Choose a hardware KVM switch when one keyboard, mouse, and monitor must physically move between computers. Choose software sharing when each computer can keep its own display and you want the pointer to cross screen edges, with optional clipboard or file sharing. A KVM changes a hardware channel; software passes input between running, paired computers. The right choice depends on whether you need display switching, which operating systems you use, network and security rules, and whether clipboard or file transfer matters.

What is the difference between a KVM switch and software sharing?

A KVM (keyboard, video, mouse) switch sits between your peripherals and two or more computers. Selecting a channel connects the shared keyboard and mouse—and, on models with video switching, the monitor—to one computer at a time. Switching is performed by a button, keyboard shortcut, remote control, or model-specific software.

Software sharing leaves each computer connected to its own display. An application running on the machines captures keyboard and mouse input, then sends it over a permitted local connection. Moving the pointer to an edge, pressing a hotkey, or selecting a device changes which computer receives input. Clipboard and file features are software-specific; they are not inherent to the KVM concept.

Decision point Hardware KVM switch Software sharing
What changes Physical USB/peripheral channel; video routing only if the KVM and cabling support it Keyboard and mouse focus between running computers
Displays One monitor can follow the selected computer when video is connected through the KVM Each computer keeps its own screen; monitor inputs are not changed
Operating systems Usually independent of the OS, but dependent on ports and the switch implementation Depends on the software: Windows-only, Apple-only, or cross-platform options exist
Network Core switching path is physical Pairing and network permissions are required
Clipboard and files Not supplied by the switching function Varies by product; some support clipboard and files, others only text or images
Security boundary Peripheral and display connections are local hardware Input, clipboard, and possibly files cross a software and network trust boundary

The practical dividing line is the display. If you want one monitor to show whichever computer you select, start with a KVM. If both screens can remain visible and you mainly need one keyboard and mouse, software is usually simpler.

When should you choose a hardware KVM switch?

Choose a KVM when you need a single physical desk setup to switch among computers, particularly when one monitor must switch with the keyboard and mouse or when network-based sharing is prohibited.

Use a KVM for one-monitor desks

A dual-computer desk with one display is the clearest KVM case. Connect each computer’s video output to the KVM, connect the monitor to the KVM’s output, and attach the shared USB keyboard and mouse. Selecting computer 1 or 2 changes the active hardware path. A software sharing program cannot perform that monitor-input change; with software, you would still select the monitor’s HDMI, DisplayPort, or other input manually.

Use a KVM when computers must be isolated

A KVM can keep the switching path local when policy does not allow a personal and work computer to exchange input over the network. This does not automatically make a setup secure: USB devices, removable storage, audio, firmware, and the KVM’s design still matter. Treat the switch as a way to avoid network sharing, not as a blanket security certification.

Check these specifications before buying

  • Computer count: Confirm whether you need two, four, or more inputs.
  • Video connectors: Match every computer and the monitor—HDMI, DisplayPort, USB-C, DVI, or another connector. Adapters can change compatibility and power requirements.
  • Resolution and refresh rate: Verify the KVM’s supported resolution and refresh rate for the exact monitor mode you intend to use. A switch that supports a connector may not support your preferred high-refresh mode.
  • USB behavior: Check whether the ports are intended for keyboard and mouse only or also support storage, webcams, audio interfaces, or other USB devices.
  • Switching method: Decide between a front-panel button, wired remote, keyboard hotkey, or software control. Hotkeys can conflict with applications; a button is slower to reach but easier to audit.
  • Audio and extra connections: Add audio, microphone, serial, or USB-sharing requirements before selecting a model.
  • Power and cabling: Some video KVMs need external power or specific cables for reliable detection. Plan cable length and connector direction at the desk.

A legacy TRENDnet TK-217i manual illustrates channel selection through a KVM switcher utility, a push button, and keyboard switching. That document is useful for understanding switching methods, but it is not evidence that the old model is currently available or suitable for a modern display.

How does a KVM switch work in practice?

After cabling, the switch exposes one selected computer to the shared peripherals. A video-capable KVM also routes the selected computer’s video signal to the monitor. The other computers remain powered and may continue running; they simply do not receive events from the shared keyboard and mouse.

  1. Turn off or follow the KVM maker’s connection instructions for the computers and monitor.
  2. Connect each computer’s video output to a matching KVM input if monitor switching is required.
  3. Connect the KVM output to the monitor and attach the keyboard and mouse to the KVM’s USB console ports.
  4. Connect any required USB, audio, or power leads.
  5. Start the computers and select each channel in turn. Confirm that the monitor shows the expected computer and that keyboard and mouse input follows the selection.
  6. Test the intended hotkey or button sequence, then verify that sleep, wake, login, and display detection behave acceptably on every computer.

If the monitor works but a keyboard or mouse does not, the issue is often a USB compatibility or power limitation rather than video switching. A display that fails to appear can indicate an unsupported resolution, refresh rate, cable, adapter, or handshake behavior.

When is software mouse-and-keyboard sharing the better choice?

Use software when each machine has a usable display, the operating systems are supported, and you value pointer movement across screens or clipboard integration more than physical display switching.

Windows: Microsoft Mouse Without Borders in PowerToys

Mouse Without Borders can control up to four Windows computers with one keyboard and mouse. Microsoft documents shared clipboard and file transfer, so it can be more than an input switch. Setup pairs the machines with a generated security key and the other computer’s name; after pairing, moving the pointer across a screen edge changes the active computer.

For managed installations, Microsoft documents policies for clipboard sharing, file transfer, and restricting connections to the same subnet. Those controls let an administrator reduce the reach of the feature instead of treating every paired machine as equally trusted.

Microsoft also warns about its optional service mode: running Mouse Without Borders under the System account enables control of elevated applications and the lock screen, but adds attack risk. Enable that mode only when the operational need is clear, and account for the broader privilege in your threat model.

Mac and iPad: Apple Universal Control

Universal Control lets one Mac’s keyboard, mouse, or trackpad control up to two other nearby Mac or iPad devices. Each device keeps its own screen and applications; the pointer crosses between displays, and content can be copied between devices. Apple requires compatible hardware and software, nearby devices, and the same Apple Account, along with the other continuity settings described in its support documentation.

This is a strong fit for a Mac-centered desk that includes an iPad or another supported Mac. It is not a replacement for a KVM when a single external monitor must be routed among Windows, Linux, or other computers.

Windows, macOS, and Linux: Synergy

Synergy provides local-network keyboard and mouse sharing for Windows, macOS, and Linux, with TLS/SSL encryption listed by its vendor. The product page listed Synergy 1 version 1.22.3 and Synergy 3 version 3.8.4 on October 17, 2026. Versions are volatile, so confirm the current release before deployment.

Symless Support’s FAQ, updated October 21, 2026 and checked October 3, states that Synergy 1 and Synergy 3 are not cross-compatible. It also says the software does not run on iOS, iPadOS, Android, or ChromeOS; sends input to one computer at a time; supports text and image clipboard content but not files; and does not switch monitor inputs. If one monitor is connected to several computers, you must change the monitor input yourself.

Which option supports clipboard and file transfer?

Software products differ substantially. Mouse Without Borders supports clipboard and file transfer between its paired Windows computers. Universal Control supports copying content between compatible Apple devices. Synergy supports text and image clipboard content but not file transfer, according to its support FAQ. A hardware KVM itself does neither; any clipboard or file movement would use a separate application, removable storage, or another approved channel.

Decide whether transfer is a requirement or a liability. Clipboard history can contain passwords, customer data, source code, or documents. File transfer can cross the boundary between a managed and unmanaged computer. If policy forbids that flow, disable the feature where the software permits it or use a KVM and an approved transfer process.

What operating-system and network requirements matter?

Scenario Likely fit Requirements and limits
Two or more Windows PCs with separate screens Mouse Without Borders PowerToys installation, generated security key, computer names, and permitted network connections; up to four computers
Mac plus iPad or another compatible Mac Universal Control Nearby compatible devices, same Apple Account, and Apple’s continuity and system requirements
Windows, macOS, and Linux machines Synergy Compatible Synergy edition on every computer, local-network connectivity, and separate monitor-input switching
Mixed computers with one shared monitor Video-capable KVM Matching video connectors, supported display mode, USB compatibility, and a chosen switching method

Software sharing depends on the network even when all machines sit on the same desk. Firewalls, VPNs, subnet rules, and endpoint-management policies can block discovery or input traffic. Apple recommends checking VPN and security software and firewall settings when Universal Control fails. A KVM avoids those network dependencies for the switching path, but each computer still needs its normal network for its own work.

How should you evaluate security and workplace policy?

Map the exact data and privileges that cross between machines. Input sharing sends keystrokes and pointer events; clipboard sharing sends copied content; file transfer sends documents; and service modes can add elevated control. Pair only computers that are within the same trust boundary unless your organization explicitly permits the arrangement.

  • Ask whether a work computer may connect to a personal computer through a local-network sharing tool.
  • Use a unique, protected pairing key and remove machines that no longer need access.
  • Restrict connections to the same subnet when that policy is available and appropriate.
  • Disable clipboard or file transfer if the work environment does not permit those channels.
  • Avoid elevated service mode unless lock-screen or administrative-application control is required; document the additional privilege.
  • Keep the software and operating systems updated, and review firewall or VPN changes after updates.

Neither category is automatically secure. Hardware reduces software and network exposure for switching, while software can provide useful controls and encryption but requires deliberate pairing and data-flow decisions.

What should you choose in common desk setups?

One monitor, one keyboard, one mouse, two computers

Choose a video-capable KVM if you want a single button or hotkey to change both the monitor and peripherals. Software sharing is workable only if you are willing to change the monitor input separately and keep both computer displays available.

Two monitors, two computers, both screens visible

Software is often more convenient: leave each computer on its own display and move the pointer between them. A KVM remains useful if you want to collapse the setup to one display or need a physical isolation boundary.

Windows laptop plus desktop

Mouse Without Borders is a practical first option when both devices are Windows and clipboard or file transfer is allowed. If the laptop is a managed work device, check policy before pairing it with a personal desktop.

MacBook plus iPad

Universal Control is designed for this nearby Apple-device workflow. It keeps the iPad’s own interface visible rather than turning the iPad into a monitor input selected by a KVM.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Linux workstation alongside Windows and macOS

Synergy covers those desktop operating systems, but plan for its one-computer-at-a-time behavior, no file transfer, and manual monitor switching. A KVM may be preferable when the Linux machine must share one display.

How do you troubleshoot failed switching?

The pointer will not cross to another computer

Confirm that both software clients are running, the computers are paired with the correct names or key, and the firewall permits the required local connection. Check that the pointer is being moved toward the configured screen edge rather than a disabled edge or a different monitor arrangement.

Clipboard or file transfer does not work

Verify that the product supports the content type: Synergy’s documented clipboard support covers text and images, not files. For Mouse Without Borders, check its policy settings and whether clipboard or file transfer was disabled by an administrator.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Universal Control disconnects

Confirm that the devices are nearby, signed in to the same Apple Account, and meet Apple’s compatibility requirements. Temporarily review VPN, firewall, and security software settings as Apple recommends, then restore required protections after testing.

A KVM shows a blank or incorrect display

Check every cable and adapter, then compare the monitor’s resolution and refresh mode with the KVM’s specifications. Test one computer at a time, select the correct channel, and try a supported lower mode if the display handshake fails.

Keyboard or mouse works on only one channel

Confirm that the peripherals are connected to the KVM’s console ports, not a computer input, and that the switch supplies enough USB power. Test a basic wired keyboard or mouse to separate peripheral compatibility from the KVM’s channel logic.

Which decision gives the least regret?

Start with the display requirement. If one monitor must follow the selected computer, buy a KVM only after matching computer count, video connectors, resolution, refresh rate, USB devices, audio needs, and switching method. If displays can remain separate, choose software that supports every operating system and offers only the clipboard or file features your policy allows.

For Windows-only desks, Mouse Without Borders offers up to four computers and transfer features. For nearby Mac and iPad devices, Universal Control is the native choice. For Windows, macOS, and Linux, Synergy is cross-platform but does not switch monitor inputs or transfer files. In mixed work and personal environments, make the trust boundary and data-transfer policy the deciding factor rather than convenience alone.

Frequently asked questions

Can a KVM switch transfer files between computers?

No. A KVM changes which computer receives connected peripherals and, on suitable models, which video signal reaches the monitor. File movement requires a separate approved method such as network storage, a transfer service, or removable media.

Will software sharing work if the computers are on different networks?

Usually not without additional routing or policy changes. These tools are designed around permitted local connectivity, and firewalls, VPNs, and subnet restrictions can prevent pairing; do not weaken those controls casually.

Does a KVM switch guarantee identical keyboard shortcuts on every computer?

No. The KVM forwards the physical key events, but operating systems and applications interpret shortcuts differently. Test modifier keys, function keys, wake behavior, and any KVM hotkey so its switching command does not collide with your software.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I use Universal Control with a Windows PC?

Universal Control is Apple’s feature for a Mac controlling compatible nearby Mac or iPad devices. A Windows computer requires a different software solution or a hardware KVM for shared peripherals.

Are Synergy 1 and Synergy 3 interchangeable?

Symless Support says they are not cross-compatible, so install a compatible edition on every participating computer. Check the vendor’s current release information because the version numbers and support details can change.
