Notion is the better choice when project work must live beside documents, a wiki, and flexible databases. Trello is better when the team primarily needs a fast, visual Kanban board with cards moving through clear stages. Neither is universally superior. The practical decision depends on whether your main work item is a database record or a board card, how much setup your team will tolerate, which views and automations you need, and how plan limits affect the total seat cost. The prices below were listed by the vendors on October 25, 2026; subscription pages can change, so verify the selected billing period before purchasing.

What is the practical difference between Notion and Trello?

Notion is a configurable workspace built around pages and databases. A project database can be displayed as a table, board, calendar, timeline, or other supported view, while the same page can contain requirements, meeting notes, decisions, and a team wiki. Trello is a board-and-card system: lists represent stages, cards represent work, and automation moves or updates cards according to rules.

Both can support a basic Kanban process, but they encourage different habits. Trello gives you a ready-made visual workflow with relatively little modeling. Notion gives you a broader information system that can be shaped around your team, at the cost of more design and governance work.

Decision area Notion Trello
Primary work model Pages and configurable databases Boards, lists, and cards
Best-known strength Combining project records with documentation and knowledge Simple, visual Kanban task flow
Views Database views such as tables and boards; charts are available by tier Board on all plans; Calendar, Timeline, Table, Dashboard, and Map on Premium
Setup effort More decisions about properties, templates, and conventions Quick initial setup with lists and cards
Documentation Native pages and wiki-style structure Task-focused core model; not an equivalent general-purpose wiki

Which costs less for a team in 2026?

Trello has the lower published entry price for paid plans, while Notion’s pricing is also per member and becomes competitive when a team would otherwise pay separately for project tracking and documentation. A fair comparison must include the plan required for your views, automation, security, and number of collaborators, not just the first advertised number.

Published plan prices

These are the USD prices shown on the vendors’ pricing pages on October 25, 2026. Trello explicitly lists annual and monthly rates for Standard and Premium. Notion’s page uses billing-period selectors; confirm whether the displayed per-member figure is monthly or an annual-commitment equivalent before calculating a contract total.

Product and plan Listed price Important limits or additions
Notion Free $0 per member/month Unlimited for an individual; the page lists limits for workspaces with two or more members. Includes databases and basic task/project organization.
Notion Plus $10 per member/month Adds collaboration features, custom forms, charts, and larger file uploads.
Notion Business $20 per member/month Adds work-oriented AI features, SAML SSO, and granular database permissions.
Notion Enterprise Custom Enterprise controls, provisioning, audit, and security features; contact sales for a price.
Trello Free $0 Up to 10 collaborators and 10 open boards per workspace, 250 automation runs per month, and 10MB per attachment.
Trello Standard $5 per user/month billed annually; $6 monthly Unlimited boards, custom fields, advanced checklists, and 1,000 automation runs per month.
Trello Premium $10 per user/month billed annually; $12.50 monthly Calendar, Timeline, Table, Dashboard, and Map views; unlimited automation runs and more administration features.
Trello Enterprise $17.50 per user/month billed annually Organization-wide controls; the official page gives a $210 annual price per user.

How to estimate your actual bill

Multiply the listed per-member or per-user rate by the seats that the vendor counts as billable, then check whether the displayed rate assumes annual commitment. At the listed monthly rates, five Notion Plus members would be $50 per month, while five Trello Standard users would be $30 per month; the Trello annual rate is a separate commitment priced at $5 per user per month. These are arithmetic examples, not quotes for taxes, discounts, or other billing adjustments.

Free plans can change the calculation more dramatically than the sticker price. A solo Notion user can use the Free plan without the same workspace limits that apply when two or more members collaborate. Trello Free is constrained by collaborator, open-board, attachment, and automation allowances, so a growing team may reach a paid tier even when its workflow is still simple.

How do Notion and Trello handle project work?

Choose the system that matches the object your team discusses every day. If conversations revolve around cards moving from “To do” to “Done,” Trello’s model is immediately legible. If a work item needs structured fields, linked notes, specifications, and several ways to filter or display it, Notion’s database model is more adaptable.

Trello’s board-and-card flow

A Trello board normally contains lists for stages such as Backlog, In progress, Review, and Done. Cards hold the task description and can be supplemented with checklists, custom fields, attachments, and automation. This arrangement makes status visible at a glance and keeps a small team focused on movement through a process.

The trade-off is that information outside the card workflow can become fragmented. Trello’s core product model is task tracking, not a general-purpose documentation hierarchy. You can attach or reference material, but the available data’s reviewed plan information does not establish Trello as an equivalent wiki platform.

Notion’s database-and-page flow

In Notion, create a project database with properties for status, owner, priority, dates, and other fields your process actually uses. The same records can be shown in a board for Kanban, a table for detailed review, or a calendar or timeline when those views are available to your plan. A project page can sit beside the database, so a brief, decision log, or meeting record remains in the same workspace.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That flexibility requires discipline. Agree on property names, required fields, status definitions, and who maintains templates before creating many databases. Without conventions, two teams can build incompatible structures that are difficult to report on together.

Which tool is better for documentation and knowledge management?

Notion is the clear fit when project plans, internal documentation, and a wiki need to coexist. Its page and database model lets a team connect written context to the records that track the work. Trello remains the more focused option when documentation is secondary to a visual task board.

  • Choose Notion for product requirements, research notes, decision records, onboarding material, and project databases that should be browsed together.
  • Choose Trello when the team already has a separate knowledge system and mainly needs cards, checklists, and a visible flow of work.
  • Use a documented boundary if both tools are present: decide which system is authoritative for status and which is authoritative for long-form knowledge.

What views, reporting, and automation do the plans provide?

View and automation requirements often determine the tier more reliably than the basic board-versus-database choice. Trello publishes named view bundles by plan; Notion describes database views and charts, with chart availability varying by tier.

Do not treat the automation numbers as equivalent units. Trello expresses a monthly command-run allowance, while Notion separates button automations from custom database automations by plan. Confirm the exact trigger, action, and usage definition in the current plan matrix before designing a process around a limit.

AI capabilities appear in both vendors’ plan materials and are changing quickly. Notion’s Business plan specifically lists work-oriented AI features; Trello’s current plan materials also include AI-related capabilities. Verify the feature name and tier at purchase time rather than assuming that an AI label means the same workflow in both products.

What are the free-plan limits teams usually hit first?

Notion Free is most generous for an individual experimenting with pages and databases, but the page distinguishes individual use from workspaces with two or more members. Trello Free has explicit team ceilings that are easy to measure.

Notion Free checks

  • It is listed as unlimited for an individual.
  • Workspaces with two or more members have limits described on the pricing page; inspect those limits before making a shared workspace the team’s long-term home.
  • Basic task and project organization, databases, and one chart are included, while larger uploads, additional collaboration features, and broader chart capability are tied to paid tiers.

Trello Free checks

  • No more than 10 collaborators per workspace.
  • No more than 10 open boards per workspace.
  • 250 automation runs per month.
  • 10MB maximum per attachment.

A team that needs an eleventh collaborator, more than 10 open boards, larger files, or more automation capacity must evaluate Trello Standard or Premium. Closing an old board may restore the open-board allowance, but it does not remove a collaborator or automation requirement.

Which plan fits common team situations?

Use the lowest plan that satisfies a non-negotiable requirement, then compare the resulting cost and administration burden.

Solo operator or personal project

Start with Notion Free if you want a combined notes-and-database workspace and are the only member. Start with Trello Free if a visual board is all you need and your files and automation fit its limits. The choice is about working style rather than price because both have a free entry point.

Small team with a straightforward Kanban process

Trello Free can work while the team remains within 10 collaborators, 10 open boards, 250 monthly automation runs, and 10MB attachments. Trello Standard becomes the predictable next step when the team needs unlimited boards, custom fields, advanced checklists, or 1,000 automation runs.

Team combining projects and an internal wiki

Notion Plus is the natural starting point when collaboration, custom forms, charts, and larger uploads matter. If the team needs SAML SSO, granular database permissions, and work-oriented AI features, Notion Business is the tier whose published distinctions address those requirements.

Organization with formal administration and security needs

Both products reserve their strongest controls for higher tiers. Notion Enterprise lists provisioning, audit, and security features; Trello Premium and Enterprise emphasize additional administration and organization controls, with Enterprise providing organization-wide controls. Map each required control—identity, provisioning, audit, permissions, and governance—to the current plan matrix rather than assuming similarly named tiers are equivalent.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Portfolio or resource-management operation

Neither reviewed plan description establishes a full replacement for a dedicated advanced portfolio, workload, or formal scheduling platform. If you need organization-wide capacity planning, specialized resource allocation, or portfolio controls, treat Notion or Trello as a possible work-tracking layer and evaluate a purpose-built option as well.

How should I set up Notion for project management?

Keep the first workspace deliberately small. The goal is a repeatable database and a few useful views, not an elaborate system that nobody maintains.

  1. Define the unit of work. Decide whether one database record represents a task, deliverable, issue, or project. Do not mix levels unless you have a clear parent-child convention.
  2. Create the core properties. Add status, owner, priority, target date, and any field required for reporting. Use a short, shared vocabulary for each property.
  3. Build the minimum views. Make a board for flow, a table for detailed triage, and a calendar or timeline only if dates genuinely drive the work and your plan supports the view.
  4. Place context beside the records. Add a project brief, decision log, meeting notes, and links to supporting pages in the same workspace so people do not have to reconstruct the rationale from task comments.
  5. Standardize with a template. Capture the properties and page sections every new project needs, then document who can change the structure.
  6. Test permissions and collaboration. Before rollout, verify which members can view or edit databases and whether your required controls are available on Free, Plus, Business, or Enterprise.

How should I set up Trello for project management?

Trello works best when lists describe a stable process and cards contain actionable work rather than becoming a storage drawer for every document.

  1. Create one board for a coherent workflow. Separate teams or processes when their stages and ownership are materially different.
  2. Name lists by stage. A simple sequence such as Backlog, In progress, Review, and Done is easier to govern than a list for every person or project.
  3. Define the card standard. Put the outcome, owner, due date, and acceptance details in each card. Use checklists for repeatable substeps and custom fields when Standard or a higher plan supplies a field you need.
  4. Set board rules and automation carefully. Automate repetitive transitions or reminders, then monitor monthly command usage on Free and Standard. Premium removes the listed run ceiling but still requires maintainable rules.
  5. Use views according to the plan. The board is the base view. Calendar, Timeline, Table, Dashboard, and Map are listed for Premium, so do not design a reporting process that depends on them while budgeting for Free or Standard.
  6. Review board limits. Track collaborators, open boards, attachment sizes, and automation runs before inviting a larger group or importing a file archive.

What are the main trade-offs before you decide?

If your priority is… More favorable choice Trade-off to accept
A visual workflow that people understand immediately Trello Less emphasis on a unified wiki and document hierarchy
Project records linked to briefs, notes, and knowledge Notion More upfront design and governance
Low-cost paid Kanban with custom fields Trello Standard Calendar, Timeline, Table, Dashboard, and Map are not in Standard’s listed bundle
Flexible databases and custom forms Notion Plus or higher Per-member pricing and possible workspace limits on Free
Granular database permissions and SAML SSO Notion Business $20 per member/month at the listed price
Unlimited Trello automation runs and multiple planning views Trello Premium $10 annually billed per user/month or $12.50 monthly

How do I make the final choice?

Score each product against the decisions that will still matter six months after setup:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Identify the primary artifact. Pick Trello when it is a card moving through stages; pick Notion when it is a record surrounded by structured context and documents.
  2. List mandatory limits. Write down collaborators, boards, attachment size, automation volume, views, charts, forms, and permissions. Eliminate any plan that misses one.
  3. Calculate the complete seat cost. Use the billing cadence you will actually sign, not a monthly equivalent that assumes an annual commitment. Include every member the vendor bills.
  4. Check administration and security. Match SSO, permissions, provisioning, audit, and organization controls to the exact tier.
  5. Run a small pilot. Recreate one real workflow, including documentation, reporting, and automation. Measure whether people maintain the structure without a project administrator.
  6. Set ownership rules. Name who owns templates, board or database conventions, archive policy, and quarterly review of plan limits.

Bottom line: Select Notion for a documentation-rich, adaptable workspace; select Trello for a focused and visual Kanban system. Compare the required tier—not just the free label or headline price—and recheck both official pricing pages immediately before subscribing because prices and feature bundles can change.

Frequently Asked Questions

Can a Trello Free workspace support more than 10 people if they use different boards?

No. The listed Free allowance is up to 10 collaborators per workspace, so placing people on separate boards does not create a separate collaborator pool. A larger team needs to assess a paid plan or a different workspace structure against its administration needs.

Does an annual Trello subscription lock in the monthly price shown in the table?

The $5 Standard and $10 Premium figures are the per-user monthly equivalents when billed annually. Trello also lists $6 and $12.50 monthly rates respectively, so compare the commitment and total annual charge rather than multiplying the annual-equivalent figure by one month.

Are Notion database automations and Trello command runs interchangeable measures?

No. Trello reports a monthly count of command runs, while Notion distinguishes button automations from custom database automations by plan. A workflow that fits one vendor’s allowance cannot be evaluated by simply matching the two numbers.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When should a team keep its existing documentation tool instead of moving it into Notion?

Keep the existing system when it already provides the permissions, search, retention, or governance your organization requires and the project tracker only needs links to it. Moving documentation is worthwhile when duplicated context is causing missed decisions and the team is prepared to maintain a shared Notion structure.
