The details differ for personal and work or school accounts. Windows’ optional “Hey Copilot” wake-word detection is a separate, on-device step—not the same as an active voice chat.
What Microsoft says Copilot Voice does with audio
Microsoft’s voice FAQ distinguishes audio from transcripts. In ordinary voice chat, Microsoft says user and Copilot audio is not stored; transcripts are managed like text conversations. If feedback is enabled, conversation audio may be temporarily stored and deleted after 48 hours. The FAQ also says background noise may be included. These are Microsoft’s published descriptions of its service, not an independent verification of its practices. Microsoft’s voice-features FAQ
For personal, Family, Premium, and Pro accounts, Microsoft’s support page says voice data is used to provide the Copilot Voice experience and transcripts follow the same handling as other Copilot conversation history. That does not make transcript history equivalent to retained audio: the FAQ’s separate statement is that ordinary chat audio is not stored, while feedback-related audio may be retained temporarily. How work or school accounts differ
For work or school accounts, Microsoft says audio is temporarily stored in feedback scenarios, accessed only if the user submits feedback, and deleted after 48 hours. Background sounds may be included. This is a specific statement about feedback-related audio, not a claim that work-account audio is never retained or that all data has a 48-hour retention period. Confirm the terms that apply to your organization with its administrator.

Microsoft’s FAQ says there is no feature-specific tenant or group toggle for voice chat or Hey Copilot. Do not assume your administrator can centrally disable those features through a voice-specific control; ask which organization policies and product terms apply instead. Microsoft’s voice-features FAQ
Does “Hey Copilot” listen all the time?
On Windows, Hey Copilot is an optional wake-word entry point, not a description of all Copilot Voice processing. Microsoft says it is off by default. When enabled, a small on-device service listens for the wake phrase using a 10-second audio buffer in memory; Microsoft says the buffer is never recorded or stored. Once the phrase is detected, audio from that point is sent to the Copilot voice service. The 10 seconds describe the local wake-word buffer—not how long an active conversation lasts or how long chat data is retained.

That local detection claim applies to the wake-word stage. It should not be read as a promise that an active voice chat sends no audio to Microsoft. The Hey Copilot wake-word documentation also says the computer displays a microphone-use indicator while the app is listening for the phrase.

Can nearby people be heard?
Microsoft warns that background speech can still be picked up during an active voice chat, even with noise suppression. If a conversation is sensitive, use Copilot Voice in a quiet place and keep other speakers away from the microphone. That can reduce the chance of capturing nearby speech, but it is not a guarantee that other voices will be excluded. Microsoft’s documentation does not establish that staff routinely listen to voice chats; it says feedback-enabled audio is accessed for feedback and ordinary audio is not stored.
Does Copilot Voice use voice data to train AI?
Microsoft’s FAQ states: “Voice chat in Microsoft Copilot doesn’t use user data to train the model.” This statement is scoped to Microsoft Copilot voice chat. It does not establish that data is never used for other product or service purposes, nor does it automatically apply to every Copilot product or feature. Microsoft’s voice-features FAQ

Do not treat a model-training opt-out as a universal data-use opt-out. Microsoft’s older privacy-controls article says its controls concern the older Copilot app and notes that opting out of model training does not exclude other uses for product or system improvement, advertising, safety, security, or compliance. Because that article is specifically limited to the older app, check the current settings and terms for your account rather than following its instructions as if they necessarily describe today’s interface. Microsoft describes dictation and Read aloud as separate features. For work or school accounts, it says dictation audio is not stored and dictated text is not stored as part of the dictation service. Read aloud uses client-side text-to-speech and does not record or store audio. Those statements apply to those features; they should not be transferred to Copilot Voice. Controls you can use during voice features
- Start deliberately: Open the Copilot app, choose its Voice control, and grant microphone access if prompted.
- Pause or finish: Use the in-app controls to mute and resume the microphone or end the session.
- Choose whether to enable the wake word: On Windows, leave Hey Copilot off unless you want that hands-free entry point; Microsoft says it is off by default. Review the wake-word setting before enabling it.
- Manage the environment: Use a quieter location for sensitive conversations, since nearby speech may still be captured during an active chat.
- Check account-specific terms: Work or school users should consult their administrator. All users should check current Microsoft terms and support guidance, because retention and controls are not established as one universal rule for every account, version, and deployment.
Microsoft’s voice pages describe the available in-app controls but do not establish a universal retention period for every account and every kind of Copilot conversation history. The 48-hour period applies to the specified feedback-related audio, not transcript-history retention.
