You can use AI at work safely by treating every prompt as a potential data disclosure until your organization has approved the tool and its controls. Classify the information first, remove identifiers and unnecessary detail, submit only the minimum text needed, verify retention and training terms, and have a person check every output before it is used. Public chatbots are not a safe default for personal, health, financial, customer, employee, legal, security, trade-secret, or pre-decisional information. The Australian Government Digital Transformation Agency puts the risk plainly: “Assume anything you enter into a public generative AI tool could be made public.”
This workflow lets you keep low-risk drafting and analysis efficient while routing sensitive work to an approved environment or keeping it local.
What is the safest basic workflow for using AI at work?
Use the same five gates for every task: classify the data, de-identify it, minimize the prompt, verify the tool’s controls, and review the result. If a request fails any gate, stop and use an approved alternative.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →- Classify the information and check the approved-tool list. Determine whether the material is public, internal, confidential, regulated, or restricted by contract or law. Your employer’s policy and approved-tool list control; a tool being popular or free does not make it authorized.
- Remove direct identifiers and unnecessary details. Delete names, account numbers, contact details, exact dates, unique case facts, credentials, file metadata, and attachments that the model does not need.
- Send only the minimum necessary text. Replace a full document with a short excerpt, a schema, a count, or a synthetic example when that will answer the question.
- Verify the provider and workspace terms. Check retention, secondary use, model-training use, access controls, logging, deletion, geographic processing, contractual commitments, and incident notification. Save the version or policy date you relied on.
- Review before sharing or acting. Check accuracy, confidentiality, bias, unsupported claims, citations, and whether the output accidentally reproduces restricted information. A human remains accountable for the decision.
If you cannot establish that a tool is approved and appropriately configured, treat it as public and do not submit sensitive content.

How do I decide what data can go into an AI tool?
Use a simple traffic-light decision before opening a chat window. The categories are risk controls, not a universal legal classification; your organization may be stricter.
| Category | Typical examples | Permitted workflow |
|---|---|---|
| Green | Published web copy, public product specifications, generic brainstorming, formatting instructions, or a checklist with no internal details | A public tool may be suitable. Do not add hidden context, and still verify the output. |
| Amber | Non-public internal procedures, drafts, aggregated operational information, or internal text that is not classified as sensitive | Use only an organization-approved enterprise environment. Minimize the text and confirm retention, access, and deletion settings. |
| Red | Personally identifiable information (PII), protected health information (PHI), financial records, credentials, customer or employee case files, trade secrets, legal advice, security details, procurement information, classified material, or pre-decisional plans | Do not submit to a public tool. Use an explicitly authorized environment with the required controls, or keep the work local. |
CMS guidance states: “Never disclose or input PII, PHI, or any sensitive CMS data (including financial, health, vendor, procurement, evaluations, draft policies, or proprietary/business information) into publicly accessible AI platforms, chatbots, or prompts.” That is a useful conservative default even when your employer uses different labels.
What makes information sensitive?
Direct identifiers are the obvious items: a person’s name, email address, phone number, government or employee ID, account number, medical record number, precise address, or authentication secret. Sensitive business information also includes non-public pricing, source code, architecture diagrams, vulnerability details, customer contracts, acquisition plans, investigation notes, and drafts that could affect negotiations or public statements.
Information can remain identifying after names are removed. A rare job title, a small department, an exact incident time, a distinctive medical condition, or a unique customer complaint can identify someone when combined. Treat combinations as sensitive unless your privacy or security team has approved the de-identification method.
How do I anonymize work data before using AI?
De-identification should reduce the chance that a person, account, project, or transaction can be recognized while preserving the pattern needed for the task. The Office of the Privacy Commissioner of Canada recommends anonymized or de-identified information where possible and authorization whenever sensitive information must enter a prompt.

Remove or generalize identifiers
- Replace names with stable neutral labels such as
Customer_AorEmployee_17; do not use initials that colleagues can decode. - Replace account, ticket, invoice, and device numbers with random tokens. Keep the lookup table outside the AI tool and protect it like the original data.
- Convert exact dates and locations to a month, quarter, region, or relative interval when precision is not required.
- Rewrite unique narratives in general terms. “A senior engineer in the only office in a small town reported a defect after a named release” may still identify a person; use “an employee reported a defect after a recent release.”
- Strip document properties, tracked changes, comments, embedded spreadsheets, screenshots, and hidden layers before uploading a file.
Preserve only what the task needs
For a tone edit, send a few representative sentences rather than the whole contract. For a formula explanation, provide column names and fictional values. For classification, provide the labels and a small, balanced sample. For summarization, create an internal summary first and submit that summary only if its classification permits it.
Use synthetic examples carefully
Invented examples are safer than lightly altered real records. Make them structurally realistic but unrelated to actual people, accounts, dates, amounts, and event sequences. “Perturbed” real data can still leak a person through a rare combination, so do not assume that changing a name or adding random noise makes it anonymous.
| Task | Risky prompt material | Safer substitute |
|---|---|---|
| Rewrite a customer email | Original email with name, order number, address, and complaint history | A redacted excerpt with a generic customer label and the desired tone |
| Analyze support trends | Export containing ticket text, timestamps, user IDs, and attachments | Aggregated counts by issue category and week, with rare categories combined |
| Explain code | Production repository containing secrets, endpoints, and proprietary logic | A minimal, isolated code sample with secrets removed and names changed |
| Draft an HR response | Employee case file and medical details | A policy excerpt plus a fictional scenario reviewed by HR |
How can I use the minimum necessary data?
Write the prompt as if you were giving a contractor only the facts needed for one deliverable. State the role, task, format, constraints, and a sanitized example; omit background that does not change the answer.
A practical prompt pattern
Task: Rewrite the text for a neutral, professional tone.
Context: This is a generic service update for customers.
Constraints: Keep the meaning, remove blame, and stay under 120 words.
Text: [sanitized excerpt]
Do not paste the rest of the thread “for context.” If the model needs a fact, provide a generalized fact such as “the service was unavailable for several hours,” not an incident identifier, internal hostname, or exact customer list.
Separate transformation from decision-making
Low-risk transformations—formatting, spelling, or converting a public outline into a checklist—usually need less data than decisions about eligibility, discipline, hiring, credit, health, or security. Keep the authoritative record and decision criteria in approved systems. Use AI, if permitted, to propose a draft; never let an unreviewed response become the decision or the official record.

Can an employer’s AI tool train on our prompts?
It depends on the specific provider contract, workspace configuration, product edition, and organization settings. “Enterprise” or “private” in a product name is not proof that prompts are excluded from training, retained for a defined period, or inaccessible to administrators and subprocessors.
Before use, obtain written answers to these questions from your administrator, procurement team, or the provider’s current terms:
- Are prompts, uploaded files, feedback, and outputs used to train or improve a model? Is that use disabled by default or by a contractual opt-out?
- How long are content, backups, abuse-monitoring copies, and logs retained? Can the organization set a shorter period and verify deletion?
- Who can access content: provider staff, support personnel, administrators, application integrations, or subprocessors? Are access events logged?
- Where is data processed and stored? Do residency commitments cover backups and support access?
- What security controls exist for single sign-on, multifactor authentication, role-based access, encryption, tenant isolation, export, and legal holds?
- What happens after a suspected breach, subpoena, account closure, or contract termination? How quickly will the organization be notified?
- Are customer data, regulated records, or cross-border transfers covered by the required agreements and impact assessments?
NIST identifies third-party AI integrations as creating intellectual-property, privacy, and information-security risks and recommends due diligence and transparency controls. Keep a record of the approved product, edition, settings, contract terms, and review date; a provider can change those terms.
What should never be pasted into a public AI chatbot?
Unless your policy explicitly authorizes a controlled environment, keep the following out of public tools:
- Passwords, API keys, private keys, recovery codes, session cookies, access tokens, and configuration files containing secrets.
- PII and PHI, including identity numbers, full contact records, medical details, biometric data, and case histories.
- Bank, payment-card, payroll, tax, credit, insurance, and other financial records.
- Customer, patient, student, employee, or complainant files, especially free-text narratives and attachments.
- Trade secrets, unpublished source code, proprietary algorithms, unreleased product plans, and non-public pricing.
- Security architecture, vulnerability reports, incident evidence, detection rules, and exploit details.
- Legal advice, litigation strategy, privileged communications, investigation material, and contract drafts containing confidential terms.
- Procurement bids, evaluation notes, vendor due-diligence files, classified material, and pre-decisional policy or budget documents.
Also check contractual restrictions. A document may be non-personal yet still prohibited from external processing by a customer, regulator, nondisclosure agreement, or export-control rule.

How should an organization approve an AI workflow?
Approval is a governance decision, not an individual preference. Pair the use case with a named owner, a data classification, a documented tool configuration, and a review date.
Approval checklist
- Describe the task and the expected benefit; identify whether the model drafts, summarizes, classifies, retrieves, or makes a recommendation.
- List every data type that may enter prompts, files, retrieval indexes, memory, logs, or feedback channels.
- Set the highest permitted classification and block higher classifications technically where possible.
- Confirm provider retention, secondary use, training, access, deletion, residency, subprocessors, and incident terms.
- Configure identity controls, least-privilege access, logging, workspace separation, and an approved file-ingestion path.
- Define human review, prohibited decisions, escalation contacts, and how users report an error or disclosure.
- Run a privacy or impact assessment when required by law, policy, scale, or the sensitivity of the use case.
- Recheck the tool and contract after major model, feature, administrator, or policy changes.
Set boundaries in the written policy
A useful policy names approved tools and editions, prohibited data, allowed examples, redaction expectations, retention settings, review duties, and the incident-reporting route. It should say that employees may not bypass controls by using personal accounts, browser extensions, plug-ins, or file-conversion sites. Training should include practice redacting realistic examples, not only a list of warnings.
How do I review AI output before using it?
Review is a control against both data leakage and incorrect advice. The U.S. Department of Veterans Affairs requires users to check AI output for accuracy and states that personnel remain accountable for actions, decisions, and outcomes informed by AI.
- Accuracy: Compare facts, calculations, dates, quotations, code behavior, and references with authoritative records. Treat invented citations and confident explanations as errors until verified.
- Confidentiality: Check whether the response repeats names, hidden prompt text, internal terms, or details that should not leave the approved workspace.
- Completeness and bias: Look for omitted exceptions, skewed examples, discriminatory assumptions, and language that could mislead a customer or employee.
- Permission and provenance: Confirm that any copied text, image, code, or data may be used and that the output meets licensing, accessibility, and records requirements.
- Action safety: Require a qualified person to approve messages, code changes, financial actions, HR decisions, medical content, legal positions, or security changes before release.
Keep the final human-approved version in the system of record. Do not treat a chat transcript as an audit trail unless your organization has approved it for that purpose.

What should I do if I accidentally paste client or employee data?
Act quickly and avoid making the exposure worse. Do not continue the conversation, ask the tool to “forget” the data, or delete local evidence before the response team advises you.

- Stop disclosure. End the session, stop uploads, revoke or rotate any exposed credentials, and prevent automated workflows from sending more data.
- Preserve evidence. Record the tool, workspace or account, time, prompt and file types, recipients, settings, and any visible response. Preserve relevant logs and screenshots according to policy; do not copy sensitive content into a wider audience.
- Notify the right contacts immediately. Use your security, privacy, legal, compliance, or incident hotline. CMS directs users to report suspected or verified privacy breaches; follow your organization’s equivalent process and any required customer or regulator notification procedure.
- Contain and assess. Administrators may need to disable sharing, delete content under the provider’s documented process, restrict access, or request preservation and deletion from the provider. Determine what data, people, jurisdictions, and contractual obligations are involved.
- Remediate and learn. Rotate secrets, correct downstream outputs, inform affected decision-makers, update the approved-tool list or technical block, and record the lesson in training and policy.
Reporting is safer than quietly deleting a chat: incident teams need a reliable timeline to determine whether the provider retained, accessed, or redistributed the material.
What are the most common mistakes?
- Assuming a paid account is private. Payment does not establish training exclusion, short retention, residency, or contractual protection.
- Redacting only names. Exact dates, rare events, small groups, and distinctive wording can re-identify a person.
- Uploading the whole file. Attachments often contain hidden comments, formulas, metadata, or unrelated records.
- Using a personal account to bypass a blocked work tool. That removes organizational logging and may violate policy or contract.
- Trusting a confident answer. AI can fabricate facts, citations, and code; human review remains mandatory.
- Letting output become an automatic decision. Keep a qualified reviewer and an appeal or correction path for people affected by the result.
- Failing to revisit approval. New features such as memory, connectors, plug-ins, or model updates can change the data flow.
How can an individual make a fast, safe decision?
Ask these questions before pressing Send:
- What is the highest classification in this prompt or attachment?
- Is this exact tool, account, edition, and feature approved for that classification?
- Can I complete the task with a public example, synthetic data, aggregates, or a short excerpt?
- Have I removed identifiers, secrets, hidden metadata, and unique combinations?
- Do I know the retention, training, access, deletion, residency, and incident terms?
- Who will review the output, and where will the approved result be stored?
A “no” to the second or fifth question means do not submit the data. Move the task to an approved environment, ask the data owner for authorization, or perform it locally.
Frequently Asked Questions
Can I paste a customer email into an AI tool if I remove the customer’s name?
Not automatically. Order numbers, locations, dates, writing style, and unusual events can identify the customer, and the email may contain contractually protected information. Use a short, generalized excerpt in an approved workspace or create a synthetic example.
Does deleting an AI chat remove the data everywhere?
Usually you cannot assume that. Provider backups, abuse-monitoring records, administrator exports, legal holds, or connected applications may have separate retention rules. Ask your administrator or provider for the documented deletion scope and timeline.
Should I use AI to summarize an employee investigation?
Only if your organization has explicitly authorized the tool, data class, and workflow, with appropriate access and retention controls. A safer pattern is to have an authorized reviewer create a de-identified summary and keep the investigation record in the approved case system.
What evidence should I keep when approving an AI tool?
Keep the use-case description, data classification, provider terms and version date, configuration settings, security or privacy assessment, owner, reviewer, and next review date. This record lets you reassess the workflow when the model, feature set, contract, or law changes.
