Use several controls together rather than relying on one switch. In the Zoom web portal, disable AI agents for the whole account or sensitive groups, turn off organization-wide sharing, “Always allow” mode, third-party agent apps and unapproved MCP servers. In the Zoom desktop app, set each agent’s tool permissions to Needs approval, Custom or Blocked. Then restrict in-meeting AI features, configure transcript retention and host access separately, and review connectors such as ZoomMate and the Zoom for ChatGPT app. This layered approach limits both what an agent can read and what it can do with meeting data.
What can a Zoom AI agent access?
Zoom AI agents can work with more than the live conversation. Depending on your license, administrator settings, agent configuration and the user’s existing permissions, a Chat agent may use chat history, meeting transcripts and recordings, Zoom Hub content, internal knowledge bases, approved public URLs and connected applications. An agent can also be given tools to edit files, create documents, share recordings, send messages or call third-party services.
Zoom describes its agentic search as permission-aware: “Every search result is permission-aware, meaning users only see answers based on content they already have access to.” That means an agent should not create a new entitlement by itself. It does mean that an overly broad meeting, recording, transcript, chat or connected-app permission can become available through the agent.

Reading access and action access are different
There are two separate questions to answer:
- What information can the agent retrieve? This is determined by meeting, recording, transcript, chat, document, Zoom Hub and connector permissions, plus the agent’s configured knowledge sources.
- What can the agent do? Tool permissions control actions such as editing a file, sharing a recording, sending a message, creating a document or invoking an external app.
Restricting one does not automatically restrict the other. An agent might be able to summarize a transcript but be blocked from sending the summary to a chat, or it might be able to read a recording while requiring approval before sharing it.

Which Zoom controls should administrators combine?
The safest design uses a separate control for each exposure point. The table below maps the main policy decisions to the narrow and broad choices available in Zoom.
| Decision area | Narrow-control option | Broad-control option |
|---|---|---|
| Agent availability | Disable agents for the account or a sensitive group | Enable agents only for approved users |
| Agent actions | Blocked or Needs approval | Custom or Always allow |
| Meeting scope | External meetings only | All meetings |
| Knowledge sources | Approved sources only | Chat, transcripts, recordings, Hub, URLs and connectors |
| Sharing | Creator only or named users | Entire organization |
| Transcript handling | Do not retain, or administrator-only access | Host and participant access under the retention policy |
| External integrations | No third-party apps or MCP servers | Approved Marketplace apps and MCP servers |
Apply the most restrictive setting at the account level when a control must be universal. Use a group policy for departments with different confidentiality requirements, and use user-level or agent-level permissions for individual exceptions. Higher-level settings can be locked so users cannot re-enable a feature below them.
How do I disable or narrow AI agents for the whole account?
An account owner or administrator can set the baseline in the Zoom web portal. If your organization does not need agents, disable them. If agents are required, leave availability on but remove broad sharing and unattended actions.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Sign in to the Zoom web portal with an account-owner or administrator role.
- Open Admin Center → Settings → Zoom AI → Conversations.
- Turn off AI agents if no department needs them. Confirm the change if Zoom presents a confirmation dialog.
- If agents remain enabled, turn off Allow users to share in our organization unless organization-wide sharing has been explicitly approved.
- Turn off Allow users to enable “Always allow” mode. This forces an approval step for actions instead of allowing an agent to execute them without a prompt.
- Review Allow users to use third-party apps in Agents. Disable it when agents should stay within Zoom.
- If third-party apps are necessary, review each Marketplace app and leave Allow users to connect MCP servers off until every server has been assessed and approved.
- Lock the settings that users must not override. A lock at this level prevents a lower-level administrator or user from turning the control back on.
These account controls are documented in Zoom’s current administrator guidance, checked October 25, 2026. Product names, navigation and prerequisites can change after a Zoom update, so verify the labels shown in your tenant before publishing an internal procedure.
How can I disable agents for one department or group?
Use a Zoom group when a department handles confidential work but the rest of the account still needs AI agents. Group settings apply to members of the selected group and can be locked.
- In the Zoom web portal, open Users → Groups.
- Select the department or other restricted group, then choose Edit product settings.
- Open Zoom AI and disable AI agents, or narrow the available features.
- Enable the lock for the setting if group members must not re-enable agents themselves.
- Review membership after reorganizations. A group policy only protects people who are currently in that group.
For people who frequently join sensitive meetings as participants, use the group’s meeting restriction as well. In Zoom AI → Meeting, enable Restrict Zoom AI features and transcription when joining meetings. When a restricted user joins, Meeting Summary, Meeting Questions and My Notes stop automatically for that meeting. The host cannot restart those features for that session.

How do I require approval before an agent acts?
Tool permissions are configured in the Zoom desktop app and should be stricter than the agent’s ability to answer questions. Use approval for actions involving meeting content or external systems, and block tools that have no legitimate business use.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems- Open the Zoom desktop app.
- Go to Chat → Agents.
- Select the agent, open its settings and choose Tool permissions.
- Set content or external-system actions to Needs approval.
- Choose Blocked for tools the agent must never use.
- Use Custom only when you can identify the exact tools that are safe to allow.
- Avoid Always allow for any agent that can edit files, share recordings or send messages.
| Mode | What it means | Appropriate use |
|---|---|---|
| Blocked | The agent cannot invoke the tool | Actions prohibited by policy, such as external sharing |
| Needs approval | The user must approve each invocation | Meeting-content exports, file edits and messages |
| Custom | Only selected tools are enabled | A narrowly defined workflow with a reviewed tool list |
| Always allow | The agent can invoke the permitted tool without asking each time | Only low-risk, well-understood actions |
For document creation or email sending, Zoom presents an Allow/Deny prompt when approval is required. Users should inspect the destination, recipients and attached content before selecting Allow; approval is the final control against an unintended export.
How do I stop AI Companion features in meetings?
Meeting controls are separate from the general agent switch. You can block selected AI features for every meeting or only when your users join meetings hosted outside your account.
- In the Zoom web portal, open Admin Center → Settings → Meeting → In Meeting (Advanced).
- Find Restrict users from using selected features when they join a meeting.
- Select the features to restrict. Options can include Meeting Summary with AI, Allow users to ask meeting questions with AI, Save Captions, recording, chat, file transfer and Zoom Apps.
- Choose the scope: All Meetings or External Meetings only.
- Lock the restriction when users must not override it.
When should the scope be “External Meetings only”?
Use External Meetings only when employees may use AI internally but must not activate selected features while attending customer, partner or supplier meetings. This preserves a different internal policy while preventing your account’s users from capturing or querying content in meetings controlled by another organization.
When should the scope be “All Meetings”?
Choose All Meetings for regulated teams, privileged projects or a temporary incident response. This blocks the selected features whether the meeting is hosted inside or outside your account. Combine it with a group policy if only one department needs the restriction.
How do I prevent Zoom AI from retaining or exposing transcripts?
Transcripts are a distinct data asset. Disabling an agent does not automatically delete transcripts that already exist, and changing meeting permissions does not necessarily change transcript retention. Configure retention and access separately.

- Set automatic deletion and retention periods to match legal, contractual and internal requirements.
- Document who may export, share or delete transcripts and audit exceptions.
Zoom’s current Meetings, Webinar and Chat Data Retention Standard states that chat is retained for 24 months by default. AI content follows the retention period of its associated Zoom service. The 24-month figure is a default standard, not a promise that every organization or every AI asset will be retained for exactly that period; account settings and applicable policies can change it.
How do I stop AI Companion from working in an external meeting?
Use the external-meeting restriction for the specific features you do not want your users to activate when they join someone else’s meeting. Select Meeting Summary, Meeting Questions, captions, recording, chat, file transfer or Zoom Apps as appropriate, then lock the setting.
This control addresses your user’s ability to invoke features while attending the meeting. It does not remove access that the meeting host has already granted, nor does it delete a transcript or recording that was created before the restriction took effect. For those assets, change the host’s sharing and retention settings and remove existing grants.
Can ZoomMate or the Zoom for ChatGPT app see meetings a user cannot access?
They should not be used as a way around Zoom permissions. Zoom states that search results are permission-aware, and its privacy lifecycle says: “If you or other participants have permission to access it, AI Companion can use that content — based on the features and settings chosen by you, your host, and your admin.” The practical control is to correct the underlying meeting, recording, transcript, chat, document and connected-app permissions before enabling an agent or connector.
Review the Zoom for ChatGPT prerequisites
Zoom’s documentation says the Zoom for ChatGPT app requires the relevant Zoom AI features to be enabled. The user must have hosted the meeting or been granted access by the host. If the integration should not retrieve a meeting, disable the prerequisite AI features or revoke the user’s access to the meeting asset.
Review ZoomMate and other connectors
- List every connector, Marketplace app and MCP server available to the account or group.
- Check which meetings, recordings, transcripts, chats, documents and public URLs each connector can query.
- Remove connectors that are not needed and disable third-party apps in Agents when a Zoom-only boundary is required.
- Require approval for actions that send data outside Zoom, create documents or post messages.
- Recheck permissions after an app update, an ownership change or an MCP-server configuration change.
What should a complete Zoom AI access review include?
Start with an inventory, then apply controls in order. This sequence prevents a team from enabling an agent before it knows which data and actions the agent can reach.

- Communicate consent and retention. Tell hosts and participants which AI features are enabled, where summaries and transcripts are stored, who can access them and how long they remain available.
What are the common failure modes and fixes?
A user re-enables an agent after an administrator disabled it
The setting may be enabled at a higher level or left unlocked. Disable the feature at the account or group level and lock it. Check group membership if the user recently moved departments.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →The agent cannot read a meeting that the user can open
Agent access can depend on the relevant AI feature, the meeting host’s grant and the connector’s scope. Confirm that the user hosted the meeting or received access, that the required Zoom AI feature is enabled, and that the connector has not been blocked by policy.
The agent can read data but also sends messages or shares recordings
Reading and action permissions are independent. Open the agent’s Tool permissions and change messaging, sharing and file-editing tools to Needs approval, Custom or Blocked. Do not rely on the agent’s ability to answer questions as evidence that its action tools are restricted.
A transcript remains available after AI features are turned off
Existing content follows its own retention and access settings. Review transcript retention, host access and automatic deletion, then revoke existing asset permissions. Disabling a feature prevents future use but is not necessarily a deletion command.
Controls look different after a Zoom update
Zoom changes feature names, navigation, regional availability, licensing and prerequisites. Recheck the current Admin Center and desktop-app labels after updates, and record the date of each policy review. The Chat AI-agent guide currently lists US availability and Zoom desktop app version 7.0.5 or higher among its requirements.

What are the current availability and version limits?
The current Zoom Chat AI-agent guide lists availability for US users and requires Zoom desktop app version 7.0.5 or higher among its stated prerequisites. Availability, licensing and feature rollout can vary by region and account, so a missing control may reflect eligibility rather than a configuration error. Confirm the requirements shown for your tenant before designing a policy around a feature.
Frequently Asked Questions
Will disabling AI agents delete existing Zoom transcripts or recordings?
No. Agent availability and stored assets are separate controls. Existing transcripts and recordings remain governed by their own sharing, host-access and retention settings until an authorized user deletes them or automatic deletion occurs.
Can a meeting host override a participant’s AI restriction?
Not when the participant is in a group with “Restrict Zoom AI features and transcription when joining meetings” enabled. For that session, Meeting Summary, Meeting Questions and My Notes stop automatically and the host cannot restart them for the restricted participant.
What should I check before approving an MCP server for a Zoom agent?
Identify the server owner, every data source it can reach, the actions it can perform and where data is sent. Approve only a documented server, keep tool permissions at Needs approval or Custom, and review the configuration after changes.
Why is an AI feature unavailable even though my account appears to have it?
The feature may require a supported region, license, desktop-app version or an enabled prerequisite AI setting. Zoom’s current Chat AI-agent guidance lists US availability and desktop app version 7.0.5 or higher, but eligibility can differ by account and rollout.
