copies to confirm they are readable. This verification matters because a local change still has to sync to the cloud, and a large batch may remain in a syncing or processing state for a while.

The computer first has to handle the local files, and OneDrive then has to sync the destination. Check the personal account’s folder and sync status after that work finishes. If the files are important or the copy is substantial, verify the expected folders and a sample of the contents before relying on the personal account or sharing the new copies.

Which transfer route should I use?
The desktop app is Microsoft’s directly documented work-to-personal route. Other approaches may suit a narrow need, but they have different limitations. Compare the options against four practical questions: are you authorized to retain the files, does the personal account have enough cloud space, does the computer have enough local space, and how many files or how much data must sync?
| Route | Best suited to | What to know |
|---|---|---|
| OneDrive desktop app: copy and paste | Authorized files or folders copied between work and personal accounts on a computer | Directly documented by Microsoft. The computer may need to download online-only files and has to sync the destination copies. |
| OneDrive website | Convenient handling of a few files in a browser | The reviewed Microsoft guidance does not establish a one-click browser Copy to destination across work and personal tenants. Do not assume that option is available for this transfer. |
| Local backup drive | A separate physical copy, if you are authorized to keep one | Optional, not required for the documented desktop workflow. It is an additional copy, not a special OneDrive transfer device. |
For a few files, using a browser may feel convenient, but that does not establish that a cross-account Copy to option is available. The desktop app is the route Microsoft documents for this transfer. For very large files, Microsoft advises using the desktop sync app rather than website upload when files are larger than a few gigabytes.
A local drive can be useful if you want a separate physical copy and are permitted to retain one, but it adds another handling step. It does not remove the need to check destination capacity or complete OneDrive sync if your goal is to have the files in personal OneDrive. Do not treat an optional backup drive as a required purchase or as a tool that automatically moves cloud files between accounts.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Choose based on authorization, available personal cloud and local disk capacity, the number and size of files, the time required for syncing, and whether you need to recreate sharing or other details. Microsoft’s transfer guidance is available here.
What carries over, and what must I recreate?
Microsoft treats work-to-personal copies as new files. That means you should not expect the copy to preserve all of the work file’s history or context. Copying is not the same as merging accounts, and the new file should be handled as a new item in the personal OneDrive account.
- Creation and modification details: Microsoft says metadata including Date created and Modified By is not retained in the copied personal files.
- Sharing: Previously shared files need to be shared again from the personal account. Do not assume that old sharing links or permissions will work for the new copy.
- Version history and ownership: Do not promise that version history, original ownership, or existing links carry over. The personal copies are treated as new files.
- Work originals: The procedure copies files; it does not instruct you to remove the originals from the work account.
If you need a file’s original dates, author context, version history, permissions, or link structure, do not assume a desktop copy will preserve those details. Microsoft specifically identifies metadata such as Date created and Modified By as not retained, and says that previously shared files need to be shared again. Plan for the personal copies to have their own sharing arrangements rather than relying on work-account permissions.
For documents that other people rely on, plan to recreate access from the personal account and communicate any new links through an appropriate channel. Only do that if you are authorized to share the files. Recreating a link is not a way to extend work-account access or employer permissions after leaving an organization.

What limits or errors can interrupt a copy?
File size, item count, local disk space, sync progress, and organization settings can all affect a transfer. Microsoft’s documented service limits and recommendations help set expectations, but they are not guarantees that every cross-account copy will complete in a particular time. These are operational limits, not estimates of typical transfer duration.

Large files and large batches
- Individual file size: Microsoft Support documents a maximum individual upload or download size of 250 GB; its documentation was verified in 2026, and the page does not display a publication year.
- Website operations: Microsoft documents a limit of 2,500 files per website copy operation. This general website-copy limit is not a guarantee of a supported browser-based work-to-personal transfer.
- Synced item count: Microsoft’s standard performance recommendation, outside the applicable public preview, is no more than 300,000 synced items. Microsoft says a preview for up to 1,000,000 items began rolling out on April 22, 2026; access to that preview should not be assumed.
- Desktop versus website: For files larger than a few gigabytes, Microsoft advises using the desktop sync app instead of uploading through the website.
These figures are Microsoft service limits and recommendations, not estimates of how long a transfer will take. The 250 GB figure is an individual upload or download maximum; it does not mean that a personal account has 250 GB available, nor does it override the need to check the account’s actual storage. The 2,500-file website limit describes a general website copy operation and should not be read as a promise of a browser-based transfer between a work and personal account.
The item-count recommendation is about synced items, not a guarantee that any particular collection will sync at a particular speed. A preview for up to one million items began rolling out on April 22, 2026, but availability should not be assumed. For a large collection, check Microsoft’s current limits, account capacity, local disk space, and your organization’s policies before starting. See the current OneDrive and SharePoint restrictions and limitations for the documented details.
If OneDrive stays on “Syncing” or “Processing changes”
Wait for the current sync activity to finish before treating the destination as complete. Check that the computer is online, that the personal account has enough cloud capacity, and that the device has room for local downloads. If the work account blocks a file type or repeatedly prevents syncing, ask your organization’s IT staff about the restriction rather than changing or bypassing work-account controls.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsLarge batches can take time to download and sync, and a status that still shows processing means you should verify progress rather than assume the cloud copy is complete. Check the destination’s status again after allowing it to finish. If you need to troubleshoot a blocked file, make sure you are not attempting to bypass a restriction imposed by the organization.
If a file is visible but does not copy as expected
Check whether it is online-only and download it with Always keep on this device if appropriate. Then retry the copy and verify the result in the personal folder. Keep in mind that downloading uses device storage, so a computer with limited disk space may not be suitable for a large selection.
If the OneDrive app cannot sync a particular file type from the work account, or you cannot access the account, contact IT. Microsoft notes that administrators can block syncing certain file types; the existence of a technical route around a restriction would not make it an approved route. Employer export rules are specific to the organization and cannot be determined from the general OneDrive instructions.
Can I merge my work and personal OneDrive accounts?
No. Microsoft says a personal OneDrive account and a Microsoft 365 work or school account cannot be merged, although they can be used side by side. Microsoft’s wording is: “Microsoft OneDrive personal account and a Microsoft 365 work or school account cannot be merged, but they can be used side by side.” Copying permitted files creates copies in the personal account; it does not combine storage, transfer the work account, or convert the personal account into an organizational one. Microsoft’s account-merging and transfer guidance explains the distinction.
That distinction matters when planning what you expect to keep. You are not moving your employer’s OneDrive into your own account as one combined service. You are making new personal-account copies of selected files that you are allowed to retain. The work account remains separate, and its policies and access controls remain with the organization.

Does Microsoft’s departing-employee transfer feature move files to a personal account?
Not according to Microsoft’s description. Simplified file transfer for departing employees describes authorized movement by a manager or secondary owner to other organizational destinations, with an option to keep sharing; it is not an employee route for moving work files into a personal account. See Microsoft’s description of the feature.
Do not confuse that administrative feature with the employee’s desktop copy process. If a manager or secondary owner uses an organization-level transfer feature, it does not make personal export permitted or provide a method for merging accounts. For your own files, check the organization’s rules and use only an approved way to retain items that are genuinely personal.
How should I handle the transfer before leaving a job?
Do not wait until the last moment if you have permission to make personal copies. First confirm what is permitted with your organization, then allow time to download online-only items, copy the selected files, and verify that the personal account has synced them. If access is blocked, ask IT about the organization’s approved process; Microsoft’s general instructions do not determine an employer’s export rules.
A useful sequence is to identify permitted personal files, check the destination’s storage, make sure the computer has enough local room for online-only items, add the personal account, copy the selected files, and verify the copies in personal OneDrive. If you need anyone else to access the new copies, plan to share them again from the personal account, subject to your authorization. This gives you time to discover a sync or capacity issue while you can still seek help through the organization’s approved channels.
Keep the work originals in place unless your organization tells you otherwise. The transfer workflow copies files; it does not authorize deleting employer files or bypassing access controls. If the work account becomes inaccessible, contact your manager or IT staff for an approved way to retrieve any personal files you are allowed to keep.
Frequently Asked Questions
Can I copy files from a company SharePoint library with these steps?
The steps here cover files in a work OneDrive folder, and they do not establish a procedure for copying a SharePoint library. Ask your organization’s IT staff which files, if any, you may export and what approved method to use.
Can these steps transfer Outlook email or Teams chats too?
No. This procedure is for OneDrive files and folders; it does not transfer mailboxes, calendars, or Teams chat history. Ask your organization about approved export or retention options for those services.

Can I copy everything in my work OneDrive if I have access to it?
No. Microsoft says to copy only personal files. Access alone does not establish permission to retain employer information or intellectual property. Ask your organization if you are unsure what may be copied.
Will shared files, old links, or version history carry over?
Do not assume so. Microsoft treats work-to-personal copies as new files, says previously shared files need to be shared again, and says metadata such as Date created and Modified By is not retained. Plan to recreate sharing only if you are authorized.
Do I need to buy a tool or storage plan to transfer the files?
No special transfer tool is required for Microsoft’s desktop copy workflow. You do need enough personal OneDrive capacity and local computer space for any downloads. If capacity is short, reduce the selection or consider additional personal storage; no particular plan or price is established here.
Can I delete the work originals once I have copied the personal files?
The documented process is to copy the files and does not instruct you to delete work originals. Follow your organization’s policies and do not remove employer files unless explicitly authorized.
Can I use a browser’s Copy to command between the work and personal accounts?
The Microsoft instructions described here do not establish a one-click browser Copy to destination across work and personal tenants. The desktop app’s copy-and-paste workflow is the directly documented route.
What if I run out of personal OneDrive space or the copy keeps syncing?
Do not assume the copy is complete. Reduce the selection or consider additional personal storage if capacity is insufficient, check local disk space for online-only downloads, and wait for the destination to finish syncing. Verify the files in the personal account before relying on them.
The Bottom Line
Copy only files your organization permits you to keep. Add the personal account to the OneDrive desktop app, copy and paste selected files into its separate folder, and wait for sync to finish before relying on them. Work and personal OneDrive cannot be merged, and sharing, metadata, and other file context may need to be recreated.
