n8n can be a good alternative to Zoho Flow if you want execution-based cloud billing or need the option to run the automation platform on infrastructure you operate. Zoho Flow is a managed visual builder with integrations across Zoho’s apps. The better fit depends on how your workflows are billed, whether the exact connectors and actions you need are available, and who will build and maintain them. Check those details before migrating: published integration counts do not prove that a particular workflow will work.
Is n8n a good alternative to Zoho Flow?
It can be, but it is not a like-for-like swap. n8n is worth evaluating when execution-based billing or self-hosting matters and your team has the technical capacity to operate its workflows. Zoho Flow is a sensible place to start when you want a managed service and visual workflow building, especially if your processes already use Zoho apps.
Neither choice is automatically cheaper, faster, or more reliable. Product information does not include an independent performance or migration study, and the two services count usage differently. Start with your own workflows and run patterns rather than a headline comparison.
A practical answer is to treat this as three decisions rather than one: which builder can perform the required work, which billing unit best matches your workload, and which operating model your team can sustain. A technically attractive workflow can still be a poor choice if nobody owns updates, backups, failed runs, or account permissions.

What is the main difference between n8n and Zoho Flow?
The clearest distinction is the combination of operational responsibility, billing unit, and workflow-building approach. Zoho Flow is presented as managed by Zoho; n8n can be used as a hosted cloud service or self-hosted, while its pricing is based on workflow executions.
| Decision point | Zoho Flow | n8n |
|---|---|---|
| Hosting | Zoho describes it as fully hosted and managed by Zoho. | n8n Cloud is described as hosted and managed by n8n; n8n Business is described as self-hosted on the customer’s servers. |
| Usage unit | A successful action counts as a task. | Plans are priced by monthly workflow executions, regardless of workflow complexity. |
| Workflow builder | Zoho describes a drag-and-drop builder with conditional logic and custom functions. | Zoho characterizes n8n as a visual builder that requires more technical know-how. |
| App coverage | Zoho claims 1,000+ prebuilt integrations, including connections to 50+ Zoho apps. | Zoho claims 1,000+ integrations through n8n nodes and APIs. |
| Operations | Zoho advertises flow history plus manual and automatic reruns. | Confirm history, retry, and recovery behavior for the n8n plan and deployment you will use. |
The hosting and integration descriptions in this table come from Zoho’s comparison page, so treat them as the vendor’s characterization, not an independent assessment. In particular, an aggregate connector count does not tell you whether a platform supports the specific trigger, action, fields, and authentication method your workflow needs.
How does billing differ, and how should you compare plan limits?
Zoho Flow counts successful actions as tasks, while n8n counts workflow executions. Those are different units: one workflow execution may involve several actions, and a task count is not a count of whole workflow runs. Do not compare the plan totals as though they represent equivalent capacity.
For example, a process that starts once and performs six successful actions can consume several Zoho Flow tasks while representing one n8n execution. Conversely, a workflow with a single action may use one unit in each model. The right comparison requires a workflow inventory, not division of one plan number by another.
Zoho Flow plan allowances
Zoho’s pricing page, accessed in 2026, lists a Free tier with 100 tasks per month, 30-day flow history, and 15-minute polling. Its table shows Standard starting at 5,000 tasks per month and Professional starting at 10,000 tasks per month. The same table lists 60-day history and 15-minute polling for Standard, and 90-day history and 5-minute polling for Professional. These are vendor plan specifications; confirm current local pricing and limits on Zoho’s live pricing page before choosing a tier.
Polling intervals matter when a workflow depends on checking an app rather than receiving an event immediately. A 15-minute interval and a 5-minute interval imply different expected detection delays, but they do not by themselves establish end-to-end workflow speed. Test the actual trigger and any downstream processing with your data.
n8n plan allowances
n8n’s pricing page showed hosted Starter and Pro plans with 2,500 and 10,000 workflow executions per month, respectively, billed annually at the displayed euro prices. Prices and allowances can change, so check the current plan page for the figures that apply to your region and purchase date. n8n says its plans include unlimited users and workflows and are priced by monthly workflow executions, regardless of complexity.

The phrase “regardless of complexity” is important for budgeting: adding steps to a workflow does not change the stated n8n billing unit, but it may change what the workflow does operationally and how difficult it is to test. Confirm the current definition of an execution, included features, and any deployment-specific terms in the plan documentation.
How to estimate your own usage
- Count runs, not just workflows. List each process and estimate how many times it starts in a typical month. A workflow that exists but rarely runs has a different usage profile from one triggered repeatedly.
- For Zoho Flow, estimate successful actions. For each expected run, count the actions likely to succeed, then multiply by the number of monthly runs. Zoho says each successful action counts as a task. Include branches separately when more than one path can execute.
- For n8n, estimate executions. Count the expected monthly workflow executions using your actual trigger patterns. n8n’s stated pricing basis is executions, not the complexity or number of steps in each workflow.
- Model normal and busy periods. Use a representative month and a higher-volume month if your workload varies. Compare each estimate with the relevant plan allowance, then verify how the live plan page defines its limits.
- Separate test traffic from production traffic. Include pilot runs, scheduled checks, retries, and replayed data in your estimate if they will occur regularly. Keep a record of which runs were tests so you can explain a difference between a forecast and an invoice.
- Check the whole operating picture. If considering self-hosting, include the people and processes needed to run the deployment. The comparison assigns server, update, and backup management to the self-hosted user; it does not establish a total cost of ownership.
A lower advertised allowance is not necessarily a worse fit, and a larger number is not proof of better value. The billing unit and your workflow’s actual run pattern determine whether a limit is comfortable. Ask for a current quote or plan page when currency, annual billing, or regional taxes affect the decision; the displayed figures can change.
What hosting option should you choose?
Choose the hosting model by deciding who should run the platform and take responsibility for its operations. A managed plan reduces your infrastructure workload; self-hosting gives your team the operational role described in Zoho’s comparison.

Zoho Flow: managed by Zoho
Zoho describes Zoho Flow as fully hosted and managed by Zoho. This is the most straightforward option among those compared if your priority is to use the service without taking responsibility for its servers, updates, and backups. It also gives a Zoho-heavy organization one vendor relationship for Flow and its connected Zoho apps, although you still need to verify each connector and permission.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsn8n Cloud: managed by n8n
n8n Cloud is described by Zoho as hosted and managed by n8n. It lets a team evaluate n8n without taking on the self-hosted server, update, and backup responsibilities. Check the current n8n plan details to confirm which hosted plan features and limits suit your use case. Managed hosting does not remove the need to maintain workflow credentials, review failures, or control who can change production automations.
Self-hosted n8n: operated by your team
Zoho’s comparison describes n8n Business as self-hosted on the customer’s servers and assigns server, update, and backup management to the user. That option makes most sense when your team is prepared to own those ongoing tasks. The available product information does not establish the infrastructure cost, staffing effort, or total cost for a particular deployment, so treat those as items to estimate rather than assume.
Before selecting self-hosting, name the operational owner and document a minimum runbook: where the service runs, how updates are tested, how backups are made and restored, how credentials are rotated, and who investigates a failed execution. If those answers are not available, hosted n8n may be a more realistic comparison than a self-hosted installation.
Do not select self-hosting solely because it sounds less expensive or more controllable. First identify who will handle maintenance, updates, backups, and troubleshooting, and decide how those responsibilities fit your team’s capacity. Control is useful only when someone can exercise it consistently.

Zoho describes Flow as a drag-and-drop builder with conditional logic and custom functions. It also lists app-event and webhook triggers, plus history and rerun features. Zoho characterizes n8n as a visual builder that requires more technical know-how, but that comparison alone does not establish how easy either platform will be for your team’s particular workflows.
Verify a connector at the action level
Zoho claims 1,000+ prebuilt business-app integrations for Flow and 50+ Zoho app connections. Its comparison claims 1,000+ integrations for n8n through nodes and APIs. These figures are broad vendor claims, not a guarantee that an exact connector or operation is available. Before you commit, check each required app and confirm:
- The event or trigger that starts the workflow is supported.
- The action you need is available, not merely a connection to the app.
- The fields your process must read or write can be mapped.
- The required authentication method works for your account and deployment.
- The workflow can handle the relevant conditions and branches.
- Limits, pagination, attachments, and error responses are usable for your data volume.
Test the real path, including the data and account permissions your process uses. A connector that supports one operation may not support another; the total number of integrations cannot answer that question. Check whether a webhook must be configured manually, whether polling is the only trigger, and whether the app’s own API limits affect the design.
Consider who will build and debug the workflow
Zoho Flow’s feature description includes custom functions, conditional logic, triggers, and monitoring through history and reruns. Those capabilities can cover more than a simple one-trigger, one-action flow, but the builder still needs to suit the people who will maintain it. Zoho’s own comparison says n8n requires more technical know-how; use that as a prompt to test your team’s skills, not as a substitute for trying representative workflows in both products.

How should you compare failure handling and workflow history?
Check what happens after a workflow fails, not just whether it can be built. Zoho Flow’s listed features include history and manual or automatic reruns, while the reviewed information does not establish equivalent behavior for a specific n8n plan or deployment.
During a pilot, deliberately test a representative failure path. Confirm what execution details are retained, whether the failure is easy to diagnose, how a run can be rerun, and who is expected to take action. Also check how long you can review history: Zoho’s pricing table gives different history periods by tier, but verify current limits before relying on them for operational troubleshooting.
Test duplicate handling as well as simple recovery. If a rerun repeats an earlier successful action, determine whether the destination app receives a duplicate record or whether the workflow can safely resume. Document the point at which a human must approve a rerun, and decide how long logs need to be retained for customer support or internal review.

What requirements should you write down before switching?
A short requirements sheet prevents a migration from becoming a vague tool preference. For every candidate workflow, record the source event, expected frequency, destination actions, required fields, authentication type, branching rules, polling tolerance, failure outcome, history requirement, and business owner. Mark each item as required or desirable.
Include nonfunctional requirements too. Note whether the workflow must be hosted by a particular party, whether your team can operate servers, how many people need access, and whether annual billing or a particular currency affects procurement. These requirements make it easier to compare Zoho Flow, n8n Cloud, and self-hosted n8n without silently changing the scope.
How can you decide whether to switch?
Make the decision with a small, representative pilot rather than an integration-count or plan-count comparison. Keep the current production process in place while you test the candidate workflow, so a connector or billing mismatch does not interrupt a business process.
- Choose representative workflows. Include a routine process, one with conditional logic, and one that depends on an important app connection. The set should reflect the work you actually expect to automate.
- Map each workflow before rebuilding it. Record its trigger, actions, data fields, conditions, and what should happen if an action fails. This gives you a practical checklist for both the build and the test.
- Validate connectors and permissions. Build or test the exact trigger and actions in the candidate platform, using the authentication and fields the real process requires. Do not treat a listed integration as proof of a supported operation.
- Test run behavior and recovery. Check normal runs and an intentional failure. Review the available history, diagnostic detail, and rerun behavior, and identify who will respond when a production run needs attention.
- Measure the relevant billing unit. Track successful actions for Zoho Flow or workflow executions for n8n across realistic run patterns. Compare those results with the current plan limits, not with the other service’s differently defined count.
- Confirm operational ownership. If evaluating self-hosted n8n, assign responsibility for server management, updates, and backups before moving a production process.
- Review polling and latency expectations. Confirm whether a 15-minute or 5-minute polling interval, or the selected event trigger, meets the business requirement. Do not infer actual completion time from a polling specification alone.
- Switch in stages. Move a workflow only after the replacement passes its functional and failure-path checks. Keep a rollback plan for processes where a missed or duplicated run would have meaningful consequences.
This method will not prove that one platform is categorically better; it answers the more useful question of whether a specific service, plan, and operating model meet your requirements. Revisit the decision when workflow volume, app mix, or the team responsible for maintenance changes.

When should you consider another automation platform?
If neither n8n nor Zoho Flow fits your app coverage, skills, or operating preferences, compare other tools against the same workflow requirements. Zoho’s alternatives page includes Make and Power Automate, positioning Make for complex visual logic and Power Automate for Microsoft-first use cases. Those are vendor comparisons, not independent recommendations, so validate each candidate with your own connector and workflow tests.
Do not switch platforms just to obtain a larger integration headline. A third option is useful when it solves a documented requirement that both candidates miss, such as a necessary trigger, a team’s existing skills, or an operating model your organization can support. Keep the same run-volume, failure-path, and ownership tests so the comparison remains fair.

Does a failed Zoho Flow action count as a task?
Zoho’s pricing information says a successful action counts as a task, but the reviewed material does not specify how failed actions are treated in every case. Check Zoho’s current plan terms or ask its support team if failed-run accounting materially affects your estimate.

Are Zoho Flow tasks and n8n executions equivalent?
No. Zoho Flow counts successful actions, while n8n prices by workflow executions regardless of complexity. Count the actions and executions generated by your own workflows instead of comparing the headline allowances directly.
Will self-hosting n8n eliminate the cost of using it?
The product comparison establishes that self-hosted users manage servers, updates, and backups, but it does not quantify infrastructure or labor costs. Evaluate those operating costs alongside any applicable plan or deployment terms before treating self-hosting as a savings.
Can I move a Zoho Flow workflow directly into n8n?
The product information does not establish a direct migration or automatic conversion path. Plan to verify the workflow’s triggers, actions, field mappings, conditions, and failure handling in the destination rather than assuming an existing flow can be imported unchanged.
Which platform is better for a Zoho-heavy company?
Zoho Flow is the natural first test when your processes rely on Zoho apps and you want a Zoho-managed visual service. Verify the exact operations, permissions, task allowance, and polling needs before committing; the app count alone is not proof of fit.
Is n8n cheaper than Zoho Flow?
There is no defensible universal answer. Zoho Flow bills successful actions and n8n bills workflow executions, and self-hosting adds server, update, and backup responsibilities. Model your real workload and current regional prices for the specific hosting option you would buy.
Does n8n require technical skills?
Zoho’s comparison characterizes n8n as a visual builder requiring more technical know-how. Treat that as a reason to run a hands-on pilot: have the intended maintainer build, modify, troubleshoot, and recover a representative workflow before deciding.
How long does Zoho Flow keep workflow history?
The pricing table accessed in 2026 lists 30 days for Free, 60 days for Standard, and 90 days for Professional, with current limits subject to change. Confirm the live plan terms if history retention is important for support or audits.
What should I test before moving a production automation?
Test the exact trigger, actions, fields, authentication, branches, polling behavior, normal run, intentional failure, diagnostic details, rerun behavior, and billing unit. Assign an owner for ongoing maintenance, and keep a rollback plan for important processes.
The Bottom Line
Bottom line: Choose Zoho Flow for a Zoho-managed, visual approach when its exact connectors and task limits fit. Choose n8n Cloud or self-hosted n8n when execution-based billing, deployment control, or technical flexibility matters and your team can support it. Pilot real workflows, measure the correct billing unit, and verify failure recovery before switching production automation.
