Yes, you can use AI for research safely, but only after you classify the data, remove what the task does not require, and use an environment whose retention, training, access and deletion rules you have verified. Public literature and synthetic examples are suitable for many outlining, coding and search tasks. Participant records, personally identifiable information (PII), protected health information (PHI), unpublished results, trade secrets, export-controlled material and other non-public data require approved tools and review by your privacy, security, ethics or information-governance owners.
AI should remain an assistant rather than an authority. Verify every important claim, citation, calculation and code result against primary sources, record how the tool was used, disclose material use where required, and stop and escalate if sensitive information is submitted accidentally.
What research data is safe to put into an AI tool?
“Safe” depends on the data, the task and the tool’s contract and technical controls. Classify the input before opening a chat, upload box or API. A document being easy to find online does not automatically make every way of processing it lawful or appropriate.

|---|---|---|
| Public or published | Published papers, public regulations, released datasets and information already intentionally placed in the public domain | Usually suitable for low-risk transformations, subject to copyright, licence and accuracy checks |
| Internal, non-sensitive | General operating procedures or non-confidential notes without personal, proprietary or security-sensitive details | Use only in an approved workspace; remove unnecessary internal context |
| Confidential or proprietary | Unpublished findings, source code, invention details, business plans, contract terms or non-public peer-review material | Do not submit to a consumer or unapproved service; obtain written approval and contractual protection first |
| Personal or regulated | Names, contact details, participant IDs, clinical records, free-text case notes, PHI, PII or identifiable images | Keep out of external/public tools; involve the IRB or ethics, privacy and security owners |
| Restricted by law or policy | Export-controlled information, security credentials, regulated records or data covered by a funder or sponsor restriction | Follow the specific legal, contractual and institutional control set; AI use may be prohibited |
NIH intramural guidance states that external or public generative tools may be used only for public data and not for PII or consented clinical research data. CMS guidance likewise tells users to consider both sensitivity and how a platform uses submitted information. Those rules are a useful baseline even when your institution has additional restrictions.

How do I decide whether AI is appropriate for a research task?
Start with the operation, not the model. AI is generally easier to govern when it transforms public or synthetic material and cannot affect a participant, a regulated decision or a confidential asset.
Lower-risk uses
- Turning a public article or your own non-sensitive notes into an outline.
- Generating search terms, interview questions or alternative explanations.
- Explaining code that contains no credentials, private paths, unpublished algorithms or identifying values.
- Creating a synthetic dataset or test cases that do not reproduce real participants.
- Reformatting public text into a specified schema.
Even these uses require a human to check accuracy, copyright and bias. Do not paste an entire internal report when a short, redacted excerpt would answer the question.
Uses that require prior review
- Analysis or summarization of participant data, clinical records, survey free text or identifiable images.
- Work involving unpublished results, patentable ideas, trade secrets, sponsor-confidential material or export-controlled information.
- Any workflow that could make or recommend a decision about a participant, patient, employee or research subject.
- Uploading a full dataset, a long case narrative or a folder of documents when the task can be completed from selected fields.
UWE Bristol guidance notes that suitability varies by application: a tool can be acceptable for one step and inappropriate for another. Ask your IRB or ethics committee, privacy office and information-security owner before proceeding when the classification is unclear.
How do I minimize and de-identify data before prompting?
Minimization means sending only the fields needed for the stated task. De-identification lowers exposure but does not automatically eliminate legal duties or re-identification risk.

- Remove direct identifiers. Delete names, email addresses, phone numbers, street addresses, account numbers, medical-record numbers, photographs, voice recordings and exact URLs that identify a person or organization.
- Replace identifiers with stable random labels. Use values such as
participant_041rather than initials or a meaningful code. Keep the re-identification key in a separate, access-controlled system; never upload it with the working data. - Generalize dates and locations. Use month or study week instead of an exact date when day-level precision is unnecessary. Replace a precise address with a region or distance band if the analysis permits.
- Remove free-text and rare combinations. Narratives often contain names, employers, landmarks or unusual events. A harmless-looking combination of age, occupation, location and diagnosis can identify someone even after names are deleted.
- Drop unused columns and rows. If the model only needs category counts, send the counts rather than records. If it needs a code explanation, send the relevant function rather than the repository.
- Prefer synthetic or transformed examples. Generate test records that preserve structure without copying a real person. Perturbation, aggregation and other privacy-enhancing techniques can help, but check whether the transformation still permits re-identification.
- Record the transformation. Note what was removed, generalized or synthesized so another researcher can reproduce the safe version without obtaining the original identifiers.
The ICO describes de-identification, synthetic data, perturbation and federated learning as privacy-enhancing techniques. Canada’s guidance also recommends anonymized or de-identified prompts where possible. OAIC cautions that information available publicly is not automatically lawful to reuse as personal information, so minimization should be paired with a local legal and ethics review.
Which AI environment is safe enough for sensitive research?
Do not infer safety from a familiar brand, a paid subscription, a “private” toggle or an institutional single sign-on. Confirm the controls in writing for the exact product, edition and region you will use.
| Control to check | Questions to ask before approval |
|---|---|
| Institutional approval | Is the tool on your organization’s approved list, and has the project owner approved this data class? |
| Retention and deletion | How long are prompts, uploads, outputs and backups retained? Can the institution request deletion, and are deleted items removed from backups? |
| Model training | Are prompts or files used to train or improve a shared model? Is the setting contractual, administrative or merely a user preference? |
| Contract and geography | Which entity processes the data, under what terms, and in which countries or regions can it be stored or accessed? |
| Access control | Are accounts, projects and files separated by role? Are administrators, contractors or support staff able to view content? |
| Auditability | Can you retrieve access logs, export a record of prompts and outputs, and investigate an incident? |
| Security and deletion | What encryption, key management, backup and secure-disposal controls apply? |
| Incident response | Who must be notified if data is exposed, and what evidence and timelines does the provider support? |
Columbia guidance warns that prompts can be stored, used for future-model training or exposed, and directs researchers to review vendor terms and approved-tool lists. CMS similarly warns that a platform may retain or train on submissions. A consumer account or a browser’s private mode does not override those risks.
How should I write a prompt without leaking confidential details?
Design the prompt so the model can complete the transformation without learning the underlying identity, secret or unnecessary context. Treat uploaded files, chat history and generated outputs as one governance boundary.

A safe prompt pattern
- State the task and audience: “Create a three-column coding scheme for these interview excerpts.”
- State the allowed evidence: “Use only the text below; do not infer demographic attributes.”
- Use placeholders or synthetic values:
participant_041,site_Aand2025-Q2. - Specify the output format and uncertainty behavior: “Return JSON and mark unsupported conclusions as ‘insufficient evidence.’”
- Tell the model what not to retain or reproduce: “Do not quote more than 12 words from any excerpt and do not recreate identifying details.”
What never belongs in a prompt
- Passwords, API keys, authentication tokens, private encryption keys or recovery codes.
- Full case histories, identifiable participant narratives or linked clinical records.
- Unpublished patent claims, source code containing secrets or sponsor-confidential results.
- A re-identification key, even if each row has been pseudonymized.
- Instructions hidden inside an uploaded document that you have not inspected.
Read files before uploading them. A document can contain prompt-injection text that tries to override your instructions, exfiltrate other content or induce unsafe actions. Canada identifies prompt injection, model inversion and jailbreaking as threats that require safeguards; treat unexpected model behavior as a security event rather than as a clever answer.
How do I verify AI-generated research claims and citations?
Assume a fluent answer can be wrong. Verification is part of the research method, not an optional final polish.
- Trace each material claim. Open the original paper, dataset documentation, standard, regulator page or other primary source. Check that the cited work exists, supports the exact proposition and applies to your population, date and jurisdiction.
- Recalculate numbers. Re-run percentages, confidence intervals, unit conversions and sample counts from the underlying data. Do not rely on a model’s arithmetic explanation.
- Run code in a controlled environment. Inspect dependencies, file paths and network calls. Compare outputs with a known test case and review the code for data leakage or unsafe commands.
- Check quotations and paraphrases. Locate the passage in the source and confirm that qualifiers, negative findings and limitations were not dropped.
- Look for bias and missing groups. Ask whether the prompt or training material excludes a population, treats a proxy as an identity or turns correlation into causation.
- Use qualified human review. A researcher with appropriate subject, statistical or clinical expertise should review decisions that affect people or become part of a publication.
- Test for fabricated references. Search the title, author, journal, DOI or repository record independently. If you cannot retrieve a source, label the citation unverified and do not publish it as fact.
Columbia warns that plausible citations and findings can be fabricated. NIH guidance requires checks for errors, flawed logic and plagiarism. A model’s confidence, a citation-looking URL or an apparently precise number is not evidence by itself.
What should I record and disclose when I use AI?
Keep a contemporaneous record that lets a collaborator, reviewer or auditor understand what happened without exposing the original sensitive data.

- Tool name, edition and model or version identifier, if shown.
- Date and time zone of use, account or project context, and the research purpose.
- Data classification and a description of the redaction, aggregation or synthetic-data process.
- A material prompt summary or a reproducible prompt stored in an approved location; do not preserve secrets merely for completeness.
- Outputs retained, sources checked, calculations repeated, code tests run and substantive human edits.
- Who reviewed the result and what decision or publication section it influenced.
Follow the disclosure rules of your journal, funder, IRB, sponsor and institution. UWE Bristol says individuals remain responsible for appropriate use of generative tools and their outputs. The Queen Mary University of London Joint Research Management Office states: “Use of AI does not diminish researcher responsibility. You are accountable for all outputs, decisions, and consequences arising from AI use in your research.”
A disclosure can be concise but specific, for example: “A language model (model/version, accessed date) was used to reorganize public-source notes and suggest search terms. Authors verified all claims and citations and made the final edits.” If AI generated analysis, code or text central to the work, describe that role rather than implying the tool was only a spellchecker.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What should I do if I accidentally submit sensitive data?
Act as though the submission is an incident until your privacy or security team determines otherwise. Deleting the local chat alone does not prove that provider logs, backups or downstream systems were erased.
Recommended Free Tools
- Stop sharing. Do not send corrective prompts, more files or the re-identification key, and do not ask the model to “forget” the material as a substitute for incident response.
- Preserve evidence. Record the tool, account, time, files or text submitted, recipients, screenshots and any unusual output. Follow your organization’s evidence-preservation rules.
- Notify the designated channel. Contact privacy, information security, research governance or the incident hotline immediately. Include the data class, affected people or studies and whether the material was regulated or export-controlled.
- Contain access. Follow instructions to revoke tokens, rotate exposed credentials, restrict shared projects or suspend the workflow. Do not independently contact participants unless the responsible office directs you.
- Assess outputs. If the model returns private information, attempts hidden instructions or reveals another person’s data, report that behavior as part of the incident.
- Document remediation. Record provider responses, deletion requests, risk assessment, notifications and changes that prevent recurrence.
CMS recommends limiting or suspending unsafe use until risks are understood and fixes are confirmed. Privacy and ethics staff can determine whether consent, contractual, regulatory or breach-notification duties apply.

How should I compare AI tools or research workflows?
Compare the complete workflow, not just model quality or a feature list. A less capable system with enforceable controls can be safer than a stronger public service for restricted data.
| Decision area | Evidence to collect |
|---|---|
| Permitted data classes | Written policy identifying whether public, internal, confidential, personal, regulated or export-controlled data is allowed |
| Retention and training | Contract language and administrative settings for prompts, files, outputs, logs, backups and model improvement |
| Privacy and geography | Processor identity, subprocessors, storage and support locations, transfer mechanism and deletion commitments |
| Access and audit | Role-based access, authentication, project isolation, audit logs and exportable records |
| Traceability | Ability to preserve source references, prompt history, model version and reproducible outputs |
| Accuracy and bias controls | Evaluation results relevant to your language, domain and population, plus a human-review requirement |
| Incident handling | Notification contacts, response times, evidence support, containment and deletion procedures |
| Research governance fit | Compatibility with IRB or ethics approval, funder terms, publication rules, sponsor contracts and export controls |
Require approval from the people who own each risk. A tool review that covers only cybersecurity but not consent, copyright, data residency or publication disclosure is incomplete.
Can I use AI safely for common research activities?
| Activity | Safer input | Essential safeguard |
|---|---|---|
| Literature discovery | Public abstracts, keywords and research questions | Retrieve and verify every cited paper independently |
| Qualitative coding | Synthetic excerpts or rigorously minimized text in an approved environment | Keep the key separate and have a trained researcher review the codebook |
| Statistical explanation | Aggregated tables or simulated values | Recalculate results and inspect assumptions and units |
| Code assistance | Redacted functions and synthetic test data | Remove secrets, run locally in a sandbox and review dependencies |
| Manuscript editing | Your draft with confidential details replaced by placeholders | Check quotations, attribution, journal policy and accidental disclosure in the output |
| Clinical or participant analysis | Only data and tooling explicitly approved for that study | Obtain ethics, privacy and security approval before any upload or API call |
What is the practical rule for responsible AI-assisted research?
Use the shortest safe path: define the task, classify the data, minimize the input, choose an approved environment, prompt with placeholders, verify the output, document the work and escalate anything unexpected. If you cannot explain who can access the material, how long it is retained, whether it trains a model and how it will be deleted, do not submit the data yet.

Frequently Asked Questions
Can I use AI from a university account if my institution provides single sign-on?
Single sign-on proves who can log in; it does not establish that the service is approved for your data class. Confirm the institution’s tool list, contract, retention settings and project-specific approval before uploading anything non-public.
Does removing names make participant data anonymous?
Not necessarily. Dates, locations, rare diagnoses, job titles and combinations of ordinary fields can still identify a person, and a separate key can preserve linkage. Treat de-identified material as potentially sensitive unless your privacy and ethics reviewers approve the residual risk.
How can I check whether an AI-generated citation is real?
Search the title, authors and journal in the publisher’s archive, a recognized index or the institution that produced the work, then open the source. Confirm that the passage supports the claim and record the verified version; an unresolvable reference should not appear as an established fact.
Do I have to disclose AI use in a grant or paper?
Requirements differ by journal, funder, sponsor and institution, and they can depend on whether AI edited prose, generated code or influenced analysis. Keep a use record and follow the strictest applicable rule, describing the tool’s role and the human verification performed.
