Do not try to identify AI spam by its writing style. Treat it as ordinary spam or phishing: report the message to your mail provider, block repeat offenders, build cautious filters, and never click unexpected links or attachments. Check the sender’s real address and authentication warnings, then protect your account with two-factor authentication and a unique password.
Generative tools make convincing messages cheap to produce, but the effective defenses have not changed. Gmail, Outlook and other services combine machine-learning detection, sender authentication and user reports; your reports help those systems recognize similar campaigns. The workflow below shows what to do when a polished message reaches your inbox and how to reduce future misses without hiding legitimate invoices, alerts or correspondence.
What is AI-generated spam, and why is writing style a poor test?
AI-generated spam is unsolicited advertising, fraud or malware-delivery mail produced or polished with generative software. It may have fluent grammar, a natural tone and convincing personalization. Those qualities do not establish that a message is legitimate: criminals can copy a company’s branding, invent a plausible conversation and generate thousands of variations that evade simple keyword rules.
Classify the message by its behavior and provenance instead. A sender asking for a password, payment, gift card, account reset or sensitive document is high risk, whether the prose contains mistakes or reads like a professional notice. A familiar display name can conceal a different address, and a message that appears to come from a colleague can use a look-alike domain.

- Read the complete sender address, not only the display name.
- Look for a question mark, “unverified sender” notice, spoofing warning or other authentication failure.
- Be suspicious of urgency, secrecy, unexpected invoices, refunds, account closures and requests to bypass normal procedures.
- Hover over links where your mail app permits it, but do not open the destination; a visible brand name can conceal another domain.
- Treat unexpected attachments as unsafe, especially executable files, macro-enabled documents and password-protected archives.
There is no dependable recipient-side test that proves a message was written by an AI system. AI-text detectors produce false positives and can miss edited or paraphrased messages. The useful question is whether the message is authorized and safe, not which tool generated its sentences.
What should I do when an AI-looking message reaches my inbox?
Use a consistent sequence: report it, remove it, and only then create a rule if the campaign repeats. Reporting gives the provider a feedback signal; deleting alone does not provide the same information.
- Stop interacting with the message. Do not reply, click a link, open an attachment, scan a QR code or call a number in the email.
- Report the right category. Choose the provider’s spam or junk-report control for unwanted mail. Choose the phishing-reporting option when the message seeks credentials, payment or personal information, impersonates an organization or uses a malicious link.
- Remove it from view. After reporting, delete the message or leave it in the provider’s spam or quarantine folder according to your organization’s policy.
- Block a repeat sender. Blocking is useful for a persistent address, but it is not a substitute for reporting because attackers can rotate addresses.
- Record the pattern. If similar messages continue, note the sending domain, subject wording and recurring headers before making a filter.
How do I report spam and phishing in Gmail?
Select the message and choose Report spam. If it asks for passwords, payment or personal information, use Gmail’s phishing-reporting option instead. Google says repeated reports help Gmail identify similar spam more efficiently, so reporting a miss is more useful than simply deleting it.
Gmail also lets you block senders, create filters, add trusted correspondents to contacts and recover legitimate messages that were placed in Spam. If a wanted message is misclassified, use the option to report that it is not spam; doing so helps correct future classification.
How do I report spam and phishing in Outlook or Microsoft 365?
Use Junk for ordinary unwanted mail and Report phishing for credential theft, payment fraud or impersonation. Block the sender when appropriate, but continue reporting new variants because the address may change.

In a managed Microsoft 365 mailbox, administrators can route suspicious messages to Junk or quarantine and tune anti-phishing policies. If you are unsure whether a message is a work incident, preserve it according to your company’s reporting process rather than forwarding it to coworkers.
How can I check whether the sender is genuine?
Sender checks should happen before you follow a request. A display name is only a label; the address and domain determine where the message actually originated. Compare the address with a known contact or a previous, trusted message rather than using the new email’s signature or telephone number.
Inspect the address and domain
- Expand the sender details and read the address character by character.
- Watch for extra words, substituted characters, unusual top-level domains and domains that are merely similar to the real organization.
- Be cautious when the reply-to address differs from the visible sender or when a personal mailbox is used for a supposed business transaction.
- For a colleague’s request, verify through a separate channel you already trust, such as a known phone number or an existing chat thread.
Understand warning banners
Gmail describes spoofed-address and unconfirmed-sender warnings, while Outlook can show an indicator when the sender’s identity cannot be verified. A warning is a reason to pause, not proof that every unflagged message is safe. Attackers can use a real, compromised account or a newly registered domain that passes basic checks.
Use authentication as evidence, not a guarantee
SPF, DKIM and DMARC help a receiving service determine whether a domain authorized a message and whether the visible sender aligns with that domain. A failure or missing authentication increases risk. A pass does not make a message trustworthy: a criminal can send from a domain they control, and a legitimate account can be compromised.
How do SPF, DKIM and DMARC reduce spoofed spam?
These are sender-side controls. You cannot configure them for a random newsletter, but understanding them helps you interpret provider warnings and choose reputable senders.

| Control | What it checks | What it can and cannot do |
|---|---|---|
| SPF (Sender Policy Framework) | A domain publishes the servers authorized to send mail for it. | Helps receivers reject or distrust mail from unauthorized servers; it does not judge the message’s content or stop abuse from an authorized server. |
| DKIM (DomainKeys Identified Mail) | The receiving system verifies a cryptographic signature associated with the sending domain. | Shows that signed parts were not altered and links the message to a domain; it does not prove that the domain owner is benevolent. |
| DMARC (Domain-based Message Authentication, Reporting and Conformance) | Specifies how receivers should handle messages that fail authentication alignment and provides reports to the domain owner. | Improves enforcement and visibility against impersonation; it does not eliminate all spam or phishing. |
Google’s Gmail requirements say senders delivering more than 5,000 messages per day to Gmail accounts must use SPF, DKIM and DMARC. All senders must use SPF or DKIM and meet Google’s transport and DNS requirements. These requirements affect senders and administrators; a recipient’s practical action is to heed authentication warnings and report suspicious mail.
How do I create filters without hiding legitimate email?
Filters are most effective against a repeated pattern, not a vague suspicion that a message “sounds like AI.” Start with a narrow rule based on a specific sender, domain or recurring subject phrase. Route matches to Spam or a review folder first rather than silently deleting them.
- Collect several examples. Confirm that the same address, domain or phrase appears in multiple unwanted messages.
- Create a targeted rule. In Gmail, use the message’s search options and the Create filter action. In Outlook, create a rule from the message or use the mailbox’s rule controls.
- Choose a reversible action. Move matches to Spam, Junk, quarantine or a review label. Avoid permanent deletion until you have checked for false positives.
- Protect trusted mail. Add known correspondents to contacts or an allow list where your provider supports it. Keep exceptions narrow; an entire free-mail domain is rarely a safe trust boundary.
- Review after deployment. Check the destination regularly, especially after creating a rule for a broad phrase such as “invoice,” “security” or “account.”
When should I block a sender instead of filtering?
Block an address that repeatedly sends unwanted mail and has no legitimate reason to contact you. Blocking is less useful for campaigns that rotate addresses or spoof display names, so continue to report those messages and filter the stable domain or subject pattern only when you have verified that legitimate mail will not be caught.
How do I recover a false positive?
Open the Spam or Junk folder and mark the message as not spam or not junk. Add the sender to contacts if you trust it, then adjust the rule that moved it. For business mail, ask the sender’s administrator to correct SPF, DKIM or DMARC configuration rather than weakening your own security rules.
How do Gmail and Outlook defend against AI-generated spam?
Both providers combine automated reputation systems, authentication signals, content analysis and user feedback. Their controls reduce exposure, but no filter catches every campaign; reporting misses remains important.

| Capability | Gmail | Outlook and Microsoft 365 |
|---|---|---|
| Automated detection | Google says Gmail uses AI-powered defenses and blocks more than 99.9% of spam, phishing and malware before it reaches inboxes. Google reported nearly 15 billion unwanted emails blocked each day in a 2023 Gmail security announcement; these are Google’s provider-reported figures. | Microsoft documents automated and machine-learning detection, including spoof intelligence, mailbox intelligence and configurable anti-phishing policies. |
| Sender warnings | Warnings can identify spoofed addresses or unconfirmed senders. | Indicators can appear when Outlook cannot verify a sender’s identity. |
| User feedback | Report spam, report phishing, block senders, create filters and mark false positives as not spam. | Use Junk or Report phishing, block senders and, in managed environments, route mail to quarantine. |
| Administrative controls | Domain authentication guidance relies on SPF, DKIM and DMARC; administrators can manage organizational mail settings. | Administrators can set phishing thresholds, configure impersonation protection and tune quarantine and anti-phishing policies. |
| Recovery from mistakes | Review Spam and mark legitimate messages as not spam. | Review Junk or quarantine and release legitimate messages under the organization’s policy. |
Google’s Safety Center currently presents the same “more than 99.9%” blocking claim as a Google product figure, not an independent measurement. No independently established prevalence figure shows how much spam is specifically AI-generated. Generative tools change how quickly convincing variants can be produced; they do not create a separate inbox control that replaces reporting, authentication and phishing hygiene.
What should I do with links, attachments and QR codes?
Do not open an unexpected attachment or click a link to investigate whether it is safe. Google recommends avoiding suspicious links and attachments, and its Safe Browsing protections can warn about dangerous destinations, but a warning-free page is not an endorsement of the request.
- Open a new browser window and type the organization’s known website yourself, or use a bookmark you created previously.
- Sign in only through that known site, not through a link in the message.
- For a payment, delivery or account notice, call a number from a statement, card or official website—not the email.
- Submit suspicious files to your organization’s security team according to its procedure; do not upload confidential material to an unapproved scanner.
Be especially careful with documents that ask you to enable macros, “unlock” content, run a command or sign in again. A polished explanation generated by software is still an untrusted instruction.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How can I protect my account if phishing succeeds?
Reduce the damage a stolen password can cause. Enable two-factor authentication (2FA), use a unique password for the mailbox and complete your provider’s security checkup after a suspicious campaign. The Federal Trade Commission recommends 2FA because it makes account access harder even when a username and password have been exposed.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Prefer an authenticator app or hardware security key when your provider and organization support it; keep recovery methods current.
- Change a password immediately if you entered it on a suspicious page, and change it anywhere else you reused it.
- Review recent sign-ins, forwarding rules, delegated access, connected applications and recovery addresses.
- Remove unfamiliar sessions and revoke third-party access you do not recognize.
- Tell contacts and your administrator if your account sent unexpected mail after the incident.
2FA does not make a malicious message safe, and it cannot undo a payment you authorized. It limits account-takeover damage, which is why it belongs in the same workflow as reporting spam.

Why does legitimate mail sometimes land in Spam?
Filtering is probabilistic. A new sender, unusual sending volume, broken authentication, a shared sending service or a message that resembles a known scam can all lower trust. Aggressive personal rules can create the same problem.
Fixing Gmail false positives
Open Spam, select the legitimate message and choose the option to report that it is not spam. Add trusted correspondents to contacts and inspect any custom filter that moves messages based on broad phrases or domains. If the sender controls the domain, ask them to implement SPF, DKIM and DMARC correctly.
Fixing Outlook or Microsoft 365 false positives
Check Junk and quarantine according to your organization’s retention policy, then release or mark the message as not junk when permitted. Business administrators should review anti-phishing thresholds, impersonation policies, mailbox intelligence and allow-list exceptions instead of asking every employee to bypass warnings.

What is the safest long-term workflow for a busy inbox?
Use layers rather than one “AI detector.” Provider filtering handles volume; authentication and warning banners expose identity problems; your reports improve detection; filters handle recurring patterns; and 2FA limits the consequences of a successful phish.
- Every day: report suspicious messages before deleting them and avoid interacting with their content.
- Every week: review Spam, Junk or quarantine for false positives and check that new rules are not catching invoices, security alerts or expected correspondence.
- After a campaign: search for related subjects and domains, then create the narrowest reversible filter that covers the pattern.
- After entering credentials: change the password, enable or verify 2FA, inspect account activity and notify the affected organization.
- For teams: document the reporting path, preserve suspicious messages when required, and let administrators tune quarantine and impersonation controls centrally.
Organizations that receive substantial volumes or face targeted impersonation may need dedicated email-security software with centralized quarantine, domain protection and investigation tools. Deploy it after using the built-in Gmail or Outlook controls, and configure it to preserve a review path for false positives.
Frequently Asked Questions
Will unsubscribing stop AI-generated spam?
Only unsubscribe from a mailing list you recognize and that offers a normal, expected opt-out. An unsolicited message may use the unsubscribe link to confirm that your address is active or send you to a malicious site; report it instead.
Can an AI detector tell me whether an email is fraudulent?
No detector can reliably establish authorship or legitimacy from wording. A fraudster may edit generated text, and legitimate writers may produce text that looks machine-written, so use sender identity, authentication, context and safe verification.
What should I do if I already clicked the link?
Stop entering information, close the page and run your provider’s security checkup. If you submitted a password, change it immediately anywhere it was reused, revoke unfamiliar sessions, enable two-factor authentication and contact the organization through a known channel.
How do I report a suspicious message from a work account?
Use your organization’s Report phishing or security-report button when available and follow its incident procedure. Do not forward the message widely; forwarding can expose malicious links or confidential content and may remove evidence administrators need.
