The important distinction is that a Whiteboard is a shared canvas, not part of the meeting recording. Set up the right board before people start adding content, then export it when you need a permanent visual record.
Start Whiteboard in a Teams meeting
You can open a new board or reuse one that already contains project information.
- Join the Teams meeting.
- Select Share in the meeting share tray.
- Under Whiteboard, select Microsoft Whiteboard.
- In the board picker, select an existing board or choose to start a new board.
If the meeting already has an associated board, Teams opens that board by default. To choose a different board, select the Home icon in the upper-left corner and choose another board from the picker.
Preparing an existing board before the meeting is often more effective than starting with a blank canvas. Add the agenda, section headings, decision criteria, or a simple timeline in advance. The same board can be reused across multiple meetings, so a project team can keep its working context instead of creating a disconnected board every time.

Add Whiteboard to a Teams channel or chat
A channel or chat tab is better for ongoing work than a board created only for a single meeting.
- Open the Teams channel or chat.
- Select the + button at the top.
- Search for Whiteboard.
- Select Whiteboard, then select Save.
Everyone with access to that channel or chat can edit the board. This makes a tab useful for a sprint board, project bulletin board, retrospective, research wall, or recurring planning session. It also means you should avoid placing confidential information on a broadly accessible channel board.
Continue working after the meeting
After a meeting, participants from the same organization can open the board from the meeting chat. Look for the tab labeled Whiteboard. They can review the canvas and, if they have edit access, turn meeting notes into a plan without recreating the discussion elsewhere.
External participants do not retain access through the post-meeting Whiteboard tab. If an outside customer or contractor needs the outcome, export the board or copy the agreed actions into a document that can be shared with them.

The Whiteboard interface has a few controls worth knowing:
- The upper-left area contains Home, undo and redo, and board-name controls.
- The upper-right area contains Share and Settings.
- Settings includes export, background formatting, and Help.
Use clear areas of the canvas for separate activities. For example, reserve the left side for ideas, the middle for grouping, and the right side for decisions and actions. This is easier to follow than allowing every participant to add objects wherever there is empty space.
Useful Whiteboard objects
Whiteboard supports more than freehand drawing. Depending on the client and board type, you can use:
- Sticky notes for ideas, risks, questions, and votes
- Text boxes for headings and instructions
- Shapes and connectors for process maps
- Pen and highlighter tools for sketches and emphasis
- Images, links, reactions, and online videos
- Templates for common collaboration activities
- Microsoft Forms polls and supported Loop components pasted as links
For live facilitation, the Follow feature lets participants follow another person’s viewport as that person moves around the canvas. This helps when the presenter is explaining a large process map and some attendees are looking at a different part of the board.
You can also lock objects so they cannot be moved accidentally. Lock background headings, instructions, or a prepared framework before inviting people to edit. Whiteboard also provides an option to unlock all objects at once when the layout needs to change.

Insert a template
Templates provide structure when a blank canvas would slow the group down.
- Select the Create (+) button in the toolbar.
- Select Templates in the Create panel.
- Browse a category.
- Drag a template onto the canvas.
Current template categories include:

A template works best when the facilitator explains what each area means before participants begin. For example, in a retrospective, tell people whether they should add one note per observation, vote on notes, or move selected notes into an action area.
Make a board practical during a meeting
1. Give participants a defined task
“Add your thoughts” is vague. Ask each person to add one sticky note describing a risk, a customer problem, or a proposed improvement. A precise instruction produces content that can be grouped and discussed.
2. Use visual conventions
Agree on a small set of conventions, such as yellow notes for ideas, red notes for risks, green notes for decisions, and blue notes for follow-up actions. Do not create so many colors or shapes that the board requires a legend to understand.
3. Separate discussion from decisions
Keep unresolved ideas in one area and confirmed decisions in another. This prevents an early suggestion from being mistaken for an agreed requirement.
4. End with named actions
Turn the final section into an action list. Each action should include an owner and, where possible, a date. A board full of ideas is not a useful project record unless the team can tell what happens next.
5. Clean up before closing
Move duplicates together, remove test notes, label ambiguous sketches, and make decisions visually prominent. A five-minute cleanup makes the board much more useful after the meeting.

Share a Whiteboard and change permissions
To share directly from Whiteboard:
- Open the board.
- Select Share next to the user name in the upper-right.
- Under Send link, enter a user or group name or email address.
- Send the invitation.
Invitees receive an email notification, and the board appears in their available boards. You can also select Copy link in the sharing panel and send the link through Teams or email. The scope of that link depends on how the board was shared: it may be limited to specific people, existing users, or anyone in the organization who has the link.
For new OneDrive-for-Business boards shared in Teams meetings, Whiteboard creates a company-shareable link accessible to anyone in the organization, regardless of the tenant’s default sharing-link setting. Microsoft says support for the default sharing-link type is planned. Source: Microsoft Learn.
To change an individual’s access, select the Pen icon beside that person’s name in the sharing panel and choose Can edit or Can view.

Invited editors can normally edit and rename the board, share it, and remove other users. They cannot delete the board or remove its owner. Use Can view when people need to inspect the result but should not alter the working canvas.

For boards initiated in a Teams meeting or channel, you can also enable read-only behavior for other participants. Open the board, go to Settings, and turn off Other participants can edit. That setting remains active for that board after the meeting ends.
Know the external-user limitations
External participants can collaborate during a Teams meeting when the organization uses OneDrive for Business Whiteboard storage and the required administrator settings are enabled. That does not mean every sharing route supports guests.

For anonymous participants, an administrator must enable the SharePoint Online setting and allow anonymous users to interact with apps in meetings:

Export the board because the recording will not include it
Teams meeting recordings do not capture the Whiteboard canvas or its edits. If someone misses the meeting, watching the recording alone will not show the visual work.
To preserve a snapshot:
- Open the board.
- Select Settings.
- Choose the export option.
- Save the board as a PNG image.
Export after the final cleanup, not immediately when the meeting ends. If the board contains sensitive information, store the PNG in an approved location and apply the same access controls as the original board.
Use keyboard shortcuts for live facilitation

Shortcuts are most useful when presenting or annotating under time pressure. If a shortcut does not work, click the canvas first so Whiteboard has focus, then try it again.

Understand storage and board differences
For commercial work or school accounts, most boards are stored in OneDrive for Business. They appear in the board picker and in the Whiteboards folder in OneDrive. Boards created on a Surface Hub or Teams Rooms device are an important exception.
Personal-account boards are stored in Azure and are available from the board picker. Azure-backed boards do not have several capabilities available to OneDrive-backed boards, including collaborative cursors, the laser pointer, roster and last-edited information, Office.com search, local data residency, retention policies, e-discovery, data-loss prevention, Recycle bin, and external sharing within Teams.
When an organization switches to the OneDrive for Business storage model, new boards use the newer model. Existing Azure boards remain Azure-backed, so two boards in the same user’s picker may not have identical features.
Teams Rooms and shared-device edge cases
A Whiteboard started from a Microsoft Teams Rooms device uses temporary local storage. If it is not saved, it can be removed. A participant joining from a non-Teams-Rooms device and belonging to the organization must join for the board to become collaborative and be saved to that participant’s OneDrive for Business.

Collaboration between only two Teams Rooms devices is not supported. A non-Rooms participant must join. Similarly, a OneDrive-stored board already attached to a meeting cannot be initiated on a Surface Hub or Teams Rooms device; an authenticated user on another device must initiate it.
There is also a one-to-one cross-organization call limitation: only the person who originally created the conversation or call can access the Whiteboard sharing button. Deleting the chat, having the other person place the call, or starting Whiteboard later does not transfer that ownership.

Administrator controls
Whiteboard on OneDrive for Business is enabled by default for applicable Microsoft 365 tenants, but an administrator can disable it. The Microsoft Whiteboard Services enterprise application must also be enabled in Microsoft Entra admin center.
To check the tenant-wide setting:
- Open the Microsoft 365 admin center.
- Use the upper-right Search box and type Whiteboard.
- Select Whiteboard settings.
- In the Whiteboard panel, set Turn Whiteboard on or off for your entire organization to On.
- Select Save.
For Fluid-backed Whiteboard, the SharePoint Online PowerShell setting is Set-SPOTenant -IsWBFluidEnabled $true.
If the SharePoint Online module needs updating before configuring anonymous participants, run Update-Module -Name Microsoft.Online.SharePoint.PowerShell.

A Teams meeting policy can hide Whiteboard entry points, but hiding those buttons does not disable Whiteboard through the web, native clients, or the Teams tab app. Conditional Access policies prevent access; they do not merely hide the entry points.
FAQ
Can I reuse a Whiteboard in multiple Teams meetings?
Yes. Prepare an existing board before the meeting and select it from the meeting board picker instead of creating a new board each time.
Can guests edit a Whiteboard in Teams?
External participants may collaborate during a Teams meeting when OneDrive for Business storage and administrator settings allow it. Guests cannot use a Whiteboard added as a channel or chat tab, and external participants lose access after the meeting.
Does the Teams recording include Whiteboard?
No. Teams recordings do not include the Whiteboard canvas or its edits. Export the board as a PNG from Settings if you need a visual record.
How do I make a Whiteboard read-only?
This option is available for boards initiated in a Teams meeting or channel. Open the board, select Settings, and turn off Other participants can edit.
Where is a work or school Whiteboard stored?
Commercial-account boards generally use OneDrive for Business and appear in the board picker and the Whiteboards folder in OneDrive. Boards started on Surface Hub or Teams Rooms devices are exceptions, and older Azure-backed boards retain their older storage model.
Why can’t I see Whiteboard in Teams?
A meeting policy may be hiding the meeting entry point, Whiteboard may be disabled for the tenant, or the Microsoft Whiteboard Services enterprise application may be disabled. An administrator should check Microsoft 365 Whiteboard settings and Microsoft Entra.

For the best Teams Whiteboard workflow, prepare a reusable board, give participants a specific task, use templates and visual conventions, lock the parts that should not move, and finish with named actions. Check sharing before inviting guests, because channel tabs and post-meeting access have stricter limits than live meetings. Finally, export the completed board: the Teams recording will not preserve it.
