The safest rule is simple: don’t send an AI tool information the task does not need. Before submitting a prompt, check what it contains, remove or mask sensitive details, and confirm that the service and your organization allow the intended use. Redaction and service controls reduce risk; they do not guarantee secrecy.
What information should you pause over?
Sensitivity depends on context, not just whether something looks like a password. Information that identifies a person, reveals private circumstances, or gives access to a system may be sensitive. Business material can be confidential even when it contains no personal data.
- Customer or employee records, personal identifiers, and contact details
- Financial information, health details, and legal documents
- Unreleased plans, internal reports, contracts, and other business-confidential material
- Passwords, API keys, access tokens, and connection strings
NIST SP 800-122, published in April 2010 as guidance for U.S. federal agencies, recommends identifying personally identifiable information and choosing protections appropriate to its context. It is not a universal classification scheme for every organization. Read NIST SP 800-122.
How to reduce sensitive content before prompting
First decide what the task actually requires. If the AI only needs to summarize a policy, it may not need names, account numbers, or the complete source file. OWASP recommends sanitization and user education as mitigations for sensitive information disclosure. These steps reduce exposure but cannot guarantee that submitted content will remain confidential. - Remove irrelevant details. Delete identifiers, credentials, and confidential passages that do not affect the requested result.
- Replace names with neutral labels. Use placeholders such as “Customer A” or “Project X” where the identity is unnecessary. Check the prompt and any attached material for identifying details that remain.
- Summarize instead of pasting. Provide only the facts needed to answer the question rather than a full email thread, report, contract, or case file.
- Use synthetic examples when practical. For drafting or troubleshooting, invented data may demonstrate the problem without exposing real records.
- Review the final prompt and attachments. Look for information that could identify a person, expose a business decision, or enable access to a system.
Check the service and your organization’s rules
Before using a tool with work material, review the terms and settings for that specific service and account. They can differ by product, plan, configuration, and change over time; no provider’s current terms or controls are established here.
- Collection: What content does the service collect when you submit prompts or files?
- Retention: How long may it retain inputs and outputs?
- Training use: Can submitted content be used to train or improve models, and what controls apply?
- Deletion: What deletion options exist, and what do they cover?
- Administration and access: Can an organization manage users, permissions, and data handling?
- Connected sources: Can access to repositories, integrations, or tools be limited?
- Approval: Does your organization permit this tool and this category of information?
A privacy label or a setting alone is not a substitute for checking the applicable terms, configuration, and workplace policy.

What teams should control outside the model
Organizations should give AI applications only the access they need, apply least privilege, and restrict which external data sources an application can reach. Access permissions should be enforced by the surrounding application and infrastructure, not entrusted to the model’s wording.
A system prompt can guide behavior, but it is not a dependable authorization boundary. OWASP states that “the system prompt should not be considered a secret, nor should it be used as a security control.” It also warns that instructions restricting what data a model may return may not always be honored and can be bypassed. Do not put credentials or other sensitive information in a system prompt. OWASP: LLM07:2025 System Prompt Leakage.

If you already submitted sensitive information
Follow your organization’s incident-reporting process promptly if the material was work-related or otherwise covered by policy. Then use the service’s applicable deletion or support procedures, if available. There is no universal deletion mechanism established for every AI service, and a deletion request should not be treated as proof that all copies or records have been removed.
