To protect sensitive data when using AI in Google Docs or Sheets, check the file’s sharing settings, confirm which Google account and Gemini feature you’re using, remove details the task doesn’t require, and ask your Workspace administrator about controls on managed accounts. Google describes different data protections for Gemini used within Workspace, personal-account sharing with Gemini Apps or Search, and Workspace Experiments; there is no single privacy guarantee that applies to all three.
What should I check before using AI with a Google document?
Start with two separate questions: who can access the file, and which AI service or account context will handle the content. A private sharing setting does not answer every question about AI data handling, and a Workspace privacy commitment should not be assumed to cover consumer or experimental features.
- Check the file’s access. In Docs or Sheets, select Share and review General access along with the people and roles listed. Set General access to Restricted when access should be limited to named collaborators, and remove or change collaborators who no longer need access.
- Identify the account and feature. Confirm whether you’re signed in with an organization-managed Google Workspace account or a personal Google account, and whether you’re using Gemini inside a Workspace app, sharing Workspace data with Gemini Apps or Search for Personal Intelligence or through screen actions, or using Workspace Experiments.
- Minimize the prompt. Include only the rows, text, or context necessary for the task. Remove unnecessary names, account numbers, health details, customer records, credentials, and other sensitive fields before submitting content.
- Check organizational rules. If the file or account is managed by your organization, ask its Workspace administrator which Gemini, sharing, and data-protection settings apply to the material you want to use.
- Review the result and any feedback action. Check AI-generated content for accuracy and appropriateness. Before submitting feedback, inspect whether prompts, outputs, or other data will be attached.
These steps address different risks: the first controls access to the file, while account context, prompt content, and administrator settings affect how AI features can interact with that content.
A quick go/no-go test
Before opening Gemini, ask whether you know the file’s current collaborators, whether the account is managed, and which service is receiving the content. If any answer is unclear, pause and verify it. A file that was private when created may have been shared later, and a Gemini button in Docs or Sheets does not by itself identify the terms or controls that apply.

Then ask whether the requested result can be produced from a description, a redacted sample, or a smaller range. If so, use that reduced context. If the task requires the complete confidential record, use only a feature and account that your organization has approved for that class of information.
Is it safe to use Gemini with confidential documents?
It depends on the account, feature, and organization’s settings. Google’s Workspace privacy guidance says Workspace data is not used to train or improve the underlying generative AI and large language models that power Gemini, Search, and other systems outside Workspace without permission. That statement describes Workspace handling; it is not a blanket promise for personal-account sharing or Workspace Experiments.
Google’s guidance separately says that a personal-account user who shares Workspace data with Gemini Apps or Search for Personal Intelligence, or through screen actions, is subject to those services’ terms and policies, and that data may be used for model training and improvement. Workspace Experiments have separate terms. Check the applicable terms for the actual feature you plan to use rather than treating every Gemini surface as the same service.

Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →For confidential work in an organization-managed account, the administrator may restrict Gemini altogether or limit its access to Workspace data. Google says Workspace AI features inherit existing organizational protections, including data loss prevention (DLP) and data-region policies. Whether those protections are configured for a particular account or file is an organization-specific question for its administrator.
How the common account contexts differ
| Context | Who controls access | What Google’s guidance establishes |
|---|---|---|
| Gemini inside organization-managed Workspace | The organization’s Workspace administrator and the file’s existing permissions | Workspace data is not used to train or improve the underlying generative AI and large language models that power Gemini, Search, and other systems outside Workspace without permission. Administrators may restrict Gemini or its access to Workspace data. |
| Personal-account sharing with Gemini Apps or Search for Personal Intelligence, or through screen actions | The personal-account user and the applicable service terms and policies | Google says the user is subject to those services’ terms and policies, and that data may be used for model training and improvement. |
| Workspace Experiments | The feature’s separate terms and settings | Google identifies Workspace Experiments as subject to separate terms; the Workspace commitment should not be presumed to describe them. |
The key distinction is not just the word “Gemini.” It is where the feature runs, which account is signed in, what content is shared or referenced, and which permissions and terms apply.
Questions to ask when the document is confidential
- Is this a company-managed Workspace account, or did I switch to a personal account in the same browser?
- Am I using Gemini in Docs or Sheets, or am I sending the material to Gemini Apps, Search for Personal Intelligence, or a screen-action feature?
- Is the file covered by an administrator’s DLP, data-region, or sharing policy?
- Does the owner permit downloading, copying, or printing, and could those restrictions limit Gemini’s access?
- Will a feedback action attach the prompt, output, or another part of the document?
These questions are more useful than a general label such as “Google AI,” because the answer can change with the signed-in account and the exact entry point.
How do I check who can access a Doc or Sheet?
Use the file’s Share dialog rather than relying on how it was created or who you remember inviting. Google says new Workspace files are Restricted by default, but an existing file may have different access, and “Restricted” does not mean that no named collaborator can open it.
- Open the Doc or Sheet and select Share.
- Review General access. If access should be limited to invited people, set it to Restricted.
- Review the list of people with access and their roles. Remove people who should no longer have access or adjust their roles as appropriate.
- If General access allows anyone with the link, change it when that access is not intentional. Anyone-with-the-link access gives access to people who have the URL, so consider how the link may have been shared.
- Check the file again after collaborators, owners, or sharing rules change. The initial default is not a permanent status for every existing file.
Anyone-with-the-link access is especially easy to misunderstand. It grants access to people who possess the URL; it does not tell you who currently has a copy of that link. If a link was placed in an email, chat, ticket, or another document, changing the setting to Restricted is the direct way to end that broad access.

Google’s privacy guidance says Workspace files are encrypted and that users can control who has access to their content. Those protections do not replace checking the individual file’s current sharing state. “Restricted” still permits the named people shown in the dialog, so review both General access and the individual list.
Can Gemini access a file I can’t access?
Gemini generally follows the signed-in user’s existing access to Workspace data. Google also says a file owner’s restrictions on downloading, copying, or printing a Drive file can limit Gemini’s access to it. These controls can reduce access, but they do not remove the need to verify the user’s account, file permissions, and administrator settings.
For a managed account, ask the administrator whether Gemini access to Workspace data is enabled and whether smart feature settings, sharing rules, DLP controls, or data-region policies apply. A feature appearing in a user interface does not establish that the administrator permits its use with every file or type of information.
File-level permissions and administrator controls work together. A user may be allowed to open a spreadsheet but still be subject to an organization-wide restriction on Gemini. Conversely, an enabled Gemini feature does not expand the user’s underlying permission to a file. If a colleague can use Gemini with a document and you cannot, compare the account, the file’s permissions, and the administrator’s settings rather than copying the document into a new location.
What to ask a Workspace administrator
- Is Gemini enabled for this organizational unit or account?
- Can Gemini access Workspace data, or has that access been limited?
- Do smart feature settings affect Docs, Sheets, or Drive for this user?
- Are DLP rules, sharing rules, or data-region policies configured for this information?
- Are there restrictions on downloading, copying, or printing that also limit Gemini’s access?
- Which Gemini entry points are approved: Workspace apps only, or any connected consumer or experimental feature?
Administrators can change these controls, so an answer from a prior project or another team is not necessarily valid for the current file.
What information should I leave out of a prompt?
Leave out sensitive details that do not change the answer you need. For example, if the task is to summarize a customer feedback table, the customer’s name and account number may be irrelevant; if you need a formula, you may be able to describe the column structure without pasting actual customer records.
- Names or other direct identifiers that are not needed
- Account numbers, credentials, or access details
- Health information or other sensitive personal details
- Customer records or confidential business information unrelated to the task
- Extra rows, columns, or sheets that are outside the requested analysis
For a Sheets formula, describe headers, data types, and the desired result instead of pasting a full export. For a Docs summary, provide only the relevant passage or a redacted version when the omitted details do not affect the summary. Keep a private copy of the original under the organization’s normal access rules; do not create a broadly shared “working” copy merely to make prompting easier.

Where a task genuinely requires confidential material, use only an account and feature approved for that information under your organization’s rules. If you cannot establish that, do not paste the material into the prompt. Redaction is not a substitute for permission, but it can reduce the amount of information exposed when full detail is unnecessary.
What should I know before sending feedback about Gemini?
Do not use a thumbs-up, thumbs-down, or feedback form to send confidential examples. Google warns that feedback may be human-readable and says not to submit data containing personal, confidential, or sensitive information.
Before submitting feedback, review what will be attached, including prompts, AI outputs, or other data. If the example includes sensitive content, remove it or do not submit the feedback. Treat feedback as a separate data-sharing action rather than assuming it has the same handling as the underlying Workspace interaction.
Recommended Free Tools
A useful review is to read the feedback screen as if it were a separate submission: identify the text of the prompt, the generated response, and any attached document or spreadsheet context. Replace a real name with a neutral label and remove account, health, customer, or credential details when they are not essential to explaining the problem. If the form does not let you control what is attached, do not use a confidential example.
How should I handle AI output and unfamiliar shared content?
Review Gemini’s output before using it in a document, spreadsheet, or decision. Google warns that suggestions may be inaccurate or unsafe, so verify facts, formulas, and conclusions against trusted information. Do not treat generated content as professional advice.
In Sheets, inspect formulas, ranges, assumptions, and totals rather than accepting a plausible-looking result. In Docs, check names, dates, quotations, and any statement that could affect a customer, employee, legal matter, or financial decision. Keep the source material available for comparison and make consequential changes yourself after review.
Be particularly cautious when Gemini processes content from shared files or documents from unfamiliar senders. Google describes warnings or filtering for some malicious content and prompt-injection attempts. A warning is a reason to stop and inspect the source, not to follow instructions embedded in content you did not trust in the first place.

Why might I not see Gemini in Docs or Sheets?
Gemini features require an eligible Workspace or Google AI plan, and administrator settings may restrict them. Google’s feature documentation identifies Docs, Sheets, Slides, Vids, and Forms, but eligibility and available entry points depend on the account and current settings.
If a colleague has a feature that you do not, that difference alone does not establish that your account is misconfigured. Confirm the plan and account you are using, then ask the Workspace administrator whether the feature is enabled for your organization. Google may change feature names, plan eligibility, and administrator controls, so verify the current details in your own account.
Do not work around a missing feature by moving a confidential file to a personal account or an experimental feature without approval. A different sign-in can mean different terms, data handling, and administrator visibility. The safest troubleshooting sequence is to confirm the account, check plan eligibility, ask the administrator, and use an approved alternative if Gemini is unavailable.
A practical protection checklist
- Open Share and verify General access and every listed collaborator.
- Use Restricted when only named people should have access.
- Confirm whether the account is organization-managed, personal, or using Workspace Experiments.
- Identify whether Gemini is running in Docs or Sheets or through a separate consumer or experimental surface.
- Remove names, account numbers, health details, credentials, customer records, and unnecessary rows or passages.
- Ask the administrator about Gemini access, smart features, DLP, data regions, sharing rules, and file-owner restrictions.
- Review generated text, formulas, and conclusions before relying on them.
- Inspect feedback attachments and never submit confidential examples.
- Stop when a warning identifies malicious content or a prompt-injection attempt, and verify the source independently.
What is the main privacy pitfall?
The most common mistake is treating “Google,” “Workspace,” and “Gemini” as one uniform service. A new Workspace file may start Restricted, but an existing file can have link access or former collaborators. Workspace protections described by Google apply to the Workspace context described on its help pages; personal-account sharing and Workspace Experiments have separate conditions. Check the actual file, account, feature, and administrator policy every time the sensitivity of the material warrants it.
Frequently Asked Questions
Does Google scan private Docs and Sheets to train Gemini’s foundational models?
Google Docs Editors Help says Workspace does not scan private Docs, Sheets, Slides, Vids, and Drive files to train its foundational AI models, including Gemini. That statement is about Workspace and should not be extended to personal-account sharing or Workspace Experiments.
Can my company turn Gemini off for Workspace users?
Yes. Google says a Workspace administrator may restrict Gemini completely or limit its access to Workspace data. Ask your administrator what is enabled for your account and organization.
What should I do if Gemini warns about malicious content or prompt injection?
Pause before acting on instructions in the referenced file, especially if it came from an unfamiliar sender. Inspect the source and verify any consequential information independently.
Are new Google Workspace files private by default?
Google says new Workspace files are Restricted by default. Still open Share and verify General access and the individual collaborator list, because an existing file may have been shared differently.

Does Restricted mean nobody else can open my file?
No. Restricted limits access to the people listed in the Share dialog. Review those names and roles and remove anyone who no longer needs access.
Is anyone-with-the-link sharing safe for confidential data?
Anyone-with-the-link access gives access to people who have the URL. If that broad access is not intentional, change General access to Restricted and review named collaborators.
Can I use a personal Google account with a confidential Workspace file?
Do not assume the Workspace commitment follows the file into a personal-account feature. Google says personal-account sharing with Gemini Apps or Search for Personal Intelligence, or through screen actions, is governed by those services’ terms and policies, and data may be used for model training and improvement. Follow your organization’s rules.

What are Workspace Experiments?
Google identifies Workspace Experiments as having separate terms. Do not presume that the privacy commitments described for standard Workspace Gemini apply to an experimental feature.
Can file-owner restrictions affect Gemini?
Yes. Google says restrictions on downloading, copying, or printing a Drive file can limit Gemini’s access. These settings work alongside the user’s existing permissions and administrator controls.
What should I remove from a prompt?
Remove details that are not needed, such as names, account numbers, credentials, health information, customer records, and unrelated rows or passages. For formulas or summaries, use a description or redacted sample when it will produce the same result.
Can feedback expose the document I was working on?
Feedback may be human-readable. Before submitting thumbs-up, thumbs-down, or another form, inspect whether the prompt, output, or other data will be attached, and do not submit personal, confidential, or sensitive information.
