In the supported OneNote desktop app for Windows, change the backup destination through File > Options > Save & Backup. Under Save, choose Backup Folder, select Modify, pick the destination folder, and confirm with OK. This changes where OneNote writes backup files; it does not move a notebook, alter OneDrive folder backup, or change Windows Backup.

The procedure applies to OneNote for Microsoft 365, OneNote 2024, OneNote 2021, and OneNote 2016. The menu belongs to the desktop application, not OneNote for the web. The older OneNote for Windows 10 app reached end of support on October 14, 2025 and is read-only, so use the current OneNote app for Windows when you need supported editing.

Which OneNote app has the backup-folder setting?

The Save & Backup page is part of the classic Windows desktop application. Microsoft documents the setting for OneNote for Microsoft 365, OneNote 2024, OneNote 2021, and OneNote 2016 in its guide to changing the default backup location: Change the default storage location for backup files.

OneNote experience Can you use the desktop Backup Folder path? Important note
OneNote for Microsoft 365 Yes Use File > Options > Save & Backup.
OneNote 2024 Yes Use the same desktop settings page.
OneNote 2021 Yes Use the same desktop settings page.
OneNote 2016 Yes Use the same desktop settings page.
OneNote for the web No The web interface does not expose this Windows desktop backup-folder control.
OneNote for Windows 10 Do not rely on this procedure Microsoft says it reached end of support on October 14, 2025 and moved to read-only mode.

If you are unsure which Windows app is open, look for a File menu at the top. Microsoft’s migration guidance uses that menu as a practical way to identify the supported desktop app. Its explanation of the retirement is available at Moving to OneNote on Windows.

How do I change the OneNote backup folder in Windows 11?

Changing the folder takes place entirely inside OneNote’s Options dialog. Create or choose a destination that the Windows account running OneNote can write to, then follow these steps.

  1. Open the desktop OneNote app. Make sure it is the supported Windows desktop edition rather than the web app.
  2. At the top left, select File, then choose Options.
  3. In the OneNote Options window, select Save & Backup.
  4. In the Save section, select Backup Folder, then choose Modify.
  5. Browse to the folder you want to use. You can select an existing folder or create one in the folder-selection dialog if Windows offers that option.
  6. Select the destination and confirm the choice. Close OneNote Options with OK if an OK button is shown.

The selected directory becomes the destination for future OneNote backup files. OneNote does not turn the procedure into a notebook move, and choosing a new folder does not automatically copy every older backup into it. If you need older files in the new location, copy them separately in File Explorer after closing OneNote, preserving their folder structure and file names.

What exactly changes when I modify Backup Folder?

The setting changes the location used for OneNote’s own backup files. It is separate from the location of your live notebooks and from Windows or OneDrive folder-protection features.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

It does not relocate a cloud notebook

OneNote notebooks are generally cloud-based. Selecting a different backup directory does not move the notebook to another drive, change its SharePoint or cloud location, or make a cloud notebook into a local-only file.

It does not change OneDrive folder backup

Windows and OneDrive can back up folders such as Documents, Desktop, or Pictures, but those controls are not the OneNote backup-folder setting. Microsoft explains that changing OneDrive folder backup does not move cloud notebooks onto the computer: Back up your folders with OneDrive.

It does not replace a full computer backup

OneNote’s section backups are useful for recovering notes, but they are not a complete image of Windows, your applications, or unrelated personal files. Keep a separate computer-backup strategy when you need protection against ransomware, theft, or total device loss.

Where should I store OneNote backups?

Microsoft says OneNote initially stores backups on the same hard drive as the notebooks. A different physical destination can preserve a usable copy if the primary drive fails. Microsoft identifies a secondary or external drive, removable USB storage, and a private network folder as alternatives; it does not rank a particular drive model or capacity.

Secondary or external drive

A second internal disk or an external hard drive can be physically separate from the Windows system drive. Keep the drive connected and available whenever automatic backups are expected, and protect it from accidental unplugging or damage.

USB storage

A USB drive is portable and can be disconnected after a backup, which helps separate the copy from a computer that is online. Because a disconnected drive cannot receive scheduled files, reconnect it regularly and safely eject it before carrying it elsewhere.

Private network folder

A private network share can centralize backups for a household or organization without requiring a dedicated local disk. The share must be reachable and writable under the Windows account used by OneNote; permissions, VPN access, and network outages can prevent a scheduled backup from completing.

  • Choose a destination with enough free space for multiple backup copies.
  • Use a location protected by appropriate Windows or network permissions.
  • Do not choose a folder that is routinely renamed, deleted, or disconnected.
  • If the destination is removable, plan how often it will be connected for automatic backups.

How can I make a backup immediately after changing the folder?

OneNote includes a manual command in the same settings page. Open File > Options > Save & Backup, then select Back Up All Notebooks Now. This is useful for creating a fresh copy in the newly selected directory instead of waiting for the next automatic run. Microsoft documents the command in Back up notes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

After starting the command, allow OneNote time to finish writing the files before disconnecting a USB drive, shutting down, or testing the folder. Open the destination in File Explorer and check that new or recently modified backup files appear. File names and the exact number of files depend on your notebooks and the backup-copy setting.

How often does OneNote create backups?

Microsoft’s general backup instructions say OneNote automatically backs up notebooks each week and allows the frequency and number of retained copies to be adjusted in Save & Backup. A separate Microsoft platform data-protection page describes Windows backup as daily by default with two weeks of retention: OneNote Platform Data Protection & Recovery.

Those statements describe different documentation contexts, so do not assume one interval applies to every build or account. Open the current Save & Backup options in your installation and verify the displayed frequency and number of copies. If the destination is unavailable at the scheduled time, reconnect the drive or restore network access and use Back Up All Notebooks Now to create a known-good copy.

Where are OneNote backups stored in Windows 11?

There is no single Windows 11 path that should be presented as the universal default for every OneNote installation. Microsoft’s article about changing the default storage location lists a path explicitly for Windows 10, so applying that path unchanged to Windows 11 can be misleading.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a migration-recovery scenario, Microsoft instructs Windows 11 users to look in %userprofile%Documents for folders named Backup or Backup_UserInitiated. That guidance is for locating files after a migration, not a statement that every Windows 11 computer uses Documents as its configured backup destination. The recovery instructions are at Restore Missing Content after migrating from OneNote for Windows 10 to OneNote on Windows.

The authoritative answer for your installation is the path currently shown under File > Options > Save & Backup. If you changed it previously, that configured path takes precedence over any older default-location article.

How do I open a OneNote backup to recover notes?

Use OneNote’s built-in recovery view rather than opening random files from a backup directory first.

  1. Open the OneNote desktop app.
  2. Select File, then Info.
  3. Choose Open Backups.
  4. Browse to the configured backup folder, or to the recovery folder identified for your migration case.
  5. Select the relevant notebook or section backup and open it.
  6. Inspect the recovered pages before copying or moving content into the live notebook.

In Microsoft’s migration guidance, files ending in .one represent notebook sections. The exact files available depend on which notebooks were backed up and how many copies OneNote retained. Keep the original backup files intact until you have verified that the recovered content is complete.

What should I check if the new folder does not work?

Backup Folder or Modify is missing

You may be using OneNote for the web or the retired OneNote for Windows 10 app rather than the supported desktop application. Close that experience and open the current OneNote app for Windows, then look for File > Options.

OneNote cannot write to the destination

Confirm that the folder exists and that your Windows account has permission to create and modify files there. For a network share, verify that the computer is on the required network, the share is reachable in File Explorer, and credentials or VPN access have not expired. For removable storage, reconnect the drive and confirm that its drive letter has not changed.

No files appear after changing the setting

Changing the path does not necessarily run a backup immediately. Use Back Up All Notebooks Now, wait for it to finish, and then refresh the destination folder. If the command fails, return to Save & Backup and select a local test folder that you know is writable; this helps distinguish a OneNote setting problem from a drive or network-permission problem.

Older backups are not in the new folder

The setting controls where subsequent backups are written. Search the previous configured folder and copy older backups manually if you still need them. Do not delete the old location until you have opened representative files through File > Info > Open Backups and confirmed that the new location contains the copies you expect.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The folder is on a drive that is often offline

Automatic backups cannot be written while the destination is disconnected or unreachable. Reconnect the drive or restore the network, then run a manual backup. For better continuity, use a destination that is normally available and keep a second copy that is disconnected when you need protection from online threats.

How can I verify that the configuration is safe?

Use this short verification routine after selecting a destination:

  • Reopen File > Options > Save & Backup and confirm that the displayed Backup Folder path is the one you intended.
  • Run Back Up All Notebooks Now while the destination is connected.
  • Check the folder’s modified time and confirm that backup files were created or updated.
  • Open File > Info > Open Backups and test one section from the new location.
  • Record whether the destination is local, removable, or network-based so you know what must be connected for the next scheduled backup.

This test validates both the path and your ability to recover a section. It does not prove that every page in every notebook is present, so perform a broader review when the notes are business-critical.

What changed for OneNote for Windows 10 after October 2025?

Microsoft states that OneNote for Windows 10 officially reached end of support on October 14, 2025 and transitioned to read-only mode. It recommends moving to OneNote on Windows for continued editing. The supported desktop app has the File menu and the Save & Backup controls described above; the retired app should not be treated as an equivalent implementation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you are migrating, keep the old data until you have checked the new app and recovered any missing sections. Microsoft’s migration-recovery article explains the Open Backups route and the migration-context folders, including Backup and Backup_UserInitiated under %userprofile%Documents.

Does changing the folder protect against every data-loss event?

No. A separate destination reduces dependence on the primary drive, but a drive can fail, a USB device can be lost, a network share can be unavailable, and files can be deleted or encrypted while connected. Use more than one form of protection for important notebooks: keep OneNote’s configured backups, maintain a separate computer or organizational backup, and periodically test recovery rather than assuming that a file’s presence guarantees a usable notebook.

Frequently Asked Questions

Can I choose a OneDrive-synced folder as the OneNote backup folder?

The setting can point to a folder that Windows can write to, but syncing does not make it the same as OneNote’s cloud notebook storage. Check that the folder remains available locally and that your organization’s sync and retention policies preserve the files you need.

Will changing the backup folder move my existing OneNote backups automatically?

No. The new path is used for later backup operations. Copy older files from the previous location yourself, and keep them until you have tested recovery from the new folder.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I use a network share when I am away from the office?

Only while the share is reachable and writable, which may require a corporate network connection or VPN. If it is unavailable during a scheduled run, reconnect and start a manual backup when access returns.

How do I know whether a recovered .one file is the section I need?

Open it through OneNote’s Open Backups view and inspect its section name and pages before importing or copying content. Keep the original file unchanged so you can retry recovery if you select the wrong section.
