Choose the tool that matches the way you model work. Notion is the strongest all-in-one workspace for documents, databases, tasks and team collaboration. Obsidian is the better fit for local files, linked knowledge and offline control. Trello works best when everyone can understand work as cards moving across visual boards. If you want to run the service yourself, Vikunja offers a comparatively simple open-source task system, while OpenProject is the deeper choice for work packages, dependencies, Gantt charts and formal project controls.
These are not interchangeable products with different branding. They organize information differently, impose different administration work and support different levels of project planning. The comparison below shows what each model is good at, what it costs and what you give up.
What’s actually slowing this PC down?

What is the fundamental difference between these tools?
Notion is document- and database-centric; Obsidian is note- and knowledge-centric; Trello is card- and board-centric; Vikunja and OpenProject are task- and project-centric. That underlying information model matters more than a feature checklist because it determines how work is captured, searched, discussed and reported.
| Product | Primary model | Best fit | Hosting model |
|---|---|---|---|
| Notion | Pages, documents and databases | One shared workspace for knowledge and structured work | Cloud service |
| Obsidian | Local Markdown notes and links | Personal knowledge, research and offline-first writing | Local app; optional vendor sync and publishing |
| Trello | Cards, lists and boards | Visual workflows that need quick status changes | Cloud-only product |
| Vikunja | Tasks, lists and projects | Open-source task management with self-hosting | Self-hosted or managed cloud |
| OpenProject | Work packages and project plans | Dependencies, Gantt scheduling and portfolio-oriented control | Self-hosted or hosted cloud |

- Choose Notion when requirements, meeting notes, documentation, databases and tasks must live together and several people edit the same workspace.
- Choose Obsidian when owning readable local files and working without an internet connection are more important than built-in team project administration.
- Choose Trello when a board of cards is the clearest way to see status and the workflow is relatively light.
- Choose Vikunja when you want a focused, open-source task system that you can run yourself without adopting a heavyweight project suite.
- Choose OpenProject when schedules, work-package relationships, dependencies, Gantt charts, agile boards or portfolio planning are core requirements.
A mixed setup can be rational: for example, a local knowledge base in Obsidian alongside a project system. It also creates a synchronization and ownership problem, so define which system is authoritative for tasks before adopting two tools.
How do Notion, Obsidian, Trello, Vikunja and OpenProject handle tasks?
Notion
Notion databases support subtasks, dependencies, custom properties and filtering. You can represent tasks beside specifications, decisions and other pages, then create filtered views for different teams. This flexibility is useful when the project record is inseparable from its documentation, but it requires you to design and maintain a coherent database structure.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsObsidian
Obsidian’s core strength is linked notes rather than formal project scheduling. You can keep task information in local Markdown and connect it to related notes, but the supplied product information does not establish native Gantt scheduling or a team permissions model comparable with a project-management suite. Treat it as a knowledge system first, not a replacement for dependency-driven planning.
Trello
Trello expresses work as cards in lists on boards. Automation is part of its workflow, and paid tiers add timeline, calendar and table views. That is effective for Kanban-style flow and lightweight coordination; complex cross-project dependencies are less natural than in a work-package system.
Vikunja
Vikunja provides list, Kanban, Gantt and table views in both its self-hosted and cloud editions. It is a task-focused middle ground: more structured than a board-only tool, but generally simpler than a full project-governance platform.
OpenProject
OpenProject centers on work packages and documents dependencies, Gantt charts, agile boards, reminders and integrations. Those concepts support a schedule in which changing one item can affect related work, making it the better fit for engineering, construction, product or portfolio programs that need formal controls.

- Comprehensive Project Planning: Plan for success with a dedicated project timeline and task sections to track milestones and deliverables.
- Manage Tasks Efficiently: Organize your tasks by priority, set deadlines, and stay focused on what matters most.
- Premium Quality Paper: Includes 50 sheets of thick, smooth 120gsm paper that is perfect for daily use without bleed-through.
- Project Overview at a Glance: Visualize your entire project on one page with an easy-to-read, minimalist layout.
- Minimalist Monochrome Design: Clean, modern design that complements any workspace while keeping you organized and focused.
Which one is best for dependencies and Gantt charts?
OpenProject is the clearest choice when dependencies and Gantt planning are non-negotiable. Vikunja also includes Gantt views and is suitable for a simpler task system. Notion can model subtasks and dependencies in databases, but that is different from adopting a dedicated project-planning model. Trello’s timeline view can improve visibility, yet its central abstraction remains cards and boards.
Before selecting a product, define whether you need a visual date range or an actively managed schedule. A timeline that merely displays cards is not equivalent to dependency-aware planning with work packages, baselines, reminders and responsibility tracking.
How do collaboration, permissions and offline work differ?
Collaboration and guests
Notion is designed around a shared workspace where documents and databases can be edited together. Trello likewise emphasizes shared boards, cards and automation. OpenProject provides broader project controls, while Vikunja supplies a focused task environment. The available product information does not specify identical guest limits or permission matrices for every tier, so verify the exact role and guest rules for your edition before migration.
Offline and local control
Obsidian stores notes as local files and is therefore the strongest option here for offline access and direct file ownership. Its core application is free without limits; synchronization is optional. Trello explicitly describes itself as a cloud-only product, so it should not be selected for a workflow that must continue when the service is unavailable.
Recommended Free Tools
Self-hosting Vikunja or OpenProject gives you control over where data runs, but it does not remove operational responsibility. You become responsible for server maintenance, updates, backups, monitoring and recovery. A local file is not automatically backed up, and a self-hosted application is not automatically secure.

A five-year comparison must include more than the subscription line. For a self-hosted deployment, add server or cloud-infrastructure charges, storage, email delivery, monitoring, backup media, upgrade windows and the value of the administrator’s time. A free license can therefore cost more than a paid service for a small team with no spare operations capacity.
What does self-hosting change in practice?
Self-hosting changes the responsibility boundary rather than simply changing a price tag. With Vikunja or OpenProject, you choose the machine, operating system, network exposure, backup destination and update schedule. You must also test restoration, control accounts and permissions, patch dependencies and plan what happens if the host fails.

- Choose a supported server or cloud instance with enough storage for attachments, databases and backups.
- Put the application behind HTTPS and restrict administrative access.
- Schedule automated database and file backups to a separate location.
- Document update and rollback procedures before applying upgrades.
- Create test accounts and verify permissions, invitations and recovery routes.
- Perform a restoration test; a backup that has never been restored is only an assumption.
- Assign an owner for monitoring, security fixes and user support.
Vikunja’s self-hosted edition is attractive when you want a comparatively simple open-source task system and can accept this work. OpenProject Community is more capable for formal project management, but the additional concepts and administration can increase onboarding and maintenance effort.
How portable is your data if you switch later?
Portability should be evaluated before importing years of notes or tasks. Notion documents workspace export to HTML, Markdown and CSV, giving you several readable representations. Vikunja documents export and import when moving between self-hosted and cloud editions.
Obsidian’s local Markdown files are inherently readable outside the application, which reduces dependence on a proprietary database. Trello’s cloud model means you should verify how boards, attachments, automation rules and relationships are exported for your particular plan before treating an export as a complete migration.
Migration questions to answer first
- Can pages, comments, attachments and permissions be exported, or only the visible task data?
- Will links remain valid after import, and are dates and assignees preserved?
- Can you run a trial export and restore it in a test workspace?
- Which system becomes the source of truth during the transition?
- How will you retain a read-only archive if a feature has no equivalent in the destination?
Which option is strongest for privacy and security?
Obsidian offers the most direct local-file control in this group. Its optional Sync service includes end-to-end encryption and version history, which addresses synchronization and recovery without making the core app cloud-dependent. Self-hosting can provide data-location control, but security depends on your patching, network, identity and backup practices.

Cloud services reduce infrastructure work but require trust in the provider’s availability, account controls and export behavior. A security decision should therefore include operational capability: a correctly maintained managed service may be safer than an exposed, unpatched server operated by an overstretched team.
How should I compare integrations and automation?
Compare the trigger-and-action workflows you actually need rather than counting an integrations label. Trello explicitly emphasizes automation around cards and boards. OpenProject lists integrations alongside work packages, reminders and agile boards. Notion combines database properties and filtered views with collaborative pages. The supplied information does not establish a common integration catalog or identical automation limits, so validate each required connection in a proof-of-concept.
For every integration, record the system of record, authentication method, failure notification, retry behavior and offboarding process. An automation that silently stops can be more damaging than a manual step that is visible to the team.
What are the main failure modes, and how do I avoid them?
Choosing a tool because it is free
Free software can still incur hosting, backups, upgrades and support costs. Price the people and infrastructure required to keep a self-hosted service available.
Expecting a notes app to become a project scheduler
Linked notes are excellent for context, but formal dependencies, dates and reporting require deliberate structure. Use Obsidian for knowledge unless you have verified that your chosen workflow supplies the project controls you need.
Assuming a board equals a schedule
Cards and columns communicate status quickly. They do not automatically provide dependency logic, critical-path analysis or portfolio reporting. Move to Vikunja or OpenProject when those controls are requirements rather than optional views.

Creating an over-engineered Notion workspace
Notion’s flexibility can produce duplicate databases, inconsistent properties and unclear ownership. Start with a small schema, document required fields and restrict who can change the structure.
Free tools Windows power users keep installed
One-click scans. No signup required.
Self-hosting without recovery drills
Backups, monitoring and tested restoration should exist before inviting users. Otherwise a disk failure or bad upgrade can turn a free deployment into an unplanned outage.
What is the final decision framework?
| If your highest priority is… | Start with… | Why |
|---|---|---|
| Shared docs plus structured databases and tasks | Notion | Pages and databases can represent both context and work |
| Offline notes, local files and linked research | Obsidian | Local Markdown remains usable without a hosted workspace |
| Simple visual flow | Trello | Cards and boards make status immediately legible |
| Self-hosted task management with moderate complexity | Vikunja | Open-source deployment with list, Kanban, Gantt and table views |
| Dependencies, Gantt schedules and formal project controls | OpenProject | Work packages and broader planning features match that operating model |
Run a short pilot with real work, not sample cards. Import a representative project, exercise offline access, export the data, test permissions and measure the administration time. The product that looks cheapest or most flexible in a demo may not be the one your team can operate reliably for five years.
Frequently Asked Questions
Can I use Notion and Obsidian together?
Yes, but assign each a clear role. A common boundary is Obsidian for personal or research notes and Notion for shared databases and team processes; without a source-of-truth rule, duplicated tasks and stale links are likely.
Is self-hosting Vikunja or OpenProject difficult for a small team?
The software can be deployed by a small team, but ongoing responsibility is the real constraint. Someone must own patching, backups, monitoring, account recovery and upgrades even when the license is free.
Does Trello work without an internet connection?
Trello describes itself as cloud-only, so it is not the right foundation for a workflow that must remain fully usable during an outage or while disconnected. Plan for service availability and export needs before committing critical records.
Which tool is easiest to migrate away from later?
Obsidian’s Markdown files are the most straightforward to read outside the app. Notion also documents HTML, Markdown and CSV export, while any migration should be tested for attachments, links, permissions and history rather than judged by a single export button.
