To create an invoice in mHelpDesk on the web, open Invoices in the left navigation, select Add Invoice, choose or add the customer, and click Next. You can also create one from a lead, estimate, or job; billable items then transfer to the new invoice. Add or edit the line items, customer-facing message, private notes, logo, and terms, preview the PDF, and select Email to send it. When the customer pays, open the invoice, choose Get Paid, and select one of the available payment options.
This guide covers the web workflow, shortcuts for turning existing work into invoices, recurring and combined invoices, mobile use, numbering, permissions, and QuickBooks export.
What is an mHelpDesk invoice, and when should you create one?
In mHelpDesk, an invoice is the list of products and services that must be billed for a job. It is the customer-facing billing document, while payment collection is a later action available from the invoice. The platform’s 2026 lesson places invoice creation after the work is complete: Once a job is completed, you’ll probably be ready to create and send out your invoice.

Use the path that already contains the information you need, then check the resulting line items before sending.

Prepare these details first
- The correct existing customer, or the information needed to add a new customer.
- The products, services, quantities, and prices to bill.
- Any customer-facing instructions or payment context for the Customer Message field.
- Internal follow-up information for Private Notes; customers should not use this field for instructions they need to see.
- Your preferred invoice template, customer terms, and numbering settings if your account has not been configured yet.
Having these details ready reduces the chance of sending an incomplete PDF or creating a second invoice to correct a missing item.
How do I create an invoice directly in mHelpDesk on the web?
The direct workflow starts with the invoice list and is useful when you are not copying a particular lead, estimate, or job.
- Open Invoices. In the left navigation, select Invoices. This opens the invoice list.
- Start a new invoice. Click Add Invoice at the top left of the list.
- Choose the customer. In the field labeled Enter a new or existing name, begin typing. Select the matching existing customer, or use the drop-down to add a customer or select one.
- Continue. Click Next. mHelpDesk creates the invoice workspace for that customer, where you can enter the billable details and prepare the document for delivery.
Take a moment to confirm the customer before adding charges. Selecting a similarly named record can send a valid invoice to the wrong recipient, and changing the customer later may require rebuilding customer-specific details.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsHow do I turn a lead, estimate, or job into an invoice?
Copying existing work is faster than starting from the invoice list because mHelpDesk carries billable items into the new invoice. The 2026 help article documents these shortcuts.
From a lead
Open the lead and click Copy to Invoice. The new invoice is associated with the lead’s customer information. Review every transferred item before sending, especially if the lead contains preliminary pricing.
From an estimate created from a lead
Open the estimate and choose More > Copy to Invoice. This route is specifically documented for estimates that originated from a lead.
From another estimate
Open the estimate and click + Add Invoice. This creates an invoice from the estimate without requiring the lead view.
From a job
Open the job and click + Add Invoice. This is the natural route after completing field work or another billable job.

Which estimate or job items transfer?
Only items marked billable transfer when an estimate or job is copied. If a charge is missing, return to the source record, check its billable setting, and create or refresh the invoice from that record. Do not assume that every line visible on an estimate will be charged.
What can I add or edit on an mHelpDesk invoice?
After the customer and invoice shell are created, use the invoice editor to make the document accurate and understandable to the recipient. The official tutorial describes line-item editing, inventory, customer messages, private notes, logos, and terms.
Line items and inventory
Select Add Item to add a product or service. You can edit the line items already present, and inventory can populate the item list when the charge corresponds to an inventory entry. The tutorial’s wording is: You can always add to this list by tapping ‘Add Item.’
On the web, the control is presented in the invoice editor; the tutorial uses “tapping” because its examples include touch-oriented screens.
Check descriptions, quantities, and amounts before previewing. A copied estimate or job may include only billable lines, but the customer still needs a clear description of what each line represents.
Customer Message
Put text the customer should read in Customer Message. Examples include a short explanation of the completed work, a scheduling note for a follow-up visit, or instructions that accompany the bill. Keep this separate from accounting or staff-only comments.
Private Notes
Use Private Notes for internal communication. This is the place for staff handoff details or reminders that should not appear in the customer’s invoice communication.
Logo and terms
The official tutorial says an invoice can be personalized with a logo and terms and conditions. For reusable wording, define customer terms under Settings > Customer Terms and insert those terms into an invoice template. If you need a different layout or recurring wording, edit the template rather than rewriting every invoice.

How do I preview, email, and mark an invoice as paid?

- Send the invoice. Choose Email to send the PDF to the customer. Confirm that the recipient is the intended customer and that the message is appropriate for external viewing.
- Record payment. When payment arrives, select Get Paid and choose one of the payment options listed in your account.
The 2017 mHelpDesk tutorial, last modified in 2018, documents these controls. Interface wording can change, but the documented sequence remains the reference: View PDF for review, Email for delivery, and Get Paid for payment processing.
How do invoice templates, customer terms, and numbering work?
These settings control the consistency of invoices created by different staff members. Configure them before a busy billing cycle so new invoices inherit the intended presentation and numbering.
| Need | mHelpDesk path | What it controls |
|---|---|---|
| Invoice layout and printed or emailed content | Settings > Templates | Invoice templates control what appears on printed invoices and invoice emails. |
| Reusable customer terms | Settings > Customer Terms | Terms can be defined once and inserted into invoice templates. |
| Invoice sequence | Settings > Numbering | Set the starting number and add a prefix or suffix. |
Numbering is especially important when moving from another accounting workflow. If your next mHelpDesk invoice must continue a sequence from QuickBooks, set the last invoice number and any prefix or suffix in Settings > Numbering before creating additional invoices. Verify the next generated number with a draft or an internal check before sending a customer document.

Can I make an invoice recurring or combine invoices?
Yes. mHelpDesk documents both recurring invoices and invoice consolidation, but the entry point depends on the screen and version you are using.
Recurring invoices
The manual’s setup path is Transactions > Recurring Invoices > Add Recurring Invoice. The glossary also describes a shorter route: open an invoice and choose Make Recurring at the bottom. If both controls are available, use the invoice-level option when you already have a correctly configured invoice; use the Transactions path when you are setting up recurring billing from the start.
Review the customer, line items, terms, and numbering behavior of the recurring invoice before enabling it. A recurring setup should represent a repeatable charge; one-time labor, travel, or materials should remain on a regular invoice unless they genuinely recur.
Combining invoices
From the Invoices screen, use Combine Invoices to consolidate invoices when a customer should receive one combined billing document. Check the selected invoices and the resulting line-item detail before emailing the combined PDF. Combining is different from copying a job or estimate: it joins existing invoices rather than generating a new one from a source record.
How do I create or manage invoices in the mHelpDesk mobile app?
The official App Store listing says the mHelpDesk app can view professional invoices, email them, and take payment from a phone. It also says the app can work offline and synchronize when a connection returns.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
Use the mobile app when you need to inspect an invoice, send it from the field, or collect payment away from a desk. Exact mobile labels are version-sensitive, so confirm the current control names in the installed app rather than assuming that every web label appears unchanged. Before relying on offline work, allow the app to synchronize after connectivity returns and verify that the invoice or payment appears in the account.
Why can’t I see invoices or payments in mHelpDesk?
Invoice and payment visibility is controlled by staff permissions. An administrator can allow or restrict access to the Invoice/Payment tab and to financial transactions; administrators have access to invoice tabs and financial transactions.
If a staff member can open jobs but cannot open invoices or record payment, ask an administrator to review those two permission areas. Permission changes should be made for the person’s role, not by sharing another employee’s login, so the account retains an attributable record of billing activity.
How do I continue numbering from QuickBooks and export mHelpDesk invoices?
Set the numbering sequence first, then use the documented QuickBooks export view. mHelpDesk’s manual requires the QuickBooks import to be completed before exporting invoices.
- Open Settings > Numbering and configure the last invoice number plus any required prefix or suffix so the sequence continues correctly.
- Complete the QuickBooks import process before attempting an invoice export.
- Open Transactions > Invoices > QuickBooks View.
- Select the invoices to export.
- Choose Sent To QuickBooks.
Use the export view after reviewing invoice accuracy and numbering. The integration is intended for users who need their mHelpDesk invoices represented in QuickBooks; it does not replace the customer-facing PDF email step.
Which mHelpDesk invoice path should I choose?
Choose the path that matches where your billing information already exists. The following comparison keeps the practical differences visible.
| Situation | Best path | What transfers or happens |
|---|---|---|
| No existing lead, estimate, or job to reuse | Invoices > Add Invoice | Select or add the customer, then build the invoice manually. |
| A lead already contains the customer and planned work | Open the lead > Copy to Invoice | Creates an invoice from the lead record. |
| An estimate created from a lead is approved for billing | Estimate > More > Copy to Invoice | Creates an invoice from that lead-based estimate. |
| Another estimate should become billable | Estimate > + Add Invoice | Creates an invoice from the estimate; only billable items transfer. |
| A job is ready for billing | Job > + Add Invoice | Creates an invoice from the job; only billable items transfer. |
| Several existing invoices should be presented together | Invoices > Combine Invoices | Consolidates selected invoices into one combined billing document. |
| The same charge repeats on a schedule | Transactions > Recurring Invoices > Add Recurring Invoice, or an invoice’s Make Recurring control | Creates a recurring invoice setup. |
| You are away from the office | mHelpDesk mobile app | View or email invoices and take payment from a phone; offline work synchronizes when a connection returns. |
What should I check before sending an mHelpDesk invoice?
A short quality check prevents most avoidable corrections. Complete it immediately before selecting Email.

How do I fix common invoice problems?
| Symptom | Likely cause | Action |
|---|---|---|
| The invoice is missing a line from an estimate or job. | The source item was not marked billable. | Check the source record’s billable setting, then create the invoice again from the lead, estimate, or job. |
| A staff member cannot open invoices or record payment. | Invoice/payment or financial-transaction permissions are restricted. | Have an administrator review the staff permissions for the Invoice/Payment tab and financial transactions. |
| The sequence does not match a previous QuickBooks number. | The starting number or prefix/suffix was not configured. | Update Settings > Numbering with the last invoice number and required prefix or suffix before creating more invoices. |
| The PDF does not look right. | The selected template, terms, logo, or line items need adjustment. | Update the invoice or the settings under Templates or Customer Terms, then select View PDF again. |
| A mobile change is not visible on the web account. | The app has not synchronized after offline work. | Reconnect the phone, allow synchronization to complete, and verify the invoice or payment in the account. |
| A customer received the wrong content. | Internal comments were entered in the customer message, or the wrong customer was selected. | Use Private Notes for internal communication, verify the customer field, preview the PDF, and send the corrected document. |

Can I use the same invoice wording for every customer?
Yes, reusable customer terms can be defined under Settings > Customer Terms and inserted into invoice templates. This keeps standard conditions consistent while still allowing an individual invoice’s customer message to be tailored.
Why might the mobile app show different button names?
The App Store description confirms mobile invoice viewing, email, payment collection, and offline synchronization, but it does not guarantee that mobile labels match the web interface. Treat the installed app’s current labels as authoritative and verify synchronization after reconnecting.
What must happen before sending invoices to QuickBooks?
The mHelpDesk manual requires the QuickBooks import to be completed first. After that, use Transactions > Invoices > QuickBooks View, select the invoices, and choose Sent To QuickBooks.
