For most organizations already using Microsoft 365, Teams is the more practical default; Zoom may suit you better if your organization already relies on its meeting and event workflows or has standardized on Zoom. The right choice depends less on a universal feature winner than on your existing licenses, required features, security settings, supported devices, and how easily guests can join.
How to choose between Teams and Zoom
Start with the work your organization needs the app to do. A scheduled video call is only one use case: ongoing chat, file sharing, collaboration, webinars or other events, and calling can change which product makes sense.
- Check your existing setup. If your organization already uses Microsoft 365 for files, calendars, identity, and team collaboration, Teams fits that environment closely. - List the features you actually need. Decide whether you need only meetings and screen sharing or also events, phone connectivity, persistent collaboration, and particular administrative controls.
- Compare the licenses you would actually buy. Match user counts, billing terms, region, add-ons, and required features rather than comparing a single headline price.
- Test guest joining and managed devices. Confirm external participants can join in a way that works for them, and check that your organization’s operating systems, browsers, and peripherals meet current requirements.

When Teams is the better fit
Your organization already uses Microsoft 365
Teams is a strong default when people already work in Microsoft’s environment and need meetings alongside chat, file sharing, and ongoing team workflows. Microsoft says Teams is available through qualifying Microsoft 365 offerings or as a standalone SKU, so confirm what your users’ existing licenses include instead of assuming the app requires a separate purchase.
You need collaboration beyond scheduled calls
Teams’ documented scope includes chat, meetings, screen sharing, and collaboration-related features across multiple plan families, subject to plan caveats. It can be a better match when a project team needs conversations and shared work to continue between meetings, not just a place to host calls. Microsoft’s description of Teams as combining those functions is a vendor description, not an independent assessment of usability.

When Zoom may be the better fit
Your organization already runs meetings in Zoom
Existing adoption matters: changing tools can disrupt familiar meeting processes and require users or administrators to adjust. If your organization already relies on Zoom, compare the specific workflow and plan it has with the Teams licenses and setup it would need before migrating.
Your event or meeting workflow points to Zoom
Zoom may be the more suitable choice if its current event features or established meeting workflow better match your requirements. Verify the capabilities included in the plan you would use; a vendor’s broad product comparison is not a substitute for checking current plan details.

Compare the real cost, not just the entry price
Microsoft’s US-facing business pricing page lists Teams Essentials at $4 per user per month when paid yearly. The page describes that offer as including chat, calls, video conferencing, file sharing, tasks, polling, recordings, transcripts, live captions, and 10 GB of cloud storage; it also lists meetings of up to 30 hours and 300 participants. These are details of a specific US-facing offer, not guarantees for every market, billing arrangement, or future date. Check the live Microsoft plan page before budgeting.
Zoom’s official pricing page is the place to verify its current plans and costs. There is not enough like-for-like pricing information here to declare either service cheaper for every organization. Total cost depends on the licenses and add-ons required, the number of users, billing terms, region, and the features included in the comparison.

Zoom’s vendor-authored comparison page reports a five-year total cost of ownership of $1,421 for Zoom Workplace versus $2,995 for Microsoft Teams, plus one-time deployment and training costs of $44 versus $68 per user and recurring annual operating costs of $275 versus $577 per user. These figures are Zoom’s summary of a 2024 Zoom-commissioned Metrigy study, based on study respondents’ reported average provider spend. They reflect that study’s scope and sample, not a universal estimate or independent proof that Zoom will cost your organization less. Check plans for events and calling
Do not assume every Teams plan includes every event or calling capability. Microsoft’s service description lists meetings and screen sharing across documented plan families, while webinars, calling, events, and some other features have plan or jurisdiction caveats. Confirm the exact SKU and region against the current Teams service description before choosing a license.

Microsoft’s documentation says Teams events replaced Teams Live Events. It states that existing Teams Live Events scheduled before June 30, 2026, continue to be supported through February 28, 2027. Because event-transition timelines can change, verify the current details in Microsoft’s documentation if your organization depends on Live Events.

Zoom documents meeting controls such as Waiting Rooms, Join by Domain, and passcodes. Confirm devices and guest access before committing
Do not assume either app will work on every managed machine. Both vendors publish version-sensitive requirements, and Zoom’s documentation includes operating-system end-of-support cutoffs for specific app releases. Check the requirements that match your organization’s actual operating systems, browser versions, and app-management policies: Teams requirements and Zoom requirements.
Microsoft lists a USB 2.0 video camera and compatible audio equipment among Teams client requirements, while also identifying standard laptop cameras, microphones, and speakers as options. That does not mean you must buy new equipment: check what your devices already have. If the built-in camera or audio is unsuitable, a compatible USB webcam or headset with a microphone may help.
For external meetings, test the actual invite and joining process with a guest on a representative device. This surfaces practical barriers—such as unsupported software, browser limitations, or organization settings—that a feature list alone cannot resolve.
