Before leaving a job, move only personal files you are entitled to keep, update the recovery details on your personal accounts, and make sure you can sign in without a work device or work email. Start before your last day: exports can take time, and your employer may disable access as soon as your employment ends. Do not copy customer data, internal documents, work email, or other employer records unless you have clear authorization.
What should I do before my work email is shut off?
Use the time while you still have access to separate what is yours, export permitted personal data, and replace work-linked sign-in and recovery methods. Treat the work email account itself as employer-controlled, even if you used it to sign up for personal services.
- Make an ownership list. Write down the personal accounts and files you are entitled to retain, then separately list employer records and anything subject to confidentiality or other restrictions. If ownership is unclear, ask HR or IT in writing and wait for a clear answer before copying or exporting the item.
- Identify work dependencies on personal accounts. Check which personal services use your work email address or work phone for sign-in, password resets, multifactor authentication (MFA), billing notices, or security alerts. Include subscriptions, cloud storage, financial services, and any account you would need to recover later.
- Start permitted exports early. Export eligible personal data while the relevant account still works. Large exports may take time, and work-account access or export options can be restricted by an administrator. Do not treat the ability to download something as permission to keep it.
- Prepare a personal backup and recovery path. Choose storage you control, update account recovery details, and set up supported authentication methods before returning devices. Keep the backup and recovery information accessible without the company computer, phone, email, or network.
- Clean up personal traces only as policy allows. Remove personal sign-ins, saved passwords, profiles, and sync connections from a returned device only if company policy permits. Do not delete company records, disable management controls, or bypass restrictions.
- Verify after departure. From a personal device, test sign-in and recovery for your personal accounts, check that permitted files open, and end sessions or revoke app access tied to the old work environment.
Make a short record of what you exported and where you stored it. This helps you distinguish a permitted personal copy from work material later, without keeping an extra copy of employer data.

Keep only files that are personal and that you are entitled to retain. A file being accessible from your account, stored in a shared folder, or created on your work computer does not by itself establish that it is yours to take.

Separate personal material from employer records
Personal photos, personal documents, and other private records may be appropriate to retain, subject to your employer’s rules and any applicable agreement. Customer information, internal documents, work email, business records, and material covered by confidentiality obligations should stay with the employer unless an authorized person explicitly approves a specific transfer.
When a folder contains a mixture of personal and work items, do not export the whole folder and sort it later on your own. Ask HR or IT how to separate the items safely. If ownership, confidentiality, or permission is uncertain, get the answer in writing before moving anything.
Keep the work account distinct from personal accounts
A personal file stored in a work-managed account may be subject to organizational access controls, retention rules, or export limits. Conversely, a work file does not become personal because it was sent to a personal address or saved in a personal cloud account. Use ownership and authorization—not the storage location—to decide what to retain.
How do I export personal files before access ends?
Use the export or download option provided by the service, and begin early enough to retrieve and verify the result. Google Account Help says, “You can export and download your data for the Google products you use.” The available products and export options may depend on the account and its settings; an organization may restrict work-account access or exports.

- Choose the account and content carefully. Confirm whether you are working in a personal account or an employer-managed account. Select only personal material you are authorized to keep; do not include work email, customer data, internal documents, or other employer-owned records.
- Request the export while you still have access. Google Takeout can export data from Google products, including email, documents, calendar, photos, and account activity. That list describes product categories, not permission to take company material. For a work-managed account, follow employer policy and ask IT if you are unsure which data may be exported.
- Download to storage you control. Save the resulting archive to a personal device or storage location, not solely to the computer or account that will be returned or disabled. If the export is large, allow time to complete the request and download it before access ends.
- Open and check the files from a personal device. Confirm the archive opens and that the personal items you expected are present and readable. Do this before your final day if possible, so you have time to resolve an incomplete export or request clarification.
- Keep a second copy of important personal records. A separate backup reduces dependence on one device or account. Keep it under your personal control and do not place employer data in it.
An export is not the same as a backup you have verified: the download can be incomplete, inaccessible, or saved only where you will lose access. Check the files themselves rather than assuming a completed export request is enough.
Where should I store permitted personal files?
Use storage you control independently of your employer, and keep important files in a second location as well. The right choice depends on your need for access, physical portability, and ability to recover the data.
| Option | Ownership and control | Portability and access | Protection and recovery | Key consideration |
|---|---|---|---|---|
| Personal cloud account | Use an account controlled by you, not a work-managed account. | Accessible through the service on supported devices; access depends on the account remaining recoverable. | Recovery depends on your personal sign-in and recovery methods. Keep a separate copy of important files. | Do not upload employer records or assume a file is yours merely because it is in your personal cloud. |
| Encrypted external SSD | A personally owned drive gives you a physical copy under your control. | Portable, but requires a compatible device and the drive to be available. | Encryption can help protect stored files; maintain a second copy so one lost or damaged drive is not your only backup. | Choose encryption and unlock methods you can manage, and store the drive separately from the returned work computer. |
These options are not substitutes for permission to retain a file. Apply your employer’s policy first, then choose a personal storage location for the material you are authorized to keep. Keep the backup separate from the work device and make a second copy of especially important personal records.

How do I keep personal accounts working without my work email or phone?
Change recovery and contact details on each personal service before your work address or number becomes unavailable. A password alone may not be enough to recover an account if its reset link or verification code still goes to a work-controlled address or device.

- Trusted devices and sessions: Check which devices or sessions are associated with the account and remove ones you will no longer control.
Make changes while you can still receive verification messages at the existing contact method. After each change, test that the new method works; do not remove the old method until the replacement has been confirmed, unless the service or your employer requires an earlier removal.
Should I use a passkey or FIDO2 security key?
A passkey or FIDO2 security key can provide phishing-resistant sign-in on services that support it. Microsoft Learn says that “Phishing-resistant authentication methods like passkeys and FIDO2 security keys provide the strongest protection against credential theft and sophisticated phishing attacks.” Compatibility varies by service, so check that a key or passkey is supported before relying on it.
If you use a security key with a personal service, register it while you still have access to that account and can complete its verification process. Keep a spare key separately if the service supports more than one. A key does not replace account recovery: confirm that you have a recovery method and that it does not depend on a work email address or phone.
Do not assume a key registered to a work account will remain usable after departure. Employer-managed accounts and authentication policies may be controlled by the organization; set up protection for your personal accounts through those accounts’ own supported settings.

What should I remove from a work device before returning it?
Remove personal sessions and data only within the limits of company policy. A work laptop or phone may be managed by the employer, so do not bypass management controls, erase company records, or change settings that IT has instructed you to leave intact.
- Sign out of personal services and remove personal browser profiles or saved passwords if policy permits.
- Disconnect personal cloud-sync clients and confirm personal files are safely stored elsewhere before removing a local copy.
- Remove personal payment details only if company policy permits and the change will not delete or alter employer records.
- Clear personal browsing data only where allowed. Google recommends private browsing on shared devices, clearing cache and cookies when needed, and remotely signing out if a device is no longer in your possession.
- Ask IT how to handle personal data that cannot be removed without affecting company data or device management.
Do not rely on deleting browser history as a substitute for signing out of accounts or revoking access. If a device is already out of your possession, use the service’s remote sign-out or session-revocation option where available rather than trying to regain control of the device.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do I verify access after leaving?
Use a personal device and a network you are authorized to use to check that your personal accounts and permitted files remain accessible. Do not use an old employer account to regain access to company systems after your departure.
Recommended Free Tools
- Sign in to each personal account using its personal email or username and updated authentication method.
- Test account recovery using the updated recovery details; confirm that you can receive the required verification or use the recovery method you saved.
- Open the files you exported and check that shared links or documents you are entitled to keep still work. If a link depends on an employer account or permission, do not attempt to bypass that restriction.
- Review active sessions, connected apps, and device access. Sign out or revoke tokens associated with the old work environment where the service provides that control.
- If something fails, use the service’s official account-recovery process or contact its support. For questions about employer-managed data or devices, contact HR or IT rather than attempting to work around access controls.
Complete this check soon after departure, while you can still identify which account or recovery detail is causing a problem. Keep recovery codes and any important personal backup in a place you can reach without the former workplace.

Frequently Asked Questions
Can my employer read my personal files on a work computer?
A work computer may be subject to employer management, monitoring, or access rules, but the exact scope depends on the employer’s policies, device setup, and applicable law. Treat files on a work device as potentially accessible to the organization and consult HR or IT about its policy.
Can I forward my work email to my personal email before I leave?
Do not forward work email to a personal inbox unless the employer has explicitly authorized it. Work messages can contain confidential, customer, or business information, and forwarding them does not make them personal records.
What if I already lost access to a personal account that used my work email?
Use the service’s official account-recovery process and provide the personal ownership or identity information it requests. If the account is managed by your former employer rather than personally owned, contact the organization through an authorized channel instead of trying to bypass its controls.
Should I keep copies of documents that prove my employment?
Whether you may retain a particular employment document depends on the document, your employer’s policy, and applicable rules. Ask HR for personal copies of records you are entitled to receive, rather than copying files from an employer system without permission.
