A workbook uploaded to a channel is stored in the team’s SharePoint document library, while a workbook sent in a chat is stored in the sender’s OneDrive for Business, in the Microsoft Teams Chat Files folder.
Start by opening the same file outside Teams. That single test helps distinguish a Teams-client problem from a SharePoint, OneDrive, permissions, Excel, or workbook problem.
1. Find where the Excel file is actually stored

Teams’ OneDrive view does not refer to a personal OneDrive account. The underlying storage service determines permissions, sharing behavior, check-out state, and file availability.
2. Test the workbook outside Teams
For a channel file
- Open the relevant team and channel.
- Select Shared.
- Select In library.
- Find the workbook in SharePoint and try to open it there.
For a chat file
- Open the chat containing the workbook.
- Select Shared.
- Select the Excel file.
- If it still fails, open the file from the sender’s OneDrive for Business.

3. Choose a different opening method
In the current Teams desktop app for Windows, change the default behavior as follows:
- Select Settings and more (…).
- Select Settings.
- Select Files and links.
- Under Always open Word, PowerPoint, and Excel files in, choose Teams, Desktop App, or Browser.
You can also right-click the file link, choose Open in, and select the destination.
The Desktop App choice requires the Excel desktop application and works for files hosted on OneDrive or SharePoint. It may not work for local files, unsupported account types, or links opened outside the Teams desktop app. Microsoft’s current setting is called Files and links; instructions referring only to Files or Office files may describe an older interface.
4. Fix Teams when the file opens elsewhere
Sign out and update Teams
- Select your profile picture.
- Select Sign out.
- Reopen Teams and sign in again.
- Select Settings and more (…) > Update and restart Teams, if that option appears.
To check the installed version, open … > Settings > About Teams. Select Update now if offered.
Reset New Teams on Windows
- Open Windows Settings.
- Go to Apps > Installed apps.
- Search for Microsoft Teams.
- Select … beside Teams and choose Advanced options.
- Under Reset, select Reset.
- Start Teams and sign in again.
Resetting removes Teams app data, including personalization settings.
Clear the current New Teams cache
Quit Teams completely first. In File Explorer, paste this path into the address bar:
%userprofile%\appdata\local\Packages\MSTeams_8wekyb3d8bbwe\LocalCache\Microsoft\MSTeams
Delete the contents of that folder, then restart Teams. The commonly repeated %appdata%\Microsoft\Teams path is for Classic Teams, not the current New Teams app.

On macOS, quit Teams and run these commands in Terminal, one at a time:
rm -rf ~/Library/Group\ Containers/UBF8T346G9.com.microsoft.teams
rm -rf ~/Library/Containers/com.microsoft.teams2
Try Teams on the web
Open Teams in a supported, up-to-date version of Edge, Chrome, Firefox, or Safari. If the file opens in Teams on the web but not the desktop app, the problem is probably local to the desktop client, its cache, Office integration, authentication, or device policy.
If the file fails in both Teams clients but opens directly in SharePoint or OneDrive, investigate the file-link handoff or an account mismatch.
5. Check permissions and sharing
“You don’t have access to this file”
A file can remain visible in a Teams conversation even when the underlying OneDrive or SharePoint permission is invalid. For a chat file, one documented cause is Limited-access user permission lockdown mode being enabled on the sender’s OneDrive site.
An authorized OneDrive site owner or administrator can check this setting:
- Open the user’s OneDrive site.
- Select Settings > OneDrive Settings > More Settings.
- Under Features and storage, select Site Collection Features.
- Find Limited-access user permission lockdown mode.
- Select Deactivate, if appropriate.
Microsoft recommends not enabling this feature on OneDrive sites. A Microsoft 365 administrator can also run the Unable to access files shared in Teams chat diagnostic.
Guests, private channels, and shared channels
Being able to see an attachment or link in Teams does not guarantee access to the stored file. SharePoint and OneDrive permissions control the actual file.

Shared channels use a dedicated SharePoint site. By default, only shared-channel owners and members have access to that site. A user separately granted access to an individual SharePoint file can retain that access even after being removed from the team or channel.
Chat files and OneDrive problems
Chat attachments depend on the sender’s OneDrive for Business. Opening can fail if that OneDrive account is unavailable, unlicensed, over quota, or has an invalid sharing relationship. An unlicensed OneDrive account may make files read-only or require the content to be moved to SharePoint. A full OneDrive cannot save new content until storage is brought below its quota.
6. Resolve locked, read-only, or checked-out workbooks
A locked-file message does not always mean another person is currently editing the workbook. Possible causes include:
- Another user has the file open.
- The same user has it open on another device.
- Excel crashed and left a stale server lock.
- The file is checked out in SharePoint.
- A participant is using Excel 2016, Excel 2019, or Excel 2021 LTSC, which do not support modern co-authoring.
- The workbook uses features that interfere with co-authoring.
- The file is stored somewhere that does not support Microsoft 365 co-authoring.
For co-authoring, use OneDrive, OneDrive for Business, or SharePoint in Microsoft 365. Local folders, \\server\folder paths, smb:// paths, Dropbox, Box, Google Drive, and SharePoint on-premises libraries do not support Microsoft 365 co-authoring.
For a SharePoint file, open the document library in a browser and look for a check-out indicator. If another user has checked out the workbook, that user must check it back in before others can edit it.
Remove the old Shared Workbook feature
The legacy Excel Shared Workbook feature is different from modern co-authoring and can cause the “workbook is currently open by 256 users” error. In desktop Excel, open the workbook and select Review > Unshare Workbook.
Do this only after confirming that the old sharing mode is no longer required.
7. Check the workbook format, features, and size
Excel for the web supports many workbooks, but it is not equivalent to desktop Excel. VBA projects, macros, XML maps, and other unsupported features can prevent a workbook from opening in the browser. The file may open for viewing, request a copy, or require Open in Excel or Edit in Excel.

Try Open in Desktop App for macro-enabled or feature-heavy workbooks. Do not choose Edit a Copy without checking what unsupported features might be removed.
Check the file size
According to Microsoft’s Excel for the web service description, Excel for the web has a 100 MB workbook viewing limit for files from SharePoint Online. Microsoft’s SharePoint limits documentation lists a 250 GB per-file upload limit. A workbook can upload successfully while still being too large for Excel for the web; open a workbook near or above 100 MB with desktop Excel.
8. Check passwords, protection, and malware blocking
A password-protected workbook cannot be opened without its password. There is no supported way to bypass the password.
For co-authoring problems, the owner may need to review, where appropriate:
- File > Info > Protect Workbook
- File > Restrict Permissions
- Workbook protection that prevents the requested edit
Only the file owner or an authorized administrator should remove protection, because doing so may expose confidential data.
If SharePoint, OneDrive, or Teams detects the workbook as malicious, it may display a warning icon and block opening or sharing. Do not bypass the block merely to test Excel. Follow your organization’s security process; an administrator can investigate the detection and determine whether the file can safely be unblocked.

If Teams opens Excel but Excel shows a blank window, freezes, or never loads the workbook, troubleshoot Excel rather than Teams.
- In Excel, select View > Unhide and check whether a hidden workbook window is causing the blank display.
- Start Excel in Safe Mode. Press Windows key + R, enter excel /safe, and press Enter.
- If the file opens in Safe Mode, go to File > Options > Add-Ins.
- In Manage, select COM Add-ins > Go, clear the add-ins, and restart Excel.
- Repeat the check using Excel Add-ins in the Manage list.
- If Excel still fails, repair Microsoft 365 or Office from Windows’ installed-app options.
Also test the workbook directly from SharePoint or OneDrive rather than from a downloaded or locally synchronized copy. A local copy may use a different sync client, permissions state, or co-authoring behavior. The older OneDrive for Business sync client, Groove.exe, does not support co-authoring for locally synced Office files; use the current OneDrive.exe client or open the cloud file on the web.

10. When the problem is a SharePoint configuration issue
If a channel’s Shared area or Files experience displays “The object specified does not belong to a list”, the connected SharePoint document library may have been renamed from its expected default name, Shared Documents.
This is not fixed by clearing the Teams cache. A SharePoint site owner must restore the library name or correct the site configuration.
11. Administrator checks
An administrator should open the Microsoft 365 admin center and go to Health > Service health. Review Overview, Active issues, and Issue history for Teams, SharePoint, OneDrive, and Office for the web incidents.
Use this comparison to identify the scope:

Why can I see an Excel file in Teams but not open it?
Teams can display a file link or chat attachment even when the underlying SharePoint or OneDrive permission is invalid. Open the file directly in SharePoint or the sender’s OneDrive to determine whether the problem is access-related or limited to Teams.

What is the fastest fix when Teams will not open Excel?
Right-click the file, choose Open in, and try Browser or Desktop App. Then sign out of Teams, update it, and test the file in Teams on the web. If it opens elsewhere, reset or clear the current Teams cache.
Can Teams open Excel macro files?
Teams can hand off an .xlsm file to Excel desktop. Excel for the web may open some .xlsm files, but VBA macros do not run there and unsupported features can prevent opening or editing. Use Open in Desktop App for macro-dependent workbooks.
Why does Excel say the file is locked for editing?
The lock may be caused by another user, a crashed Excel session, a SharePoint check-out, an Excel version without co-authoring support, an unsupported storage location, or workbook features that interfere with co-authoring.
Is the old %appdata%\Microsoft\Teams cache path correct?
That path is for Classic Teams. Current New Teams on Windows uses the app reset option or the MSTeams_8wekyb3d8bbwe cache path under the user profile.
Can a large Excel file upload to Teams but fail to open?
Yes. Microsoft documents a 250 GB SharePoint per-file upload limit and a 100 MB Excel for the web viewing limit for SharePoint Online. Large workbooks should be opened in desktop Excel.
The Bottom Line
First open the workbook directly in SharePoint or OneDrive. If it works there, change Teams’ Files and links opening option, sign out, update Teams, test the web app, and reset the current Teams cache. If it fails outside Teams too, check the underlying permissions, OneDrive or SharePoint state, check-out, workbook format, protection, malware status, and file size. Only repair or reinstall Teams after those tests identify a client-side problem.
