The reliable way to prevent leaks is to control what data may enter ChatGPT, use an appropriately managed account, secure identities, govern every connector and export, and monitor for misuse. Do not rely on a single privacy toggle. Credentials, regulated personal information, customer records, unreleased transactions, and code covered by third-party restrictions should be blocked or redacted before a prompt is sent.
OpenAI says business data in ChatGPT Business, Enterprise, and the API is not used to train models by default. That reduces one risk, but it does not prevent an employee from pasting restricted information into an approved workspace, sharing a transcript, authorizing an unsafe connector, or losing control of an account. The controls below address the complete data path.
What can leak when employees use ChatGPT?
A prompt is a data transfer. The text, files, images, conversation history, connector results, custom-GPT instructions, actions, and generated output can all become part of a company-controlled or third-party data flow. A leak can occur even when a model never trains on the information.
Typical exposure paths include an employee using a personal account, a shared link that remains accessible, a browser extension copying page content, a connector returning more records than intended, a downloaded transcript stored on an unmanaged device, or an attacker taking over a user account. Generated text can also reproduce sensitive details in an email, ticket, code commit, or document.

Protecting the service therefore requires two separate decisions: whether a particular item is allowed to leave the company boundary, and whether the selected ChatGPT deployment handles that item under acceptable retention, access, residency, and contractual terms.
How should we classify data before allowing ChatGPT?
Create a simple classification rule that employees can apply at the moment they write a prompt. The rule should identify prohibited material, conditionally approved material, and information that is safe to use after minimization.
Prohibit by default
- Passwords, API keys, private keys, session tokens, recovery codes, and other authentication secrets.
- Regulated personal data and customer records unless a documented, approved workflow specifically requires them.
- Unreleased financial results, acquisition or divestiture plans, pricing strategy, legal advice, and material nonpublic information.
- Source code, designs, specifications, or documents whose license, customer contract, or confidentiality agreement forbids third-party processing.
- Any dataset that cannot be removed or recalled after accidental disclosure.
Put these categories in the company policy and in the warning shown at the point of use. A vague instruction such as “be careful with confidential data” is not an enforceable control.

Allow only after minimization
For internal information that is not prohibited, require users to remove names, account numbers, email addresses, exact dates, unique identifiers, and unnecessary fields. Replace real values with labels such as Customer_A or synthetic examples. Summarize the smallest section needed to answer the question rather than uploading an entire folder.
For debugging, reproduce the behavior with fabricated records and a reduced code sample. Keep the mapping between a real identifier and its replacement outside the prompt. If the task cannot be completed without the original data, route it through a documented exception approved by the data owner, security, and privacy or legal teams as appropriate.
Document who may approve exceptions
Record the data owner, purpose, permitted ChatGPT workspace, retention period, geographic requirements, and deletion method for each exception. An approval should expire when the project ends or the contract changes. Review exceptions when the model, plan, connector, or terms are updated.
Can ChatGPT train on our company data?
OpenAI’s business-data documentation states, “We don’t train our models on your organization’s data by default.” That statement applies to business offerings and the API as described by OpenAI; it does not mean every account, region, connector, or contract has identical retention or access behavior.

Consumer accounts are governed by different controls. OpenAI documents an option to turn off model-improvement sharing, Temporary Chat for a one-off conversation, and deletion of chats. Those settings reduce some consumer-account exposure, but they do not authorize sending company information to a personal account. Your employer’s policy and contractual obligations remain controlling.
Training use is only one question. Before approving a workspace, verify retention and deletion, data residency, administrator access, sub-processors, connector behavior, audit records, incident support, and the terms that apply to your tenant. Record the answers in the system register instead of relying on a marketing label or a screenshot taken months earlier.
Which ChatGPT deployment should a company use?
Use a managed business deployment or API arrangement when company data is involved, and prohibit personal accounts for restricted information. The exact feature set and defaults can vary by plan, region, contract, and administrator configuration, so the table is a decision framework rather than a universal settings guarantee.
| Evaluation area | Consumer ChatGPT | Business or Enterprise ChatGPT | API deployment |
|---|---|---|---|
| Default training use | Consumer sharing controls must be reviewed by the user; company policy may prohibit use regardless of the setting. | OpenAI states business data is not used to train models by default. | OpenAI states business data is not used to train models by default. |
| Retention and deletion | Temporary Chat and chat deletion are available as documented by OpenAI; exact operational retention is not stated here. | Retention controls and deletion behavior depend on the plan, tenant configuration, region, and contract; verify in the console and agreement. | Retention depends on the API feature and contract; verify request, abuse-monitoring, and log-retention behavior. |
| Identity and administration | Limited employer control over accounts, recovery, and offboarding. | Central administration, role separation, and enterprise identity features may be available; confirm the edition. | Your application and identity provider enforce access; ChatGPT workspace controls do not replace API security. |
| Connectors and custom tools | Personal extensions, custom GPTs, and shared links can create unmanaged flows. | Connectors, actions, custom GPTs, and sharing require tenant-level inventory and approval. | Integrations are controlled in application code, secrets management, network policy, and vendor contracts. |
| Audit and incident support | Employer visibility is limited and may depend on user-provided evidence. | Audit capabilities and administrative records are described for business offerings; confirm which events are logged. | Instrument your application, gateway, identity provider, and storage systems; do not assume the model endpoint is a complete audit system. |
| Data residency and contractual terms | Not suitable for restricted company data unless your legal and security review explicitly permits it. | Region, sub-processors, residency commitments, and incident terms must be checked for the selected tenant. | Review the API agreement, processing terms, region, and any customer-specific commitments. |
Security and procurement should sign off together. A plan with strong identity controls is still inappropriate if its connector terms or residency do not match the data classification.

Start with an inventory and then apply settings in this order. Names and locations can change, so capture the date and edition with every recorded setting.
- Register the service. Record the plan or API project, tenant owner, region, contract, sub-processors, retention and deletion settings, enabled connectors, custom GPTs, actions, plugins, administrator roles, and export destinations.
- Separate work from personal use. Require a company-managed identity for company prompts. Block or educate against copying restricted data into personal accounts, consumer browser sessions, or unapproved AI tools.
- Review model-improvement controls. In a consumer account, turn off model-improvement sharing when policy permits and use Temporary Chat for a sensitive one-off task. Treat those measures as risk reduction, not as permission to submit prohibited data.
- Set retention deliberately. Choose the shortest period compatible with legal, operational, and support needs. Test deletion and document what remains in exports, backups, abuse-monitoring records, or connected systems.
- Limit administrators. Create separate ordinary-user and administrator roles. Use least privilege, require approval for connector changes, and review access after transfers, departures, and extended leave.
- Control sharing and export. Disable public or broadly accessible shared links where possible, restrict transcript downloads, and define an approved storage location for any necessary export.
- Recheck after changes. Repeat the review when the plan, model, connector, action, region, or contract changes. A setting that was safe for one feature may not apply to a newly enabled integration.
How do SSO and MFA prevent account-based leaks?
Strong identity controls stop attackers from using a legitimate account to view conversations, create connectors, or export data. They do not sanitize a prompt that an authorized employee deliberately submits.
Use centralized identity and least privilege
- Require single sign-on where the selected edition supports it, with the company identity provider enforcing lifecycle and device policies.
- Assign ordinary users, support staff, auditors, and tenant administrators separate roles. Grant connector, export, billing, and policy permissions only when needed.
- Automate deprovisioning or perform a documented offboarding checklist immediately after a role change or departure.
- Protect recovery email addresses, backup codes, and administrator sessions as high-value credentials.
Prefer phishing-resistant MFA
CISA recommends phishing-resistant multi-factor authentication such as FIDO2 or WebAuthn. Issue security keys to administrators and other high-risk users, register more than one approved recovery method, and test account recovery without weakening the requirement.

Every integration expands the data boundary. Treat browser extensions, custom GPT knowledge files, actions, plugins, API integrations, shared links, and downloaded transcripts as separate assets with an owner and purpose.
- Discover. Export or manually compile the current list of integrations, their scopes, service accounts, data sources, and destination systems.
- Classify. Mark which integrations can read customer records, source code, file stores, tickets, email, or production systems. Note whether data is copied, cached, or returned in generated output.
- Approve narrowly. Permit only the fields and operations required for a documented use case. Use read-only access when write access is unnecessary and separate production from development credentials.
- Review terms. Confirm the connector provider’s processing, retention, residency, sub-processor, and breach-notification commitments before activation.
- Test failure modes. Check whether a prompt can retrieve another user’s records, whether an action can be induced to perform an unauthorized write, and whether sensitive fields appear in logs or error messages.
- Revoke promptly. Remove unused integrations, rotate their credentials, and revoke tokens after an owner leaves or a contract ends.
Do not assume a custom GPT is private merely because it is unlisted. Its instructions, uploaded knowledge, actions, and sharing settings all require review.
How can employees write prompts without exposing confidential data?
Teach a repeatable redaction method instead of relying on intuition. The objective is to preserve the structure needed for an answer while removing identity, secrets, and unnecessary context.
A practical redaction sequence
- State the task without naming the customer, employee, product, or transaction.
- Delete credentials, tokens, keys, URLs containing secrets, and authentication headers.
- Replace direct identifiers with consistent placeholders, preserving only relationships that matter.
- Reduce dates, locations, amounts, and free text to ranges or categories when exact values are not needed.
- Include the minimum code or document excerpt that reproduces the problem; remove comments, internal hostnames, and proprietary algorithms that are irrelevant.
- Check the completed prompt against the classification policy before sending.
For example, instead of pasting a real support export, provide three synthetic rows with the same columns and an explanation of the error. Instead of uploading an entire repository, include a short fabricated function that demonstrates the failing logic.

Review generated output too
Outputs can contain memorized prompt details, invented customer facts, or instructions that expose internal structure. Require a human review before placing generated text in a customer response, production code, public document, financial report, or automated workflow. Remove hidden metadata and internal references before distribution.
How should we monitor ChatGPT use and prevent exfiltration?
Monitoring should cover both the service and the surrounding devices and identity systems. The goal is to detect prohibited submissions, unusual access, and unauthorized movement of outputs without collecting more sensitive content than the investigation requires.

- Alert on bulk uploads, repeated attempts to submit blocked fields, access from unfamiliar devices, and sudden use of high-risk connectors.
- Retain investigation records according to the incident and privacy policy, with access limited to authorized responders.
Do not promise that a DLP or CASB product can inspect every encrypted or browser-mediated flow. Validate detection coverage with controlled sample prompts and document blind spots.
What should we do if someone discloses company data?
Use the existing incident-response plan; do not wait for certainty about model training. A prompt disclosure, shared link, stolen token, or connector misconfiguration may require different containment actions.
- Report and preserve. Capture the account, time, workspace, prompt or file involved, recipients, connector, device, and available audit records. Preserve evidence before deleting chats or resetting systems.
- Contain access. Revoke shared links, disable the affected account or session, remove unsafe connectors, and block further exports while the scope is assessed.
- Rotate secrets. Immediately replace exposed passwords, API keys, private keys, session tokens, and signing credentials. Assume a secret is compromised once it appears in a prompt or downloadable transcript.
- Assess obligations. Notify the data owner, security, privacy, legal, and contractual contacts according to the incident plan. Determine whether customers, regulators, or partners must be informed.
- Remove residual copies. Request deletion through the applicable tenant or connector process and remove local downloads and shared documents, while preserving the evidence required for the investigation.
- Learn and remediate. Identify the policy, identity, connector, or training failure; update controls; and test the fix with a tabletop exercise or sample prompts.
How do we train employees to use ChatGPT safely?
Short, recurring training works better than a one-time acceptable-use document. Demonstrate both a prohibited prompt and a safe, minimized rewrite using data employees recognize.
- Explain the classification categories and show where to find the approved-workspace list.
- Practice removing identifiers, secrets, and irrelevant attachments from real-looking examples.
- Show how to recognize personal-account sessions, public sharing links, unknown extensions, and unexpected connector consent screens.
- Provide a one-click or clearly advertised reporting path that reaches security quickly.
- Require managers and administrators to complete additional training on approvals, recovery, exports, and incident handling.
Run periodic sample-prompt reviews and tabletop exercises. Update the examples when plans, models, connectors, or internal data rules change.
What should a ChatGPT acceptable-use policy contain?
A workable policy connects a rule to an action and an owner. Include at least these elements:
- Covered users, devices, accounts, workspaces, APIs, extensions, and integrations.
- Prohibited data categories and the redaction standard for conditionally approved data.
- The approved plans, regions, connectors, custom GPTs, and actions, with an owner for each.
- Identity requirements, MFA expectations, administrator separation, offboarding, and recovery controls.
- Retention, deletion, export, shared-link, and transcript-storage requirements.
- Human review requirements for generated code, customer communications, legal material, financial information, and production changes.
- Monitoring scope, employee privacy safeguards, reporting contacts, escalation times, and incident steps.
- Exception criteria, approval authority, expiration date, and review trigger.
What is a realistic rollout plan?
First 30 days: establish control
Inventory accounts and integrations, publish the prohibited-data rule, block personal accounts for company work where technically possible, require SSO and strong MFA for administrators, and identify high-risk connectors and shared links.
Days 31–60: reduce exposure
Configure retention and sharing settings, remove unused integrations, test deletion and offboarding, deploy available DLP or CASB checks, and train employees with redaction exercises. Create the incident playbook and reporting channel.

Days 61–90: validate and improve
Run tabletop scenarios for an exposed API key, a public transcript, and a compromised administrator. Review audit events, test connector scopes, measure training completion, and obtain security, privacy, legal, and data-owner sign-off on exceptions.
What mistakes cause the most ChatGPT data leaks?
- Assuming “not used for training” means “never retained, viewed, exported, or shared.”
- Turning off consumer model-improvement sharing and treating that setting as an employer approval.
- Allowing broad connector permissions because the initial demonstration used harmless data.
- Using real customer records to debug when a synthetic dataset would work.
- Protecting administrator logins with passwords alone or leaving recovery methods unmanaged.
- Ignoring generated output, which can carry sensitive details into a new system.
- Deleting evidence immediately after an incident, making scope and notification decisions harder.
- Failing to recheck controls after a plan, model, region, connector, or contract changes.
Frequently Asked Questions
Does deleting a ChatGPT conversation remove every copy of the data?
Not necessarily. A conversation may have been exported, copied into a ticket or document, cached by a connector, or retained in security and backup systems under separate rules. Your incident or records team should verify each relevant system and follow its documented deletion process.
Should we ban ChatGPT entirely to protect confidential information?
A ban can push work into unsanctioned personal accounts and make visibility worse. A managed service, clear data classes, narrow integrations, and enforced identity controls usually provide a more measurable risk reduction while preserving approved uses.
Can a firewall stop employees from leaking data in prompts?
A firewall can block destinations or unapproved applications, but it cannot reliably judge whether text entered into an allowed service is confidential. Content classification, endpoint or browser controls, DLP coverage, and employee training are needed alongside network restrictions.
Who should own an approved ChatGPT connector?
Assign both a business data owner and a technical owner. The business owner confirms purpose and fields, while the technical owner maintains scopes, credentials, logging, tests, and prompt or action changes; security and privacy should review the risk.
How often should ChatGPT access and integrations be reviewed?
Review high-risk administrators and connectors at least when roles change, contracts or features change, or an incident occurs. Set a recurring review interval in the system register so dormant integrations and stale exceptions do not remain indefinitely.
