To use Teams AI meeting notes and summaries, open the meeting’s chat or calendar event and select Recap or View recap. For a post-meeting AI summary, the meeting generally needs a transcript in a supported language, must last at least five minutes, and requires Microsoft Copilot or Teams Premium for intelligent recap features. Copilot can also help during a meeting without recording or transcription, but its output will not be available in Recap afterward unless one of those was enabled.
Find a Teams meeting recap and notes
After a recorded or transcribed meeting ends, find it in Teams chat or Calendar:
- Open the meeting or event chat and select Recap or View recap.
- Or open the past event in Calendar and select View recap.
Depending on what exists for the event and what you are permitted to view, Recap may include the recording, transcript, shared files, notes, custom summary, agenda, and follow-up tasks. Know what enables AI summaries
Microsoft’s current guidance says an AI summary requires a meeting of at least five minutes and a transcript in a supported language. Microsoft recommends recording and transcribing for the best recap experience. A recording or transcript also gives the event a post-meeting record to review; transcription is the key requirement stated for AI summaries.

Intelligent text recap features—including AI summaries, tasks, and mentions—are available with Microsoft Copilot or Teams Premium. Audio and video recaps require Copilot. Feature availability, supported languages, and access can depend on tenant settings and meeting permissions, so a feature’s absence does not necessarily mean the meeting was set up incorrectly. Choose the recap format that fits the task

Take collaborative notes during a meeting
For an agenda, shared notes, or tasks, select Notes during the meeting. Microsoft’s [Take meeting notes in Microsoft Teams](https://support.microsoft.com/en-us/teams/meetings/take-meeting-notes-in-microsoft-teams) guide says notes save automatically and can be edited after the event from Calendar or Recap. These are collaborative meeting materials, not private AI notes: edits may be visible to everyone invited.

Use Copilot live without recording or transcription
If you want Copilot’s help during a scheduled meeting but do not want to enable recording or transcription, the organizer can configure Copilot for use only while the meeting is in progress. In this mode Copilot can generate notes and tasks, but it will not remain available in the meeting’s Recap tab afterward unless recording or transcription was enabled.
- Open the scheduled meeting’s event and go to Meeting options.
- Set Copilot to Only during the meeting, then apply the setting.
- During the meeting, select Copilot and turn it on.
Microsoft cautions that organizational Microsoft Purview retention policies may retain Copilot prompts and responses even when recording and transcription are off. Check your organization’s rules if that matters for the meeting. Customize the AI summary
- Open the meeting chat and select Recap.
- Select Custom summary.
- Choose an existing template, or create one by giving the AI instructions or sharing an example.
A useful template asks for decisions, unresolved questions, owners, and due dates. Microsoft says a template is remembered for future occurrences of a recurring meeting. The meeting still needs a transcript for its AI summary. Review the generated summary before sharing it. Microsoft warns that AI-generated recap content may be inaccurate, incomplete, or inappropriate. Compare important decisions, names, and assigned tasks with the transcript or recording before you circulate them or treat them as agreed actions. A summary is a convenient way to navigate a meeting, not a substitute for checking what participants actually said.

Troubleshoot a missing recap or summary
- No recap entry: Open the meeting chat or past Calendar event and look for Recap or View recap. What appears depends on whether the event was recorded or transcribed and on your permissions.
- No AI summary: Check whether the meeting was transcribed, lasted at least five minutes, and used a supported language. Also confirm that your account has Copilot or Teams Premium for intelligent text recap.
- Copilot worked live, but there is no post-meeting output: In Only during the meeting mode, Copilot output does not remain in Recap unless recording or transcription was enabled.
- No audio or video recap option: Those recap formats require Copilot. Audio recap also requires transcripts for the meetings included; video recap has the stated recording, transcription, and duration requirements.
