Choose local AI when keeping audio and transcripts on your device is the priority and your computer or phone can run the model; choose cloud transcription when you need streaming, scalable processing, or a provider’s specialized features. Neither approach is automatically more accurate, and “local” is not a guarantee that every feature stays on-device. For subtitles, test both options on representative audio, check the provider or app’s data handling, and review the resulting words and timestamps against the recording.

What is the difference between subtitle correction and transcription?

Transcription converts speech in an audio recording into text. Subtitle correction is the work of checking and improving that text for use on screen: correcting words, aligning timestamps, adjusting line breaks, and confirming punctuation and speaker labels. Some tools combine these steps, but generating a transcript does not by itself guarantee a finished, readable subtitle track.

Local and cloud describe where speech recognition runs, not how polished its output will be. A local model processes audio on the device after its model files are installed; a cloud service sends audio to a provider for processing. Either can produce mistakes that need human review. If the tool offers a separate AI cleanup feature, check its data path too: Microsoft’s VS Code documentation, for example, distinguishes local desktop dictation from optional transcript-text processing by a Copilot model.

It helps to treat the job as a pipeline. First, recognition proposes words and approximate timing. Second, an editor corrects what was actually said. Third, the subtitle track is formatted for reading speed, line length, and the destination player. A local or cloud choice affects the first stage most directly, but the last two stages determine whether viewers receive accurate captions.

Is local AI more private than cloud transcription?

It can be, when the exact feature runs on-device and does not upload audio or transcript text. Cloud processing necessarily sends audio to a provider, so privacy depends on that provider’s logging, retention, improvement-use, and processing-location terms. Check the settings and policy for the feature you intend to use, not just the product’s “local” or “AI” label.

What the documented data paths say

Option Documented data handling What to keep in mind
LocalWhisper default mode LocalWhisper says its default on-device mode keeps recordings and transcripts on the iPhone. Its optional cloud mode sends selected audio to its backend and then OpenAI. The data path therefore changes by feature and mode.
VS Code desktop dictation Microsoft says the desktop client uses an on-device model after download. The model must be downloaded first. Optional LLM cleanup sends transcript text separately to a Copilot model.
VS Code web dictation Microsoft says the web client streams microphone audio to a cloud transcription service. Do not assume the web and desktop clients have the same data path.
Google Cloud Speech-to-Text Google says that, unless a customer joins its data-logging opt-in program, it does not use content for any purpose except providing the Cloud Speech-to-Text API service. Google documents different handling by request type: synchronous and streaming requests are processed in memory; asynchronous results are retained for approximately five days so users can retrieve them. Google says it does not store input audio for that asynchronous feature.
Amazon Transcribe AWS says Amazon Transcribe may store and use voice inputs to provide and maintain the service and to improve and develop Amazon machine-learning and AI technologies. This is materially different from Google’s stated non-opt-in wording. Review AWS’s applicable terms and controls before sending sensitive recordings.

Google says its processing is global by default. EU or US multi-region endpoints are available, but Google does not support selecting a single region for this service. If a contract, customer, or law requires processing in one specific country or region, confirm that the available endpoint satisfies the requirement before uploading audio.

Retention and model-improvement language are only part of the decision. A transcript can contain personal information, confidential discussions, or identifying details even after the original audio is deleted. Consider who can access the files, where they are stored after export, and whether the transcript itself must be retained. For especially sensitive material, the simplest risk reduction may be not to upload it at all.

A practical privacy checklist

  1. Identify the exact mode. Write down whether you are using a downloaded desktop model, a phone’s on-device mode, a web client, an API, or an optional cleanup feature. One product can contain several different data paths.
  2. Trace every handoff. Ask whether audio, interim results, final text, timestamps, error logs, or analytics leave the device. A workflow that keeps audio local can still send the transcript to a separate language model.
  3. Read retention and improvement terms. Look for logging opt-ins, stated retention periods, training or product-improvement use, and deletion controls. Google’s documented approximately five-day retention applies to asynchronous results, while synchronous and streaming requests are processed in memory; those details should not be generalized to another service.
  4. Check the processing location. Global processing, an EU or US multi-region endpoint, and a single-country requirement are different things. Confirm that the available endpoint fits your contractual or legal obligation.
  5. Secure exported files. Subtitle files and corrected transcripts may include names, addresses, or business information. Restrict sharing, use appropriate storage permissions, and delete temporary copies when your retention policy allows.

Which approach is more accurate for subtitles?

There is no established universal accuracy winner between local and cloud transcription. Results depend on the language, accent, recording quality, background noise, overlapping speakers, vocabulary, model, and the subtitle timing requirements. No directly comparable benchmark establishes a word-error-rate advantage for a named local model over a named cloud model on the same subtitle dataset and conditions.

Cloud features can help with specialized material: Google documents model adaptation that biases recognition toward frequently used phrases, including names and jargon, and lists subtitle generation as a supported solution. That is a capability, not proof that a cloud model will outperform a local one on your recording. Test the actual audio and workflow you intend to use.

Local models may be attractive when a project has unusual privacy constraints or must run without a network, but the feasible model size and processing speed depend on the phone or computer. A larger model may take longer or require hardware the editor does not have; a smaller model may finish sooner but need more corrections. Unless a tool publishes specific hardware and quality figures for your language and conditions, treat performance as something to measure rather than promise.

How to run a useful same-clip test

  1. Choose a representative sample. Use a short section that reflects the full project: include ordinary speech as well as any difficult accents, noise, overlapping voices, names, or technical terms. Avoid testing only a clean introduction if the rest of the recording is harder.
  2. Use the same audio and language settings. Give each option the same source clip and select the correct language where the tool asks. If a cloud tool supports phrase adaptation, enter the names or jargon you actually expect to hear and record that setting; do not compare it with an unconfigured local run as though the conditions were identical.
  3. Keep preprocessing consistent. Do not clean, trim, or change channels for one option only. Note whether the clip is mono or stereo, whether music is present, and where speakers overlap, because those conditions affect the result.
  4. Compare errors that matter. Check proper nouns, technical vocabulary, missed or invented words, speaker changes, and difficult passages against the audio. A transcript that reads smoothly can still misrepresent a name or reverse the meaning of a sentence.
  5. Inspect subtitle structure separately. Compare timestamp alignment, line breaks, punctuation, and speaker labels. A tool may recognize the words well but still require substantial editing to make captions readable and synchronized.
  6. Measure review effort. Record how many lines require correction and how long an editor spends fixing them. Include time spent downloading models, uploading files, waiting for a queue, and exporting the result; the fastest recognition output is not necessarily the fastest finished subtitle.
  7. Repeat on more than one clip before deciding. One clip can reveal obvious mismatches, but it may not represent the full range of accents, noise, or vocabulary in a project. Keep a short list of recurring errors so you can judge which option creates less review work.

Confidence scores, when available, can help direct attention to uncertain passages. Treat them as review aids, not proof that a line is correct; a confidently wrong proper noun still needs to be corrected by listening. Likewise, a low-confidence score can flag a harmless hesitation, so an editor should listen rather than blindly replace every marked word.

How much does local or cloud subtitle transcription cost?

Cloud services make usage cost relatively easy to estimate, but the exact bill depends on the service, recognition mode, and monthly volume. Google Cloud Speech-to-Text V2’s standard recognition pricing page lists $0.016 per minute for the first 500,000 minutes per month, with lower rates at larger monthly tiers. The examples below are arithmetic at that first listed rate, not a claim that every project or account is charged only that amount.

Audio processed in a month Illustrative charge at $0.016/minute
10 minutes $0.16
60 minutes $0.96
1,000 minutes $16.00
2,000 minutes $32.00
10,000 minutes $160.00

These calculations use the cited first-tier rate and do not account for other charges, any applicable taxes, or lower rates at larger tiers. Check the current pricing for the specific service and usage before budgeting; Google’s figure is from its 2026 pricing page. Confirm whether the provider bills each channel separately, rounds durations, or prices enhanced models differently before treating an estimate as an invoice.

Local processing avoids a per-minute API bill, but it is not cost-free. It requires compatible hardware, space for downloaded models and working files, updates, electricity, and time for human review. The actual local cost depends on the device and workload; there is no authoritative universal dollar figure for it. A computer already on hand may make local processing economical, while buying hardware solely for transcription changes the calculation.

Include setup in a local estimate: model downloads can consume storage and bandwidth, updates take maintenance time, and a slow device can keep an editor waiting. For a phone, battery use and available free storage can affect whether a long batch is practical. These are operating considerations rather than a fixed surcharge, so record them for your own workload instead of assuming that “free” software has zero cost.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a fair comparison, include the cost of the whole workflow rather than just recognition. If one option requires more listening and correction, that labor matters even if its software charge is lower. Conversely, a predictable cloud usage charge may be worthwhile when it saves time or supports a workflow the local tool cannot provide.

Can you fix subtitles offline?

Yes, if the chosen tool runs its recognition model on your device and the model has already been installed. Local tools can work without an internet connection after setup, but processing speed and feasible model size depend on the particular computer or phone. Do not assume every feature in an app works offline: an optional cloud transcription or cleanup mode still needs a connection.

Before disconnecting, complete the steps that require access: download the model, install the application, verify the language package, and run a short test. Keep the source audio and temporary transcript in local storage, and check that exporting the final subtitle file does not invoke an online service. If a tool queues work while offline, read its documentation to learn whether queued audio is uploaded automatically when connectivity returns.

Cloud recognition is useful when the job depends on a provider’s service, including real-time streaming or processing beyond what the local device can comfortably handle. Google documents three recognition modes: synchronous requests for audio of one minute or less, asynchronous requests for audio up to 480 minutes, and streaming recognition that returns interim results in real time. Those limits describe Google Cloud Speech-to-Text modes, not a general limit for every cloud or local tool.

Which requirements should you compare?

Decision axis Questions to answer
Data path and retention Does inference stay on-device? Is audio, text, or telemetry uploaded? How long are results retained, where are they processed, and can improvement use be disabled?
Accuracy on your material How does each option handle your language, accent, noise, overlapping speakers, names, and jargon? Is phrase adaptation available? What does the same-clip test show?
Turnaround and scale Can the device finish a batch in the required time? Do you need streaming interim results, long asynchronous jobs, concurrency, or queue capacity?
Cost What is the per-minute cloud rate and volume tier? What local hardware, storage, electricity, updates, and review labor are required?
Subtitle workflow Are timestamps useful, punctuation acceptable, speaker labels available, line segmentation readable, and exports compatible with the final editor or player?

Write these requirements down before testing. A privacy requirement can rule out a service regardless of a small accuracy advantage; a live captioning requirement can rule out a batch-only local process. Separating must-haves from preferences prevents a low price or attractive demo from deciding the whole workflow.

How should you choose between local and cloud processing?

Start with the constraint that would make the other option unacceptable. If the recording must stay on a device, choose a documented on-device feature and avoid any optional cloud step. If you need streaming, larger-scale processing, or a cloud-specific capability, assess the provider’s data terms and test recognition quality before committing.

Choose local when

  • Keeping audio and transcripts on the device is a firm requirement, and the selected mode documents on-device inference.
  • You need to work without a network connection after installing the model.
  • Your device can handle the model and turnaround time you need.
  • You can accommodate model downloads, updates, local storage, and manual review.
  • Your workload is occasional enough that buying or maintaining hardware is preferable to sending recordings to a provider.

Choose cloud when

  • You need streaming interim results or a documented cloud workflow, such as Google’s asynchronous mode for audio up to 480 minutes.
  • You want a feature such as Google’s documented phrase adaptation for names and jargon, and a test on your material supports using it.
  • You can send the recording to the provider under its applicable privacy, retention, and processing terms.
  • A per-minute usage charge is acceptable for the time or scale the service provides.
  • You need a service that can process many files while local hardware would become a bottleneck.

Use a mixed workflow only with a clear data boundary

A mixed setup can make sense when recognition and cleanup have different needs—for example, on-device transcription followed by cloud-based text cleanup. But sending only the transcript instead of the audio does not mean no sensitive data leaves the device. Confirm what is transmitted at each stage, and do not enable a cloud step if the project’s privacy requirement is that both audio and transcript remain local.

What should you check before exporting subtitles?

Regardless of where recognition ran, verify the subtitle file as a separate deliverable. Correct text is not enough if captions appear too early, too late, or in hard-to-read blocks.

  • Words and meaning: replay names, numbers, technical terms, negations, and passages where a mistaken word would change the meaning.
  • Timing: check that each caption appears with the speech and does not linger into an unrelated line. Pay special attention to pauses and rapid exchanges.
  • Line breaks: split captions at natural phrase boundaries rather than in the middle of a name or clause.
  • Speaker labels: verify that labels match the person speaking, particularly where voices overlap or change quickly.
  • Punctuation: ensure punctuation reflects the sentence and does not create a misleading pause or fragment.
  • Consistency: use the same spelling for names, product terms, abbreviations, and recurring phrases throughout the file.
  • Export: confirm the destination editor or player accepts the format and preserves timestamps. The recognition service’s output options may not match the requirements of your final publishing workflow.

Open the exported file in the actual player or editor, not only in the transcription interface. Scrub through the beginning, middle, end, speaker changes, and the most difficult passages. This catches timestamp shifts, missing captions, encoding problems, and line-break changes introduced during export.

The practical decision is therefore not “Which architecture is best?” but “Which documented data path, recognition result, and editing workflow work for this recording?” Local is the stronger fit for a strict on-device requirement; cloud is a practical fit for documented streaming, scale, or provider features when its data policy is acceptable. In either case, listen through the subtitles before publishing.

Frequently Asked Questions

Does turning off Wi-Fi prove a transcription app is private?

No. A feature may stop working offline, or an app may queue data for later upload. Test the exact mode and check its stated behavior rather than treating a failed connection as proof that no data is stored or sent.

Can a transcript still be sensitive if I delete the audio?

Yes. Names, addresses, business details, and other identifying information can remain in the text. Apply the same access and retention care to exported transcripts as you would to the original recording.

Can I use local transcription on a phone?

Some phone apps document on-device processing; LocalWhisper says its default mode keeps recordings and transcripts on the iPhone. That does not establish that every phone, app, or optional feature uses the same approach.

Does a subtitle transcription tool guarantee the format my video editor needs?

Not necessarily. Check the tool’s export options and test a file in the intended editor or player, since subtitle formats and timestamp handling can differ.

Is cloud transcription always less private than local AI?

Cloud processing sends audio to a provider, so it introduces a third-party data path. The practical privacy difference depends on that provider’s retention, logging, improvement-use, deletion, and processing-location terms. A documented on-device mode avoids that upload for the feature that truly runs locally.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can phrase adaptation guarantee that names will be correct?

No. Adaptation biases recognition toward supplied names or jargon, but it is not proof of correctness. Listen to those words in the resulting subtitles and compare the same configured clip with other options.

What happens to Google asynchronous audio?

Google documents asynchronous recognition for audio up to 480 minutes and says results are retained for approximately five days so they can be retrieved. Google also says input audio is not stored for that asynchronous feature; verify the current service terms and distinguish this mode from other request types.

Which is cheaper for a small project?

At Google Cloud Speech-to-Text V2’s published first-tier rate, 60 minutes is an illustrative $0.96 before other charges or taxes. Local processing has no per-minute API bill but still uses hardware, storage, electricity, model maintenance, and review time. Compare the complete workflow for your device and project rather than assuming either option is always cheaper.

Can I mix local transcription with cloud cleanup?

Yes, if the privacy boundary permits sending transcript text to a cloud model. Confirm exactly what leaves the device and remember that a transcript can contain sensitive information even when the audio stays local.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I know whether a local model is fast enough?

Run a representative clip on the intended computer or phone and record elapsed processing time, memory or storage constraints, and correction effort. Speed and feasible model size vary by device, so a generic claim does not replace a project-specific test.

The Bottom Line

Local AI is the privacy-first choice when on-device inference is documented and offline work is practical. Cloud transcription is useful for streaming, scale, and provider features, but its privacy and cost depend on the service. Test representative clips, budget the complete workflow, and human-review every subtitle track.
