Reduce phishing risk across hosted email and SaaS by combining organization-controlled safeguards with provider controls: require multi-factor authentication (MFA) on every available account, use phishing-resistant FIDO2/WebAuthn authenticators for administrators and sensitive-data users, centralize identity and access where practical, authenticate your sending domains with SPF, DKIM and DMARC, and give employees a fast way to report suspicious messages. Choose providers that can demonstrate MFA enforcement, domain verification, filtering, monitoring and incident communication. These measures make credential theft and spoofing harder, but no provider feature eliminates phishing; your access policies, mail configuration and response process remain essential.

Why is phishing harder to control on third-party email and SaaS?

When mailboxes and business applications run on another company’s infrastructure, you cannot patch the service, inspect every server setting or change its filtering code. You still control the identities that sign in, the privileges those identities receive, the domains your organization uses to send mail, and how employees respond to suspicious messages. Effective protection therefore has two layers: controls you operate and capabilities you verify before selecting a provider.

Attackers commonly pursue one of three outcomes:

  • Credential theft: a convincing login page captures a password or one-time code.
  • Session or account takeover: a stolen credential lets an attacker read mail, access files or impersonate an employee.
  • Impersonation: a forged message appears to come from your domain or a trusted colleague and requests payment, data or a risky action.

MFA reduces the value of stolen passwords, domain authentication helps receiving systems evaluate messages that claim to be from you, and filtering and reporting shorten the time between delivery and containment. Each addresses a different failure point, so deploying only one leaves important gaps.

Which employee accounts should be protected first?

Apply MFA to all work accounts, but sequence the rollout by consequence. Start with identities that can change security settings or reach the most sensitive information, then expand to the rest of the workforce.

Yubico - YubiKey 5C NFC - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB-C or NFC, FIDO Certified - Protect Your Online Accounts
  • POWERFUL SECURITY KEY: The YubiKey 5C NFC is the most versatile physical passkey, protecting your digital life from phishing attacks. It ensures only you can access your accounts
  • WORKS WITH 1000+ ACCOUNTS: Compatible with popular accounts like Google, Microsoft, and Apple. A single YubiKey 5C NFC secures 100+ of your favorite accounts, including email, password managers, and more
  • FAST & CONVENIENT LOGIN: Plug in your YubiKey 5C NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
  • MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
  • PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
  1. Administrators and identity managers: these accounts can reset passwords, create users, alter mail rules or disable security controls.
  2. People handling sensitive data: prioritize finance, human resources, legal, executive, customer-data and research teams.
  3. External-facing and shared service accounts: protect help desks, support mailboxes, automation identities and accounts used by contractors.
  4. All remaining users: require MFA before granting normal access, including file storage, collaboration and line-of-business SaaS.

Inventory every business mailbox and SaaS account, including services employees adopted without an IT request. Record the owner, data reachable, administrator role, sign-in method, recovery contact and whether MFA is available. This list becomes the baseline for enforcement and for removing access when a person changes roles or leaves.

Which MFA method offers the best phishing protection?

Use the strongest method each service supports, with phishing-resistant FIDO2/WebAuthn authenticators as the target for privileged and sensitive access. CISA identifies physical security keys among the strongest business MFA options, while NIST describes FIDO authenticators that can be separate hardware or built into phones and computers. Text-message and email codes are weaker and should not be treated as equivalent to phishing-resistant authentication.

MFA option Resistance to phishing Deployment and recovery considerations
FIDO2/WebAuthn security key Strong; the authenticator verifies the legitimate site rather than handing a code to a fake one. Check support in each identity provider, browser and device. Issue a spare or define a supervised recovery process so a lost key does not become an emergency bypass.
Built-in FIDO authenticator on a phone or computer Strong when the service supports WebAuthn and the device is protected. Confirm device replacement, hardware failure and cross-platform enrollment procedures before making it mandatory.
Authenticator-generated approval or code Better than a password alone, but susceptible to real-time relay or social engineering in some attack scenarios. Useful where FIDO is unavailable. Require number matching or equivalent anti-fatigue controls when offered, and monitor repeated prompts.
Text-message or email code Weakest of these options; messages can be redirected, intercepted or entered into a fraudulent site. Use only when stronger methods are unavailable, and maintain a plan to migrate the account to a stronger factor.

Before enforcement, test enrollment, sign-in, account recovery and administrator break-glass procedures with a pilot group. Require at least two registered authenticators for high-impact accounts where policy permits. Document who can approve a reset, how identity is verified and how the event is logged; an informal “send me a code” exception can undo the protection MFA provides.

How do I centralize identity and limit SaaS access?

Use a central identity and access management (IAM) service for applications that support it. Centralized login gives you one place to enforce MFA, disable a departing worker, review sign-in events and apply role-based access. It does not make a SaaS application trustworthy by itself, so continue evaluating each provider’s controls and data handling.

Build an access model before connecting applications

  • Define roles by job need rather than by convenience. A user who reads invoices does not automatically need payment administration.
  • Assign an accountable business owner for every application and an administrator with a documented backup.
  • Set an approval path for new accounts, elevated privileges and access to sensitive data.
  • Schedule periodic reviews and remove permissions that are no longer required.

Make joiner, mover and leaver events routine

When someone joins, grant only the baseline role and require MFA enrollment. When a person changes jobs, review access instead of simply adding the new role. When employment or a contract ends, disable the central identity promptly, revoke active sessions where the provider supports it, transfer business records and remove local administrator accounts.

Keep an emergency administrator account for recovery, but protect it with phishing-resistant authentication, restrict its use and alert on every sign-in. Store recovery details securely and test them on a planned schedule; an untested emergency account is not a reliable safety net.

How do SPF, DKIM and DMARC help prevent domain spoofing?

These three email-authentication mechanisms let receiving systems assess whether a message claiming to use your domain is authorized. They reduce spoofing of your organization’s address and improve the signals available to anti-phishing systems, but they do not block every malicious message and do not protect a legitimate account that an attacker has taken over.

SPF checks authorized sending services

Sender Policy Framework (SPF) publishes which mail systems may send for a domain. List every legitimate provider and service that sends organizational mail. An incomplete record can cause genuine invoices, alerts or newsletters to fail authentication; an overly broad record can authorize more infrastructure than intended.

DKIM adds a tamper-evident signature

DomainKeys Identified Mail (DKIM) signs outgoing messages. The receiving system retrieves your public key from DNS and verifies that the signed portions were not altered and that an authorized system applied the signature. Generate and protect signing keys through the sending service, and plan key rotation according to that service’s current documentation.

DMARC tells receivers what to do with failures

Domain-based Message Authentication, Reporting and Conformance (DMARC) evaluates whether SPF or DKIM aligns with the visible From domain and publishes a policy for failures. Begin with monitoring so you can identify legitimate senders, then move toward a stricter policy after all approved services pass alignment. Coordinate changes with every team that sends mail; otherwise a well-intended policy can quarantine or reject business messages.

What should I ask a hosted email or SaaS provider?

Treat provider selection as security due diligence rather than a brand ranking. Guidance from the Australian Cyber Security Centre recommends providers with a strong reputation, domain-ownership verification and MFA support. A joint guide from CISA, NSA, the FBI and MS-ISAC notes that trusted managed cloud email can provide patching, traffic monitoring and anti-phishing services, while stressing that organizations must still assess the specific service and their own requirements.

Area to verify Questions for the provider Evidence to request
Identity and MFA Can administrators require MFA for every user? Are FIDO2/WebAuthn methods supported? Can you restrict legacy sign-in methods? Current administrator documentation, supported authenticators and recovery workflow.
Domain control How do you verify domain ownership? Can the service sign DKIM and integrate with SPF and DMARC? DNS requirements, key-management process and alignment guidance.
Inbound protection How are phishing, malware, malicious links and risky attachment types detected? Can external messages be labeled? Policy controls, quarantine behavior, administrator visibility and user-release rules.
Operations Who monitors the service, applies patches and communicates incidents? What logs can customers export? Incident-notification commitments, retention periods, audit records and support escalation path.
Administration Can you separate administrator roles, review privilege changes and revoke sessions? How are inactive accounts handled? Role model, access-review features and offboarding procedure.

Ask the provider to demonstrate these functions in a trial or administrative session. A feature listed in marketing material is not the same as a control you can enforce, monitor and recover when it fails. Record which capabilities are included in your edition and which require an additional service.

How should filtering and employee reporting work together?

Filtering should remove known malicious indicators and risky attachment types before delivery where the platform supports it, while employees need enough context to recognize messages that evade automated checks. Label mail originating outside your organization, but do not rely on a banner alone; trusted partners and compromised accounts can also send dangerous messages.

Give employees a low-friction reporting path

  • Provide one visible “report phishing” action in the mail client or a dedicated address.
  • Tell employees what happens after a report and whom to call for an urgent payment or account concern.
  • Preserve the original message and useful headers so administrators can search for similar mail and remove it from other inboxes.
  • Thank reporters and explain the outcome without exposing unnecessary personal information.

Train for decisions, not slogans

Show employees how to inspect the actual sender domain, unexpected sign-in prompts, urgent payment requests, unusual attachments and messages that pressure them to bypass normal approval. Teach them to open a known bookmark or type the service address rather than following a login link in an unsolicited message. Training should include contractors and executives, whose accounts and authority are attractive targets.

Run short, recurring exercises and use the results to improve controls, not to shame individuals. If a simulation reveals that users cannot report a message or that a workflow creates repeated MFA prompts, fix the process before repeating the exercise.

Yubico - Security Key NFC - Basic Compatibility - Multi-Factor Authentication (MFA) Key, Connect via USB-A or NFC, FIDO Certified
  • POWERFUL SECURITY KEY: The Security Key NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key NFC secures 100 of your favorite accounts, including email, password managers, and more.

What should we do when someone reports a phishing message?

Prepare a documented response before an incident. The first goal is to contain access, then determine what the attacker could reach and preserve evidence for follow-up.

  1. Capture the report: retain the original message, headers, links and approximate time received.
  2. Protect the account: if the user entered credentials or approved an unexpected prompt, disable or suspend the account, revoke active sessions where available and reset credentials through a known-good path.
  3. Check for persistence: review recent sign-ins, mailbox forwarding rules, recovery changes, newly created users and privilege changes.
  4. Contain spread: search for matching messages, quarantine them and warn recipients. Contact affected customers or partners when impersonation is plausible.
  5. Escalate: involve the provider’s security channel and your incident-response or legal contacts according to the severity and data involved.
  6. Learn: record the delivery path, control that failed and corrective action, then update filters, training or access policy.

Keep a separate, protected communication channel for incidents. If the primary mailbox may be compromised, do not use it to coordinate recovery.

What is a practical 30-, 60- and 90-day rollout?

Days 1–30: discover and protect the highest risk

  1. Inventory mail and SaaS accounts, administrators, sensitive-data users and current MFA coverage.
  2. Enforce the strongest available MFA for administrators and sensitive accounts; register recovery methods and test them.
  3. Disable stale accounts and remove obvious excess privileges.
  4. Publish the reporting route and an emergency contact process.

Days 31–60: extend controls and verify domains

  1. Roll out MFA to the remaining workforce, beginning with services that hold business mail or files.
  2. Connect supported applications to centralized IAM and formalize joiner, mover and leaver procedures.
  3. Inventory every legitimate sender and configure SPF and DKIM with each service.
  4. Publish DMARC in a monitoring posture and investigate authentication failures.

Days 61–90: make the program durable

  1. Move privileged and sensitive users to FIDO2/WebAuthn wherever compatibility permits.
  2. Enable external-message labeling, malicious-indicator filtering and risky-attachment controls.
  3. Complete provider reviews, document gaps and obtain written incident contacts and log-retention details.
  4. Test a reported-phish response, an account-recovery scenario and an administrator lockout.
  5. Set a recurring access review and DMARC-report review cadence with named owners.

How can we measure whether phishing defenses are improving?

Use operational measures that reveal coverage and response quality rather than relying on a single simulated-phishing score.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Percentage of active accounts with MFA, and percentage of administrators using phishing-resistant authenticators.
  • Number of applications connected to central IAM and number of orphaned or unowned accounts found during reviews.
  • Time from a report to triage, message removal and account containment.
  • Count of legitimate senders passing SPF, DKIM and DMARC alignment, plus unresolved authentication sources.
  • Frequency of unapproved forwarding rules, privilege changes and repeated unexpected MFA prompts.
  • Provider incidents, support response times and completion of agreed remediation actions.

Review these measures with business owners. A high reporting rate can indicate healthy awareness, while a sudden drop may mean employees no longer trust the reporting process.

What common mistakes undermine these controls?

  • Declaring MFA complete after enabling it for administrators: attackers can still target ordinary users with access to mail and files. Expand coverage and track exceptions.
  • Calling SMS “phishing-resistant”: use precise language and maintain a migration plan to FIDO2/WebAuthn.
  • Publishing DMARC without inventorying senders: legitimate third-party mail may be rejected. Start with monitoring and coordinate every sending service.
  • Assuming the provider owns the whole problem: provider filtering cannot correct excessive privileges, weak recovery procedures or an unmonitored compromised account.
  • Creating a reporting mailbox nobody watches: assign an owner, service-level target and backup route.
  • Leaving recovery outside the security model: an attacker who can persuade support to bypass MFA can defeat a strong primary factor. Require documented identity verification and approvals.
  • Granting SaaS access indefinitely: review permissions after role changes and remove access that no longer serves a job need.

What does a sustainable policy look like?

Write the controls into onboarding, procurement and offboarding rather than treating them as a one-time project. Procurement should require MFA, domain verification, usable logs, filtering controls and incident contacts before a new service handles organizational data. Onboarding should enroll a strong authenticator and explain reporting. Offboarding should disable the central identity, revoke sessions, transfer records and remove local administrator rights.

Frequently Asked Questions

Can phishing-resistant MFA stop every phishing attack?

No. It is designed to prevent a stolen password or code from being sufficient at a fake site, but attackers can still exploit malicious files, business-process deception or an already compromised session. Keep filtering, least-privilege access and rapid reporting in place.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should contractors and temporary workers use the same controls?

Yes, when their accounts can reach organizational mail, files or administrative functions. Give them time-limited, role-appropriate access, require MFA and include their accounts in offboarding and access reviews.

How often should domain-authentication settings be reviewed?

Review them whenever a legitimate sending service is added or removed and on a recurring schedule that has a named owner. Investigate unexpected SPF, DKIM or DMARC sources promptly because they can indicate configuration drift or unauthorized sending.

What if a SaaS application cannot use our central identity system?

Document it as an exception, assign a business owner and enforce the strongest native MFA available. Set a review date, restrict privileges and reassess the application when its identity capabilities or your requirements change.
