In Teams, open Calendar, choose a time slot or New, enter the meeting details and invitees, enable the Teams meeting toggle for an online meeting, then select Save. You can also schedule from Outlook; the steps depend on which Outlook version you use.

Schedule a meeting in Teams

  1. Open Calendar: Select Calendar in Teams.
  2. Start an event: Select an open time slot, or select New.
  3. Enter the details: Add a title, meeting information, and attendees.
  4. Make it an online meeting: Turn on the Teams meeting toggle if attendees should join through Teams.
  5. Save: Select Save to schedule the meeting and send invitations.

Find a time that works for attendees

When invitees’ availability matters, use Scheduling Assistant in the scheduling form to help identify a mutually available time. You can also start by selecting a time slot in the Teams calendar and adding attendees. Microsoft describes both approaches in its Teams scheduling guidance and meeting overview.

Schedule a Teams meeting from Outlook

Outlook’s controls differ between new Outlook and classic Outlook. Follow the matching workflow below; Microsoft’s full steps are in Schedule a Microsoft Teams meeting from Outlook.

New Outlook

  1. Open Calendar and select New event.
  2. Turn on the Teams meeting toggle.
  3. Add the event details and invitees, then select Send.

Microsoft says Teams join details are added after you send the event; saving it as a draft does not add those details. If you add invitees afterward, send an update so they appear in the web view of Meeting options.

Classic Outlook

  1. Create a meeting in Outlook.
  2. Choose the Teams Meeting control.
  3. Add the meeting details and invitees, then send the invitation.

Set a recurring meeting

Outlook supports recurring events. Set the recurrence pattern before sending; the control differs between new and classic Outlook. See Microsoft’s Outlook meeting and event instructions.

Teams calendar or Outlook: which route should you use?

Consideration Teams calendar Outlook calendar
Where you start Select Calendar, then a time slot or New. Open Calendar and create an event or meeting; the labels and controls vary by Outlook version.
Make it a Teams meeting Enable the Teams meeting toggle in the event form. In new Outlook, enable the toggle; in classic Outlook, choose Teams Meeting.
Coordinate availability Use Scheduling Assistant in the scheduling form. The cited Outlook scheduling instructions describe recurring events, but do not establish a separate availability workflow.
Account and configuration limits If scheduling is unavailable, check account and organization configuration. Microsoft’s documented Outlook integration does not support personal accounts or POP/IMAP accounts such as Gmail, Yahoo, and iCloud; it is available for Microsoft 365 Business Exchange accounts.

These are workflow differences, not separate meeting systems: Microsoft says the calendars reflect meetings scheduled through either route. The Outlook account limitations above apply to scheduling through Outlook and should not be assumed to describe every Teams calendar scenario.

Change options for a scheduled meeting

In Teams, select the meeting in Calendar, then choose View event > Options. Organization administrators determine default meeting options, but organizers can change settings for an individual meeting. See Microsoft’s guide to Teams meeting options.

If the scheduling option is missing

  • Check which account you are using and whether your organization has configured Teams and Outlook scheduling.
  • If scheduling from Outlook, confirm whether you are using new Outlook or classic Outlook and follow that version’s steps.
  • Features may roll out according to your organization’s release schedule, so an option documented by Microsoft may not yet appear in your environment.
