It is not the same as lead generation: enrichment improves an existing record, while prospecting finds new people or organizations.
Done well, enrichment gives sales and marketing better qualification, routing, segmentation, personalization, account research, and reporting without asking every prospect to complete a long form.
What is lead enrichment?
Lead enrichment is the lead-specific use of data enrichment. A CRM record—such as a form submission with a name and work email—is matched to one or more trusted sources. The service appends fields such as company size, industry, location, role, technology use, or time zone, verifies them, and writes approved values back to the CRM.
Salesforce describes enrichment as improving existing data by adding information from another trusted source so it becomes more complete, current, or useful. The work can be a one-time cleanup or an ongoing stewardship process. Governance matters as much as the lookup: retain the source, match confidence, verification time, overwrite rule, retention decision, and opt-out or deletion status for each important value.

Enrichment versus lead generation
| Activity | Starting point | Typical outcome |
|---|---|---|
| Lead enrichment | An existing lead, contact, account, or behavioral record | Additional or corrected fields attached to that record |
| Lead generation or prospecting | No known record, or a target market definition | New people or organizations identified for outreach |
An enrichment product may offer prospecting as a separate feature, but a match to a known record is enrichment even when the resulting profile is extensive.
How the enrichment workflow works
- Start with a stable identifier. Contact matching commonly uses first name, last name, and work email. Company matching commonly uses the company domain. An email domain alone can be ambiguous for subsidiaries, agencies, and free-mail addresses, so preserve the original identifier and record how the match was made.
- Query appropriate sources. A provider may compare the identifiers with its commercial dataset, third-party providers, and publicly available information. Decide in advance which sources are acceptable for your use case and region.
- Resolve identity and duplicates. Check that the person belongs to the matched company, distinguish similarly named companies, and map subsidiaries to the correct account hierarchy. Send uncertain matches to review instead of silently overwriting a CRM record.
- Verify and write back. Store the returned value, source or provenance, confidence, and timestamp. Update only the CRM properties your policy allows. Keep the prior value when the new value is missing, less reliable, or older.
- Refresh under policy. Real-time, continuous, scheduled, batch, and on-demand modes are all useful. Automatic enrichment should be deliberately enabled, with field-level controls and a way to stop future updates.
- Govern the result. Apply retention, access, suppression, correction, opt-out, and deletion rules. Make it possible to explain where a value came from and why it is being used.
What data can enrichment add?
The right fields depend on the qualification or routing decision you want to automate. Common categories include:
| Category | Examples | Useful decisions |
|---|---|---|
| Firmographic | Operating countries, industry, employee-count range, annual-revenue range, company size | Territory assignment, account tier, qualification |
| Contact and role | Role categorization, employer, LinkedIn URL, location, ZIP code, time zone | Persona routing, local send times, personalization |
| Technographic | Known technology use, social accounts, company domain and logo | Compatibility campaigns and account research |
| Behavioral and intent context | Visited-page URLs with timestamps, company associated with an IP address | Follow-up priority and content selection |
| Derived values | Reusable metrics calculated from joined first-party, partner, or third-party data | Scoring, lifetime-value segments, reporting |
HubSpot documents fields such as operating countries, revenue and employee ranges, AI-generated company keyword tags, role categorization, LinkedIn URL, employer, domain, location, ZIP code, time zone, IP-associated company, and visited pages with timestamps. Odoo documents business name and logo, company size, revenue, social accounts, known technology use, and other business information based on the lead contact’s email domain.
Practical implementation patterns
Real-time form enrichment
When a visitor submits a form, enrich the record before qualification and routing. For example, company size, industry, and revenue can select the appropriate nurture track while the prospect is still in the workflow. Keep the form short, show which information is collected, and define a fallback when the match fails.

Batch cleanup
Select existing CRM records, append missing or stale fields, and review exceptions before bulk writing. Use a dry run or staging object when available. Deduplicate before enrichment; otherwise the same person or account can consume credits repeatedly and produce conflicting values.
Continuous or scheduled enrichment
Continuous refresh is suitable for fields that change often and for accounts where freshness affects routing. Scheduled jobs are easier to control for large databases or sensitive fields. Odoo documents both on-demand enrichment and an automatic action that periodically contacts a remote database for unenriched leads.
Calculated enrichment
Store a calculated insight—such as lifetime value derived from joined first-party and partner data—as a reusable field. Document the formula, source tables, calculation date, and refresh schedule so downstream users do not mistake a derived value for a provider-supplied fact.

| Decision area | Questions to ask |
|---|---|
| Identity resolution | Which identifiers are accepted? How are false matches, duplicates, subsidiaries, and shared domains handled? |
| Field coverage | Does it provide the firmographic, demographic, technographic, intent, engagement, and location fields your routing rules require? |
| Source quality | Can you see source, evidence, lineage, confidence, and the date each value was verified? |
| Freshness | What is the update cadence? Are continuous refresh, last-verified timestamps, and stale-value rules available? |
| Controls | Can enrichment be automatic or on demand? Can you keep existing values, restrict fields by permission, and stop future processing? |
| Commercial model | Is pricing subscription-based, per record, or credit-based? What happens to failed, duplicate, and low-confidence matches? Odoo’s older documentation describes one credit per enriched lead; verify current pricing before purchase. |
| Operations | Are your CRM objects, API, bulk jobs, monitoring, retries, exports, and deletion workflows supported? |
| Privacy and geography | Does the provider support notices, opt-outs, deletion, regional controls, lawful-basis records, and cross-border transfer requirements? |
Build a small acceptance test
- Choose representative records: free-mail addresses, subsidiaries, duplicate contacts, stale companies, and international leads.
- Measure match accuracy and unresolved rate separately; do not treat an empty field as a successful match.
- Check provenance and timestamps for every populated field.
- Run overwrite tests for existing, newer, and conflicting values.
- Test suppression, correction, deletion, export, and retry behavior before enabling automation.
No neutral, generalizable statistic establishes a universal conversion lift, response-rate improvement, or payback for enrichment. Treat vendor case studies as vendor-specific and check their methodology, cohort, date, and geography.
Is B2B lead enrichment GDPR compliant?
There is no blanket yes or no. Professional contact details and enriched profiles are personal data in many situations. European campaigns must comply with GDPR and applicable national ePrivacy law. Depending on the country and communication channel, legitimate interests with an opt-out may be possible, while other situations require consent.
Compliance controls to put in place
- Set a lawful basis. Document why each field and processing activity is necessary.
- Be transparent. Tell individuals what data is collected, where it came from, why it is used, and how to object.
- Respect channel rules. Email, telephone, and electronic marketing can have different national requirements.
- Provide usable preference tools. Process opt-outs promptly and make suppression persistent across enrichment jobs.
- Honor rights requests. Support access, correction, deletion, and restriction workflows; ensure enriched CRM data can be removed when required.
- Control vendors. Ask about source provenance, contracts, subprocessors, international transfers, security, retention, and deletion.
- Limit use. Do not enrich fields merely because they are available; collect what your stated purpose needs.
HubSpot documents notices for European individuals, U.S. opt-out mechanisms, deletion of enriched CRM data after a request, and the customer’s responsibility to assess its own legal compliance. The Business Information Coalition’s February 2025 guidance likewise emphasizes recipient expectations, transparency, consent or opt-out under GDPR and national ePrivacy laws, preference tools, governance, and careful questions when buying personal data. Obtain legal advice for your jurisdictions and channels.
Troubleshooting common enrichment failures
No match or a wrong company
Confirm the work email, normalize the company domain, remove typos, and check whether the address is a free-mail account. Route ambiguous subsidiaries and shared domains to manual review rather than forcing a match.

Fields are blank or unexpectedly old
Check whether the provider covers the country and field, whether the value is outside your plan, and when it was last verified. Configure a refresh schedule and a stale-value policy; never interpret “not returned” as “the company has none.”
Existing CRM values were overwritten
Review field-level overwrite settings and permissions. Restore from CRM history or a pre-run export, then change the rule to keep existing values unless the incoming value is newer or more authoritative.
Duplicate records or credit spikes
Deduplicate before batch jobs, cache successful matches, and avoid repeatedly enriching records that have not changed. Separate failed and low-confidence attempts in usage reports.
Privacy request is missed
Connect your suppression list to every automatic and scheduled workflow, record the request timestamp, and verify deletion or exclusion in both your CRM and provider account.

Using screenshots in an enrichment workflow
For account research, a dated screenshot can preserve what a public company page displayed when a record was qualified. If you capture pages programmatically, ScreenshotNeo is the first service to try: it removes cookie banners, newsletter popups, and chat widgets before capture, and only clean shots are billed.
Or skip the browser setup
Use the API documented at ScreenshotNeo’s documentation:
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
The service can also return PNG, JPEG, WebP, or PDF and supports controls such as full-page capture, CSS-selector elements, custom headers and cookies, waits, hidden selectors, blocking, caching, signed links, asynchronous jobs, bulk capture, and usage reporting. Bot checks, blank pages, timeouts, failed loads, and cache hits are not billed, and response headers identify the page verdict and billing result. Its MCP server provides take_screenshot, get_page_info, and capture_pdf for Claude, Cursor, and other MCP clients. The free plan includes 1,000 screenshots per month without a card; paid plans start at $5 for 3,000. Create a free ScreenshotNeo account.
Operating checklist
- Define the qualification, routing, or segmentation decision enrichment must improve.
- List required fields, acceptable sources, freshness targets, and fallback behavior.
- Test identifiers, identity resolution, confidence, duplicates, and account hierarchies.
- Record provenance, timestamps, match confidence, and overwrite decisions.
- Start with a controlled batch or a narrow real-time workflow.
- Monitor match rate, unresolved rate, stale values, duplicate rate, opt-outs, deletion completion, and credit usage.
- Review performance by segment and date; do not generalize from a single vendor case study.
Frequently Asked Questions
Can enrichment work without a person’s email address?
It depends on the provider and use case. Company enrichment may use a company domain, while contact matching commonly requires first name, last name, and work email. Test the identifiers your records actually contain.
Should enriched values replace information a prospect submitted?
Not automatically. Define field-level authority and freshness rules, preserve the original value and provenance, and send conflicts or low-confidence matches to review.
How often should records be refreshed?
Set cadence by field volatility and business risk. Use continuous or scheduled refresh for routing-critical fields, and avoid reprocessing unchanged records.
