Start with the game’s own shutdown notice, because its final login time, time zone, export deadline, transfer rules, and post-closure access are unique to that title. Before the deadline, check for an official character export, account migration, guild transfer, offline mode, or data-download tool. Then make a preservation set: capture your character and build at readable resolution, document your guild and its history with members’ consent, save important creations and community moments, and keep duplicate copies in separate locations.
A screenshot or video is a historical record, not a playable replacement for a character stored only on the publisher’s servers. An official transfer may preserve more, but only the fields and destination the publisher specifies; there is no universal MMO character or guild format that another game can import.
What should I do first when an MMO announces a shutdown?
Open the publisher’s official shutdown FAQ or service-status notice before capturing anything. Treat that document as the controlling source for dates, time zones, eligibility, and available exports.
Record every deadline and time zone
Write down the final login date and the exact time zone, plus any earlier cutoff for an export, account transfer, character copy, or guild move. A game can stop accepting transfers before it stops accepting logins. Note whether the notice promises continued access to a website, profile pages, forums, screenshots, or downloads after the game world closes; do not infer continued access from a general statement that the servers are shutting down.

- Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
Keep a local copy of the notice as a PDF or screenshot and record when you saved it. Shutdown pages can be edited or removed, and a preserved copy gives your archive the context for its dates and rules.
Check for a publisher-supported preservation route
Look for these terms in the notice and support documentation:
- Character or profile export
- Account-data download
- Character copy or transfer to another world
- Guild or clan transfer
- Account migration to a replacement platform
- Offline mode or a supported local save
- Continued access to a web profile, gallery, or user-created content
Read what each route actually contains. An account-data download may be a report for reference rather than a file the game can load. A transfer may require a particular account, destination world, subscription state, or action before the deadline. The written terms, not the feature’s name, determine what survives.

KoGaMa’s shutdown FAQ said its website, accounts, and user-generated content would go offline by May 29 and that data would not migrate to its new platform. It advised users: “If you want to keep anything (screenshots, links, etc.), save them before that date.” The statement illustrates why a game’s own notice matters: a replacement platform did not mean that old accounts or creations would follow automatically.
Can I export my MMO character, build, or guild?
Sometimes, but only through a title-specific process. Compare an official transfer with a dated snapshot and with your own captures before deciding what to do.
Official export or transfer
An official route can preserve structured data, and in some games it can leave a character usable at a destination. Verify the account and destination requirements, the included fields, the format, the deadline, and the restoration or unpacking steps. Ask whether equipment, skills, achievements, inventory, housing, guild membership, guild history, and cosmetic items are included individually; do not treat “character transfer” as proof that every record moves.
Screenshots and video
Captures preserve whatever was visible when you made them: a build screen, a character’s appearance, a guild roster, a housing layout, or a memorable event. They remain viewable after closure if you keep the files, but they cannot recreate a server-held character or make another game recognize it.
Local files and platform cloud
Some games or platforms expose files that can be copied, while others keep nearly everything on the server. Confirm the exact title and platform behavior and whether the game can still read those files after shutdown. A file’s presence on your computer is not evidence that it contains the account state.
External or cloud storage
External storage gives you another copy of files you already captured or were allowed to download. It does not extract inaccessible records from a server and does not turn an image into an importable character.

How do I make a complete preservation checklist?
Work from the following checklist, checking items off while the game and its web tools still respond.
- Save the official notice. Record the shutdown date, final-login window, time zone, export deadline, transfer deadline, and any statement about post-shutdown access.
- Test official tools early. Sign in, open the export or transfer instructions, and identify prerequisites, destination choices, confirmation screens, and expected output. Do not wait for the final day to discover that a destination account must exist first.
- Capture the character identity. Record character name, server or realm, class, level if displayed, appearance, and any account or profile page that explains the identity.
- Capture the build. Save class or specialization, skills or talents, equipment, loadouts, settings, and relevant statistics. Use separate images when one screen cannot show all fields legibly.
- Capture achievements and creations. Include achievement pages, housing, custom designs, galleries, collections, or other work that would otherwise disappear.
- Capture guild information separately. Record guild name and identity, roster and ranks where visible, notable records, event memories, and agreed contact details.
- Ask before recording other people. Get consent before preserving or publishing another member’s private contact information, direct messages, or identifying details.
- Preserve context. Put the date, server or realm, and character or guild name in filenames or in a companion note.
- Keep originals and duplicates. Retain an untouched original capture, make a working copy if you need to crop or annotate, and store a second copy away from the primary device.
- Open-test the copies. Open representative images, videos, documents, and export files from each location before the shutdown.
How do I capture a character and build another person can understand?
Capture the identity first, then the build in enough context that a viewer who never played the game can interpret it.
Character and account context
Start on the character-select, profile, or overview page that shows the character name and server or realm. If the page displays account region, faction, class, level, or creation date, include those fields. Take a full-window image rather than a tightly cropped statistic so the game title and page context remain identifiable.
Skills, talents, and specialization
Open each skills, talents, traits, or specialization panel. If the game uses tabs, capture every tab and label the files in sequence. A single image that cuts off the lower rows is not a complete build record. Include the selected loadout, preset name, or saved configuration if the interface provides one.
Equipment and loadouts
Capture the equipment screen with item names, slots, upgrades, and visible bonuses. Open tooltips when the base screen hides important details, but keep at least one unexpanded overview so the arrangement is clear. Repeat this for alternate loadouts, weapon sets, or role-specific configurations that you actually used.
Settings that affect play
Record key bindings, sensitivity, graphics or accessibility settings, and interface layouts only when they are meaningful to the way you played. These settings are not a substitute for the build, but they can explain a play style that a character panel alone cannot show.
Recommended Free Tools
Use video for behavior that a still image misses
A short, original-resolution recording can show a rotation, movement pattern, interface layout, housing walkthrough, or event that cannot be reconstructed from menus. Start the recording with a title card or on-screen note containing the character, server, and date, then keep a separate text note with the same information. Do not assume a platform’s streaming replay will remain available; download a local copy you are permitted to keep.
What guild information should I save before closure?
Give guild records their own capture plan. A guild is a social history as well as a roster, and different members may value different parts of it.
Identity and organization
Capture the guild name, emblem or other identity, server or realm, description, ranks, permissions, and visible creation or founding information. Save the roster and rank assignments in several images if the interface paginates or limits how many members appear at once.
Rank #3

History and achievements
Record guild levels, records, raid or event milestones, memorial posts, calendars, leaderboards, screenshots, and notable creations that the game exposes. Include dates when the interface displays them. If a history page can be sorted or filtered, capture the filter state or add it to your companion note.
Contacts and consent
Ask members which names, handles, email addresses, or social links they want preserved. Keep a private contact sheet separate from a public memorial package, and do not publish another member’s details merely because they were visible in the guild UI. A consent note can state who agreed, what may be shared, and where the copy may be stored.
Guild transfer cautions
If the game offers an official transfer, follow its sequence exactly. Dungeons & Dragons Online’s official 64-bit transfer instructions describe guild information being carried with characters, but warn players not to create a new guild before unpacking on the destination world. The instruction is specific to that process, not a general MMO rule; it demonstrates that a transfer’s visible interface and its underlying guild data can behave differently.
The same instructions give a direct warning: “Remember not to press the ‘Create’ button in your guild UI.” In that documented process, creating a new guild creates a new guild rather than retaining the prior guild information. Read the destination and unpacking steps before clicking anything that appears to initialize a replacement guild.
Which preservation route is right for my data?
Use the route that matches what you need to retain, then use screenshots as a second record when time allows.

| Route | What it can preserve | What to verify |
|---|---|---|
| Screenshot or video capture | Visible build, character, guild, creations, and community details | All relevant screens are legible; date and server context are recorded; other players’ identifying information is captured with consent |
| Official export or transfer | Only the data and destination the publisher says the process covers | Deadline, account eligibility, file format or destination, included fields, confirmation, and restoration steps |
| Local files or platform cloud | Files the title or platform actually stores and lets you access | Exact title and platform behavior, file permissions, and whether the game can use the files after shutdown |
| External or cloud storage | Duplicate copies of captures and permitted downloads | Copies exist in more than one location and open correctly; storage does not recreate server-held data |
How should I name, organize, and back up the files?
Make the archive understandable without opening the game. A consistent name also prevents captures from different characters or realms being mixed together.
Use a stable filename pattern
A practical pattern is game_server_character_YYYY-MM-DD_subject_sequence.ext. For a guild, replace the character field with the guild name, and use a sequence number for multi-page screens. Keep the original extension and avoid renaming a downloaded export in a way that changes how the game or a tool recognizes it.
Build a small manifest
In a plain-text or spreadsheet manifest, list each file, what it shows, the character or guild, server or realm, capture date, and any consent restriction. Add the official notice’s shutdown and export deadlines. The manifest is useful when a viewer needs to understand a screenshot years later, and it avoids putting sensitive contact details into public filenames.
Keep three practical copies when the material matters
Retain the working copy on your computer, a copy on a portable drive, and another copy in an off-device location such as a separate storage account or a second physical location. The exact service is less important than separation: a single computer, drive, or account can fail. Open-test files from each copy, especially large videos and unfamiliar export formats.

Separate public and private packages
Create one package for material you are comfortable sharing, such as your own build and a guild memorial approved by members. Keep private rosters, direct messages, and contact information in a restricted package. This lets you publish a history without accidentally exposing information that members did not consent to release.
What can screenshots preserve that an export may not?
Screenshots are useful when the game exposes information only through its interface or when an export’s scope is unclear. They can preserve the visual identity of a character, the arrangement of a build, a guild’s social structure, and moments that never appear in structured account data.
The academic account of City of Heroes describes players using a character-export tool and posting screenshots and stories as memorials during the shutdown. That example shows how technical exports and community documentation can complement one another: an export may describe a character, while images and stories preserve how players remember using it.
Capture pages that are easy to overlook, including achievement histories, housing or creations, guild event records, and profile or biography text. If the game has a web profile, save the page as a permitted local document or image as well as recording its URL in your manifest; a link alone may stop working when the service closes.
Can another MMO import my saved character or guild?
Usually not unless the publisher names a specific destination and format. The available evidence does not establish a universal cross-game character or guild standard, so an image, video, or account-data file should be treated as an archive rather than an import package.
A publisher may move selected information to a successor platform or carry guild information through a defined transfer. That is a live, title-specific operation with account and destination requirements. A dated snapshot, by contrast, records the state at capture time and may not be playable anywhere.
When evaluating a claimed migration, ask six questions: Which fields move? Is it a live transfer or a dated snapshot? Which account and destination are required? What is the deadline? Can the result be opened or played after closure? Is the process documented by the publisher? If any answer is missing, preserve screenshots and files instead of assuming compatibility.

- Complete any export or transfer before browsing for optional screenshots. Save confirmation pages or reference numbers.
- Check that the destination account or world shows the transferred character or guild if the process promises immediate visibility. Do not create replacement guild objects unless the instructions explicitly require it.
- Capture final roster, profile, achievement, housing, and event pages that were unavailable during preparation.
- Record a final video or group screenshot if members have agreed on what may be kept and shared.
- Copy the new files to the second storage location and open-test them before logging out.
If the game becomes unstable near closure, favor readable still images of the highest-value pages over repeated attempts at a long recording. Preserve the official notice and your manifest even if one low-priority screen cannot be captured.

What are the common failure modes?
Waiting until the last day
Export tools may have an earlier deadline, and a crowded final login window can prevent access. Start with the official notice and test the process while support pages and destination services are available.
Assuming an account download is playable
Ask what the file is for and which fields it contains. If the publisher describes it as a report or data copy rather than a restoration file, keep it as documentation and capture the corresponding in-game screens.
Capturing only a single build screen
One image can omit talents, equipment details, alternate loadouts, or the server identity. Use a sequence of full-context images and a manifest that explains the sequence.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsSaving links instead of the linked material
A profile or gallery URL may stop resolving after closure. Download or capture the permitted content itself and retain the URL only as context.
Creating a new guild during a transfer
Do not generalize the Dungeons & Dragons Online warning to every game, but do read your game’s exact unpacking instructions. In that documented process, pressing “Create” produced a new guild and did not retain the old guild information.
Keeping one copy on one device
A failed drive or account can erase the only record. Maintain a separate copy, open-test it, and keep private information in a restricted package.
What will remain after the servers close?
Your archive can preserve the visible state of characters, builds, guilds, creations, and memories, along with any structured data the publisher explicitly exports or transfers. It cannot restore records that remained only on the publisher’s servers, and it cannot make another MMO accept a file unless that destination is specifically supported. The most reliable approach is therefore layered: use the official route when one exists, document everything important with original-resolution captures, and keep tested duplicates with clear context and consent.

Frequently Asked Questions
Can I preserve an MMO character so a different game can use it?
Only if the original publisher and the destination game define a compatible transfer. There is no general character or guild format shared across MMOs, so ordinary screenshots and account-data files should be treated as records, not import files.
What if I discover the shutdown after the export deadline?
Log in while access remains and capture the pages that are still available, starting with identity, build, guild, and creations. Save the official notice and contact the publisher through its stated support channel, but do not assume server-only records can be recovered after the deadline.
Should every guild member keep the same archive?
A shared, consent-approved memorial can be useful, but members should also keep their own copy of material they personally value. Separate public files from private contact information so one person’s archive does not disclose another member’s details.
How can I show when a screenshot was taken years later?
Use filenames and a companion manifest containing the capture date, server or realm, character or guild, and page description. Keep the original file unchanged and retain the saved shutdown notice alongside it as date context.
