SharePoint version history is for viewing and restoring earlier versions of an individual file or item. Microsoft 365 Backup adds policy-based recovery points for protected SharePoint sites, from which you can restore a whole site or selected files and folders. They overlap, but serve different recovery needs: version history is a natural first stop for undoing a file change; Backup provides a separate recovery path with a configurable window and restore-point schedule.

What SharePoint version history can recover

Version history lets a user inspect earlier states of a file or item and restore one as the current version. For Office documents, it can also support comparing versions. That makes it useful for recovering from an unwanted change to a particular file without restoring a site or using a backup workflow. Microsoft: About version history

Version history is controlled by limits and retention

Having version history enabled does not mean every version is kept forever. Limits and expiration can be set at the organization, site, library, or OneDrive account level, and retention or eDiscovery holds affect the retention of covered versions. Administrators should check the effective settings for the relevant location rather than assume a file has a particular number of recoverable versions. Automatic version storage is not a promise to keep every edit

Microsoft’s version-storage planning guidance describes Automatic mode as retaining versions within a 500-version maximum, with a changing cadence: all versions within the limit during the first 30 days, hourly versions from days 30–60, daily versions from days 60–180, and weekly versions beyond 180 days, subject to the maximum count. This is a storage pattern, not a guarantee that every edit remains available: the cap and configured settings still apply. Manual count and expiration settings behave differently. Expired versions may not be recoverable from the recycle bin

Versions deleted manually may go to the site collection recycle bin. Versions removed through automatic trimming or time limits can instead be tagged for permanent deletion; once purged, they are not recoverable from that recycle bin. What Microsoft 365 Backup adds for SharePoint

Microsoft 365 Backup is a separately configured service that protects SharePoint at the site level through backup policies. From its restore points, it supports both full-site recovery and granular file or folder recovery. Site-level protection describes what is covered by the policy; it does not mean every restore must replace the whole site. Choose a recovery window

The available configurable recovery windows are 3 months, 6 months, 1 year, and 2 years. Microsoft’s overview says existing policies and artifacts default to one year. Check the current policy and the specific content’s recovery requirements; a configured window is not a claim that every possible version or restore point exists at every moment in that window. Restore-point frequency depends on the restore operation

Do not apply the full-site ten-minute cadence to a granular file or folder restore. Before relying on a particular recovery time, verify the policy, the desired restore operation, and the points available for that content.

Which option should you use?

  • One file or item needs an earlier state: Start with its version history if the version you need is still available.
  • Selected files or folders need recovery from a backup point: Use Microsoft 365 Backup for a protected site and select an available granular restore point.
  • A site needs recovery: Microsoft 365 Backup supports full-site restore from a site restore point.
  • The required recovery date is far back: Check the actual version limits and retention settings for version history, or the configured Backup window and restore-point cadence for the needed operation.

The choice is not necessarily either-or. Version history is a file-level recovery feature; Backup is a separately administered operational recovery capability. Backup should not be treated as a replacement for a retention policy or compliance archive, and neither mechanism should be assumed to preserve every historical edit indefinitely.

Version history requires administrators to plan and manage version limits, expiration, and applicable retention settings. Microsoft 365 Backup requires policies and incurs a separate consumption-based charge. Microsoft’s listed price is $0.15 per GB per month of protected content, with billing based on live protected data and specified deleted or versioned content retained for recovery.
