Microsoft Copilot can help you catch up on Outlook email, draft replies, improve a message, and—in supported experiences—manage inbox tasks. The best prompt names the task, gives relevant context, identifies what Copilot should use, and specifies the format or tone. Choose the Outlook feature that matches the job, then check the result before sending or acting on it.
Which Outlook Copilot feature should you use?

These are different workflows, and access to one does not guarantee access to all the others. Outlook features vary by client, account, mailbox, geography, and rollout.
How to write a useful Copilot prompt
Microsoft’s prompt guidance recommends starting with a clear goal. Add context, the information Copilot should use, and expectations such as length, format, or tone when they matter. A simple task may need only a goal; for a consequential email, be more specific.
- Goal: Summarize, draft, rewrite, prioritize, or create a rule.
- Context: Name the person, project, customer, or time period.
- Source: Say whether to use the current thread, selected text, or relevant emails.
- Expectations: Specify bullets, length, tone, or what to separate out.
A reusable pattern is: “[Action] the [email/thread or time period] about [person, project, or subject]. Use [specified source/context]. Return [format/length], with a [tone] tone. Separate confirmed facts from questions or assumptions.” Treat the final instruction as guidance for the response, not a guarantee that Copilot will distinguish everything correctly. If the first answer misses something, refine it with a follow-up.

Prompts to summarize and catch up on email
Summarize one email thread
Open the conversation and select Summary by Copilot or Summarize. You can also ask, where supported: “Summarize this email thread in five bullets. Separate decisions, open questions, and next actions, and identify who owns each action when the thread states it.”
The summary is displayed above the thread. Numbered citations may let you jump to the messages that support a point, which is useful when you need to confirm a decision or owner. For supported new Outlook flows, you can ask for a summary of an attached Word, PowerPoint, or PDF document as well.
Catch up on a project or customer
In Copilot Chat, try: “Summarize my emails from the last week related to [project or customer]. List urgent requests, decisions, and unanswered questions.” This asks Copilot to look across a defined time period and organize the result around work you may need to follow up on.

Prioritize unread messages
Where Chat has access to the relevant mailbox context, ask: “Which unread emails are most important? Summarize each and explain why it may need a response.” Importance is a judgment, so check the messages yourself before deciding what to defer or answer.

Microsoft gives “Flag all unread emails from my manager” as a Chat prompt example. Use a specific person or other unambiguous criterion if there is any chance the request could refer to more than one sender, and confirm any resulting action in Outlook.
Prompts to draft a reply or update
Write a reply with a clear ask
Choose Draft with Copilot in the compose experience, or use Chat when appropriate. For example: “Draft a concise reply to [person] acknowledging [request], explaining [decision], and asking [specific follow-up]. Keep the tone [warm/direct/formal].” Replace each bracket with details relevant to the conversation.

Copilot can generate a draft from your prompt and let you adjust its tone or length, change the prompt, or regenerate. Read and edit the message, then keep it before sending; generating a draft is not the same as approving it.
Prepare an escalation update
In Chat, try: “Draft an email update summarizing this week’s customer escalations. Group by issue, include only details supported by the email context, and end with the decisions or help needed.” The instruction to use only supported details can help focus the answer, but it does not verify the result for you.

Get coaching on tone and clarity
Use Coaching by Copilot to review a composed message for tone, clarity, and reader sentiment. You can apply suggestions or retain control and edit the message manually. On mobile, Microsoft says a draft needs at least 100 characters for coaching to become available.

Rewrite selected text
Select the passage you want to change and ask: “Make this paragraph more concise and neutral while preserving the facts.” Review the rewrite against the original, especially if the text includes dates, conditions, commitments, or technical details.

Chat can be useful when the task spans several emails or related work context rather than one open thread. Microsoft examples include summarizing project email, drafting an escalation update, flagging unread messages, and asking which unread messages matter most. Which sources Chat can access depends on the account and license; broader organizational data access is not universal.
Where natural-language rule management is available, you can ask Copilot to create or manage an Outlook rule. State the condition and intended action plainly, then inspect the rule’s settings and behavior before relying on it. Do not assume that a rule was created or will handle every edge case exactly as intended.

Availability and limitations to check
- Mailbox and service: Microsoft’s Outlook FAQ describes many Copilot scenarios as limited to the primary mailbox and says they require Exchange Online; it also lists archive, group, shared, and delegate mailboxes as unsupported in those scenarios. A separate, newer support article describes Copilot Chat summarizing and drafting for shared and delegated mailboxes, while direct triage actions are not supported there at present. These statements cover different feature areas, so check the behavior for the specific Outlook feature and account you use.
- Protected messages: Microsoft says Copilot cannot access S/MIME or Double Key Encryption emails.
- Outlook client and compose format: Draft with Copilot in New Outlook and Outlook on the web does not support plain-text composed messages; Microsoft’s instructions say to select HTML in Mail settings. The thread-summary feature is unsupported in legacy Outlook for Mac; Microsoft says the latest Mac version is required.
- License and account: Access to inbox, calendar, meetings, chats, or enterprise data through Chat depends on account and add-on license status. If an expected feature is missing, availability may depend on your organization’s setup or rollout; your IT administrator may be able to clarify access.
- Preview inbox management: Microsoft describes a Frontier inbox-management default experience as a preview requiring Frontier access. Its availability may change, bulk automation may be incomplete, and the described experience is not currently available to users in the EU. Do not treat preview actions as a standard Outlook capability.
Verify Copilot’s output before you rely on it
Microsoft warns that Copilot responses can contain incorrect content. Before sending a draft or acting on a summary, check names, dates, facts, commitments, action owners, and tone against the original messages. For a high-impact reply, open the cited or relevant emails and confirm the details rather than relying on a summary alone.
