If Microsoft Forms responses are not appearing in Excel, first open the form and select View responses > Open results in Excel. A downloaded copy is offline and will not sync. If the connected workbook is broken, locked, or cannot open in Excel for the web, use Sync all responses to a new workbook where available.
Submit a test response and note its timestamp before troubleshooting so you can check whether it reaches the workbook.
First, identify what is actually failing

1. Confirm that the workbook has a live Forms connection
A live-connected workbook is created when the form starts in one of these locations and you select Open results in Excel:
- OneDrive for work or school
- SharePoint Online
- Excel for the web
- Microsoft Teams
- The Microsoft Forms web part
From the form, open View responses. On the Responses Overview page, select Open results in Excel. A connected workbook is stored in OneDrive for work or school or SharePoint Online.

A form created directly in Microsoft Forms may instead produce an export without a live connection, depending on which Excel option you used. Refreshing an export will not create a connection that was never there.
2. Do not use “Download a copy” for ongoing updates
The Excel choices in Forms behave differently:
- Open results in Excel: opens the connected results workbook.
- Open in Excel Desktop: opens the results in the desktop application when available.
- Download a copy: creates an offline workbook with no relationship to the form.
To reopen the connected file, go to the form, select View responses, then choose Open results in Excel. Do not use a file created with Download a copy if you expect new submissions to appear.
Open in Excel Desktop is available to Current Channel Excel users running Version 2410, Build 16.0.18227.20000 or later. Check your installation under File > Account.
3. Reopen the connected workbook
For a live-connected workbook, new response data is reflected when you reopen it or select Open results in Excel again. An old downloaded export will not begin syncing simply by being refreshed.
- Open Microsoft Forms and select the form.
- Choose View responses.
- Select Open results in Excel.
- Wait for the workbook to load, then check the latest response row.
4. Create a new workbook with all responses
If the original connection is broken, generate a new workbook from Forms.

- Open the form in Microsoft Forms.
- Go to the Responses tab.
- Select More options (the three-dot menu).
- Choose Sync all responses to a new workbook.
- Open the new workbook stored beside the original file in OneDrive for work or school or SharePoint Online.
The replacement workbook contains the most up-to-date responses. This option is available to Office 365 Education and Microsoft 365 Apps for business users signed in with a work or school account.
5. Remove manually added tables and formulas
Manually adding an Excel table or formula to the response workbook can cause synchronization errors. Make a backup, remove manually added tables and formulas, and retry synchronization. If the error remains, use Responses > More options > Sync all responses to a new workbook.
The replacement workbook does not carry over manually added tables from the old workbook. Keep reporting formulas, PivotTables, charts, and other analysis in a separate workbook where possible.

Synchronization can fail if the workbook is locked or checked out. For files stored in OneDrive for work or school or SharePoint, verify that another user has not locked the file or checked it out.
- Check whether another user has the workbook locked or checked out.
- Restore access to the file, following your organization’s SharePoint process.
- Return to Forms and retry synchronization, or create a new workbook with Sync all responses to a new workbook.
7. Recover from a corrupt workbook
If Excel reports an error in the workbook, open it in the desktop version of Excel to attempt recovery. To obtain the complete current response set, use Responses > More options > Sync all responses to a new workbook. Microsoft identifies the new workbook as the recovery route when the original workbook is corrupt or its live connection cannot be restored.

8. Reduce the workbook size
If a workbook is too large for Excel for the web to open, Forms cannot synchronize data to it. Reduce the workbook size or use Sync all responses to a new workbook.
Large formulas, excessive formatting, shapes, and other workbook contents can cause Excel performance or opening problems. Keep heavy analysis in a separate workbook rather than turning the Forms response workbook into a large dashboard.

9. Check SharePoint permissions and governance settings
SharePoint settings can block synchronization or prevent a workbook from opening in Excel for the web.
Check content approval
Open the SharePoint library settings and inspect Require content approval for submitted items?. Microsoft identifies a value of Yes as a cause of Forms-to-Excel synchronization issues. Ask an administrator to review the setting if needed.
Check access and policy restrictions
The form owner or a user in the organization with edit permission to the workbook can trigger the data update in Excel. External users cannot trigger it. Confirm that the person updating the workbook can access both the form and workbook.

Also check whether Information Rights Management (IRM) or company policy prevents the workbook from opening in Excel for the web.
What if only the Forms response page is outdated?
The Forms page has a separate real-time connection from the Excel workbook. If the page has been idle, its response count, charts, or graphs may stop updating. Refresh the Forms page to restore current response details.
This does not repair a disconnected Excel workbook. Use the workbook troubleshooting steps above if the response appears in Forms but not in Excel.
Alternative: use Power Automate
Power Automate is another supported way to place updated form responses into a workbook. Microsoft describes it as an automated workflow for a form; the workbook can then be opened to see updated responses.
Quick recovery sequence
- Submit a test response.
- Open the form and select View responses > Open results in Excel.
- Confirm you did not choose Download a copy.
- Close and reopen the connected workbook.
- Remove manually added tables and formulas from the response workbook.
- Check whether the workbook is locked or checked out and restore access.
- Check SharePoint approval, access, IRM, and policy restrictions.
- Use Sync all responses to a new workbook if the file remains broken, corrupt, or too large.

Why is Microsoft Forms not updating my downloaded Excel file?
A downloaded copy is an offline workbook with no relationship to the form. Open the form, select View responses, and choose Open results in Excel to access the connected workbook. Can I add formulas to a Forms-linked Excel workbook?
Manually added formulas and tables can cause synchronization errors. Keep the Forms-managed response sheet unchanged and place calculations or reporting in a separate workbook where practical.
Does refreshing Excel fix a broken Forms connection?
No. Refreshing does not reconnect a downloaded export or repair a lost connection. Use Responses > More options > Sync all responses to a new workbook for a broken connection.
Who can trigger a Forms-to-Excel update?
