To keep working when OneDrive or your internet connection is unavailable, prepare two separate copies before the outage: an offline OneDrive working copy on your computer and an independent backup on an external drive or suitable network destination. In Windows, select the required folders, choose Always keep on this device, wait for downloads to finish, and open a representative file while disconnected. Then protect those downloaded files with File History or a verified manual copy. A file that is visible in File Explorer may still be only a placeholder: Microsoft states, “You can’t open online-only files when your device isn’t connected to the Internet.”
This distinction matters because sync is designed to mirror changes, not to provide an isolated recovery copy. The procedure below covers Windows, Mac, mobile devices, SharePoint and Teams libraries, outage steps, recovery checks, and the limits of OneDrive restore.
Why is an offline OneDrive copy different from a backup?
An offline copy keeps a selected file available to open and edit when the device cannot reach OneDrive. A separate backup is another copy outside the active OneDrive sync relationship, so it can still help if a sync operation, accidental deletion, device failure or account problem affects the live files.
Files On-Demand makes the distinction easy to miss. In Windows File Explorer, a blue-cloud icon means the item is online-only. Its name and thumbnail can appear locally, but the document contents are not downloaded. Deleting an online-only item from the computer also deletes it from OneDrive and other synced devices, according to Microsoft’s Files On-Demand guidance.

| Status indicator | What it means | Can it open without internet? | What to do |
|---|---|---|---|
| Blue cloud | Online-only placeholder | No | Right-click the item and select Always keep on this device. |
| White circle with green check | Downloaded and currently available locally | Usually, while the local copy remains | For critical work, promote it to always available and perform a disconnected opening check. |
| Solid green circle with white check | Marked always available on the device | Yes, provided the local file has finished downloading | Keep enough disk space and monitor the folder as it changes. |
A white-circle file is not the same as a permanent offline commitment. Microsoft notes that Storage Sense can later make a merely locally available file online-only. The solid-green status is the state intended for planned offline work; an independent external or network backup addresses a different failure mode.
How do I prepare OneDrive files for offline work on Windows?
Start with the smallest complete set of documents you actually need. You need a signed-in OneDrive account, enough free local storage, and time for downloads to finish while the computer is connected.
1. Select the folders that this computer should sync
- Open the OneDrive cloud-icon menu in the Windows notification area.
- Choose Settings, open Account, and select Choose folders.
- Make sure every project folder, document folder and shared location required during the outage is selected for this computer. Microsoft describes this folder-selection process in its OneDrive account and folder instructions.
Folder selection and offline availability are separate controls. Selecting a folder makes it part of this computer’s OneDrive view; it does not by itself download every file in that folder.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
2. Download the required files and folders
- In File Explorer, browse to the selected OneDrive folder.
- Right-click each required file or folder and choose Always keep on this device.
- Leave the computer connected until OneDrive finishes downloading. A folder marked always available also downloads new files subsequently added to that folder.
If the entire OneDrive is needed and the disk has sufficient capacity, Microsoft documents a Download all files option under Files On-Demand advanced settings. Treat that as a capacity decision, not a default: downloading everything can consume the device’s available storage and may include material irrelevant to the outage.
3. Confirm the status and perform a disconnected opening check
- Wait for OneDrive activity to settle rather than relying on a partial download.
- Check that critical items show the solid-green always-available indicator, not the blue cloud.
- Disconnect deliberately by turning off Wi-Fi and unplugging wired networking.
- Open a representative document in its normal desktop application, make a harmless change if appropriate, save it locally, and close it. This confirms that the application and the file’s actual contents are present without a network.
- Reconnect and allow the test change to synchronize before preparing the final working set.
The disconnected opening check is a precaution: an icon alone does not prove that a particular document, linked resource or application workflow will work offline. Test the files that matter, not just an empty folder.
How do I make a genuinely separate OneDrive backup?
Use an external drive or a network location that is outside the live OneDrive folder, and copy the downloaded file contents rather than online-only placeholders. Windows offers File History for versioned copies; a manual copy is also practical when you need a simple, inspectable snapshot.
Option A: File History to an external drive or network location
- Connect the external drive, or make the intended network location available.
- Open Control Panel > System and Security > Save backup copies of your files with File History.
- Select Select drive, choose the destination, and turn File History on.
- Confirm that the OneDrive folders containing the downloaded working files are included in the libraries File History protects. Microsoft explains the feature and destination choices in Backup and Restore with File History.
Microsoft says folders outside the covered libraries can be added to a library. If the OneDrive folder you need is not included, add it to an appropriate library before relying on File History, then inspect the destination to verify that the expected files and versions are present.

Option B: Copy the downloaded files manually
- Create a clearly named destination folder on a separate external drive or suitable network location.
- Copy the OneDrive files that show as downloaded and always available. Do not copy blue-cloud placeholders and assume they contain the documents.
- After the copy completes, open a sample file directly from the destination. Check that it has the expected content and that the application can read it.
- Eject the external drive safely and store it where the same incident that affects the computer or network will not also affect the backup.
This manual-copy workflow is a practical way to use Microsoft’s documented offline-file and external-destination capabilities; it is not a special OneDrive backup command. The important property is independence: the destination must not simply be another view of the same live sync relationship.
What does OneDrive’s Manage backup setting actually do?
In OneDrive Settings > Sync and backup, Manage backup sends selected device folders such as Desktop or Documents into OneDrive. That can protect data from the loss of that device and keep folders synchronized, but it does not create the separate external copy required for outage preparation. Microsoft’s folder-backup guidance also warns that cloud-only files must be downloaded before they are moved back into a device folder.
Do not unlink the account, stop folder backup, delete files or reformat a disk merely to prepare for an outage. Those actions change synchronization or storage state; they do not add a verified recovery copy.
Which destination should hold the independent copy?
Choose the destination that remains reachable in the failure scenario you are planning for. Capacity, portability and independence matter more than a particular brand or speed specification.

| Portable external SSD | Fast to attach and easy to store away from the computer | Requires a safe-eject and storage routine; capacity must cover the downloaded set | A compact Windows backup that you can disconnect before an outage |
| External hard drive | Useful when the backup set is large and the drive can remain available for scheduled copies | Less convenient to carry and still vulnerable if left beside the computer during the same incident | A stationary local archive with adequate capacity |
| Network location or NAS | Can centralize copies for several computers | May be unreachable if the local network, power or internet path is the outage | Sites with a separately powered and accessible network, plus another fallback when needed |
A network backup is not automatically an offline backup. If the anticipated failure takes down the local network, a disconnected drive is the immediately accessible layer. Conversely, an external drive stored beside a laptop may not help if theft, fire or physical damage affects both.
How do I make OneDrive files available offline on a Mac?
On macOS 12.1 and later, Files On-Demand cannot be disabled, but individual files and folders can still be marked Always Keep on This Device. Windows File History instructions do not apply to macOS.
- Open the OneDrive folder in Finder and identify the files needed away from the network.
- Use the item’s OneDrive context menu to choose Always Keep on This Device.
- Wait for the download to complete, then disconnect the Mac from the network.
- Open a representative critical document in its normal application.
Microsoft’s macOS Files On-Demand guidance cautions that a cloud icon may remain visible even for an item marked always available. Read the complete status indicators and rely on the offline-opening check rather than interpreting one icon in isolation. For the independent layer, use a Mac-compatible external-drive or network backup process and verify a copied file separately.

Can I work with OneDrive documents offline on a phone or tablet?
Download the documents you need and open them from the mobile app while you still have connectivity. Microsoft’s mobile Word guidance, Can I work offline?, says pending changes synchronize after connectivity returns.
- Open each required document from its cloud location before leaving coverage.
- Confirm that it is available in the app’s offline or downloaded state.
- Open it once before travel or a planned outage and check that the expected editing controls appear.
- Save changes in the app while offline, then wait for synchronization when the connection returns.
Do not assume every mobile app, file type or cloud-storage integration behaves identically. Mobile offline access is a working convenience, not a substitute for an independently stored copy on another destination.
How should I prepare SharePoint and Teams work libraries?
Shared SharePoint and Teams libraries can appear in File Explorer or Finder after synchronization, but a synced library is not proof that every item is downloaded. Identify the exact files your role requires and apply the same offline-availability and disconnected-opening checks.
- Sync the specific library or folder using your organization’s approved OneDrive or SharePoint workflow.
- In the resulting local folder, select the required files or folders for always-available use.
- Open representative documents while disconnected, including any file that several people edit.
- Ask the Microsoft 365 administrator whether synchronization, offline access or version history is restricted for the library.
Microsoft documents the library-sync process in Sync SharePoint files and folders. Organization policies can limit some synchronization or version-history capabilities, so personal OneDrive assumptions do not establish what a work tenant permits.
What should I do during a OneDrive or internet outage?
Use the local file that you prepared, not the OneDrive website or an item that still depends on the cloud.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Open the previously downloaded document from its local OneDrive folder or from the verified independent copy.
- Work in the local application and save regularly to the local file.
- Avoid opening newly shared files, blue-cloud placeholders or web-only documents as fallback sources; they may require the unavailable connection.
- If you use the external copy as the working file, keep it identifiable so you can reconcile it with the synced version later.
- Do not delete or rename the live OneDrive item simply because it is temporarily inaccessible.
When connectivity is absent, the goal is continuity, not synchronization. The local application can preserve your edits until the service becomes reachable again.
What should I check after OneDrive comes back?
Reconnection starts a synchronization process; it does not by itself prove that the newest work is safely represented in the cloud.

- Wait until the account reports that synchronization has settled.
- Open the current document and confirm that the edits made offline are present.
- For shared files, look for duplicate or conflict copies and preserve both versions before deciding which content belongs in the final document.
- Only after the cloud copy and your independent backup account for the work should you retire a temporary local working copy.
Microsoft describes changes as synchronizing when the connection returns, but exact conflict-resolution behavior can depend on the file and organization. Do not promise automatic, conflict-free merging for a shared document.
Can OneDrive restore replace an outage backup?
No. Restore and version history are recovery tools for deletion, unwanted changes or corruption after the service is available; they do not download a cloud-only file while the device is offline.
Microsoft documents version history for individual OneDrive files and a whole-OneDrive restore feature for Microsoft 365 subscribers in Restore your OneDrive. The cited instructions describe a 30-day window for whole-OneDrive actions and state that a file permanently deleted from the Recycle Bin cannot be recovered by that restore. Work-account versioning can also be disabled by an administrator. Treat those as product-policy details for the relevant tenant, not universal retention promises.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Should I pin selected folders or download all files?
Targeted pinning is usually the practical choice when only certain projects must remain usable. Downloading all files is appropriate only when the computer has enough capacity and the complete OneDrive is genuinely required.
| Approach | Local space | Maintenance as content changes | Use it when |
|---|---|---|---|
| Targeted Always keep on this device | Limited to selected folders and files | Review new or moved project folders as work changes | You can define a critical working set and need to conserve storage |
| Download all files | Requires room for the entire OneDrive | New content is covered broadly, but storage consumption is harder to control | The complete account is needed locally and capacity has been checked |
Whichever approach you choose, it supplies only the offline working layer. Create and verify the separate external or network copy afterward.
What are the common failure points?
A file still shows a blue cloud
The item is online-only. Reconnect, select Always keep on this device, wait for the download, and repeat the disconnected opening check. If the folder was not selected under Account > Choose folders, correct that first.
The folder is selected but its files are not usable offline
Folder selection controls visibility and synchronization scope; it does not automatically set every item to always available. Apply the offline setting to the required files or folder and confirm the solid-green status.

The external backup contains names but not usable documents
The source may have contained online-only placeholders. Reconnect the computer, make the source files always available, copy them again, and open a sample directly from the destination.
Storage is running out
Stop expanding the offline set until you review which folders are essential. Remove unnecessary always-available items only after confirming they exist in the independent backup, and avoid the all-files download option on a device without adequate space.
Offline edits do not appear after reconnection
Keep the local and independent copies, check the OneDrive icon for ongoing synchronization, and inspect for conflict or duplicate files. Do not overwrite one version until you have identified where the offline edits were saved.

Frequently Asked Questions
Can a network backup help if the office network is the thing that failed?
Only if the backup destination remains reachable through an operating path. A NAS or shared folder on the same unavailable LAN will not provide immediate access, so keep a disconnected drive for that scenario.
How can I estimate the local space needed before pinning folders?
In File Explorer or Finder, inspect the size of the folders that must be available and compare it with free disk space. Leave room for the operating system and applications; if the total is too large, narrow the working set instead of selecting every folder.
Why might a Mac still show a cloud symbol after I choose Always Keep on This Device?
Microsoft notes that macOS can retain a cloud icon even when an item is marked always available. Check the full status indicators and open the file with networking disabled; the offline opening result is more useful than one symbol.
What is the safest response when a shared document shows a conflict after reconnection?
Preserve the local, synced and any conflict copies before editing or deleting one. Compare their timestamps and content, then follow your organization’s document-ownership process because OneDrive does not guarantee conflict-free merging for every shared file.
